Automatic Blocking of Invoices

Hi All,
Most of us are aware of the MRBR transaction that is used to unblock invoices.  We run ours nightly.
Is there a similar transaction that can automatically block invoices if they do not match after entry?
Our reason for this is as follows:
User raises a PO for 10 off some materials.
User receives the goods and posts a GR
The invoice arrives and our AP department enter it onto SAP, of course it does not block because it matches three ways.
The user returns 5 off the items back to the supplier because, they are faulty, over ordered or some other user type reason.
We would now like the invoice to block until the supplier sends in a Credit note or replacement goods arrive.
Currently our system pays the invoice at the due date.
The business problem here is that if the supplier forgets to send the credit note, (oh yes they do), the invoice has been paid and there is no leverage to get the supplier to send the credit.
We have also had instances where users thought that if they reduce the PO price after the Invoice and GR have been entered this would block the invoice for payment.  Obviously this also does not happen.
If there were a blocking transaction, these invoices could be blocked for payment until the three way match was once more achieved.
Sugestions for solutions to this business problem please?

This can be very well solved with introdcution to work for Invoice. How you should make your MIRO transaction is as soon as invoice is raised, it should be blocked with work flow trigger. It should go to User who raises the PO and his manager for Approval. Once approved Invoice should be in released status. Then Finance team can run payment run for the released invoices.
Or other option is AP should create invoice with parked option. Upon confirmation from GR person he should release the invoice. Here actually manual intervention is there as AP will have to receive communication from GR person. This should be done through some sort of communication or mail.
May be for big customer may not be useful.

    It is learnt that during AP invoice verification if there is a discrepancy with qty or price beyond the allowed tolerance limit, SAP systematically blocks the invoice.
    Please tell me with what document viz. PO or GR, system checks the qty/value of the invoice document to determine this discrepancy.

  • Incase of GR with Blocked Stock automatic blocking of MIRO (Vendor Invoice)

    Dear Experts,
    If we are making a GR with blocked stock, i.e. the material is not open for consumption as this is under inspection, system will not stopping to make vendor invoice against the PO(GR Qty).
    If the GR is under blocked stock how automatically system will not allow us to make MIRO or MIR7(Vendor Invoicing),

    Which one is to be selected for blocking Vendor Invoice Posting in case of Goods are under Quality Inspection.

    hi,
    if you want to block your invoice then you can use following:
    1. Stocastic block
    2. Its better idea to put it on HOLD..
    If you have to use the stocastic block then do settings from here:
    SPRO >> MM > LIV >> Invoice block >> Stocastic block >> do settings for activating and setting...
    And if you wanna put your LIV doc on HOLD, then after entering the data fo to Invoice document --> Hold --> Then your LIV doc will be kept on hold and can be post and released whenevr you want...

  • GR/IR automatic Blocking & Unblocking

    I have a couple of questions regarding the GR/IR automatic Blocking and Unblocking,
    Question 1
    Scenario: Looking for Quantity Variance
    Purchase Order:           Qty: 10Kg & Price: $20       [@ unit price $2/ 1kg]
    Goods Received:          Qty: 6 Kg 
    Invoice Received:         Qty: 10Kg & Price: $20
    When I post the invoice, this invoice gets blocked automatically because GR is 6Kg & IR is for 10Kg.
    How can I unblock the invoice automatically with MRBR?
    I have tried the following to unblock the invoice automatically:
    (1) I have posted another GR for 4Kg against the same PO and checked the blocked Invoice it is still blocked and couldn't unblock automatically
    (2) After posting GR for 4Kg, posted Invoice against the same PO for 4kg, but this invoice is showing as a separate one
    i.e.,      Earlier Invoice is $20.00-   (which is our blocked invoice)
               New Invoice        $ 8.00-    (new invoice for 4Kgs)
    Still I could not unblock the (blocked) invoice automatically with MRBR.
    Please help me with unblocking the invoice automatically.
    Question 2
    How can we set the tolerance limit for quantity difference between GR & IR as ZERO.
    In other words, Qty in GR = Qty in IR else the invoice should be blocked for payment. How do we set this tolerance?

    I have done MIGO & manually change stock type from unrestricted to quality inspection & posted the document. Now i want vendor invoice should automatically block when doing the MIRO, but it is not happening. How to do this?

    Dear Parag,
    Now that you have manually changed the stock type unrestristed to Quality inspection, the option you can use is go to stock overview Tcode:MMBE and psot the stock from quality to block stock. This is completely mannual process.
    If you prefer system to do it automatically, then activate quality inspection setup in MM02, quality view -> inspection setup (inspection type - 01, 04, 08) and also maintain Qinfo Tcode: Qi01 for the assigned material.

  • Blocking of Invoice when material is in quality

    Hi Experts
    I understand that invoice can be blocked for payment if the material is in quality (without usage decision) by Qm control key 0007 maintenance in material master. Kindly inform whether the block gets removed automatically once the usage decision is made or we have to manually remove the block in invoice each time for payment release.

    The bellow way at document level.
    One more way to maintian the billing block in the functionality of sales document types in VOV8
    In VOV8 , Maintain proper value in billing block field.
    So that , when you create the order or credit memo request system automatically pick the billing block.
    Once remove the block of billling then only system allow to create the billing or credit memo.

    In XK06, flagging Vendor for deletion, I get warning "vendor xxxxx has open items in company code xxxx". Does this mean open Invoice Items, pending payment in FI? Since this is just warning I can hit enter and go ahead and save.
    - YES YOU ARE RIGHT. IT CAN ALSO INCLUDE OPEN PO.
    But, I can come back to XK06 and UNflag this same vendor for deletion? How would it affect the open items/POs...etc?
    - THAT'S WHY THE MESSAGE IS AN WARNING AND NOT AN ERROR. (My Opinion)
    Does basis has to do some sort of execution in order to actually delete the vendor master from the database? Would basis get a error when there are pending open items for vendors flagged for deletion?
    - NOT RECOMMENDED. ANY DATA CAN BE DELETED THOUGH. IF YOU ARE ON ECC 5.0 OR ABOVE AND USING SE16N TO DELETE, YOU WILL NOT GET AN ERROR.
    What's the advantage of using XK05 (blocking/unblocking) over XK06 (flagging/unflagging for deletion)?
    - NOT SURE IF THERE IS ANY ADVANTAGE.

    Dear All,
    Can you please advice us the best process to block all invoices in SAP i.e., our client wants all invoices which are being posted to be blocked and this will be reviewed by the finance team for unblocking.
    Is there any setting which can be enabled so that all invoices are blocked automatically once posted.

    Hi,
    Rather than Blocking the invoices, Park the invoices using T Code MIR7 and after reviewed by Finance Team , it can be released through T Code MIR6.

      The system creates the list of blocked invoices as soon as you choose Execute. On this list, you can release invoices or delete individual blocking reasons!
    Release Automatically
      If you select this field and choose Execute, the system deletes all blocking reasons that satisfy the criteria entered in the group box Selection of blocked invoices and that are no longer relevant. A list of the released invoices appears.
    That's it!

    In the rules of copy we use the field " Pricing type " with the value " C = Copy manual pricing elements and redetermine the others ".
    The order is complete and the price of the post is not equal to zero.
    During the invoicing the system makes a new search for the prices in the tables of conditions.
    If the condition does not exist in the date of invoice the post takes the zero value.
    How to block an invoice if the value of a post is zero?
    There is no incompleteness procedure for the invoice.
    The value of the post is the result of several conditions and we cannot make them obligatory.
    Who already has to meet this problem with the recalcul of the price in the invoicing?

    Dear Prasanna,
    In vl23, you will not be able to make changes in the STANDARD VARIANTS.
    You can create your own variant by (SHIFT + F7).
    Give a variant name ' TEST' and click create.
    Now you can give the selection parameters
    Click on attributes
    So you will reach a variant screen, where you have to give  a 'meaning name'...like variant for TEST
    You can see fields .
    Imagine that initially you had given 1100 in the sales organisation.
    Now if we do not want that value to be changed, then use protect field.
    If that field need not be displayed, the choose hide field.
    Usually, these two will be used, if we are going for background processing.
    SAVE and you can see a new variant in VL23 now.
