Assigning resources in Project Server 2013

Hi,
Is it possible to assign a resource to a task through PWA in Project Server 2013?
I have a created a project in PWA, built team,saved and published but can't assign resources.
Do i need to open Project Professional to assign the resources?

Hi José,
This behavior is normal. See my example below with 1 resource on a fixed duration and effort driven task:
If I add a second resource, the duration is fixed so it will not change. The task is effort driven so the total effort will be kept at 40h, but splitted between the 2 resources:
The units will still be 100%, the assignment unit behavior has significantly changed in Project 2010, see references below:

If you insert the peak column in the task usage view, you'll see that the % unit for the 2 assignments are 50%.

    As far as % complete is concerned for assignment only Resource who will be assigned to the task can fill the actual for the task either from Task page or from Timesheet page if Single Entry Mode is enabled. No one else can fill the actual for the task from
    Timesheet page and task page. AS assignment will be available to the only that resource who is assigned to the task.
    But Project owner can do the modify the project plan any time either from MPP or from PWA you can not restrict him/her. But as far as % complete is concerned do the setting 
    To prevent the project manager from updating a team member's actual time worked, select the Only allow task updates via Tasks and Timesheets check box. it will be
    available on server setting --> Task setting and display

  • Project Server 2013 - Remove user from resource pool via sync

    Hello everyone,
    has anyone managed to configure their Project Server 2013 box with a resource pool sync that will actually remove user from the resource pool (disable "User can be assigned as resource" or deactivate users) when the user is removed from the AD
    group(s)?
    Setup: Single box, SQL 2012 SP1, SharePoint/Project Server 2013 + PU March + CU April. 2 PWA instances, 1 in SharePoint and 1 in Project permission mode. Tried on 2 different machines (different setup, accounts, domains).
    Proceedings:
    Create AD user U, AD group G. Add U to G.
    Go to PWA, setup resource pool sync with G, sync.
    U is now in the resource pool, has no PWA permissions.
    Remove U from G. Resync resoure pool.
    U is still in resource pool, still a resource, still active, can still be assigned as resource.
    Adding U back to G an repeating the whole spiel with a resource pool and a PWA group sync of G will result in U being added and removed from the user list (as expected), and U being added but not removed from the resource pool.

    The first article states:

    Unfortunately, this deactivation either does not seem to occur even with a PWA group sync or I misunderstood the article.
    So, did anyone manage to setup their resource pool sync in a way, that new resource will be added, but also be removed from the resource pool?

    you tried to sync the same AD group that you used for the resource pool sync also with a Project Server permission group?
    And on removal of the user of the AD group the project user/resource is not deactivated? Only removed from the group

    even though I might have tried that before, I tried it again in several constellations. It didn't change anything. The the user will be properly added to and removed from the PWA group whenever I remove them from the AD group, the use will also stay active
    (but cannot logon without permissions). However, the user will always remain in the resource pool, i.e. the "User can be assigned as resource." checkbox will remain unless it is cleared manually.
    Having re-read the technet articles, none of the scenarios actually seem to descibe or address the process that I require, or maybe I'm just misunderstanding. Let me just try to outline the core issue:
    Add user to AD group. Sync AD group with resource pool. User is now a PWA resource and PWA user.
    Remove user from AD group, but do not deactivate/delete user from AD.
    (Magic happens!)
    User cannot be assigned as ressource in PWA.
    So, is there anything to make this step 3 happen, or is it just not possible to sync users out of the resource pool anymore unless they are deleted/deactivated in AD?

  • Resource time phased data in project server 2013/project 2013

    Hi all,
    I am using project server 2013 .
    one resource availability percentage is set as 80% ie 6.4 hrs per day. But when we are doin task assignment, only 5.6 is taken for a day and rest is pushed to next day ( i have noticed this in the timephased data in the task usage screen).
    for eg. if 6.4 work is assigned to the resources for a task with start date 1/1/2014 and end date 1/1/2014.  5.6hrs is taken for first day and 0.8 hr is moved to next day. Also the duration still shows as 1 eventhough task finish date is changed to 1/2/2014.
    Please help to understand is there any settings where 5.6 is taken for a day though the resource capacity is set as 80% ie, 6.4hrs.

    is there any chance you have auto leveling turned on?  Menu Resource > Leveling Options > Automatic.

  • Project Server 2013 for Resource Planning & Project Portfolio Management

    We are looking to  use project server 2013 for resource and project portfolio management.  We are an IT department of approximately 600 growing to 1,000 within the next several years.
    We would like to us PS2013 to do the following :
    Manage Portfolio of Projects
    Manage Resources against this Portfolio
    Calculate Project Finances using resource roles and rates
    I would be grateful to have both comments on experience , both positive and negative.

    Many teams within organizations are turning to Project Server to help them control resources, deliverables and costs better.    It does resource management very well with work & cost resources, baseline costs, material costs, budget costs and
    out of the box earned value analysis (EV).  The Strategy (portfolio) component is very powerful and it will help you identify project that align to your objects then do what if analysis to find the right mix of projects.
    Here are a couple of things you should think about when moving to PS2013:
    1) Who will be using the tool?  If it is a mix of onsite staff, remote staff, vendors, contractors etc. you may want to think about a hosted solution.
    2) Training.  Don't assume everyone will just magically 'know' how to use the tool.  Train everyone (team members, PMs, Executives) then train them again.  It's the only way to truly get the value out of the tool.
    3) Who will manage the system?  This is not a typical application.  The right administrator needs SharePoint, Project Server, SQL Server,  MS Project, Analysis Services and SQL Report writing skills.  Please note that much of this can
    be learned by the right person but DEFINITELY find the right person.
    4) Don't start customizing right out of the box.  You will get frustrated.  Adjust your organization to the tool early on.  I know that is easier said than done but you need a realistic approach to get tool acceptance moving early.  
    5) Use workflows but don't use them right out of the gate.  Workflows are great but I suggest you wait until phase 2 or 3 to start aligning them to your business processes.  
    6) Lastly and most importantly, you must first establish your own business processes THEN  align them to the tool.  DO NOT assume the tool will create business process for you.  You must think about how you are going to initiate a project,
    how are you going to track deliverables, how will time sheets be managed, etc.  Get to a whiteboard, crack open Visio and start building and establishing your processes now.  PS 2013 is pretty flexible and usually will align well with existing business
    processes.
    And don't forget to hire a good consultant.  They can be brought in during key phases of your roll-out to add value, help you avoid risks, and provide you with best practice advice.

    I also get the same error when I'm trying to do the synchronization between Enterprise Resource Pool and Active Directory.
    I am in a single domain topology between Project Server 2013 and AD, and I'm doning the synchronization with the farm admin account, who has read/write access to AD.

    In Time-sheet approval page, Time sheet manager unable to filter the resource time-sheet.
    In time-sheet adjustment page time-sheet manager unable to filter the data as per resource.

    As far as I know, this feature which exists since at least PS2007 was never reported as "buggy". Thus I think it is an issue due to which user filters on which timesheets, meaning a visibility setting. It is really hard to debug for you since I
    do not know exactly the steps you went through and your configuration. I would start by testing simple scenarios in a dev environment using delegation sessions to check from the timesheet manager point of view what he can see. It is also important to check
    the timesheet status.

  • Using multiple resource cost rates in Project Server 2013

    Greetings,
    We use Project Server 2013 to manage resources that often perform multiple roles within projects and also have different rates between projects. The Standard Rate from the user's profile is somewhat helpful but, as we all know, it carries over to every
    project that the resource is part of.
    I have tried opening Project Professional 2013 and using the additional Cost tabs in the user's information to enter different rates in tabs, B, C, D and E (tab A is the default Standard Rate from Project Server).
    My experience has been that as soon as I close and check in the project file, this data disappears. Next time I open the file the default rate is available but tabs B-E are blank. This behavior does not occur if I open a stand-alone project
    file not connected to Project Server. 
    I realize that Project is not meant to be a financial management tool and has its limitations but I'm looking for suggestions and would appreciate any feedback.

    Dale is right in that an Enterprise Resource can only have its rates (or any details) set by the administrator. Unfortunately you are limited to 5 rates (A-E).
    I have done a macro for a client that reads rates for a resource for a project from a database (or Excel) every time the project is opened. So you see the correct rates and calculated costs.
    These rates get over-written next time you open the project, hence the need for the macro to update rates every time the project is opened.
    Another option in the macro is to zero the rates so a copy can be emailed to clients etc without sensitive rates data.

  • Can new PWA views be created whereby a filter can be set and associate to the view by default? (Project Server 2013 ONLINE)

    My main question is: Can new PWA views be created whereby a filter for that view can be set, and associate to the view by default? (Project Server 2013 ONLINE)? and can I have a filter set to filter on person logged on to...
    In previous versions of Project Server, when CREATING a PWA view, we were able to apply/ define a filter for that view.  Does not seem like it is the case in Project Server 2013 Online.  And if I remember, we could also use the URL Guid_view_id. 
    Please confirm; and / or tell me how-to.
    What I was hoping to do is the following... Given that our standard that we have adopted for reporting time is 'My Timesheets' (fyi, Single Mode Entry=ON), we have some resources who have others who do it on their behalf via 'My Tasks' (ie., accomplished
    by using the 'Assignment Owner' field, accordingly).  Therefore, when entering time on someone else's behalf within 'My Tasks', we like to present the user that is logged in only the tasks that they are are assigned to update on others' behlaf.
    I know that there is another more elegant approach to doing this which may be to use the Delegation feature. But since we are trying to stick to Sharepoint Security mode for now, this is not an option for the time being.

    1- You still can define in Project Online a filter in the view settings, it is located just above the category setting. Here is a screenshot of the summary project center view:
    2- The view GUID is not anymore in the URL, since the URL triggers an action only on the webpart and not on the whole page. I agree this is annoying since it was great to send a URL with a specific view.
    3- Concerning the access to my timesheet versus my task, I'm not sure to get a full understanding but on a general way, it is much more easy to deal with those situation using categories which you cannot do with the SP permission mode.

  • Help needed Regarding Project Server - 2013 Workflow

    Hi All,
    I am new to Project server 2013 Workflow, hence please help me regarding this. Pardon me if this question is too trivial. 
    I have created a project type associated with a workflow and my workflow is as follows :
    So I am not doing anything here, I am just testing the workflow as mentioned by technet site : http://technet.microsoft.com/en-us/library/dn458865(v=office.15).aspx
    But it is mentioned that, after a minute or 2, the workflow state will change, also they have mentioned to press the Submit button.
    But in my case, the workflow is not moving to next stage [It just says 'The workflow is still processing - which never changes after hours] or I am getting the submit button (Submit button is disabled on the ribbon). Below is the state of my workflow :
    PS : I have made the user added to Portfolio managers group as well. But still I am having this same issue. 
    The Workflow manager is installed properly, and it is working fine in case of List workflow. I am facing the issue only wrt Site workflow for Project server 2013.
    Please help me to solve this issue.

    Hi Kiran,
    I am now facing issue while assigning a task to a person in the workflow.
    I am having a person named say 'John' , who is included in Project Manager as well as Portfolio Manager.
    And I am using a workflow as :
    Stage : Conceptual
    Assign a task to John (Task outcome to Variable: Outcome5 | Task ID to Variable: TaskID3 )
    Transition to stage
    Go to Approval
    But this is again giving issue as :
    Workflow Internal status : Cancelled
    Details: System.ApplicationException: HTTP 401 {"error":{"code":"-2147024891, System.UnauthorizedAccessException","message":{"lang":"en-US","value":"Access denied. You do not have
    permission to perform this action or access this resource."}}}
    PS : I have used the same Sharepoint admin account for 'Account Name' in ‘User Profile Sync' , Is this causing the issue? Please let me know.

  • How to make the 'Finish Date' field Editable in Project server 2013

    Hi All,
    In Project server 2013 on premises deployment, When I try to create a new enterprise project [Also in case of new custom project type], Only the 'Start Date' field is available. The 'Finish Date' field is by default taking the value of the 'start Date' itself.
    I am unable to make this 'Finish Date' field editable.
    Any pointers on this would be very helpful,

    When you create a new project in either Microsoft Project Professional or Project Online, the system does not allow you to enter both a Start date and a Finish date for the project.  Here is how the software works:
    You enter the Start date of the project.
    You completely plan the project with tasks, task dependencies, task Durations, and assigning resources to tasks.
    Based on the Start date you provide, plus all of the task information, the software calculates the Finish date of the project for you.  So, you cannot provide both the Start date and the Finish date, nor is they any way to force the system to allow
    you to do this.  Hope this helps.

  • Project Server 2013 Task Reassignment Privileges Off? (Works in Timesheet)

    Version: Project Server 2013
    I'm trying to give our users access to reassign tasks.  I turned on "Reassign Task" on the Global Permissions and gave them security to "Assign Resource" on all their categories.
    I've tested this, and the "Reassign" feature is available and working then they are on the "Timesheet" page, but it is grayed out and gives the message:
    "This control is currently disabled.  You might not have the right permission level to use this, you might need to select an object or item, or the control might not work in this context."
    Again, the same task is available to be reassigned in Timesheet though.
    My guess is that this is a Security Permission issue, because my account which I am the Administrator and Owner of the project, I can reassign tasks on both pages.
    Any suggestions?

    Just for your information, as far as I know, the "assign resources" is not necessary for using the "reassign task" feature. The "reassign task" global permission is enough.
    To be sure to understand your issue, the "reassign task" button is available for you as admin or project owner, but not for users which you granted the "reassign task" permission to? Am I right?
    You are talking about global permissions but did you add the "reassign task" to the
    groups permission the users belong to?
    Silly question, but do the users have select a task before trying to reassign it?

    Project Server 2013: I am using Project Server Permission Mode and need help with permission assignments?
    How can I change Permissions for the individual users to see specific projects or all projects in project center and to see specific quick launch items?
    For Example: if i have 4 users, A, B, C and D. what i want is:
    User A can see everything and act as a project manager or Admin.
    User B can view all projects in project centre but can change the schedule or resource assignment etc.
    User C can only act as approver of projects and can view all projects in project centre.
    User D can only view specific projects for which permissions are given.
    can i have some expert help in sorting and understanding permission modes... as i was playing with project server mode permissions and can't figure out how to apply the above scenario to set of my user.

    Actually, it will take a couple of days to explain in detail the security model that is a fundamental and tricky aspect of every PS implementation. But basically, you NEVER set permissions for a single user. You have groups in which your insert users. Groups
    define "what users can do". Then you associate groups to a corresponding category. Categories define "what user can see". Thus the association of a group with a category will set "what the user can do on the objects he can see". Then, for more advanced security
    level, you can use the RBS that will consist in "branches" in which you'll insert users. Based on those branches, you'll customize categories to fine-tune what user can see (for projects and resources) depending on the RBS branch and level.
    I'd advice you to start "playing" in a test environment with the default categories/groups that might probably cover your need.
    Concerning your 4 users:
    user A : add him to the "administrator" group. Be careful that you're mentionning either project manager or administrator, which are 2 groups/categories with totally different permissions level.
    user B : basically can see everything and change everything? it could be in the project manager group, assuming that there are no project visibility restrictions on the category via the RBS.
    user C : waht do you mean by "approver"? Workflow approvals? Then it will be the portfolio manager group. Task update or timesheet approval? Then it is another long topic: please refer in the documentation to the "status manager" and "timesheet manager"
    concepts. There are not related to the security model. In a few words, the status manager is the owner of the project plan, is defined for each task and approves tasks updates. The timesheet manager is an attribute defined for each resource in its parameters
    and approves resource timesheet.
    user D : you have to define which permission level must be given to this user. Basically it could be a team member that will see only projects he's in the project team. Note that team member cannot interact with the project plan in another way than submitting
    timesheets and/or tasks updates which must be approved.
    Once more, those are large and complex subjects that require a deep dive into your business model and tons of tests in a test environment.

  • Task Status in Project Server 2013

    Hello,
    I was wondering if someone could give me an overview of the Task Status options in Project Server 2013? I am a current 2010 user but we have not been able to use this feature in the past. Specifically, I am wondering:
    1. Can I assign an entire task to a user? In 2010 I had to assign resources to a task and then update each assignment. I want to be able to assign the entire task and have the user tell me the Physical % Complete, Actual Start, and Actual Finish at the task
    level. 
    2. Is there any kind of built in what-if analysis feature? Can a program manager review the impact of the submitted status before accepting?

    Hi Jessica,
    Basically, task statusing and timesheeting has not changed between 2010 and 2013 versions. The first would be about the need (or not) to activate the Single Entry Mode, meaning a single interface for task statusing and timesheet. This DO matters since in
    case you activate it, the task tracking method will be forced to "hours of work done per period". See in this
    blog the others methods.
    1- From the PM's point of view, you can in MS Project Pro or PWA assign one or more resources to a single tasks, creating then the corresponding number of assignments. From there, each single user assigned on this task will have to enter his own tracking
    on his assignment. As you'll see in the blog, the % physical cannot be entered by the team member, only the % complete if the 1st method is chosen.
    2- About this what-if analysis, the PM can click in the approval center on the "preview updates" before accepting or rejecting. He will be able to vizualise what will his project plan look like in case he approves the task updates versus what does
    his plan actually look likes. See reference
