Attachment in nTravel Expense Report

Hi All,
I have a requirement where in Travel Expense application in ESS/R3, expense proofs need to be sent as an attachment. We are using ECC6. EHP3 with level SAPKH60304. As far as std Travel Expense application is concerned, could you please suggest me any approach that can be taken to attach scanned copies in ESS/R3. Is there any standard settings through which we can do this ? I know about service object, i dont want to use it as it is not avaliable in ESS.

We are in EHP3 (R/3) and SP21 (EP), can we assign attachment(scanned receipts) in ESS. if possible can you let ma know how.

    I want to attach each receipt to each expense line in Travel Expense Report.
    I created one OSS message, for which SAP replied, that
    GUID is the key for the receipts and the attachment will be linked to it. It is possible to attach because the pers.No., TripNo. and the GUID are available.
    I didnot understand what is GUID and how do we activate it?
    Kindly help me to understand.

    I think there's been some confusion here because it is possible to add attachments to individual receipts in SAP standard (you don't need OpenText).
    It is relatively new functionality because you'll need to be on EHP6 or higher and have activated business function FIN_TRAVEL_4, see details at this link:

    Hi All,
    I have some doubts regarding ESS and MSS travel expense module.
    1) Can we integrate expense voucher document images (documentum) with travel expenses                  module?
    2)  Do we have the same functionality inside Travel expense module of ESS and MSS portal?
          2a) Can a person creating travel expenses in portal view images?
          2b) Can a manager view those voucher images using travel expense approval                                module of mss?
    3) Do we need any customization to achieve the above functionality?

    Attachement of the expenses is available with the ECC 6.0 Eh P2 fuctionality and also Manager can view from UWL.
    But i guess there are some Prerequisites  configuration for these (i guess KM and DMS should be available...am not sure just go through the Eh P2 Business function)

    What is our Requirement?
    We have implemented Oracle iExpense Module, in which SSI needs to customize the ‘Create Expense Report’ User Interface (OAF page)
    Specifically on this page (‘Create Expense Report’), we need to hide/show certain input fields based on the ‘Expense Type’ selected by the user.
    What is our Approach?
    I have identified ‘VO Extension’ (BC4J View Object Extension) as the standard approach for meeting this requirement.(Recommended by Oracle)
    What I want to do is , Extend the underlying oracle’s VO object, add a transient attribute type ‘Boolean’, generate the RowImpl of extended VO, write logic in Getter of transient attribute, to return TRUE/FALSE based on expense type.
    Using personalization add the SPEL expression to the field we want to Hide/show.
    What is going wrong?
    I extend Oracle’s VO
    I add a transient Attribute.
    Execute the Page, this gives an error : JBO-26000: A Generic exception occurred during loading Customizations
    What we could do?
    We could extend and add attributes to other oracle’s VO(s) on this page, which means we know how to do VO Extensions

    We need to extend oracle's VO and add a transient attribute.
    ### Steps to Reproduce the issue ###
    Step 1
    Created a new OAWorkSpace and new OAProject
    Added Oracle's package (oracle.apps.ap.oie.server) to project
    Added the Page File "/oracle/apps/ap/oie/entry/header/webui/GeneralInformationPG.xml"
    Create a new VO (ssi.oracle.apps.ap.oie.server.DetailReceiptBasedVOEx) , Extend Oracle's
    VO oracle.apps.ap.oie.server.DetailReceiptBasedVO
    click .jpx file to go to Subsitution and replace oracle's VO (DetailReceiptBasedVO) with custom VO
    (DetailReceiptBasedVOEx)
    Click Run Option in JDEV and -Djbo.project=OAProjectLast (OAProjectLast being name for our project)
    Run "GeneralInformationPG", enter "propose" field, press Next.
    Brings us to "Cash and Other Expenses" page
    Click on "Details"
    This takes the user to "/oracle/apps/ap/oie/entry/lines/webui/ExpenseDetailsPG" page
    All pages work , no problem.
    we can go to "about this page" so see that the substitution is done properly.
    Step 2:
    Add a Transient Attribute in ssi.oracle.apps.ap.oie.server.DetailReceiptBasedVOEx (tried , with
    passivate,without passivate option , no luck)
    Run "GeneralInformationPG", enter "propose" field, press Next.
    Brings us to "Cash and Other Expenses" page
    Click on "Details"

    Hi Sumit,
    I removed the subsitution => page works
    I extended the VO, "without" adding transient attriute , made the subsitution => page works
    I tried adding a transient attribute of type String / Varchar2 => page does not work, same error , no luck !

  • Problem in travel Expense Report

    Hi,
    I configured ESS.
    I'am able to do all functionalities.
    In Travel Management when i create expense report i'am able to see the expense report in pdf format.
    After applying it goes for approval.
    The user who is gng to approve it will get that travel expense request report in UWL.
    When the approvers click on attachment to see the expense report it is giveing an error message.
    "Portal Runtime Error
    An exception occurred while processing your request
    Exception id: 10:42_14/06/09_0009_2030550
    See the details for the exception ID in the log file."
    But the person whos is applying it able to see the expense report but the problem is with approver.
    Can anybody please guide me with a solution.

  • Expense Reporting having incorrect value for org_id

    Hello team,
    Some of our expense reports are having issue while populating the org_id on ap_expense_report_headers_all table. Expense report was created in UK but having the org_id value for US. This is happening randomly and not to all the expense reports in the system.
    Please feel free to let us know if anyone of you came across the same issue. Parallely I have opened a SR with Oracle team.

    are you creating expense reports from a single responsibility all the time or you have different responbilities...?
    If so check the profile option values attached to the mo:operating unit ....since system would populate the ORG_ID column in the ap_expense_report_headers_all table based on the value assigned in the profile option.

  • Importing Expense Report from legacy to Oracle Payables??

    All,
    I need to import ER from legacy to payables. I used ap_expense_reports_headers_all & ap_expense_report_lines_all tables. But the "Expense Report Program" is not picking up the data from the tables though i populated all the required columns of the tables!!! When i open the "View Output" it says "The conc.request did not create an output file"!!!
    Can anyone tell me what could be the reason behind the failure of the program?
    Do I need to populate anyother column to resolve this issue?

    Steps to import into AP
    Navigate to the Accounts Payable Responsibility
    Go to View -> Requests -> Submit a New Request -> Single Request -> OK
    Submit the Expense Report Export Program, after specifying all the mandatory parameters
    Source parameter should 'Oracle Internet Expenses'
    To view the expense report created
    Navigate to the Accounts Payable Responsibility attached to the User
    Go to Invoices -> Entry -> Invoices
    In the Invoice Workbench Window query the Invoice Num field with the Name of the Expense Report created in the previous step. The Invoice is displayed in the Invoice Workbench with the Type as Expense Report

    Hi everybody,
    I am having one query regarding Expenses workflow.
    Currently expense report is getting approved through worklist. As per requirment we want to approve it through email.
    To achive this functionality I have Added #WFM_OPEN_MAIL attribute to the message. ((new) AME Expense Report Approval Message) which is attached to the approval notification).Idealy it should work but still we are not getting Approve/Reject buttons in the email.
    Kindly suggest where I am maknig the mistake.........

  • Expense report missing from entry in workflow

    Hi,
    An expense report was created a month ago and submitted for approval after some time. Here's status:
    Instance : 11.5.10.2
    EXPENSE_STATUS_CODE : null
    WORKFLOW_APPROVED_FLAG: null
    SOURCE:NonValidatedWebExpense
    RECEIPTS_STATUS:REQUIRED
    But the expense report entry itself is missing in WF tables i.e. no WF spawned for it. Any idea what went wrong. Since expense report is open I dont expect it to be purged.

    The tax report selects transactions with a tax code attached. The tax code is automatically attached to transactions originating from marketing documents (AR & AP) but in the manual Journal Entry you either have to have 'Automatic VAT' checked or manually add the Tax code to any tax lines in the journal (use form settings to display the Tax Code field)

    ER is routed correctly if PrePay Auditor is setup at line level.
    Why am I not able to route to header level approval stage?

  • Expense Report creation -currency F4 classcastexception-java webdynpro

    Hi,
    We have upgraded sap portal from 7.0 to 7.31  SP09 and we are using java webdynpros for creation of expense report. ECC version is ERP6.0 EHP6.
    Everything is working fine except for currency F4. when an expense type is selected, and user clicking on currency, F4 help is displayed with various currencies and upon selecting any currency in the F4 window results in a classcast exception as shown in the screenshot attached.

  • Validations with Service Create Expense Report

    Dear experts.
    I have the following doubt:
    In the service "Create Expense Report" ESS the system call two component different:
    Application: FITE_EXPENSES
    Web Dynpro Component: FITV_FPM
    Window Information: FPM_WINDOW
    View Information: LAYOUT_VIEW
    Configuration ID: FITV_FPM_EXPENSES
    This component show two buttons Start and Cancel, as is displayed in the screen attach.
    And other component is
    Application: FITE_EXPENSES
    Web Dynpro Component: FITE_VC_PRESELECTION
    Window Information: VC_WINDOW
    View Information: PRESELECTION_VIEW
    Configuration ID: FITE_VC_PRESELECTION
    That show the information with "Available Travel Requests / Plans and a listbox with Schema Selection(National Trip and Foreign Trip). as is displayed in the screen attach.
    I need do two validations and I dont know Where Can I do this validations:
    1.When I select the schema National and press the button Start the system must validate that the enduser have selectioned a row of "Available Travel Requests / Plans",  if the enduser not select a row the system have that show a message saying "Please select a row". This message have that be type error.
    2. What is the name of the table and the method that use SAP for get the information that is displayed in the grid "Available Travel Requests / Plans"

    You can add custom code, just like the one for selected row validation. It can have logic such that if a particular trip number is selected, and it has cities of a particular country, the schema, say, 'Domestic' would be chosen. To 'auto-choose' schema, bind the attribute TRIP_SCHEMA of node TRIP_SCHEMA with the value 'Domestic'.
    ABAP Dynpro is a component based model. So, a typically a component is created in such a way that it can be reused at many places. The component FITE_VC_PRESELECTION is for listing already initiated trips, and is rendered in expense report. The same component might be used in other travel web dynpro applications, like FITE_REQUEST, FITE_EXPRESS_EXPENSES, etc. The component FITV_FPM uses many other components for rendering different features of travel. You can think of it as parent-child relationship.
    I am attaching an old book on WDA, which I guess, I downloaded from SDN itself.
    I hope I could clear you doubts.

  • ESS Create Expense Report

    Hi
    We have ECC6 and EP7 we are using the create expense report iview in ESS.
    We have an issue whereby if a  user creates an expense report and after saving uses the 'what do you want to do next' link 'Go To Travel Home Page' and is taken to the Travel Homep page, then clicks on 'Create Expense Report' it loads the claim that has just been saved.  It should load the new claim screen.
    Has anyone else experienced this problem?

    IN ABAP WD iviews this is not possible.

  • Updating expense report

    Hi - after an audit was done on my expense report, I had to recall it and update an expense receipt image.
    Once this has been completed, the reimbursement amount is wrong.  I submitted the expense report again with a comment that the amount is wrong, however I expect this will flow through completely with the wrong amount.
    How can I get the system to update and include the expense that required the receipt image again?

    Hi Larry,
    How did you attach the expense receipt? Did you send it via e-mail? Or do you use central receipt scanning?
    If you took a picture of the receipt and then uploaded it, it is possible that the smart receipt recognition did not work. You might find the Help Center document Claiming Expenses (HTML5), section "Task - Attaching Receipts" helpful.
