Automating e-mailing to multiple Smart Groups

Limitations imposed by my ISP require breaking what used to be a single weekly e-letter to about 400 people into 23 separate messages to subsets of the by domain, achieved through SmartGroups. At present am having to compose and format the lengthy message, then open a new message window, change the "from" choice (so it shows for my arts council e-mail address rather than my default e-mail), paste the formatted text into the window, re-enter the subject, and select the SmartGroup and send, then have to repeat this 22 more times. I think there's probably a way to automate this, but don't see how--can it be done with Automator? If so, how? Or AppleScript? If that, how?

Well, you will get an immediate reduction in workload by using "Send Again". After sending to your first smart group, select the message in the Sent box and use Send Again. The message will open, allowing you to remove the first group from the To field and substitute the next.
As for proper automation, what are you using to compose the newsletter? Building the script in there might help. Applescript can certainly help with the distribution task, but it has no way of knowing a smart group from an ordinary group. I would be inclined to keep a master group, and have applescript iterate through the contacts in it, adding 20 (or whatever is left) to the To field and sending off the mail.
Another possibility is to talk to your ISP, and see is the limit absolute, or if it can be lifted in clearly-defined non-spam cases. Or find a more co-operative ISP ...

  • How to send an e-mail to multiple sharepoint groups in a SP2013 workflow

I'm trying to create a workflow in designer 2013 that sends an e-mail to multiple users bases on a few sharepoint groups.
However if a user is member of 2 sharepoint groups he/she will appear twice in the "to field" of the e-mail.
Any suggestions on how to solve this would be much appreciated.
    Thank you

    Hi Jan,
According to you description, my understanding is that you want to send email to user who exist in two groups once using workflow.
If a user exist in the group, the email workflow will send the mail to the member in the group, it is reasonable.
As a workaround, I suggest you send mail to the specific user independently and then create a new group without the repeat user, then you can send mail to the new group.

  • Smart groups in iCloud but not on Mac

I'm not sure exactly how to word the subject, but here's what hapenned:
Upgraded from Snow Leopard to Mountain Lion.  I activated iCloud for that Mac aftwards
All seemed fine for a while until the first time I tried to send mail to Smart Groups that I had previously had set up from other address groups in Snow Leopard.  That caused mail to crash repeatedly upon opening until I figured how to delete the outgoing message before it crashed.
Those Smart Groups no longer seem to be populated in my Contacts list.  Neither do the groups under "On My Mac" in Contacts.  They still appear but have no addresses within them.
Yet when I go to iCloud.com or select the groups within the iCloud section of Contacts, they do appear.
How do I get my Smart Groups repopu on my Mac?

Both Eric Root and Csound1 helped me with restoring the contacts into those "On My Mac" groups.  I exported from the iCloud list and imported back into the "On My Mac" groups (creating new ones as needed.
I'm still having problems when I try to mail using the smart groups that draw from those groups.  When I type in the To block the name of the smart group they apper in bold, but when I try to send they crash mail.  Do I have to remove the name of the smart group from my previous recipents window to get them to grab the right address.

  • How do you send an e-mail to all members of a defined group in smart groups?

I am one of the organisers of an annual guitar meeting and want to send mail to all the regular attendees.
I have set up a "Smart Group" and "Distribution List" but can't see how to send the information about our next meeting without entering all the e-mail addresses individually.
    Can anyone help please?

    Hi William,
I've tried this, but it isn't working for me. Should I chnge the Smart Group, to an ordinary one?
    Thanks

  • I am sending emails to a Smart Group created in my address book.   The contact in my address book has multiple email addresses.  Is there a way for the email to go to both addresses?  (ex:  work and home email address under one contact)

In my address book, I have contacts that have multiple email addresses.  (ex:  home and work)   I have created a smart group off of the company name in the contact.  When I send emails, I want it to go to both email address listed in the contact.  Is there a way to make this happen?  Or do I have to have a separate contact for each email address?

I will agree with you on this one. Version 31 and all the fixes so far are a mess. Since I have been here answering questions for a little more than a year now I have learned to wait to upgrade until all the dust settles. I see no end to the dust storm version 31 has caused. I am still on version 24.6 and plan on staying there for the duration. At least until the developers comes to their senses and put out a working product.

I don't think that you can. Yahoo's basic email features do not include mail forwarding.

can I set up a group in my contacts / address book to send the an e-mail to multiple contacts?
I have mac book pro & I-pad 2 running latest operating system.
    Thanks

Yes you can by creating a group and then dragging the contacts in to it. However, since iCloud, the Edit Distribution List feature has been grayed out. Without that feature, it is not possible to specifically select a single email address for those contacts that have multiple email addresses. A major flaw that will hopefully be fixed.

  • Mail will not send to smart Group

I have several smart groups set up and have been using them for mail distribution for years.  All of a sudden, yesterday, several of them will not work for Mail.  I can't expand the group and I press the send button- nothing happens.  Any Suggestions?

Hi Zach, and a warm welcome to the forums!
I'm no Mail expert, I only leave it installed in an attempt to help out here, but I do have a couple of questions for you.
Are you dragging the Group to the TO: box, or the BCC: box?
    How many arein the Group?

  • Can Smart Groups split a large e-mail Group

We have a Group mailing list for our Newsletter.  To send the Newsletter with Mail, we put my name into the "To" field and put the Group into the bcc field.
Due to ISP restrictions, when the Group became larger than 99, we split this one Group into 2 smaller "Smart Groups" by selecting names with and then without the letter "s" in their name.  This method split the names fairly evenly.  We would then send the Newsletter to the first Smart Group one day, and to the second Smart Group on the following day.  This system worked well, until now.
The problem is now the main Group is over 200 and we need to split it into 3 smaller Groups.  Can anyone think of a way to do this using Smart Groups?
(Just like my HS PhysEd teacher once said:  "I want you guys to pair off in threes.")

    Thanks, we'll try that.
Actually, since we have Google Apps for Business it appears that we might be allowed to send either 500 or 2000 messages daily but no more than 99 addresses in any one message.  Not sure if their "no more than 100" when using AppleMail applies or not when using Google Apps for Business.
ConstantContact would work but it costs $15/month.  Hoolie has a one-time $40 charge but you must use your own ISP.

  • Mail Smart Groups

My mail smart groups are too large for server - How do I make smart groups smaller e.g. A-F, G-L, M-S T-Z? Any help appreciated

Just edit the groups and set the criteria such that it only gets those items you want in the group.
You would likely need to create a criteria entry for each letter to include.
Although I don't know of any personally, you may want to get some third-party software that does mass mailings, or subscribe to a mass mailing service.

  • Establishing multiple recipient group in Mail?

I need to establish a contact list for a large group of people to whom I will be sending out weekly emails. Is there a way to simply paste in all of the email addresses at once into the BCC field and then somehow set all of those recipients as a single 'group' that I can reuse again without having to repaste in all the addresses each time?
Alternatively, it appears that Apple Mail expects you to use your Address Book to establish email groups. Honestly, I would rather not have all of these people in my Address Book, since I don't even know most of them. But, in the event that using the Address Book is the only way to set up a multiple recipient group, is there a way to, again, paste in all of the addresses at once rather than having to edit each recipient separately? I only have the email addresses (no names or other info) in an Excel spreadsheet. I've tried importing via csv and that failed miserably.
    Any suggests are welcome

    Greetings,
Is there a way to simply paste in all of the email addresses at once into the BCC field and then somehow set all of those recipients as a single 'group'
    Sorry, you can't do that.
Alternatively, it appears that Apple Mail expects you to use your Address Book to establish email groups.
True, since that's what Address Book is for; keeping your contacts readily available and organized.
But, in the event that using the Address Book is the only way to set up a multiple recipient group, is there a way to, again, paste in all of the addresses at once rather than having to edit each recipient separately?
Sorry, no. You need to create a contact for each of your intended members of the group, even if all you have is their email addrress. Then you can create a new group with whatever name you like and move those contacts to that group, which you can then select to send your email to when you're in Mail.

    It should work.
Set the criteria to Zip Contains/Is and enter the first zip code in the box.
Then hit the plus sign, change 'all' to 'any'
Set the new criteria to Zip Contains/Is and enter the second zip code in the box

    Hi Colin
I dont know if this fixes your problem, but I found this article: http://www.macosxhints.com/article.php?story=20050616151738798
    The main suggestion is this:
I was able to get around it in a simple but possibly not obvious way. First, make a smart group with your wanted criteria. Next make a regular group whose only member is the smart group. Presto! A smart group that you can use in Mail.app, and that will also auto-complete.
