Automatic Clearing in F.13 post differences

Hi,
Presently, we run automatic clearing of g/ls/vendors/customers in F.13.
There are no tolerances, only balances that equal nil post.
We now have a scenario that for one particular G/L we want to set a tolerance of say £0.50p that would post to another holding code.
This would happen during the nightly run of F.13. 
This would mean that if the DR on the assignment field matched the CR entry of the assignment field and the amounts were in a predefined tolerance for that GL the document would post - with the difference going to a holding account.
Can anyone advise of the configuration steps involved in this?  Bearing in mind we do not have any tolerances set up for other documents?
Any help would be great.

Hi,
If you want to set a tolerance of 0.50p then you can set that at GL level in the following path:
SPRO - financial accounting - general ledger accounting - business transactions - open item clearing - clearing differences
- Define tolerance groups for GL accounts
Or
you can set at clearing differences level. Path
SPRO - financial accounting - general ledger accounting - business transactions - open item clearing - clearing differences
- Create accounts for clearing differences.
Whichever is best you can choose that.

    you will have to setup the open item clearing config
    GL based tolerances
    tolerance grp
    assigning tolerance grp to users
    have a clearing GL to clear the difference amount.
    If these are setup correctly, the clearing is possible.
    once this config is setup, try manual clearing once and then use the same GL as part of F.13.
    if you have problems and If you are an ABAP savvy, try debugging and catch hold of what is it looking for....usually the above setting should help you clear.

         When u r clearing Transaction F.13 do the settings in Tolerance settings for rounding off SPRO - financial accounting - general ledger accounting - business transactions - open item clearing - clearing differences                                        
    - Define tolerance groups for GL accounts                                        
    and you can set clearing differences go to SPRO - financial accounting - general ledger accounting - business transactions - open item clearing - clearing differences                                        
    - Create accounts for clearing differences.

    Hi Balla
    if you want to clear vendor account then go to the transaction code F-44 select the vendor account number-activate line item which you want you to clear- if you find any difference then you can- press charge off and transfer this amount to the desired GL account- simulate-save.
    if you want to clear the GL account- go to F-03 and do the same steps.

  • Automatic Clearing with Differences

    Dear Friends,
    We have defined the tolerances for Clearing Differences and also assigned the GL Codes for posting of differences in the debit and credit items. However, when we do the clearing, we notice that the system is not clearing the line items that have the difference, but clears the line items which do not have difference. We notice in the additional log, the message appears, Account blocked - No clearing. When we check the GL in FS00, it indiactes "GL Account temporarily blocked" Message No. FH042.
    Could anyone help what needs to be checked. Thanks!

    For your information and benefit there were two issues involved which were preventing the automatic clearing -
    a. The first was a very minor issue, the automatic clearing in the same GL Account was being carried out by another user and therefore the system was giving the error message - The Account is blocked.
    b. Secondly the issue was that the clearing differences GL Account had a Feild Status Group which had the 'Text Maintenance" as a mandatory requirement. Once we made it optional in the FS Group, the users were able to proceed with the Automatic Clearing with the differences.

  • EBS- Automatic clearing & posting to customer on-account

    Hi FI Experts,
    I'm hoping that you can help with the following SAP electronic bank statement (EBS) setup:
    In EBS configuration, we have setup posting rule to clear customer sub-ledger (posting type 8). This is achieved using algorithm 31 u2013 Doc number search (customer no from doc line). So when MT940 file - note to payee field has correct doc number (invoice no), system clears the customer open item automatically
    Now the requirement is if the note to payee field doesnu2019t contain correct document number (or missing doc number) but has the correct customer number- Is it possible to post the amount to the customer account based on the customer number available in the file? Business team can clear it against the invoice later manually. In summary, if doc number is available system should clear customer open item; if doc number is missing but customer number is available system should post the incoming amount to the customer account.
    Is it possible to setup the above logic using standard EBS rules; if yes how? or do you reckon a development is needed?

    Hi Experts,
    I got this resolved by using the enhancement FEB00001.  If the field "Distribute by age" is activated through this enhancement, then system will be able to match the paid amount and the combination of open items for automatic clearing.  If there is no exact match, then automatic clearing through FF.5 is not possible as indicated in SAP Note 124655.
    There is no more necessity to use BAdI FIEB_CHANGE_BS_DATA.  Complete relevant logic can be maintained directly in the enhancement itself.

  • Automatic clearing for document posted via FBB1 with foreign currency

    Hi SAP Gurus,
    Can anyone help to explain on why does the document posted in FBB1 with document currency USD was auto cleared even without satisfying the rule in OB74. But when the document currency is SGD it can be automatically cleared.
    Scenarion is as below
    OB74 set up:
       Accty type: S
      From acct: 12000
      To account: 12000
      Criterion 1: Business area
      Criterion 2: Assignment
    G/L account : 12000
    Account currency : SGD
    Post JV document via FBB1:
         Dr 12000
         Cr 20000
         Document curreny : USD ; amount: 0
         Local currency: SGD ; amount: 200
         Assignment: Test A
         Business area: 'blank'
    *When I run F.13 above document was cleared and the clearing doc contains below
           Dr 20000
           Cr 12000
    But when I post in FBB1 with same entries as above, only changing the document currency to SGD it will not be cleared via F.13.
    Appreciate your explanation on why does above scenario happened.

    while posting the entry through FBB1 then system will not consider the exchange rates as per ob08 and etc.,
    you can define the local and foreign currency values as per your wish while posting the FBB1.

    Autoclaring is done by SAP using some predefined parameters through f-13 when there are open items (Dr as well as Cr, balancing to Zero). This can be done for, GRIR Accounts, Vendors accounts, Customer accounts etc.
    Post with clear is used for manual transaction where you have one open entry and you have to pass the second compensating entry to make the effect of existing enty zero.

  • EBS Customer open items automatic clearing within tolerances

    Hi Experts,
    We have already implemented Elecronic Bank Statements automatic uploading functionality.  As part of this process, customer open items need to be cleared automatically. 
    As per the standard process, SAP will be able to clear off the open items ONLY if the collection amount (reflected in MT940) is exactly equal to the invoice amount (reflected in the open item).  But general practical situation is that customers may under / over pay.  For example, if the customer invoice is for USD 100,005 the actual payment from the customer could be for USD 100,000.  In this case, it is normal business practice that open item will be cleared off rather than keeping balance USD 5 in ledger and chasing the customer.
    So tolerances are already set up both at GL account level (Trans OBA4) and customer level (Trans OBA3) with blank tolerance group with permitted payment difference of USD 15.  And no tolerance group is assigned to the customer master.  Also account determination is maintained for the differences with nil reason code.
    Inspite of all these settings, I am getting an error message indicating that the difference is too large for clearing while trying to upload this bank statement.  Here the difference is only USD 5.
    My doubts are:
    1. Does the standard EBS program RFEBKA00 considers the permitted payment difference tolerances set in transaction OBA4 and OBA3 ?  I don't need to post the differences with reason code.  That's why account determination is maintained with blank reason code as well. 
    2. SAP Note 124655 (Point No 3) says that entering reasons for differences is not possible in the standard system through EBS.  Does that mean clearing of open items WITHOUT reason code is possible ?
    3. SAP Note 549277 (Point No 5) says that even though Note 124655 specifies certain functionalities as not supported in standard system, they can be achieved by customer through user exits.  Does that mean it is possible to code in the user exit saying that system should consider the payment difference tolerances for clearing off of the open items ?
    Could you kindly let me know your experience with these questions.  I will be very glad to hear from you.  Thanks for your time.

  • Automatic clearing in electronic banking

    Hi all,
    I'm working with the electronic banking program to import statements and want to clear items from sub ledger accounts automatically.
    From the tests I have done so far, it seems that SAP always tries to locate the business partner via the bank details FIRST. In other words:
    IF business partner bank details are provided in the electronic bank statement
    THEN SAP takes this as leading in order to determine the business partner
    I do not want SAP to start the search via the bank account details. I have been using interpretation algorithm 020 (doc.number) and 031 (doc.number and customer from document) but still SAP always starts searching for the business partner based on the bank details.
    My test case is as follows:
    - I have a customer A without bank details maintained
    - I have a vendor B with bank details maintained
    - Customer A is in fact the SAME business parter as vendor B although they are not linked in their master data
    Now Customer A makes a payment to me and the bank provides the bank details of the customer AS WELL AS the invoice number. SAP then starts matching and finds vendor B because the customer bank details are maintained in the vendor master. Clearing from the vendor does -of course- not take place because the invoice exists on the customer, not the vendor. So a payment advice is created which holds the vendor account AND the invoice number.
    I cannot get SAP to avoid finding the vendor, and instead, find the customer with help of the document number that is also in the bank statement file.
    Hope the case is clear, any suggestions would be highly appreciated.

    Program groups those items from an account that have the same
    u2022 Trading Partner ID
    u2022 Reconciliation Number
    u2022 Currency in which the General Ledger is updated
    u2022 Four freely definable criteria
    The program groups together items from an account that have the same reconciliation account number, currency, and Special G/L indicator, as well as pre-defined criteria from the document header or item such as the allocation field, reference number and amount.
    If the balance, in local currency, of the items within a group is zero, the system automatically clears them and creates clearing documents.
    Prerequisites for using the automatic clearing program:
    u2022 Accounts must be managed on an open item basis.
    u2022 Accounts to be cleared must be defined in customizing.
    The automatic payment program does not clear noted items, statistical posting, down payments, bills of exchange and items with withholding tax entries.
    When clearing open items in a foreign currency, differences may occur due to fluctuations in exchange rates. The system automatically posts these differences as realized gains or losses.
    Config: IMG>FA>GL. Accounting>Business  transactions>Open item clearing>Prepare automatic clearing.

  • GRIR Automatic Clearing at the time of GR

    In GRIR clearing account system automatically cleared open items when perform following entries:
    1. Entry at the time of GR
         Inventory A/C      Dr
         GRIR A/C          Cr
    2. Entry at the time of LIV
         GRIR A/C           Dr
         Vendor A/C          Cr
    When performing second entry system should automatically cleared open items but in my case it wonu2019t, when I go to FS10n and seeing the GRIR account system shows both debit and credit entries but they are still showing OPEN as red sign, although my balance in GL showing zero, due to this there is a long list of open item showing which is wrong, if any one have an idea please comment or share their valuable input.

    Hi Ashfaq,
    You should check the configuration that has been made for automatic clearing of the GR/IR account.  You can search for "automatic clearing" in SPRO or directly use transaction code OB74.
    Here you define as to based on which parameters F.13 will match the Dr. and Cr. and clear the same.
    You can also define and assign tolerances.  For eg if there is a small difference between the Dr and the Cr. you can tell the system to still clear these two items.
    Based on what you mention, I think you are confusing the postings here.  F.13 will not post anything on to the vendor account.
    Are you sure you ran F.13 not in test mode and in production mode?  Please check this to make sure the GL items have been cleared.
    Also when you run F.13, remove the flag from the vendor account.  In the selection parameters only provide the GR IR Account.

    We are having problems with the open items clearing for payments made in foreign currencies (EUR) out of local currency account (USD).
    At the time of payment the system is posting the following entry -
    Dr. Vendor  - Doc Currency EUR Local Currency USD
    Cr. Bank Clearing Account - Doc Currency EUR Local Currency USD
    While importing the Bank Statement the following entry gets posted in the Bank Clearing Account -
    Dr. Bank clearing Account - Doc Currency USD Local Currency USD
    Cr. USD Bank Account - Doc Currency USD Local Currency USD
    Since the payment in EUR is made out of local currency account (USD), the document gets posted in USD at the time of importing the Bank Statement.
    The Bank Clearing Account is 'Open Item Managed Account.'  The issue is that while performing the automatic clearing, the system is checking for the payment document no. which is the criteria defined in the system. While the payment document no. in the Dr and Cr entry matches, the system is not able to clear off the open items due to the following reasons -
    1. The documeny currency does not match - We want the system to ignore this standard rule.
    2. The payment amount and the clearing amount is different due to exchange rate difference - We want this difference to be posted to the Exchange Gain/Loss Account at the time of automatic clearing.
    How could we achieve the aforesaid objectives, i.e. ignroing the doc currency and automatcally posting the difference in Exchange Gain/Loss Account.
    Your help would be highly appreciated.

    F.13 is only clearing program and will not genetate a new line item out of clearing like in your case "diff. due to exchange rates".
    Try using F13E and giving the clearing currency in the selection parameters.

  • Automatic clearing using MRKO

    I'm not sure whether this thread belongs in FI or MM but I just took a chance and posted it in MM.
    We have our normal GR/IR account set up for automatic clearing via F.13 once the WE and the RE are in balance.
    However, we have a different GR/IR account (211100) for our pipeline materials.  However, on the G/L side, once an MRKO document is generated, there is no clearing.  I tried to clear the WA docs against the MRKO doc,via F.13 but I was told that no clearing docs were generated.
    Is there anyway to effectively use open item management on 211100 to show which goods movements go with which MRKO doc and therefore which documents remain "open" with no liability created to the vendor.
    Any information you have would be greatly appreciated.

  • Automatic clearing in POR procedure

    Hi,
    I have the problem with POR procedure. I configured the POR procedure and it works correct when the invoice amount is identical as file amount.
    But when the amount in file differs from invoice amount (even in the range of standard tolerance limits), the POR creates batch input using the transaction FB01 and not FB05. And the invoice is not cleared. Is there the possibility to clear also these items for which the payment amount (from POR file) differs from invoice amunt in range of the customer tolerance limit?
    I found the SAP notes - 365439 and 1125229. The note 365439 gives the solution but the note 1125229 changes it.
    I don't know which note I should download and how to resolve my problem.
    Can you help me in this issue?
