Audit management - question list

Dear SAPIENTS,
Does anyone have a document that helps us to record the replies for a question/ questions. Whether the questions, should be set as to give a yes or no answer.
How and where to record the replies for the questions, bcoz after assignment of the question list only the "not relevant" check box is in modifiable status. The question is not displayed and I do not find any other place to make a tick for yes or no.

Dear Gajesh,
      As per your suggestion, I created a valuation specification for yes / no type and created a coded valuation. For this type of questions, the valuation as 100 points for yes answer and 0 for no answer is displayed in the valuation tab of the questions.
     For other questions, where " Percentage Based confirmation is given as Valuation profile, with a valuation proposal as 80 / 60 and the calculation procedure for the question as " Valuation According to fulfilment and minimum 75, there is no valuation displayed ( i.e no of points / result calculated ) as proposed by the system. But the overall audit assessment is given as say 50% and audit failed, subsequent audit required.
Will the system not show the valuation result for each question. But the questions for which the minimum requirement has not been acheived is shown with the icon referring to " Question valuated. The result is worse than the minimum required result".
   1. Are we to enter the valuation no.of points to enter as the result of the question?
   2. How to upload a question list into the system from excel. It has been given as import can be through XML interface. In that case will the question be displayed in the questions assigned to the audit.
3. Currently, I have given the question in the description of the question, to be displayed in the question overview of hte icon. I think this is wrong, but otherwise the system shows only the description. The questions are not displayed.. How to display questions in the audit overview.

Audit Management: Question List (questionnaire)

Hello,
There is a scenario where a questionnaire is required to be created at the time of 'Opportunity Creation' in order to perform some checks. This is required to be incorporated within the opportunity flow. example: based on the asnwer in question the status of the opportunity would change.
In this context:
1. In configuration IMG --> CRM --> Audit Management --> Question List, there is a option "Question List". Could that be used for this purpose ?. If 'Yes' than Is it possible to use these questionnaire for other application then Audit Management ?
2. Is there a option to create a questionnaire in SAP-CRM (sales) and assign it to the opportunity flow ? how this can be achieved?
3. What can be the other approach options to achieve this functionality ?

Hi Vineeth,
There are two different types of question list in audit management:
Question List (Master Record): This question list simply serves as a copying template for audit question lists. It does not contain any reply fields.
Audit Question List: This question list is used for the audit execution. It is a (modified) copy of the master record question list and contains reply fields.

Audit management is a tool to manage internanal audits like ISO 9000 etc.
The steps involved in Audit management are as follows.
Create/Approve/Release Auditplan.
Create Audit
Create question list and assign question list to Audit plan.
(Ex: Audit plan is created for production dept to meet the expectations of ISO 9000
then cluase 4.X relavent to production dept check list items can be made as question list and assign to the Audit plan)
Now Execute audit
Create CAPA (corrective and preventive action) Execute CAPA close CAPA (NCs)
Close Audit.

Urgent--Importing Audit Plan in Audit Management Module

Hi All,
Can anyone know what are the prerequisite for Audit management.
i am getting problem while importing an audit plan from XML. The import button ( import FROM XML) is disabled.
Is there anything I need to activate so that the import button will get enable.
If anyone knows anything about that kindly help.

Audit Management-Audit Objects

Dear Experts,
i want to know how we can assign Audit Objects to an Audit Type.
for example i have created an Audit Type Internal audit. now i want to assign audit object to it. Can i add department in it instead of Vendor/Customer etc.

Hi,
1. Audit plan to Audit
You can't assign Audit plan to Audit. Reverse is possible.
Assigning Audit to Audit Plan is possible - Right click on any Audit plan and choose 'Create -> Audit using template' for already existing audit components.
To assign new audit component, choose Create -> Audit'
2. Audit to Question list
You can't assign Audit to Question list.
Assigning Question list to Audit is possible - Right click on Audit component and choose ' Create -> Assign Question list'.
*You can not assign any question list without releasing it.
Once the Audit has been released you can not assign a question list.*
3. Audit to audit question list
Right click on Audit and choose 'Create -> Audit Question list/ question using template'.
4. Question list to Audit plan
You can't assign Question list to Audit Plan.
4. Question to corrective/preventive action
You can't assign question to CAPA.
You can assign CAPA to question - Right click on Question and choose 'Create -> Corrective/ Preventive action' OR 'Corrective/ Preventive using template'.

Audit components for Audit Management

Hi, I am busy with a proto-type for Audit Management.
I would like to set up an audit component called Functional location which then integrates with the Functional location structure set up in Plant Maintenance.
I have configured the Audit component in SPRO under 'Specify Audit types' to search for the functional location number (TPLNR) in table IFLOT.
When I then click on the drop down list, I cannot see a description next to the Functional location number. I know the description is in another field/table but is there a way that I can get the description of the Functional location into the F4 search result screen?
Or do I need to activate a BADI for this to happen?

Hi,
In the same customization step you must enter a search help for the field. For the data element n question the predefined search help is IFLM. But you can create a Z search help in SE11 as well and use it in audit component.

Thanks a lot for your reply. Actually I am doing a implementation project for a client who requires Internal Audit management module. And they are having lots of requirement. The following are some of the entire lot.
1. Can you please share the steps for loading Question List in excel. Is a customisation required ?
2. Do you have any document as to how to calculate the result, How is the calculation happening?
3. How to send reminders for audit e.g. I want to sent reminders to the auditee, auditors 7 days prior to audit.
4. Is there a provision to configure Escalation mechanism for actions to be taken after audit in case they are not completed within a stipulated timeline ? If not what is the way out?
5. The client also wants Risk Management - They want to have the provision to know the impact, probability of occurrence and assess the risks of each activity.

Problem in import in Audit management

Hi All,
We need to copy our audit plan from Solman Production System to Solman Test System. Options explored so far:-
- Export to XML format - It seems to export OK, but option to import is greyed out.
- Export to MS Project - Again it seems to export, but we get error when we try to import. the error is PLM_AUDIT_APPL025.
Can anyone please help.

I have created an empty object then only am trying to import the downloaded object.
For eg. I have downloaded an Audit plan to XML format from the source system, and for uploading it in the target system first i have created a empty audit plan and then am trying to import the downloaded one into the new audit plan inthe target system. but its not working, the import option is coming disabled.
Is there any rule that we cannot upload an audit plan?
I have tried another option also. I have created a new plan , in that a new audit, and in that audit am uploading the audit which was downloaded fron the source system. but here the problem is all the question list present in the audit are downloaded but again the corrective/preventive actions list within a question list is not coming.

SAP Audit Management - standard workflow available for the audit component?

Hi,
Is there any standard workflow setup available in SAP for any of the audit components, as part of Audit Management?
I tried doing a Where-Used list for BO's BUS20300 and BUS20350, but could not find any workflow templates or tasks.

We dont have any standard workflow templates for SAP AM. You can also verify it under PLM_AUDIT package-business engineering.
We delegated the AM BOs and developed custom workflows to achieve our functionality.

Audit Management form upload

QM Gurus,
I have a requirement to create an Audit in the Audit Management piece of SAP. After creating the Audit and Questions the client wants to download the form (Excel Doc?), have their Third Party Auditee fill it out, then upload it back into SAP Audit Management module.
I know this is somewhat possible because of some reading I did on SAP help about XML and Audit Management.
Can anyone help me out with this? Send me in the right direction, tell me what to do or just throw some tips my way on how to set this up?

Hi Bruce,
The offline audit evaluation is possible and SAP has delivered the required XL with Macros. Please check the sap note: 597982, the second point is related to the audit questions offline evaluation. You can find the SAP supplied XL template as a zip atatchment in the note.
In breif the procedure as below:
1. By using the import/export functionality, export your audti questions to the system (XML code).
2.As I said, special Macro is required to import questions from xml to xl. Use the template provided by SAP.
3. Rename the xl file name as exactly as your xml file name. Do not change the file extensions. file renaming is necessary to import the questions from xml.
4. click on the import xml button on the Xl(sap provided xl macro will get you this functionality) and import your questions to XL.
5.do the offline evaluation, click on the export xml button to save xl as xml. thru import/export functionality, import it back into sap. once its uploaded to the results.
Check the sap note, which will give you step by step guidance on how to do that.

Audit Management

Hi,
I am having a question list of 50 questions which are to be copied during every audit. For this I maintained a question list template. But I am unable to do valuation for each questions. How can I do valuation for each questions from question list seperately.
If I assign a audit question list or question item, I am able to valuet each question at header level. But in this case, I have to assign questions individually and it will be a cubersome work to assign each questions seperately to Audit.
Please suggest a solution if any one worked on this scenarion.
Scenario:
A list of 50 questions needs to be called up every time I do an audit. How to do this?

If you have to use those specific 50 questions for an audit (or for every audit) create them as a separate Question List. You cam define your 50 questions in a XL template and upload those questions to the question list created.
You have the option of assigning a question list to the Audit (the fist option when you right click on the audit) - assign the specific 50 questions question list to the audit. By this way you can assign the predifned group of questions at a time. Keep in mind, you can assign question list when the Audit status is in created mode. You can not assign if the status is released. So, create audit, assign q-list and then release the audit.
if you have to add additional questions, add them by the other options which you are already using.

Is there a way we can have dropdowns values (e.g Yes and No) for answers in Questions for Audit management? If yes how?

Hi,
Customers can use valuation specifications to get dropdown result for a question.
Create your own valuation profile and then assign valuation proposals to this profile to get dropdown values.

Hello Everybody,
One of the folders of Robo Help Project Manager is listed twice in Windows Explorer. One has all the subfolders and topics of it and the other has all the subfolders but not the topics. How did I get into this kind of situation? Why do I have two folders? Can somebody please answer on this?
Since my RH project is attached to Visual Source Safe (VSS), the same structure is mirroring in VSS.

After reviewing the image I see that what you might think are two of the same folder are two different folders similar in name.
One is named Advanced_Functionality. The other is named Advanced_Funtionality (note the missing C).
I'm assuming this is the folder you are referring to?
