Automatically adding  purchase orders and maintenance contracts

We are actually doing our purchase requisition and quotation externally through a procurement agent.  We get an excel sheet extract from our proquriement agent of all our purchases.  We want to be able to automatically enter these purchases into the system for record keeping.  Is there a way SAP can automatically read the extract file and enter purchase orders and maintenance contracts into the system?  Any help would be greatly appreciated.

The GL Account field in PO Line is not a UDF, it's a standard field.
other information, if I try to fill the GL Account field using the SAP orange arrow, it's ok(by selecting the same account number)

But now I need a way to do the opposite side posting at the supplying customer -V001-- this I do using an Idoc which creates a Invoice receipt for creditor(supplying customer) V001.
    2. Sales order-- A customer X001 of company code G1 buys stock from the company code V1. the customer G001 of company code G1 bills the customer X001, but the intercompany billing doc/ invoice is created for the customer G001 by company code V1.  then now i want an automatic account posting to be created at the supplying customer V001 via idoc.
    Can this be achivable via Idoc with automatic account postings.   
    Please let me know if it doesnt make sense. thanks to all in advance

    Hi all,
    For the Sales order and automatic posting we have created an output type ZR4N- this is creating a batch input session which can be triggered to be processed autmatically.
    For the intercompany Purchase order -from Invoice we are creating a different output RD04 (sap standard) which creates invoice receipt at the vendor side.
    Rest of the settings are defined using SAP standard functionality within transaction OBCA, OBCB, OBCC, OBCD,OBCE

  • No Purchase order and sales order from trading contact

    Hi Gurus,
    I am new to this module and i am trying to create a Trading contract. As I understand that the trading contract should create Purchase order and Sales order automatically. But in my case, this didn't happen.
    In this regard, I want to know,
    i. Are info records mandatory or mentioning the required purchasing and sales data during contract creation is sufficient.
    ii. What are the configurations required to do for GTM functionality and which are the points should I check for this.

    there are some status that is required to be set while you save a  trading contract.
    your trading contract must be approved or released..only then follow-on docs will be created.

  • How I can automatically generate purchase orders in SRM?

    Hi Gurus,
    When I create a Shopping Cart (SC), in "Source of Supply" tab I can select a contract as source of supply.
    How I can automatically generate a purchase order (PO) with contract data (vendor, price, etc.)?  So that the operational purchaser does not have to enter the system to generate the PO.
    In ERP (ECC 6.0) exists ME59N transaction, is there something similar in SRM?
    The system is:
    Component software: SRM_SERVER
    Release: 700
    Level: 0008
    Support package: SAPKIBKV08

    Hi,
    Like ME59, there is no option available to create a PO automatically in SRM. If you want you can achieve this in 3 ways.
    1. Creating SC Via CATALOGS ( In this case after approval PO will be created directly and most of the cases PO will be transferred to ECC i.e in SRM that will be in ordered status.
    2. You can select the sourcing relevant indication as 'Never Carried out' (Here if you created a SC without source of supply then all such SC's will be converted into Save status PO's.
    3. Do the modification in DOC_CHECK_BADI to force all SC converting to PO.
    However in Case 2 & 3, still buyer's team manual intervention will be more, then need to update the PO with source of supply.

  • Migrate Open items - Sales orders/ purchase orders and unbilled deliveries

    Hello All
    Can you please tell me the best practice to migrate open sales orders, purchase orders and deliveries due for billing at Cutover to the new system?
    Also how can the historical data be migrated? What all comes under historical data?

    The way the sales order data is migrated is largely dependent on the number of orders you are intending to migrate. 'Best practice' would suggest you do the following:
    1) Do not migrate any completed orders (they should be kept as 'read only' in the legacy system)
    2) Get the business to close as many orders as possible before the cutover 
    3) Stop entry of any new orders during the cutover the period - hold them back and enter them directly into SAP.
    Once you have a manageable numebr of orders to migrate you really have two options:
    Upload the basic order into SAP (we have usually done this from a spreadsheet using ALE or some similar tool). The basic data is confirmed to order type, order number, order date, customer number, material code and quantity. Any data in addition to this is then added manually to the system by the users e.g. pricing info (this is really important as pricing data is really difficult to map). To do this you will need to have sequenced this correctly e.g. ensuring that the data and config for both the materials and customers are all already in the system before you load the orders.
    The second option would be to load them all completely manually - which is why I said at the beginning that really, the best approach is determined by the quantity of orders you need to migrate.
    I am sure other people will have used other methods but these two are the ones we usually use.
    (edit) P.S. you must remember that 'open' sales orders are any orders that are not yet billed so even if an order is delivered in your legacy system if it has not been invoiced you MAY need to migrate it. But as I metioned at the beginning - it would really be better to complete that order (i.e. bill it) before you close the legacy system so that it does not need to be migrated.
    ========
    For deliveries - again, there is no simple fix for this. Because the migration of a delivery demands the migration of an open sales order, the best approach is probably to load the sales order basic data, get the users to complete the sales orders (as described above) and then run the delivery due lists or manually and individually deliver each sales order item.  
    You cannot migrate ONLY the deliveries, you need to migrate the preceeding order(s) as well. But, again, if you take the approach of closing as many as possible in the legacy system, it will be much easier than migrating them.

  • Old Purchase orders and template - Price Information not taken into account

    In MDM catalog, I have a product with 'Price Information' and with 'Contract price'. I create a shopping cart with the 'Price Information'.
    Then, I create another shopping cart using the anterior througth the functionality 'Old Purchase orders and template'.
    The price taken into account is the 'Contract Price'
    Is this the standard procedure?

    as far as i know the price preference is in this order
    1. Contract price
    2. Purchase Info record
    3. list price
    so in that case - this is standard procedure
    you can confirm - by doing the same process for an item that  has ONLY price information (list price) and see if that price is copied from old to new SC

    I set Free Goods determination Inclusive Calculation Rule 1=Pro Rata and Cal Rule 2=Unit reference both are working fine.
    When trying for cal Rule 3 it gives error message "The system determined free goods with quantity 0 for item 000010
    Means for 10Ton of A product 10% means 2To are free. If I apply quantity in multiple of 10 i.e.10, 20 30 free goods are determined, delivery & billing is working well.
    But if I apply 25Ton or 38ton, it is not even giving minimum discounts say for 25ton, it should give atleast 20ton equivalent fre goods. I checked in rounding rule OB90 where my company code3000 is giving 10 2 digit for USD currency. I set like this. When I checked pricing for condition type R100 it says requirement 055 not fulfilled. However I have maintained Req 055 & BaseType 28 in pricing procedure.
    For cal rule 3 what else setting I should check.

  • Jump from Sales Order to Purchase Order and back again (all in change mode)

    Hi,
    Situation is this:
      - Sales Order is created with 10 items. 4 items are created with connection to Purchase Order.
      - User open Sales Order in change mode
      - User goes to item 20 that has a related Purchase Order
      - User wants to jump to related Purchase Order and make an update here
      - User wants to be able to jump back to Sales Order Item 20 from Purchase Order
    When user jumps to Purchase Order in change mode, then this Purchase Order will also block the same Sales Order, that was open. This can be handled with dequeue and enqueue.
    Problem is that when Purchase Order is saved it will make an update to the Sales Order in the background. When user jumps back to Sales Order then this Sales Order is still open with old data and these data does not reflect data that can have been updated by the Purchase Order.
    Also: When Purchase Order is making updates to the Sales Order then e.g. Message Out Table NAST is automatically updated (insert and delete records). If user then manually updates the Sales Order with old information, then System Dump appears as Sales Order tries to insert NAST records, that have already been inserted or delete NAST records that have already been deleted via the Purchase Order.
    This means that when user jumps back from Purchase Order to Sales Order Item 20 then Sales Order needs to be refreshed with new data after Purchase Order has saved the Sales Order.
    Are there any solution to do this in a standard way (from within SAPMV45A) ?  
    I prefer not to reopen Sales Order using syntax like CALL TRANSACTION.

  • Fetching the price of the purchase order and charge it in my SO

    Dear, gurus
    I am doing services mto and even Repair services of customers machinery. I would like to fetch the price incase of purchase order and charge the customer for that purchase in my Sales Order. Is there a way to automatically fetch the price? Or how can I cover this scenario?
    Ex: I receive customers machine and in my plant or workshop I do not have the tool needed or a specialist so I hire someone for the job so I buy or rent it or him from a vendor and in return I want to charge my customer for that purchase.
    Any Ideas?
    P.S. this is not a 3rd party sale scenario its just a simple Sales Order. I was able to fetch the price from the production order with condition type EK02. Is there any condition type for purchase order price fetching?

    How did the outcome come out as? meaning did that user exit price fetch appear in a condition type in the billing document? If so which one?
    Also, where is the relationship or linkage made from PO to SO? Like how in the world would your sales order know that a purchase order was done. I mean it really is a weird process I mean first the SO should be created then that should trigger the PR and that gets converted to a PO as rightly stated in book terminology. But in this case of first a regular sales order, then out of sap we give our requirement to mm purchasing dept and tell them we need such and such. Once they buy it there is a price which in return we need to charge our customer. Everything can be done manually.
    From my own logic of looking at what you described in the user exit. I presume that from abap side they will only pull a table and field data and populate it where I want it?
    In the PR there is a place where you can assign acct cat C to the sales order and item line what exactly is this for? GL acct are assigned for which purpose or What is it doing? Also, the purpose of that cost center?

    Framework order is also known as Blanket PO.....which we use for the procurement of Low value Material with Long term planning....It is used as Mini Contract....
    Blanket Order:
    Used for long validity period and with the provided value limit. By its name u201Cblanketu201D which covers to required long time? We use doc type FO(for long period) and item cat. B(for value limit).Goods receipts or the entry and acceptance of services performed are not necessary in the case of a blanket PO and limit items. The invoices are posted directly with reference to the purchase order, provided that the specified value limit is not exceeded. But manual entry of invoiced amount and invoiced quantity is required during LIV process.
    Example: Procurement of stationary items.
    Frame work order:
    Framework order (FO) is a document type which is provided by the standerd SAP.
    It can be used for the consumable material ( Which is having low value & where making GR is not of worth like C category item.) & called as blanket PO. Here we need to mntion the validity period & target value or quantity as a restriction as well as need to mention item category as a "b".
    Also it can be used for the procurement of extarnal services (Item category "D" ). Here we need to do the entry of services which have been performed & need to accept the same whereas in blanket PO, GR is not required.
    At the end i would tel u that Framework order is the document type which can be used as blanket Po & procurement of services.

    For making Blanket PO....you have to choose Order type: FO in ME21N....with Item category "B"(Limit)
    For creating Blanket PO... You need not have to maintain material master.....Maintaining Acc.assignment Category in PO is mandatory....also you have to maintain Validity Period in Blanket PO...
    As per SAP Best Practice.....for Blanket PO, GR is not possible.....you can directly post multiple Invoices for One Blanket PO....The validity and total Value of these Invoices for Blanket PO during LIV can be controled by tollerance keys LA and LD.

    Hi,
    A Purchase Order is a document that is given to Vendor to indicate our intention to buy goods from them. It contains what is the desired goods, how much quantity, price, and the delivery date, among other things.
    A standard procurement cycle for this is:
    PR --> PO --> GR --> IV
    A Scheduling Agreement however, is a type of an Outline Agreement. Outline Agreements are divided into 2, first one is Contracts and second is Scheduling Agreement. So this is basically a long term agreement with a particular vendor that contains details on what is the desired goods, quantity, and the exact delivery dates.
    A standard cycle for this is:
    PR --> Create Scheduling Agreement --> Maintain Delivery Schedule (agreed dates on when vendor will send the goods and time) --> GR --> IV
    As you can see, for Scheduling Agreement, PO is not required, but instead we would need to Maintain Delivery Schedule.
    Just to share on Contracts, it appears as below:
    PR --> Contract Creation --> PO --> GR --> IV

    Is the example provided by you, just for example purpose or is that the field you want to copy? If that is the field you want to copy from PO to Inbound document, then how would you know the BoL no. / details at the time of PO creation?
    However if it is just an example & you want to copy some other field, then you might want to evaluate the below exits:
    MM06E001  User exits for EDI inbound and outbound purchasing documents
    LMELA010  Inbound shipping notification: Transfer item data from IDOC

  • Interfering in "Old Purchase order and Templates"

    Hi Experts,
    We use Extended-Classic scenario.
    We use ECC contracts and transfer the contracts details to the SRM-MDM catalog.
    When the user creates SC the contract details come from the SRM-MDM
    catalog as the source of supply correctly.
    But when the user copy the SC, using "Old Purchase order and Templates", the source of supply (contract details) does not being copied from the old SC. (this happends because we use Extended scenario and we use backend contracts).
    Is there any way we can interfere in "Old Purchase order and Templates" and force the contract details to be copied from the old SC?

    Logic to find out if a given PO has Open Quantity or not is do the following:
        " select the PO Qunatity.
