Archiving    MM_MATNR

I am trying to use SARA to Archive material master data records, and I want to know what checks are used to determine if a record is archivable. For example, does it check all transactional sales data to validate that the material is not on any sales orders (both open and closed SOs).   How can I figure out what checks are used to determine archivability?

Transaction SARA contains all the SAP archiving objects for all the SAP R/3 applications modules.  All the SAP archive functions are shown in SARA.  Choose the corresponding SAP archive object, hit enter and the archive administration menu will be shown.  Provided here will be an example on how to archive the SAP Material Master.
Archive a Material Master Record
When a material is no longer required in a company or plant, you can archive and delete the material master record. 
You have to Flag the material master record for deletion. This is known as logical deletion. 
Before a material master record can be archived and deleted, other objects (such as purchasing documents) that refer to this material must themselves be archived. You can see which objects these are and the dependencies between them in the network graphic.
If a material master record cannot be archived and deleted at a given organizational level, the reason is given in the log (for example, a purchase order exists for the material). The log also contains technical data such as the number of material master records read and the number deleted.
Some of the archive error log message :-
Costing data exists
Use in routing
Use in sales and distribution
Use in bill of material
Delivery exists
Costing data exists
Info record exists
Purchase order exists
The Archiving steps :- 
Archiving object MM_MATNR for archiving material master records.
You can display the archived data, but not reload it.
To archive the material master, first goto transaction MM71.
Type in a variant name and click Maintain.  (Tick the Test Mode for archive simulation).
Save the variant.
Maintain the Start date and Spool parameters and click execute.
Click Goto Job Overview to check the archive status.
To do a permanent delete, goto transaction SARA and click Delete button.
Maintain the Archive Selection, Start date and Spool parameters.
Click Test Session for testing or click execute to start the deletion program.
Click Goto Job Overview to check the delete status.
Now, if you goto MM02/MM03, you will not be able to find the record in the material master.

    you really have a lucky hand in finding poor documentation.  Why dont you directly search in help.sap.com
    The technical archiving process is well doucmented there, step by step.
    further you should search OSS notes with key "MM_MATNR", there are plenty, make sure you are current with notes before you start. But more intresting in the beginning are the consultant notes there, explaining the errors  you may discover when archiving materials.
    of course you have to do this for any object that you need to archive before.
    Which objects this can be in theory can be seen in the network graphics, this answer was already given.
    But you have such a network graphic for any object that you need to archive before.....
    of course you do not need to archive any object there, just objects you use, and only those records from the object that are relevant to the materials you want to archive.
    Usually you set up a archving project, defining residence times for all potential archiving objects, then you do customizing and finally you start testing and then real archiving. this is explained in much more detail in help.sap.com and service.sap.com/plm
    And do not underestimate the effort. you need consultants from any module, and people from the business, and good to have auditors as well in the project. you will certaiinly face possible error, any process that is not defined and excuted clean from beginning to the end will give you headaches.
    I had a 50 day project (just my time),  to get familiar with the object, doing its customizing and execution (this can be different from object to object, even you start everything from SARA) and of course documentation. I have already spend more than 70 days in 3 years (it is not a high priority project) and I have not really archived materials that were in use yet.
    if a material was never used in dependent objects, then you can archive it right away.
    SAP does extensive checks (and you many have to add own addtional checks in user exits to avoid screwing up your production system (most archived data cannot be retrieved into the database). My system takes between 1 and 3 minutes to archive 1 material (or finally fail because of an error)

  • Archiving MM_MATNR: dependencies check report available?

    Archiving MM_MATNR (Material master) requires all dependent objects to be archived in advance. If I do a test run for MM_MATNR it shows me why a material cannot be archived, e.g. because it is used in a BOM (SAP Note 900537). The problem is, that the test run log just investigates if the material is USED in a BOM, it does not check if this BOM already has a deletion flag (and therefore would be gone when doing "real" archiving).
    This means that after having archived and deleted BOMs, routings, ... and finally trying to archive the material master, I then will find that I have forgot set deletion flag on some BOMs and therefore cannot archive the material unless setting DF on the BOM and archiving BOMs again.
    I want to avoid that by ensuring that if a material has a deletion flag, all dependencies have a deletion flag as well.
    So my question is: does anybody know a report / query to check for a material number if all dependencies are flagged for deletion as well?

  • Archive Object

    Hello,
    I archived MM_MATMR object on SARA transaction as usual and I can see it on the server as a file. After this process, I expect that the archived MM_MATNR object would be deleted from the tables on database. Is it possible to say; automatically delete it from the database after archiving or we should do it manually? To sum up, how can I delete an object from the database after archiving? I would be grateful if you could help me.

    As mentioned in the previous posts, I would check to see that the archive delete job was run in Production mode (not test).  I would also check the spool file for the archive write job to see if the material master record was eligible for archiving from the MARA table (at the header level).  Master data is hard to archive as there are many business checks that must be verified to ensure this data is no longer needed.  So, for example, your material master record may have been eligible for archiving for a certain plant or storage location, but not eligible for archiving at the header level.  If that is the case, you would still be able to see the material.

    Hi Sesidhar,
    Archiving object MM_MATNR helps in archiving Material master record (MMR), Some of the pre-requisites to archive MMR are:
    1. MMR should be flaged for deletion
    2. Technical dependent archiving objects should be archived.
    3. There should be no dependent business document open for it. For example - A material should not have pending Account receivables or Account payables / There should be no stocks in the warehouse / and so on..
    Basic customizing Archive administration should already been configured. For example: FILE system customizing, Archiving object specific customizing, Storage system configuration, Residence periods and so on.
    If you want to mark deletion flag for few MMR then manually you can do otherwise you have to go with the setting up deletion flag with a report.
    After meeting above, then you can start archive MM_MATNR, Procedure as follows in ECC6.0 system
    Goto SARA > Enter Archiving object MM_MATNR > Click on Write > Create Variant > Select MMR no that you want to archive and delete. > Schedule the job.
    Deletion and Store function scheduling depends upon the your configuration in Archiving object specific settings.

  • Archiving Materials MM_MATNR- set parameters?

    I am customizing the settings in SARA to Archive Materials (MM_MATNR) and I want to set logic so the system doesn't archive Materials that are less than 1 year old.  So if I create an item, have no transaction against it, and run the archiving program, how do I make sure it doesn't archive this new materials?

    There is no provision within SAP to set residence time for Material master records (MM_MATNR). Hence it is not possible to set the kind of logic you require in SARA. What you can possibly do is this.
    1. Flag the material master record which are older than 1 year for deletion
    2. In the archive variant uncheck the "Consider matls w/o del. flag"

  • MM_MATNR archiving for article-site

    Dear Experts,
         I have a requirement to archive Materials based on article - site combination. I have discontinued the articles using "Article Discontinuation for Sites" option in "WRF_DIS_SEL" TCODE. The field, "LVORM" is set to 'X' in MARC table for the specified articles. Then i archived the articles by giving the article numbers in SARA->Write.  Is this the right process to do article-site arching or did i miss anything? I dont want the articles to be removed from MARA table but as some stores are closed, want to remove the articles from them.

  • Archiving Materials - MM_MATNR

    People,
    I have a situation with Archiving Materials:
    If a material is deleted (logical deletion), the archiving process must delete this material if there is no active purchasing document for it.
    We can see, if we have a purchase order with this material, the archiving process does not delete it.
    Now, when we have a Maintenance Order (PM) with this material, for instance, for next 3 months, when archiving process runs, it deletes this material.
    I think this process it is not checking the Maintenance Orders. Is it possible? What can I check?

    How is this material entered as component?
    you probably had never a quantity maintained.
    Once you have had a quantity, then you have a reservation, and with a reservation you cannot archive the material.
    I get message:  & reservation / dependent requirements exist

  • How to find out prerequisites of archiving objects?

    As we plan an archiving project for our ERP system, I would like to know how to find out the prerequisites for archiving the different objects.
    For example, as I know for archiving material master data, the usage of object MM_MATNR requires that the deletion flag is set on materials.
    Or as I assume, orders probably can only be archived if they are delivered and closed.
    How to find out these prerequisites?

    Hi Martin,
    Network Graphics helps in determining the dependencies among the archiving objects.Once you have sorted out the flow you can schedule archiving in test mode to find more details.
    Eg PP_ORDER you can find out why a particular order is not archivable...may be cos of unsettled balance..etc.
    You can find few details about the prerequisites in the archiving run (test)

    Hi All.
    I have problem with archiving object WS_ACSITE in SAP RETAIL.(Transaction SARA)
    When I write data archiving, message appeard is that archive sessions are created.
    When I try to execute the next step: delete - the archive sessions are not appearing in the dialog box where we should choose the archive sessions for deletion.
    The above situation appear when I am working with plants existing in system for a while, but when I've create a new one and try to go through all SARA's steps it is OK, and master date of sites are deleted (e.g WB03).
    Can anyone help me?
    The second question is u2013 can I restore deleted sites to system?

    Hello,
    Check below information for Material master record required to archive:
    1. Is there any stocks in the plant for which MMR need s to be archived? (Stock = Zero)
    2. Is there any open items at FI accounting? (There should be no pending bills or parked documents)
    3. Is there any pending delivery for this material? (there should be no open deliveries)
    If all the above criteria is met then set the deletion flag and indicator for perticular Plant you are looking for.
    Note: Make sure that non of the other plants which is sharing this MMR is marked for deletion flag / indicatory
    Then execute Archive run for archiving object MM_MATNR.
    Note: All the required configuration is done for archiving object MM_MATNR.
    Hope this will help you to archive MMR only for your required plant.

  • Unable to archive warehouse view of an article in SAP Retail

    Hi SAP Gurus,
    I want to archive the warehouse view of a material which i extended to a wrong warehouse by mistake .
    The basic check would be first to discontinue the article by WSE1,, i could not do that because it was having open PO and sales stock. How to close them. I tried closing PO by MASS by putting a lock indicator as "l". Still its not helping me out.
    Anyone please let me know how to close all the POs and sales stock.

    It is archiving object MM_MATNR to archive a material master in total or just a certain org level of  the material. No other archiving object needed for this.
    ...i had performed SARA using MM-MATNR and had selected the object table as MLGN.
    I am lost. I do archiving for many years but do not know where you can select a MLGN object .
    After executing it successfully with no  error in the job log
    errors in the joblog refer to errors in the job. logical errors are stored in the spool file to the job (preconditioned you have selected to get a log)
    > I had not performed the delete operation by SARA.
    >  why do  i still see the MLGN enteries for the article.
    writing an archive does not remove entries from your table, it just duplicates the info, from the table into an archive.
    the delete step vefrifies if the archive can be accessed and is readable and then loops thru the archive and deletes the corresponding records from the database tables.

    SARA is a general transaction where you can archive all types of records using respective archiving object
    Go through the follow steps to archive the material master.
    Archiving the Material Master
    Before Archiving the Material Master the materials need to be flagged for deletion in T Code MM06/MM16.
    Archiving the materials is done thro T Code SARA. All the SAP archive functions are shown in SARA. Choose the corresponding SAP archive object, hit enter and the archive administration menu will be shown.
    When a material is no longer required in a company or plant, you can archive and delete the material master record.
    Before a material master record can be archived and deleted, other objects (such as purchasing documents) that refer to this material must themselves be archived. You can see which objects these are and the dependencies between them in the network graphic.

    I had not spoken about the tick for delete in test mode in the selection screen.
    I spoke about the variants for test and production run in customizing to your archiving object.
    If the variant that is saved for production run, has the tick for test run, then it just will not work.
    Further you should select X Complete for Detail log and list for P_PROT_O,
    This way you should get spool file that tells you more about errors or succesfull archived items.
    What did you do with the box in from of "Consider batch record without deletion flag" ?
    If empty, are you sure you have manually set the deletion indicator in MSC2N?
    What about the other boxes in this options section?
