Archiving - Sales order status change to archiving

Hi Experts
I tried to archive an old old sales order.  It gave the error as the sales order does not have the right status.
Firstly, I have changed the settlement profile of the order type, 'not to be settled' as they have unsettled data on them.  We do not need this data and just want to archive these old orders off.
1. Could you please tell me what status the sales order should have in order to archive them  and, -
2. Which table/s contain this status: i.e. field name and table.
We would like to programatically close these off so that they can be archived (never to be used again).
Your help will be most appreciated.  Points will be awarded.

I have changed the settlement profile to 'not to be settled', then run the mass change to reject all the items remaining on the documents.  Then I will use the archiving info that you all have given me.

    In sale order, WBSE is assigned. Delivery of materials are through cns0. then subsequently picking / packing / billing will happen at sales level. Billing is of delivery related. Please suggest to fix the issue.

  • How to find linked IDOCs from Archive Sales Orders

    Hi Experts,
        Just would like to know if there's a way to find  IDOCs that is linked to an archive Sales Order. I'm archiving IDOCs base on its Sales Order Document, If the SO doc is already archive then its IDOCs should also be archive.

    Yup... they're linked. Our sales order document are created from an IDOCs. During the archiving of those sales orders, it's related  IDOCs are still left in the system and later archived according to their age and not the status. What I want to do is  to hold  IDocs for as long as the reference sales document (object) is still on the system and archive them if the reference doc has been archived. Thanks for replying.

  • Due to deleted Sales order line items and Archived Sales order is still showing as Incomplete in BW as Open Order reports because of Incorrect SAP R/3 Rejection Status("A") in VBUP table.

    In a archived saler Order user had deleted Line Item and completed overall sales order. Now this sales order is archived, but it is stll appearing in BW report as open order because of deleted item  with rejection Status is maintained as “A” (Not yet Processed).
    We want to change this status from "A" (Not yet Processed) to "C" as completed.
    I have tried to reload Archive data but due to some limitation I was not able to do it. Also I feel this will like this s not the proper way to do it.
    Could you please help me to correct way to do it???

    Hi Vaibhav,
    If you can get the list of Sales orders which has deleted line items and force completion status. You can manage them in BI via lookup  or navigation attribute.

  • How to retrieve the ARCHIVED Sales order data

    Hi All,
    When issuing the output for the delivery, it is giving an error saying 'Sales Order XXXX does not exist' due to which the prices in the output were displayed as '0'. Reason for this can be that 'the order might have been archived'.
    My requirement is,
    1. If Sales Order doesnu2019t exist in data base then need to check if Sales order exists in archive data base.
    2. If  yes, take needed data from archive data base tables to calculate price. The logic of price calculation should be the same as for not archived Sales Orders.
    Can anyone help me on this..?
    Please tell me how to check whether the Sales order exists in the Archived database. Please share the table names(sample logic if possible) sothat I can use them in the report logic.

  • Status of Sales Order not changing

    Dear Gurus,
    Our client's document generation process is that they make a Sales Order for say 100pcs to their Dealer and then the Dealer wants the client to send them 20pcs on a perticular day. To inform the Plant to dispatch 20pcs to the Dealer on that day, client makes another Sales Order (referencing the first Sales Order) for 20pcs on the day of requirement, which the Plant accordingly dispatches after VL01n and VF01.
    Now the issue is since we are referencing OR doc type with another OR doc type, system is not changing the status of the first OR even after complete reference, but the second OR is changing to 'Completed' after full referencing to an OBD.
    I checked all the combinations but it is not changing. I tried many combination in VTAA for OR to OR and also in VOV7 for diff combinations of Completion Rule.
    What else can I do? Kindly help me out here, for which I will ever be greatful.

    wrt: your requirement, have tested & found source doc OR- status is not updating.
    But it seems  its std behaviour of SAP
    eg:
    As we know,-Sales Order status will be update based on std customization @ Copy Control / Source doc item category level.
    Where as in Std OR - once we create the delivery wrt:OR, then based on copy control maintained as said by the other mates, Order status will get updated accordingly.
    Here, OR is created ( updated in delivery due list, status is open).
    Now you created another OR wrt: first OR, then there is conflict, in order status updation, because here source document is same in both the cases ( creating subsequent document of Source doc & second OR).
    But as per system, first OR status is getting udpated once delivery is created, until then it is in "OPEN" status only, though you create one more OR wrt:first OR.
    NOTE: if it is your client requirement you have to go for new documen type ( in std: its given as Contract / Quotation etc..,)
    Small observation is, in VTAA Copy control from OR-OR,
    status will not get update & the document flow is left blank. Which means, this flow can be used to just create a copy of the actual document  w/o updating the status, assumes it can be used to send an order confirmation for a single material , where in actual document contains multi materials.( its just an eg: may not be for single material, could be for any reason)

    Is it possible to archive only sales orders, or does archiving sales orders mean we have to seperately go and archive all related deliveries, billing, etc.

    Sales order Archiving:
    In "SARA" transaction you can select the number of the sales orders that you want to archive.
    The archive procedure has two steps:
    First - you run the preparation to the archive (here the documents steel in database, is just a test to know if the documents are ready to be archive, that means, they are completed)
    Second - You run the archive process. Here, if you have a variant to eliminate the documents automatically, the documents disappear for the data base.
    SD archiving objects are:
    SD_VBAK sales orders
    RV_LIKP deliveries
    SD_VBRK billing documents
    Reward points pls.

    there are 4 steps for archiving the sales orders:
    please use t.code SARA and enter the archiving object - SD_VBAK.
    1.preprocedure - optional
    2. write - in that please enter document type and range of sales orders.
    3. deletion - delete it.
    4. read - if you want to check the sales orders archived then go to read.
    A folder is created on the name.
    take the help of an ABAPER or BASIS to reactivate the sales order number and reuse it

    For Overall Header status and administrative data you can check in VBUK table.
    For overall Item status and administrative data you can check in "VBUP" table.
    In both these cases you have to pass the order number number only in SE11/SE16 T.Code.
    For object status you have to check in "JCDS" table.
    In this initially you have to pass the order number in "VBAK" table and then fetch the "OBJNR" for that order.

  • Tables for archived sales order data

    Hi,
    ABAP Gurus would like to know in which tables will I be able to see data of archived sales orders (it is not VBAK)
    Any help would be greatly appreciated.

    Hi,
    If I am understanding correctly, your system has data archiving implemented.
    If that's the case then there is no table which will store archived sales order.
    For that you need to go to T.Code SARA.
    Choose object name SD_VBAK.
    Click on READ.
    This will show a screen giving a name of program and option to execute in background or foreground.
    This is how you can retrieve the info about archived Sales Order.

    The main transactions that provide access to sales orders data are the following:
    VA03 Display Sales Order
    ALO1 Document Relationship Browser
    Other:
    KABP Controlling Documents: Plan
    KSB5 Controlling Documents: Actual
    KVBI Sales Documents: Actual Line Items
    Standard Reports:
    S3VBAKAU: Program for sequential reading of archived sales documents
    If at least one of the archiving information structures SAP_DRB_VBAK_01- SAP_DRB_VBAK_02 is active, I suggest to use the transaction ALO1.

    please check in CDPOS & CDHDR from these tables we can find out the archived sales order.
    i think so you have to know data archiving technique for retrieveing the same from PRD.
    please check with ABAPER.
