Automatic Reconcillation FF_5

Hi,
We are using the automatic reconciliation (FF_5) concept to reconcile the outgoing and incoming payments.
For outgoing the process is going smoothly it reconciles automatically the main and outgoing accounts based on cheque and number and document number from the MT940 file.
Now what is the process to reconcile the incoming payment? Our business process is --- Once we receive the payment form the customer (Cheque or NEFT) we go to Tcode F-28 and clear the invoices then the customer account and the incoming g/l account will be effected.
Now while doing the reconciliation from MT940 how can we reconcile it ? What process can be followed ? The file contains only the customer code and amount, no reference document number of sap is available in the file.
What is the standard procedure or the best business practices to be followed?

SAP IDES document is also available for SAP FI-BL
You have to do the customizing (analyse bank file an set up posting rules)
You make  import of the bank file.
In accordance to the posting rules system makes posting, as an instance for incoming customer payments like:
DE: Bank (GL account)
CE: Customer account (sub ledger)
after this posting reconciliation of customer account has been done.

    1) Either we can reconcile using standard R3 tables eg VBAK , VBAP for sales .
    2) You can go for automatic reconcillation where you will have to create a reconcillation data source and extract it to BW using virtual cube (Virtual cube would extract real time data from R3).
    Include original cube and this virtual cube in a multiprovider .
    Make a report taking keyfigures from both the infoproviders and add a column for difference .If there is 0 difference it means BW data matches with R3 .

  • Incomimg Payment / AR invoice B1 2005 Question

    I have an issue with and Incoming Payment in B1 2005
    I appled a check to 2 invoices.  First Invoice had a Credit Memo applied to part of the balance.  The check was for the remaing balance on the forst invoice plus the total of the second invoice.  When viewing the forst Invoice,  the Invoice shows closed in the status field,  with total amout applied the same as the inoivce total.  On the Customer's AR inquiry screen,  the first invoice show it is closed.  The second invoice when viewed,  shows closed with the amout applied the same as the balance.  But on the Customer's AR screen,  the Invoice shows the invoice open for the full amount.   When I go into Incoming Payments for the Customer is question,  in a greyed out box just to the left of the box that shows the amount of the invoices selected for payment,  the amount of the second invoice is deiplayed in that box.  If I check the On Account check box,  the amount is then displayed in the box of the amount to be distributed.   Has anyone seen this before?  If I goe into Automatic reconcillations,  the Invoice shows open but the Payment is no where to be seen.  I was hoping in one of the various reconcilations that I would be able to apply the amout to the Invoice,  but only the Invoice is displayed as open. 
    Does anyone have any idea on how to close the Invoice COMPLETELY?  And also what does the Amount in the Box to the left of the ORCT.NoDocSUm field represent and how to I apply or get ride of the amount?

    Hi Michelle ,
    Your invoice might not have closed because of rounding issues or
    i have found one issue at delivery before :
    1.If your freight code donot match between delivey and invoice , it doesn;t get closed .
    It could be one of the issue might be happening ..
    Otherwise log a support to SAP for further analysis ..

  • What is the criteria for Auto reconciliation

    Hi,
    My system version is 2007A pl46.
    I wonder if anyone please tell me how the system does automatic internal reconciliation.
    I know there are a few matching rules that I can choose to use, such as ref, dates. 
    I want to skip all these, as they are not quite relevant, then I suppose "the amount" would be the only one for matching.
    Because we have a few transactions with the same amount (with different date/time, doc number), how would the system do it?
    Say,
    There are GRNs coming in and AP invoices raised againt them.
    The majority of documents have been linked properly as base/target document, but there might be some without linkage.
    When doing reconciliation for the GRN clearing account, would the system possibly mix up the documents?

    hi,
    When u book AP invoice for 1000$,do payment for 1000$,selecting particular ap invoice,
    then system automatically reconcilles with ap invoice,balance due will be updated.
    If u make advance payment without invoice then it should be manually reconcilled with
    any of ap invoices.

    There is no reoncilation for GRNI because when u do good receipt po GRNI clearing a/c gets
    credited & material a/c debited,when u create ap invoice based on grpo,vendor a/c credited,
    grni clearing a/c get debited,passing balance to vendor.
    Open Good receipt PO's will show credit balance.

    Hi,
    For Automatic Customer clearing of Invoices, you need to create a posting rule. In the posting rule there will be two posting areas. Posting Area 1 you will give the GL Bank account and Bank Clearing Account. In the Second Posting Area You need to give posting Key 50 with the Bank Clearing Account and 15 posting key and leave the account blank and in the last there is a field posting type in that you need to give 8.
    Once after defining the posting rule, you need to assign the external transaction type and the interpretation algorithm for the posting rule. Interpretation algorithm you need to select document number (020).

  • MT940 -FF_5 Automatic clearing error

    Dear Experts,
    I have two payment documents with same value date and amount.
    Ex: 200001415  31.08.2011   500 USD
          200001768  31.08.2011   500 SGD
    In MT940 i am getting the payment document number in the reference 86:.
    I am using serach string wil alogortihm 001 standard algorithm with payment document.
    When i import the bank statement while clearing the above two documents are coming at a time and not clearing.
    Ex: Using the searching string the system finding payment document number 200001415, then while clearing the system is prposing the above two items together.
    200001415  31.08.2011   500 USD
    200001768  31.08.2011   500 SGD
    Pleasssuee help to awnser if any body face the same i

    Dear Experts,
    I have problem with the FF_5. When we are proccessing .txt file with same paid amounts to our clients, then all of them are not writed cause the identical amount when I check in FEBABS.
    Example:
    00000313923

    00000370429
    All identical amounts will not be posted. Someone can help me with this issue?

  • Automatic Import of Electronic Bank Statements (EBS)

    Hi SAP Gurus,
    We want to solve the following issue:
    Daily we receive multiple Electronic Bank Statements by means of banking Communication Software (BCS).
    Those EBS files are stored on our SAP Application Server, filetype = SWIFT MT940 format,
    and the file name contains a date and time stamp.
    File name example: MT940.90910077527_20101124_210421_167660
    Currently the import of these EBS-files is done manually via transaction FF_5 (program: RFEBKA00).
    We want to automate this import process.
    Every time a new EBS-files arrives (in a specific directory) on the application sever
    a signal (including the filename) should be send to SAP, so SAP knows there is a new EBS-file available for import.
    SAP now runs program RFEBKA00, with the provide filename, in the background.  
    Any ideas how to do this?
    Some tech. info:
    Windows Server 2003 R2 SP2 64-bit
    Oracle 10.2.0.4
    SAP R/3 Enterprise 47x200

    I think there are several ways to do it. In our case, we have a program which concatenates all received files into a single file and which launches RFEBKA00. It runs at fixed time, outside the working hours of accounting clerks. It is possible to trigger the program at file receipt, but there are problems if somebody is working in FEBA at the same time RFEBKA00 is working on the same bank account: then RFEBKA00 stops without doing all postings.
    If you trigger RFEBKA00 at file receipt, you may have several jobs running in parallel, and if 2 bank statements received in separate files are for the same account, you will have the same problem.

    Hello,
    Both are different. Automatic Payment program is outgoing and electronic bank statement is incoming.
    There is no direct linkage. For electronic bank statement, you are not the initiator. Your bank is the initiator. Unless, you have the inputs from Bank, you cannot upload the electronic bank statement.
    Anyway, the following information may be useful for your electronic bank statement configuration.

    There are different programs to upload electronic bank statement.
    FF.5 or FF_5.
    I think your case Multicash format you are using.
    You need have three files in FF.5 and two files in FF_5
    You can prepare a Z program in order to truncate the electronic bank statement into two or three part files and save them on the application server.
    1. Take all the external codes list from bank.
    2. Take any available documentation from the Bank describing the relevance of the external codes.
    3. Make sure that your Chart of Accounts (Bank Accounts) last digits logic is appropriate to meet the requirements.
    4. Based on this decide the Account Symbols that are required to be created.
    5. Make sure that the masking rules are configured properly.
    6. Decide the posting rules that needs to be created.
    7. Link up your external symbols provided by the bank with Posting rules and give proper algorithms for posting and clearing logic.
    6. Concentrate on the posting areas to be posted while uploading the bank statement.
    Further explanation would help you to understand the functionality when uploaded the electronic bank statement.
    Main purpose of uploading the bank statement into SAP is to make your Bank Main Account and physical bank statement balance in sync.
    You do not have any traditional Bank Reconciliation Statement (BRS) report in SAP.
    SAP is normally you maintain bank main account and bank sub account. Whenever you make a payment through F-53 or F-58 or F110, the entry would be:
    Vendor Account Dr
    To Bank Sub Account
    The ending digits of the sub-account would be important in configuring the masking rule. Based on this masking rule when you upload the bank statement the entry the system would pass is:
    Bank Sub Account Dr
    To Bank Main Account
    It depends on the configuration, either the sub account will be cleared by the system automatically or you need to run F.13 to clear the sub accounts.
    At the time of receipts, you have different accounting entries unlike payments. It needs to post to two posting areas. 1. GL Accounting 2. Sub-Ledger Accounting
    The entries would system itself pass is:
    Bank Main Account Dr
    To Bank Sub Account
    Bank Sub Account Dr
    To Cutomer account.
    Clearing logic mentioned for your posting rules and the alogrithm used for your external bank symbols will also play pivotal role in clearing the accounts.
    Ideally you will use
    FF67 / FF.5 / FF_5 for uploading manual or electronic bank statement
    FEBA / FEBA_BANK_STATEMENT is used for furthe rprocessing.
    GO THROUGH SAP NOTE 48854
    Please go through SAP Note. 48854. You will get an idea regarding the functionality of the algorithms.
    Though this note is in relevant to GB specific, you will find this very useful.
    description follows below regarding the normal procedure for maintaining table T028G. Due to the different bank codes and posting rules, pre-Customizing is not possible at this point.
    The following processing types are available - unless stated otherwise, you should use the interpretation algorithm: '000 - No interpretation' in each case.
    1. '00': There is no processing. The entry line is ignored.
    2. '01': A validation is made whether an entry exists for the transferred check number in the check table (PAYR). The check number and payment document number are transferred for further processing. Interpretation algorithm: outgoing check processing '011'-'013'; the update in the check file is via the interpretation algorithm.
    3. '02': Transfer of the ending balance to the electronic bank statement
    4. '03': Transfer of the opening balance to the electronic bank statement
    5. '04': Clearing via the allocation number which is delivered with the bank statement. No interpretation algorithm.
    6. '05': Clearing of BACS payments or BACS bank collection. The reference text field is first read to ascertain whether it involves payments initiated by users or bank collection via BACS. Providing it does involve a cash transaction initiated by the user, the payment document numbers concerned are determined via the reference number and transferred as a reference to further processing. Interpretation algorithm: '000 - No interpretation' or '019 - Reference number DME'.
    Note
    To differentiate between the two procedures in table T028G, you have to maintain two separate entries.
    Example: the bank uses bank code '62' for cash receipts and for BACS bank collection.
    Ext. Transaction +/- sign Posting rule Int. Algorithm Processing type 62 + GB62 001 5
    62 SAPBACS + GB63 000 5
    7. '06': Bank costs or interest revenues
    Recommended interpretation algorithm: '000 - No interpretation'
    8. '07': Total amount of cash disbursements
    9. '08': Total amount of cash receipts
    10. '09': Items not paid
    Recommended interpretation algorithm: '000 - No interpretation'

    You would make this a little easier if you posted a link to the page.
    Most of the jump seems to be some extra padding or margin between the tabs  when you rollover, but I am not able to find it.  Is there any other css that is governing this page? I did remove a couple of <p></p> set of tags you had  and it improved the jump, but it is still there.
    If the page is live, run it through the validator http://validator.w3.org/ , fix whatever errors it finds, if you still have the jump, post a link to the page and the issue might get found.

  • Ff_5 Formatting error in the field COBL-KOSTL

    When automatically posting bankstatements we have several searchstrings in place.
    Most of them post against a bookingrule, but in this case I have a posting on a costcenter as well.
    I created two equal searchstrings, one for the bookingrule and one for the costcenter.
    When executing FF_5 SAP only books in area 1 and not in area 2. The error message states:
    00: 298 Formatting error in the field COBL-KOSTL.
    The costcenter is an active one, it is also in OKB9 linked to the cost account number.
    Profitcenter is default.
    What does this message mean, and how can I find out what I did wrong? I am absolutely sure I have made no typo when entering the costcenter in the mapping area of the searchstring.

    Seems to be that cost center is mandatory field but the field is suppressed in GL.

  • Bank statement import FF_5 sometimes takes a really long time

    Hello!
    In the middle of august we started to have problems with bank statement import FF_5 - sometimes (but not always) it takes a really long time (3 - 4 hours) to import data - usually it would take from few minutes to 1 hour (depending on size of import file). There is no error, the documents that match are posted automatically like always, the amount of documents, that are not posted automatically, is the same as always... We didn't do any new settings in system.
    We tried to find cause with debugger and sql trace, but there was no error - the import program works ok, then suddenly it stops in one line and searches in cluster table RFBLG without filled field GJAHR (year) - that means that it searches among approx 7.400.000 records (the size of our RFBLG is appr. 12 Gat the moment).
    We don't have ideas any more, how to find a cause for strange behaviour. The problem is, that there is no rule - sometimes it's ok, sometimes it works very slow - no matter how big the import file is. The problem occurs with all bank files (we have 3 banks).
    Do you maybe have any suggestions, what to do and how to find and eliminate the cause?

    Hi Meti,
    Have you tried analysing differences between files that it goes slow on and files where it goes quickly?  Sounds like there is some difference in file data that causes it to do a lookup.  If the traecs are not finding the differences, it might be wortwhile to put the file data into Excel for a slow and a fast and compare field level data?

    I dont understand how payment advice is getting generated? Please let me know how to stop this payment advice generation? Is there any configuration made due to which the advice is getting generated automatically.

    For slove that issue you can remove Cash management payment advice check box at FF_5 it self.

    So we cannot use these. Please suggest me regarding the same.

    We are facing a similar requirement. We are trying to enhance the interpretation logarithm using search string. The requirement is to update the text field with a Constant Prefix + a number from the Notes to Payee field. For e.g.:
    The BAI file transaction data is like:
    16,169,94906,V,120108,0000,6008ABS43400024460,783517/
    88,TBS EUROPE LTD   203647 10293164
    88,/ENTRY-06 FEB
    88,TRF/REF  6008ABS43400024475
    88,783517 BANK GIRO CREDIT
    We defined a search string to find the text 'TBS EUROPE LTD' and if it is found, the search string fetches the number '783517' from the Notes to Payee field and thereafter, at the time of posting, the text field has to be updated with '120108 TBS EUROPE LTD 783517', where 120108 is the validity date of the incoming money through this transaction and which does not form part of the Notes to Payee field.
    Also, if just the number '783517' has to be updated in the text field.
    Please suggest how to achieve this functionality.

    Hello friends,
    I am using SAP B1 2007  Patch 10.
    For Reconcillation we are using  Banking --> Bank Statement& Reconcillation -->Manual Reconcillation
    where i have seen number of invoices related to respective  GL Account.
    which contains one check field Cleared  which i have to check manually by searching it from Bank Statement on the basis of Ref3 field which is cheque number. All this check are manual task. I have at atime around 500 cheques and invoices to reconcile so its very crusial task. so please suggest me any proper way to do it.
    I  can import Bank Statement by DTW. but how it helps me in above defined process.

    If you import your bank statements you can use the External Reconciliaiton and do some automatic matching I think.
    It is not a process I have used, so I cannot be of much help...
