Backdating Actual PGI date

Hello,
We have SAP's DSD (direct store delivery) application live.  In the process, deliveries are made to stores by the driver.  He returns to the depot and settles his route.  It is at that time that the post goods issue (PGI) is performed for the deliveries. In most cases this is one or two days after the planned and actual date of delivery so that the Actual Post Goods Issue date in the system is too late.
For example:
- Sales order / delivery document - scheduled delivery date Monday
- driver picks up the product from the depot and makes delivery to customer on Monday
- driver returns to the depot on Wednesday and the route is settled
- delivery is post goods issued and system updates the delivery with an Actual Post Goods Issue date of Wednesday
Questions:
1.  Has anyone had experience in back-dating the PGI date (in the above example we would like to back-date Actual PGI date to Monday)?
2.  What issues might this raise (e.g. posting in a closed period, etc.) and how would you overcome them?
3.  Anything else to be aware of?

Thanks for the quick response.  Yes you are right.  However, let say if I am settling on Monday and the month end falls on the Saturday.  If the planned delivery date is Saturday and I backdate it from Monday to Saturday then when I settle my period totals, (inventory and sales) which I may have reported, will be altered.
Is there any easy way to determine the delta from a reporting perspective? 
I hope I am clear on my explanation above.

    Created date is the date on which the delivery is created.
    Delivery date is the confirmed delivery date that is porposed after the availability check. It is same as delivery date at item level in SO.
    Actual GI date is the date on which GI is done. It is updated after PGI is done. Planned GI date is updated when delivery is created.

  • How to assign PGI date manually

    Hi experts,
    System uses current date for the PGI date automatically.  Our requirement is that it should be editable.  Presently we are using the following cycle - SO>DO>Picking >Shipment.  We do the PGI from the shipment u2013 shipment start button.  We enter a date (sometimes previous day) and this date is supposed to be used as the PGI date on the delivery (actual PGI date).   Currently u2013 regardless of the date we enter in shipment start u2013 the system uses current date for the PGI date and when you look at the delivery u2013 the actual PGI date is blank.
    Please let us know how it is possible thru confiiguration / some other mode.

    In our case, as soon as we complete shipment  & Save.  PGI automatically happens with the current date.   Our reqt. is that PGI date should be shipment start date.

  • PGI Date and COGS accounting date should be different

    Hi All,
    I have a scenario where the client wants to post the COGS account when the material reach to the Customer and on the same date wants to Invoice the Customer, this is required for the Matching Concept of Accounting so that Recognition of Cost and Revenue should be on the same Date.
    For example : Order (01-01-2012) --> Delivery (02-01-2012) - material send to Customer and it reach to the Customer on 10-01-2012 --> PGI (10-01-2012) --> Invoice (10-01-2012)
    However in India we need to update the RG1 register at the time when we remove the material from our Factory, and to update it we need to do the PGI, and as soon as we do the PGI the COGS accounts will be Debited. Whereas the material will reach to the customer, say for example, after 10 days and then the invoice will be created, so the Posting of COGS account and Revenue account will be different.
    For Example (In India) : Order (01-01-2012) --> Delivery (02-01-2012) --> PGI (02-01-2012)(NO Accounting to COGS) - material send to Customer and it reach to the Customer on 10-01-2012 --> COGS entry (10-01-2012) --> Invoice (10-01-2012)
    My Querry is:-
    1) Is it possible to achieve the above requirement that we do the PGI but do not make any accounting entry?
    2) If yes, then how can we recognise the COGS accounting on a later date, when the material reach to Customer?
    3) Is it possible through Standard SAP?
    4) If standard SAP procedure is not possible, kindly suggest the work-around and basic logic for the same.

    I think VL01N screen Actual GI date can serve your purpose.

    If I change the Actual PGI Date to a future date and do the PGI, then the material document will be posted on the given future date, and so on Current Date (actual date when the material physically move out from the factory) we can not Update the RG1 Register. RG1 Register will be updated on the Posting Date of Material Document, so this will be an Excise Audit Issue.
    Further, a report has to developed,
    > It should show the list of documents posted to the 'Deferred COGS GL and not reversed yet.
    > Based on the customer receipt, the reports should post an entry reversing 'Deferred COGS' GL to the regular 'COGS' GL
    I am looking for the same work-around without defeating any Excise Legal norms. How do we reverse the "Deferred COGS G/L" and make the posting in actual COGS G/L, and what will be its implication on Inventory Ledger and Excise Audit?

    We have a problem in Actual PGI date. For few documents system is not populated the actual PGI date in it's field, later we are able to complete the billing etc.
    This is only an incident. What will be the reason, why it is not populated, what will be the data we can check for it, let me know at the earliest.

    As you may be aware that when PGI is done, a Material Document is generated which have all the details like Posting Date, Item posted , movement type and also includes an Accounting Document ( since material inventory accounts are updated at the time of PGI)
    Please note your Material Document number from document flow and view it in MB03. Check the Posting date there.
    The Posting date is stored in field BUDAT of the Table MKPF.
    Try to analyze with this detail.

  • PGI date is before Schedule Line date.

    We have a scenario which I want to understand. There was ZERO stock on 01.04.2009 in my plant. The stock received on 14.04.2009 but while doing the GR, the posting date changed to 05.04.2009. Now a sales Order created on 14.04.2009 with schedule line confirmation on 14.04.2009. When we checked the delivery and its material document generated after PGI it shows the posting date of 04.04.2009. All the dates in Delivery has been changed to 04.04.2009, however actually the delivery created on 14.04.2009.
    Now my querry is how the system allow to do the PGI on 04.04.2009 when there was no stock for the material on that date, and the schedule line is for 14.04.2009. Is this the standard behaviour?, if yes, Can we restrict it, so that PGI can not be done before the Schedule Line Date or before the actual availability of material.

    This doesnt seems to be a Std process. GR happens for current date. and you can alter Actual PGI date but the document date (delivery) shall not be prior to MAD or Transportation planning date of Order. i guess this may require an OSS.

    If you want a list of sales orders you can use "VA05N" transaction code, so that will be accessed to all list of sales orders according to the execution parameters.
    If you want to see the sales order with PGI date, "VL06" eill fix your requirement.
    Here you execute the "VL06" and select one of the deliveries , click the item view and click the details icon(cntrlshiftf3), then you can find the delivery document number ,sales document number and actual PGI date so on and so forth........

  • Actual Date & PGI Date

    Dear All
    we are loading the january,08 sales  invoice from the legacy system to SAP system through BDC program.
    for this at the time of PGI we are using Actual GI date as month of January, 08 and keeping planned GI date as the system date and at the time of creating sales order, delivery, we are not changing the material available date, loading date, delivery date, at the item level and system taking automatically based on the current date
    when doing PGI system accepting and creating PGI document and billing also creating based on this delivery.
    But dose it give problem in Inventory managements and FI in future, then what would be the right procedure to uploading the back dated invoices in the system.
    Please give me solution for this issue, or what we are doing is the right procedure.

    Dear Mohmmed
    From FI point of view, you should consider "Actual GI Date" only in Delivery.  Whatever date you enter here, on that date only, your inventory value will change.

    I am an ABAP consultant. In a particular report, for a Sales order I am asked to display:
    ‘Delivery Create Date (LIKP-ERDAT)’,
    ‘PGI Date’,
    ‘Requested Delivery Date (VBAK-VDATU)’ and
    ‘Actual Delivery Date to Customer’.
    And in addition, I also have to show:
    ‘No: of days between Order Create Date to Delivery Create Date’,
    ‘No: of days between Delivery Create Date to PGI Date’,
    ‘No: of days between Requested Delivery Date to Actual Ship Date’ and
    ‘No: of days between Order Create Date to Actual Ship Date’.
    I’ve searched SCN for similar questions but I couldn’t get clarity. I’ll be very grateful if somebody can explain me how to find the ‘Actual delivery date to customer’ and what is the difference between this date and ‘Billing date’. Also, please explain, the difference between ‘Delivery Create Date’ & ‘PGI’?

    It seems the report is related to delivery. Below is the explanation for the different terms you mentioned in your question.
    Delivery Create Date (LIKP-ERDAT)---- when a delivery is created with or without reference of an order system writes the date of creation time of creation and created by in the header data. Creation of delivery does not means that goods are dispatched. There are many steps further after a delivery is created before goods are dispatched.  For example I have created an order, created delivery on 01.01.2014; delivery date will always be 01.01.2014.
    PGI Date (LIKP-WADAT_IST)------ Post goods issue date is the date on which goods move out of the company to carrier. This is the last step of delivery. When delivery is created system derives different dates of planning; at this stage it will determine the planned PGI date (LIKP-WADAT) and when actual PGI  happens system writes the date in LIKP-WADAT_IST which is actual goods issue date.
    Requested delivery date (VBAK-VDATU)------When order is created for a  customer he asks for a material, a quantity and a date on which he wants the goods. This date on which customer wants the goods is called requested delivery date. Based on the requested delivery date system will check feasibility of delivering the goods on the requested delivery date based on the delivery scheduling.
    You can get the RDD based on the below logic.
    Input the delivery number in VBFA-VBELN and VBFA-VBTYP_V and get VBFA-VBELV.
    Input VBFA-VBELV in VBAK table and get the value of VDATU.
    Actual Delivery Date to Customer-----Actual delivery date is Actual post goods issue date (LIKP-WADAT_IST). This is the date on which goods are issued to the customer and customer is liable for billing for the goods dispatched.
    Difference between the Actual delivery date (Actual goods issue date) and billing date.
    Normally as per standard SAP, once goods are moved out of the company customer is liable to be for billing for the goods dispatched. So by default in standard SAP system copies the actual goods issue date (LIKP-WADAT_IST) as billing date (VBRK-FKDAT) irrespective of the date of creation of the invoice (If delivery is goods issued on 01.01.2014 and billing document/invoice is created today i.e. 14.04.2014, system by default will take 01.01.2014 as billing date). And this is the correct practice.
    However  if you want the current date as the invoice creation date instead of the actual goods issue date we can control it by copy controls feature given in SAP.
    So based on the copy controls setting, it may be different from the actual goods issue date/ actual delivery date.

  • Control actual GI date using BAPI_OUTB_DELIVERY_CONFIRM_DEC

                 I am using BAPI_OUTB_DELIVERY_CONFIRM_DEC to perform PGI against delivery order automaticlly.
                 But I find this BAPI can't specify the actual GI date,and SAP just default current date as GI date.
                 Is there any parameter can control this GI date for this BAPI?

    I have a scenario where in Sales order the quantity of material is confirmed on 24.12.2011. We create delivery as per this date.But then though Actual GI date field we can do the PGI in Novwember only. I dont understand when we have stock available in December, how can we do PGI in November?

    The Actual Goods Issue date is the date on which you would like to do the Goods Issue actually from the warehouse,in your case you have delivery on December due to the lack of stock but through the actual GI system will allow to do the PGI.And rest of precess consider as per the date of Actual GI ,like after PGI material doc and accounting doc will be generated.

    If PGI is done,this field will be greyed out or Your implmentor may blocked this field using transaction variant for restricting it
    from entering irrelevant dates.

    My issue is that after the change in Fiscal Year, now in some of the STO Deliveries the Actual GI Date is not getting populated in Delivery Document, however the PGI is complete.

    What Lakshmipati has said is correct the Actual GI date does not get populated we enter it manually, only in the case if you are doing a delivery for 26th march then you can enter in Actual GI date field 26.03.2008. (at that point the Actual GI date will be empty, and you can enter the required date) This date is being taken by the material document which will be generated after performing PGI.
    If you are raising the Order or STO today and you are pursuing with delivery today itself then the system willl take today's date.

  • Actual GR Date in Inbound Delivery takes current Date

    Hello Everybody,
    The Output SPED gets issued after PGI from the Outbound in an Intercompany, it generates an Inbound automatically.
    Problem: On the Inbound the field "Actual GR Date" gets populated with the same date as when PGI occurs. The PGI occurs in the US Plant while the PGR is supposed to occur in Europe. The Route Transit Time is 30 days.
    Example: If the PGI Date is today, 18th May the system populates the Inbound Delivery field "Actual GR Date" as 18th May.
    Research into Causes:
    It appears the system is not adding the Route Transit Time. We used the "New Route Determination Time" the the value "A" for the Inbound as well as the Outbound and we do not maintain entries in Table TROAL. Yet, the Inbound still populates with the PGI Date from the Outbound.
    Business Impact:
    The ATP in Europe considers Stock In-Transit for real-time updates. So, this Inbound gets considered for ATP in Europe starting from today's date, 18th May 2011; so Europe will start promising their customers that these goods will be available from today; however, in reality the products will be available in Europe only after 30 days. This is the impact of the field "Actual GR Date" on the Inbound Delivery.

    Check the SPED functional module how the atcual date is passing.Check with technical team if they can insert alogic the actual date should be after PGI date +30 days as the delay required to reach the material.If you are not able to insert the logic then stop passing the actual GR date in GR.I think it is possible.

    Hi Jo Jo,
    I am not sure if i understand your problem correctly.
    As far as my understanding goes you are trying to reverse a GI on a date before Actual goods issue date.
    If you have PGId on a date before planned GI date the system will update that date into Actual GI date and not planned GI Date.
    For example if you planned GI date was 1st April 2008 and you did PGI on 28th April 2008 Actual GI date will become 28th April 2008.
    So if you try to reverse PGI before 28th April you wont be allowed to as you cannot reverse a goods issue that has not happened.
