Attaching Workbooks to BW Roles

Hi,
We are having a problem in attaching excel workbooks to roles.
After going to PFCG and opening a role, we are clicking on the 'Menu' tab. To attach a webreport, we used to click on 'Others'- SAP BW Query URL and attach the BW Web report.
To attach a workbook, we are clicking on 'Report'- BW Report and attaching the Workbook Server id to the report id column. However we are not able to still open the workbook via the Role.
Kindly advice if this is the right procedure or which is the correct and easy procedure to attach BW Workbooks to roles.

  • How can I stop a user from saving over "standard" workbooks in a role?

    Hello -
    We are using BEx Analyzer 7.0. 
    I need help restricting our regular users so they can only save workbooks to their favorites and cannot override workbooks published to roles by our super users / authors. 
    My understanding is the regular users need the following in order to save workbooks to favorites.
    S_GUI   Activity = 60
    S_BDS_DS  Activities = 03 and 30  Class Type = OT
    These users are able to save to their favorites.
    However, if they open a workbook from a role and then just choose Save -> Workbook, it allows them to save their changed version of the workbook over the "standard" workbook that was published to the role for all users. 
    What can I do to only allow them to save to their favorites and not be able to override the standard workbooks in regular roles?
    Our super user / authors have the following security to allow them to publish to roles. 
    S_USER_AGR with Activities = 01, 02 and 06 (Create, Change and Delete)
    Our regular users have
    S_USER_AGR but only with activities 03 and 08 (Display and Display Changes)
    Any help that can be provided would be greatly appeciated.  This is very frustrating.

    Hello Anne,
    Inspite of restricting the authorisation object S_BDS_DS you are not able to restrict the users in overwriting the workbooks, please implement the note 1167094 in your system.
    Implementing this note with the help of yout BASIS team would surely fix your issue.

  • Save Workbook in a role in SAP BI

    Hi All,
    I'm facing an issue in SAP BI 7.0 Security . I have created a Workbook role for a user which she is not able to view when she goes to RRMX>Save Workbook>  . The user has all the required authorizations and she can see all the other workbook roles but there is just one role which she can't get in the list when she tries to save workbooks in it.
    She can see the role otheriwse in the tab roles.
    Any help is much appreciated.

    Hi,
    If you have no authorizations for update a role, you will not see it when trying to save a workbook(s_user_agr with activity 01,02,06 and the name of the role or * is needed). I made a special role for saving workbooks and also had the name of it in s_user_agr, you will find this when save the workbook in save workbook as and if there is already an other workbook in the role you will also see this in the option add a workbook to a role.
    It is also possible that the workbook is called from history or favorites and if you then will save it you need a role as described before.
    It is advisable to try this out with the trace on in st01. I noticed that depending of queries and workbooks saving, it uses s_rfc, s_cts_admi(tabl), s_rs_tools (themes for workbooks and webpublish is also an option) and the object in previous answers from this thread.
    I noticed that if you start a query from roles, that only the roles with queries are shown, the same for workbooks.

  • Impossible to "save as" a workbook in a role

    Hello All,
    I would like to know which authorization object allow an end user to save as a workbook into a role.
    So far, our user only allowed to "save as" a workbook within their favourites folders, role folder is not display for them. I cannot find which authorization object is linked to this fonctionnality.

    I have created a role "A" that permite save workbook. I have included the authorization objects:
    S_BDS_DS
    Activity *
    Rolename *
    Class type OT
    S_USR_TCS
    Transaction code: RRMX
    S_GUI
    Activity 60
    S_USER_AGR
      Activity *
      Name of function *
    But when I try save new workbook only role "A" appears. I´d like save workbook in another role... for example "B". It´s possible?

    Hi,
    The roles are avialable to assign the workbooks or queries to it if and only if it has atleast a worrkbook/Query has been assigned to it already. So I hope, you role B does not has any workbook or query assigned to it. So by PFCG assign a junk workbook to it. And once you complete this assignment in PFCG then you can see Role B in the SAVE option.Once you comlete the saving required work book to it remove the junk workbook by PFCG.

    We received workbook as attachedment after it is been broadcast.
    however the name of the attached workbook comes as auto generated sequence numer.(e.g. "WORKBOOK_29BNO77P7UY7WOEFNEDS9CI2X")
    is it possible to have date time and some other text as the name of attached workbook instead of auto generated sequence number.

    You may try this too:
    1) Go to SE38 program  RS_PREC_PLAN ( Precal TEST program). Enter the Technical id and the Variant (this is mandatory) for the workbook and execute by entering the emai id..You will receive the workbook as the attachment with the File name and not technical id..
    2) The only issue here is the subject of the mail will always be TEST..
    3) Create a copy of this program Z_RS_PREC_PLAN and have the Subject and date field in the Selection screen..You can make changes so that the date and the Text for the subject will be populated with the values you enter in the selection screen..

  • How to move workbooks from one role to another role

    Hi experts,
    I need few inputs from your side. I have a few workbooks in different roles, i need to move all workbooks into singel role.
    Let say role 1 has 3 workbooks and role 2 has 4 workbooks. Now i need to move the 7 workbooks in new role3. I have a role3.
    after moving the workbooks into role3, i need to delete the workbooks in role 1 &2.
    Can you please anybody give me the inputs. how to move the workbooks.
    another thing is i dont have authorization for PFCG. It is only for developmetn system.

    Hi Surendra,
    The "Save as" option is the best solution (I guess the only solution) for your requirements. Once you have moved the workbooks new role you can delete the old ones.

  • Workbook without Assigned Roles

    Dear BI Experts,
    I need your help to assign a workbook in the workbook storage of the server, back into a roles folder.  Here is my scenario:
    I created a new workbook and assigned it to a role in Dev.
    My Dev system got a system refresh from my Prod system.  Before the system refresh, I saved my workbook into a transport, and then re-applied it back to Dev after system refresh.  The issue here is that I did not save the roles folder of the workbook into the transport.
    So now, after I re-applied the transport to Dev, the workbook exist in the server, but not in the role folder.  When I ran BEx and try to find the workbook in Dev, it could not find the workbook.
    I ran RSWB_ROLES_REORG program, and the workbook is listed as Workbook in the workbook storage, but not in any roles folder (Unused).  I also ran function module RSBB_WORKBOOK_AGR_GET and did not see the role in the E_T_AGR table.
    Please provide me the steps to assign the workbook in the server to a role folder.

    You can assign the workbook to a role directly in the Role Maintenance screen (tcode PFCG).
    Go to the Menu tab there in change mode and choose the folder into which you want to put the workbook. Click on the 'Report' button at the top of the Menu screen, then choose the 'BW Report' radio button.
    You can then enter the 'Report ID' (i.e., Workbook ID) of the desired workbook. (You may want to look this up in advance in the Admin Workbench using the Metadata Repository --> Workbook option.)
    The workbook will then appear in the role menu with a "default" name of something like "New Report", which can be changed to the correct description for the workbook.

  • Assigning a workbook to the role

    Hi Gurus,
    We are using NW2004s and are in front end patch 12.
    We have created a workbook role to assign all our workbooks, however Iam unable to find an option to assign these workbooks to the role. In earlier versions (3.x) there was a role icon in Bex Analyzer which we use to use to assign the workbooks, Iam not seeing this icon anymore in BI7. Can someone quide on how to assign this.

    I can see publish query To Role, To Portal & BEx broadcaster, this will publish my query. My need is to publish or assign workbook to a role. When you log in through Bex Analyzer, you have two options 1). Open Query, 2). Open workbook., If you choose Open workbook, you can see all workbooks created. I would like to assign these workbooks to a role. Otherwise these workbooks will be saved in the favourites and no one else can view this other then me.

    how can I rename workbooks which are published/saved in BEx menu roles ?
    I use BW 7.0
    I tried to rename the workbooks in the role administration, but this changes have no influence of the view in the "Open Workbook" menu in BEx. And a change in the se16 table RSRWBINDEXT is not possible.

    Try  to go to the role in PFCG, reimport the menu under the Menu tab.
    did u try in the open workbook menu if you could rename it.
    did u try to log off from the sys and do a login again to BEX and check?

  • RAR - Attached file to the role definition

    Hi,
    In the "Configuration" tab -> Miscellaneous.
    I don´t understand what´s the function of the option "Allows you to attach files to the role definition".
    You can attach files only in the Testing stage, but if chose "Yes" or "No" in this option, the system allows you to attach files in this stage.
    Please, someone knows the real function of this option?

  • Workbook changed---Reassigning role?

    Hi,
    I have one workbook which is available in production system and relevant roles are also existing in production..
    Now, i had inserted two more newly developed queries to the workbook
    What are the things that needs to be transported along with the workbook?
    What i did was in transport connection, i had collected all the query elements pertaining workbook and collected in a single transport request..
    I know that roles should also be transported along with this workbook, but these roles are already existing in production system..
    still recommendation says that we also need to transport roles along with the workbook.
    Given the situation how should i re-assign the role to the workbook?

    The roles should not be edited in the Production system directly. So you have to update the roles with the work book in the quality system or development system and then you have to transport the roles in the different TR.
    Work book can be transported in the different TR. if you transport the workbook without updating the relevant roles which are linked with that, there would be no use of that..
    you would not get necessary authorizations for that in production server.

  • Save workbooks in a role

    Hello Forum,
    I've created a simple role in BW 7.0, to which I am assigning workbooks in order to gain direct access to them from a menu of user SAP. The problem is, I am allocating 5 workbooks and on the menu only see one of them (the first assigned), others do not see them. But if they keep the favorites in a folder see them all ... do not understand.
    Someone may know that may be due?

    The workbooks I can see perfectly from the favourites, the problem is when I save in the role that he created for viewing from my menu user Sap, which I'm only seeing one (from SAP). However, when I go from Bex analyzer  to the role, I see all too. A rare thing, the truth.

  • Save new workbook in menue role with VBA / ABAP

    does anybody know of a way to save a workbook which is not stored in SAP BW by then in a menue role folder through VBA or ABAP automatically?
    I know that there is the SAPBEXsaveWorkbook function in VBA but that only works if the workbook already has an ID in BW. Maybe there is some workaround to assign name and ID beforehand? Where does the BEx get the ID if the workbook already has one? Is it stored in a temporary mapping table or something? I found that there are NO very hidden sheets as long as there are no queries embedded in the workbook, and I want to save a workbook WITHOUT queries.
    Also, I know that there is the saveDialogWorkbook function, but as stated above the saving process should be automatically, i.e. a function like SAPBEXsaveWorkbook(name As String, role As String, node-id As String). By the way, where would I get the node-id for the nodes in the menue role?

    thanks for your update! Saving in the "root folder" of a role might already be sufficient if we don't figure out how to save in folders.
    I've done some research, too, and the strange thing is that the number at the end is obviously not the folder ID. When you choose "Open -> Workbooks", then copy a workbook entry using Ctrl+C and paste it in an editor, you get more information than what is displayed in the dialog even with technical names turned on. The pasted entry includes the role name and the number you referred to. And the thing is that even two workbooks in the same folder have different numbers! When you save a workbook using 0000000000 and then look at the number assigned in the way described above, it also has an ID different from 0000000000. It seems that every workbook has its own number. So to me it's still a mistery where the folder is specified.
