Authorisations TAB in Easy dms

Hi all,
Can any one please tell,how do we work with "AUthorisations TAB" in SAP Easy dms.I want to restrict Folder level access for few specific users.Is there any specific way to give authorisations for users in sap easy dms.

I created a AUth.group in SE54 ,but can you please tell ,how will i add the Object C_DRAW_BGR
You need not go to SE54.
I clearly said:
1. in DC10, make Authorization Group field optional.
2. In PFCG enter the Authorization Group code (It's manual entry of your choice, which you need to enter in CV01N)
3. In CV01N/ CV02N, enter the Authorization Group code, that you created manually in PFCG.
Becoz in Cv01n,in Authorization Group field , i am not getting any entries for Auth. Groups whe ni am pressing F4.
You won't get F4 help for Authorization Group field in CV01N. This is standard. You have remember what Authorization Group code you have created in PFCG & enter the same here.
Otherwise you may go for enhancement for enabling the F4 help. Relevant help can be found in the following links:

Authorization Group (BEGRU) search help required in Easy DMS

Hi all,
I had defined some value in authorization group (BEGRU) in SAP. When i opened the Document using CV01N/ CV02N transaction, then F4 help is available to me.
but when i opened the same document via SAP Easy DMS 7.0, Search help functionality is not there.
How could i activate this.
Pls.. Suggest.

Hello Sheo,
EasyDMS does not provide search help for Authorization object as of the latest release. The search help achieved by customization of the domain BEGRU does not reflect in EasyDMS.
To achieve this, you can enhance easydms interface by using either easydms plugins or EasyDMS custom tab.

Easy DMS cannot use additional data while creating a document

Hello,
We have installed sap easy dms 7.0
We have a problem while creating a new document with SAP Easy DMS.
On the DIR tab the additional data cannot be used.
Do I have to change a registry setting?
We already have defined classes and their features and values in CL02 en CT04

Hi,
Additional functions for object links active Indicator controls the activation of additional functions for the links of objects to this document type.
You can activate the following additional functions for an object to document link:
1) Valuation
Additonally, you can link another object to a chosen database table (See example Additional Object).
You can delete the additional information of an object link.
2) Classification
You can classify the link. You must create a class (class type 048 - object link) with the characteristics that you want to specicify for the link (For example, responsibility, organaization).
When you set the indicator these functions are active during processing of the document info recod, register object link.

Tumbnails in Easy DMS

Hi all,
I have a requirement, a thumbnails images should not be displayed in easy DMS. There is selection in user settings of easy DMS, by selecting which one can hide the visibility of thumbnails in easy DMS. Have have made the seeting accordingly. But when I tried to view files, tumbnails are getting displayed.
Also there are setting in customizing tab where we have to set a profile. The profile needs to be configured for displaying tumbnails in Easy DMS by mentioning file application type. I have mentioned file application type "yy" which have not mentioned in defining worksation application .
Then also when I am going into easy DMS, it is displaying Thumbnails.
Please help on above matter,

Thanks for reply. Yes tumbnails are getting displayed. Actually when we are storing file in content server through easy DMS, a tumbnail file is generated.
My requirement is , the tumbnail file should not get generated when I am saving the original application file in content reposirty.

DIR no. not showing after creation of DIR from Easy DMS

Dear Friends,
I could able to create DIR from Easy DMS. But I could not able to see DIR no. after creation, so that I do not document created or not ? If created what is the no. I need to open thru search or other way.
Is it standard functionality.
Can we change this by any functioanl module or any BADI implementation?

When you creating a DIR through Easy DMS it will ask you document type and description. In the same window as prasad mentioned 4th tab "Techinal Details" you can find the document number,document type, document part and document version. After creating the document it will create in the folder with all the remaining details with default layout.
e.g: Document Description | Status Description | Document Number | Type | Version | Part | User | Change Number ... other details.
Test | Create Document | 10000000304 | DOC | 00 | 000 |...etc
Please check the DIR while creating. Surely it will be available.

Manual revision of DIR using Easy DMS

Hi gurus,
I am using Easy DMS 7.1 SP02. Document type in DMS have been set up using manual revision entries. All is working fine in the backend system when creating new version. The system allow you to enter a manual revision which could be eiter alpha numeric or only numeric or only alpha. My problem is that when creating a new version with Easy DMS, the system does not give me an option for a manual revision to be entered. Only error message.
Is there a specif Badi or user exit that is required to be implemented.

Can't logon via easy DMS

Hi All,
I am trying to log on to the DMS via Easy Document Management, but somehow it does not work. The server responds with 'Logon failed. Username or password incorrect', but my input is 100% correct.
What am I doing wrong? Do I need special rights to use the system? I am able to access the DMS using the SAP Gui.

I've now run the trace, and in the trace i get the following
ERROR file opened at 20080108 093502 W. Europe Stand, SAP-REL 620,0,1450 RFC-VER 3 652809 MT-SL
T:2360 ======> Name or password is incorrect (repeat logon)
T:2360 <* RfcReceive [10] : returns 3:RFC_SYS_EXCEPTION
No surprise there. I cannot get the abap debugger to open. Note that Easy DMS is running locally, whereas SAP GUI is running as a Citrix app.
I have the S_RFC authorisation, but i doubt that is the problem. I have checked the ST22, and no dumps.
I've tried with small case and upper case passwords, but no success. So i still think there is something wrong that has nothing to do with authorisations, but more likely has to do with password/username management. I've configured Easy DMS in the past on older systems (4.6 and 4.7) and never had this problem.
Any experience setting up Easy DMS in a was 2004 or 2004s environment out there?

Error message in SAP Easy DMS

Is there anyone who has come across the error message "Classification data can only be maintained using a change number" in SAP Easy DMS. How can one resolve this issue?

How to delete the folder from easy DMS

How to delete the Folder once it is created in easy DMS? As i have all the access
Also how to restrict user from deleting the document from DMS? (Delete document option restriction)
I want all folder to be gets created with internal number range only.i have define the same for Doc type FOL.
But when i first log-in into easy dms system ask me do i need to create the folder i clicked on yes and while saving it shows an error that only internal number range is possible.But actually number EDIPUBLICROOTFOLDER is selected by default and unedited format

First delete all the DIR's inside the folder using delete button. Later you can delete the Folder.

You can control this using authorization objects in DMS.

Disable or Deactivate Delete Button in SAP Easy DMS.

Dear All,
My client is using Easy DMS and is working fine. Now the issue is as soon as files become more in Private or Public folder he is Deleting Documents using DELETE Button which is available on the Tool Bar. Whereas if he uses Delete Document from Context Menu it shows Authorization is not given to delete the Document.
Is there any way to overcome this by Disabling or Deactivating Delete Button on the Toolbar.

SAP Easy DMS Error in Searching a Document.

A user can log in in SAP Easy DMS, but when doing the search on it he gots error pop-up message "The parameters is incorrect" how can we solve this he cannot search any document in his easy DMS.

Viewing document characteristics in Easy DMS public and private folders

We have classified our documents in SAP Document Management System. We are viewing the DIRs in Easy DMS. In the public and private folders, the classification characteristics columns can be added to the screen report, however the values for the characteristics do not appear in the columns. If we use the search function and view those same documents in the search screen, the characteristic values do appear. How can we get these values to appear in the public and private folder views? There does not seem to be an OSS notes which address this discrepancy. In advance, any assistance is most appreciated.

Hi Barry - As Daniel explained, sometimes system behaves if the Default box is not checked but I want you to check the EasyDMS version/patch you are using. Below is the screenshot of latest version/patch.
If you have old verison/patch, please implement the latest version/patch and check.

Document in Easy DMS and SAP DMS is lock cannot be accessed

Hello Guru,
Document in Easy DMS and SAP DMS is lock cannot be accessed. when check in Easy DMS the document 123 excel file is not accessible cannot be open, it has an icon on pencil with red circle sign.
when check in SAP GUi, the padlock is unlock, file cannot be open as well with error (File C:\EasyDMS\SAP_400\PRE1234567890 could not be accessed.
how can we fixed this and unlock the document excel so that we can open it. Please advise. Thanks

Hi,
based on your description it seems to me that this original file is currently checked out for editing. So maybe another user is
editing this file and so you cannot access it.
If no other user edits the file you can try to use the function 'Exit Edit mode' in the context menu of EasyDMS. This will checkin the file again and restore the last checked in version.

Easy DMS document type issue

Hi Gurus,
DMS configuration done in SAP R/3 and able to see all configured document types in sap easy dms as well. But document description wrongly showing under document types.
SAP R/3                                                       EASY DMS
Eg:1   ZSD sales document                          Eg 1 : ZSD    material document
Eg 2 ZMM material document                      Eg2:   ZMM    sales document.
Please help me on this.

Everything fine.
In SAP r/3 , document type & document description correctly given but while in EasyDMS document type picking incorrect document description. Remains no issue in easyDMS.
