Backing up iPhoto keywords

Hi all
I've spent a good amount of time assigning keywords to all of the photos in my iPhoto library. It's made life wonderful but I want to back up my time investment. What's the best way to back up iPhoto so that it will retain all of my keywords? Will the keywords stay when I upgrade to a newer version of iPhoto? I'm using iPhoto '09, version 8.1.2.

What I do to keep a copy of all keywords I use in iPhoto is to assign them all to a single photo which I call the "keyword mule".  I then export that photo to the desktop with the option to include the keywords and title with the photo.

This resulting file, when imported into another library will bring with it all of my keywords for use in that library. As I add keywords, I add them to that file, export and save on my hard drive.

  • I need help switching back to iPhoto

    In February of this year I switched from iPhoto to Aperture for very specific reasons. My laptop's hard drive was running out of space, as it was housing my photo library that was quickly approaching 25,000 photos and pushing about 30 Gigabytes, and I wanted to take advantage of Aperture's ability to store photo masters on an external drive.
    So why switch back? When I described why I had switched and my experiences doing so back in February I had said that I ran into many problems all of which I was able to solve save two:
    "The two things I have yet to solve, which are rather large things: 1) Spotlight can no longer find my photos since switching to [edit: from] iPhoto. I am really not sure where to start with fixing this so I think I’m just going to have to ask someone. 2) Reorganizing my keywords in Aperture (since I had them set up in iPhoto) is impossible. When I bring up the Keywords HUD, I’m greeted with all of my keywords residing subordinately to a master keyword of 'iPhoto'. When I try to access the keywords that are “below” iPhoto Aperture freezes. Perhaps I have too many keywords (I do have an awful lot). I’m not sure how to solve this one yet either. Maybe there is a raw .plist file that I can manually edit (and I am willing to do so)." -- Me.
    After using Aperture for the past 3+ months I've yet to resolve either of these issues. Recently there was an update to Aperture from Apple that, according to the documentation for the update, was supposed to help resolve my second issue with having too many keywords for Aperture to handle - but it hasn't helped much. So since switching to Aperture I've not tagged more than maybe fifty photos, which is discouraging because I know that once I switch back to iPhoto I'm going to be busy tagging photos again.
    So I suppose you could say I'm switching back for two main reasons. First, I want it to be much easier to tag my photos since that is probably the single most important thing to me and the experience with iPhoto and Keyword Manager ( http://www.bullstorm.se/KeywordManager.php ) is far superior to that of using keywords in Aperture. Second, I want my photos to start showing up in Spotlight searches again. I'm more than willing to deal with the caveat, albeit a rather large one, that I won't have my photos with me wherever I go anywhere but that they'll forever reside on my firewire drive.
    What I need help with...
    When I open iPhoto I see all of the previews for the photos that I had the day I switched to Aperture. However, the originals have been moved by Aperture onto my firewire drive - so when I click on each photo all I get is a ( ! ) symbol. The previews still reference a file that does not exist yet the iPhoto database still retains all of the relevant metadata (date/time, keywords, comments, etc) that I had worked so hard to put into iPhoto. I need to retain this information and somehow get the originals back into place so that iPhoto sees them again.
    What I thought about doing was this: 1) Somehow restore the originals for the almost 25,000 photos into the place where iPhoto thinks they should be. 2) Move the entire library to my external firewire drive. 3) Import the remaining images that I've taken since switching to Aperture into iPhoto.
    Since I have Aperture store my photos by date - importing only the images that I've imported into Aperture should be a piece of cake. I do not need to retain any metadata from Aperture since I've only tagged a few photos in Aperture and all of the other information I may need should be on the original file (like date taken, etc.). I know I'm going to lose a lot of edits that I've done like cropping, rotating, color balancing, red-eye reduction, etc. but I'm more than willing to lose all of that if it means that I can pick up where I left off and get back into the swing of things in iPhoto.

    Bear with me, my terminology may not be right. I'm heading in the opposite direction, and one of the advantages i see to Aperture is that I've got the same advantages in Keyword management as I have with KM in iPhoto.
    Have you tried re-organising them using the control bar: Below the thumbs there's a drop down menu, by default it shows Photo Descriptors. Click on it and Select 'Edit Buttons'. You can merrily re-organise your Keywords in this window, and even have your changes reflected in live in the HUD.
    As to the Spotlight searching, I'm afraid someone else will need to help on that one. Personally - and it's a regular on the iPhoto forums - I've never had much luck getting Spotlight to search within iPhoto for keywords, apart, of course, from using the search window in the iPhoto Window. I suspect a system-based search of iPhoto keywords is simply not possible.
    What I thought about doing was this: 1) Somehow restore the originals for the almost 25,000 photos into the place where iPhoto thinks they should be.
    That will work, but they'll need to be exactly as they were.
    2) Move the entire library to my external firewire drive.
    Easily done, after you've copied it over launch iPhoto holding down the option (or alt) key and choose 'Locate'. Navigate to the new location and that''ll be your default iPhoto Library Folder thereafter.
    3) Import the remaining images that I've taken since switching to Aperture into iPhoto.
    That should work too.
    But the key is, can you return the iPhoto Library Folder exactly as it was, otherwise you'll need to create and populate a new library - and that will inevitable mean losing your keywords in iPhoto too.
    FWIW, I need to keep iPhoto going for others in the household who are daunted by Aperture. My solution is a referenced library pointing towards the iPhoto Library Folder / Originals folder.

  • Spotlight does NOT find iPhoto keywords

    Hi,
    maybe you guys can help me.
    Spotlight does not find any of my iPhotos attached with keywords.
    My System is: Mac OS 10.4.4 and iPhoto 6 (5 did not work either).
    This is what I have tried so far:
    - repaired permissions more then once
    - rebuilt the spotlight database through the terminal
    - marked my iPhoto folder as privacy in the spotlight preferences and unmarked it
    - removed all keywords (1. try: marked all together; 2. try: marked all together and put them in a new empty list) , closed iPhoto, opened it and gave all an dummy keyword; removed the dummy keyword and assigned one-by-one for some iPhotos new keywords
    - archived the iPhoto database and let it built up by iPhoto again
    - ran the comboupdater of 10.4.4 again
    The last try I am thinking on is a "archive&install" of Tiger but maybe you have another idea???
    PS: Whats strange is that when I look at the processes while assigning keywords, the process 'mdimport' starts to work... but again, Spotlight does not find the iPhotos by keywords.

    I also had this happen to me several times. Once when I first moved to OS X 10.4 and again when I had to reload my computer. Each time I had archived my iPhoto library to a second drive, installed the OS on a clean formated drive and then copied the iPhoto Library back into my home directory.
    From that point, Spotlight would refuse to search for files via keywords. That is, until I updated the photo. By select each photo and changing somthing about the photo, wether editing the photo, changing its star rating to something else and back again, or even adding keywords to the photo, even putting a comment of a blank space in for each photo, doing anything to the photo that would update the xml file would cause that entry to get updated and in turn allow the photo to be searchable by keyword via Spotlight.
    There are scripts available that can actually put the iPhoto keywords into the photo file iteself. The one I am using also needs to have GraphicConverter installed. This way I can search either through iPhoto or Adobe Bridge for the Photos that I want to use.

  • Managing iphoto keywords

    I currently have two iphoto libraries (one was transferred from iview) with some overlap of pictures and some overlap of keywords. I'd like to combine them to one library, eliminate the duplication of photos, and keep all keywords from both libraries with elimation of duplicated keywords. I also want all the keywords to be searchable in spotlight and not just in iphoto. Im not sure this is possible.. and I'm considering using adobe bridge in place of iphoto.
    1. Is there an automated way to combine the libraries and eliminate duplications in photos and keywords?
    2. Is there a way to search iphoto keywords in spotlight (not just in iphoto). Would there be an advantage to use adobe bridge for this? If I use adobe bridge is there a way share the keywords?
    3. Are their 3rd party applications currently available that will help or should I keep my fingers crossed that a future version of photo7 will come out and help me manage keywords?

    Oh no,  You should be able to edit them there. It sounds like there may be some damage to the library. First try this:  make a temporary, backup copy (if you don't already have a backup copy) of the library and try the following:
    1 - delete the iPhoto preference file, com.apple.iPhoto.plist, that resides in your
         User/Home()/Library/ Preferences folder.
    2 - delete iPhoto's cache file, Cache.db, that is located in your
         User/Home()/Library/Caches/com.apple.iPhoto folder.

    3 - launch iPhoto and try again.
    NOTE: If you're moved your library from its default location in your Home/Pictures folder you will have to point iPhoto to its new location when you next open iPhoto by holding down the Option key when launching iPhoto.  You'll also have to reset the iPhoto's various preferences.
    If that doesn't help Try this:  launch iPhoto with the Option key held down and create a new, test library.  Import some photos and check to see if the same problem persists. If you can edit the keywords in the Info tray  as  expected then your current library is damaged.  Post back if that's the case. 
    If you can't edit them in the new library you may have to reinstall iPhoto. To do so you'll have to delete the current application and all files with "iPhoto" in the file name with either a .PKG or .BOM extension that reside in the HD/Library/Receipts folder and from the /var/db/receipts/  folder,

  • From iPhoto to Aperture and now back to iPhoto?

    Hi, all:
    About 15 months ago, I bought and dl'd a copy of Aperture from the App Store because it was so much cheaper than retail.  What I've realized, though, is that I bit off more than I can chew, in terms of features and learning curve, and I would like to move everything back to iPhoto.
    What's the best way to do this?

    Aperture and iPhoto are entirely different applications that work in very different ways.
    The only communication between the two is as follows:
    Aperture is able to parse the iPhoto Library to allow it to import the contents while stacking the Originals and Modified versions, preserving metadata and so forth.
    Aperture can share its Previews with the iLife apps, including iPhoto.
    That's it.
    So, specifically, what interaction there is between the two is designed to facilitate migration from iPhoto to the more powerful app. After that, iPhoto has exactly the same relationship to the Aperture Library as, say, Pages or iMovie.
    iPhoto has no knowledge of, and knows nothing of how the Aperture Library works. It cannot read the Aperture library. If you want to migrate back to iPhoto:
    1. Export all your Masters to the Finder
    2. Export all your Versions (if you choose to... but note the caveat below)
    You can write the metadata to the files on export - check out the Export presets. Note that you cannot export Faces. There is no convention for sharing Faces. The best you can do is use Faces as a basis for keywording.
    Import them from the Finder into iPhoto.
    And here's the caveat: Note that there is no way to associate the masters with the versions in iPhoto, so you'll have apparent duplicates if you choose to import the versions

  • Importing Aperture 3 library back into iPhoto 11

    I have 15,000 photos that I imported last summer from iPhoto into Aperture 3 last summer. I'm not happy with Aperture 3 -- it's way too slow on my machine and I want to move all of my library back to iPhoto. It looks like the migration is only set up in one direction. How can I move all of my photos back into iPhoto en masse and have events, places and faces work?

    In brief: you don't. Migration is only one way. You're exporting and importing.
    You will need to export from Aperture, choosing to export Originals or versions (or both - but remember they will be treated as individual pics in iPhoto, there is no way to connect them as Original/Modified pairs again). In the Aperture export dialogue you can write the metadata to the file - this will include keywords, captions, places etc, but it will not include faces. There is no way to share faces back to iPhoto. Period. You can use Faces as the basis for keywords but they'll need to be rescanned when back in iPhoto)
    To have them in Events, the easiest thing is to export from Aperture project by project to folders, then import the folders.
    Obviously, you'll lose any Albums. Slideshows, Books etc that you've done in Aperture.
    You don't mention the specs of your machine. It really would be easier to sort Aperture out...

    The ! turns up when iPhoto loses the connection between the thumbnail in the iPhoto Window and the file it represents.
    Option 1
    Back Up and try rebuild the library: hold down the command and option (or alt) keys while launching iPhoto. Use the resulting dialogue to rebuild. Choose to Rebuild iPhoto Library Database from automatic backup.
    If that fails:
    Option 2
    Download iPhoto Library Manager and use its rebuild function. This will create a new library based on data in the albumdata.xml file. Not everything will be brought over - no slideshows, books or calendars, for instance - but it should get all your albums and keywords back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one. .

  • Backing up iphoto

    I have an extra hard drive (external) and would like to clear out all the photos, or most of them, so I can delete them from my computer ( My laptop is running slowly so I'm hoping this might help) But where can I find the photos in a form that allows me to drag to the other hard drive?

    Hi, Mimi. I'm afraid the answer to your question is as straightforward as it seems: If you don't have enough room on your internal drive for your iPhoto Library, and it must reside on an external drive, then the only place to back it up (the whole thing, that is) is on another external hard drive.
    A better solution would be to buy a larger hard drive to replace your current internal drive. Then you could keep your primary library on that drive and back it up to your external drive, and just have two drives in play. If you wanted to, you could put your current internal drive into an external enclosure and use it as a spare backup, extra storage space, or whatever.
    You can't back an iPhoto Library up piecemeal — it has to be backed up as a single unit if you want it to retain your albums, film rolls, titles, keywords, comments, ratings, etc. You can, of course, back up individual photos or groups of photos on CDs, but you can't reassemble the pieces into a copy of the original iPhoto Library if you want to at a later date.

  • Can I revert back to iPhoto '09?

    I can't use iPhoto '11 and need to revert back to iPhoto '09... But I don't still have an iPhoto '09 version of my library...
    I use the 'Tell a friend' feature after uploading the gallery to mobileme, but in iPhoto '11 - my clients don't see the email.. most of my corporate clients just get 'blank' emails (the server actually strips the images but leaves 'white' text from the template on a white page!). I also don't like the fact you can only enter 3 or 4 lines of text in the email compared to the flexibility of iPhoto '09...
    My question is - Can I delete iPhoto '11 and reinstall iPhoto '09 from the install disc? I don't mind losing my iPhoto library as I use Lightroom and iView for my archive.. iPhoto is mainly just for getting images to clients conveniently...
    Is this possible yet? I've read lots of threads saying you'll need an '09 library... Can you not to a clean install of '09 over the top of '11?

    Have you tried sending the notification from the gallery online? Maybe that will go thru successfully.

    If you go back to iPhoto 09 you will have to start over with a new library and import the Masters folder and its contents from your current iPhoto 11 library. You will lose all of your keywords, titles, descriptions, albums, books, cards, calendars and slideshows.
    I'd give the regular email with stationary a try before going back to iPhoto 09 and losing all of my organizational efforts.

    Ever since the update last week, Spotlight is not indexing any new keywords that I've assigned to photos in iPhoto. I'm using iPhoto 7.1.4. I tried clearing the index using the Terminal command, "sudo mdutil -E /", and while it did rebuild the index, I can't use Spotlight to search any iPhoto keywords at all. Is there any way to fix this?

    I've always hated Leopard's approach to storing photos.
    This is not a Leopard approach, it's a iPhoto 08 approach.
    They make two copies of every file and then they tuck it away in a 'packaged directory' so you can only use iPhoto to access them.
    When you import a pic to iPhoto it copies the file, then it makes a tiny thumbnail. If you edit it performs the edits on a copy. Again, this is not a "Leopard Approach" or even an iPhoto 08 approach. Preserving the original is a feature of iPhoto since the beginning.

    But why would you want to "get around that". Don't change anything in the iPhoto Library Folder via the Finder or any other application. iPhoto depends on the structure as well as the contents of this folder. Moving things, renaming things or otherwise making changes will prevent iPhoto from working and could even cause you to damage or lose your photos. Anytime you access the Library via the Finder or any other app you risk damaging your Library.
    You know, iPhoto is your Photo Manager, just like your Address Book is your manager for addresses and iTunes for your Music. If you're using a Manager for anything then it makes sense to actually use it.

    No you don't.
    There are many, many ways to access your files in iPhoto, and iPhoto doesn't even have to be running:
    For 10.5 users: You can use any Open / Attach / Browse dialogue. On the left there's a Media heading, your pics can be accessed there. Apple-Click for selecting multiple pics.

    To upload to a site that does not have an iPhoto Export Plug-in the recommended way is to Select the Pic in the iPhoto Window and go File -> Export and export the pic to the desktop, then upload from there. After the upload you can trash the pic on the desktop. It's only a copy and your original is safe in iPhoto.
    This is also true for emailing with Web-based services. If you're using Gmail you can use iPhoto2GMail
    If you use Apple's Mail, Entourage, AOL or Eudora you can email from within iPhoto. With 10.5 you can access the Library from the New Message Window in Mail:

    If you use a Cocoa-based Browser such as Safari, you can drag the pics from the iPhoto Window to the Attach window in the browser.
    Or, if you want to access the files with iPhoto not running, then create a Media Browser using Automator (takes about 10 seconds) or use THIS
    Other options include:
    1. *Drag and Drop*: Drag a photo from the iPhoto Window to the desktop, there iPhoto will make a full-sized copy of the pic.
    2. *File -> Export*: Select the files in the iPhoto Window and go File -> Export. The dialogue will give you various options, including altering the format, naming the files and changing the size. Again, producing a copy.
    3. *Show File*: Right- (or Control-) Click on a pic and in the resulting dialogue choose 'Show File'. A Finder window will pop open with the file already selected.
    You can set Photoshop (or any image editor) as an external editor in iPhoto. (Preferences -> General -> Edit Photo: Choose from the Drop Down Menu.) This way, when you double click a pic to edit in iPhoto it will open automatically in Photoshop or your Image Editor, and when you save it it's sent back to iPhoto automatically. This is the only way that edits made in another application will be displayed in iPhoto.
    All of the above are a: faster and b: safer than rooting around in the folders of the iPhoto Library.

  • IPhoto Keywords - Disappearing?

    Has anyone's iPhoto Keywords disappeared? Mine just have and it's not cool! I think it happened after Security update v1.0. So what gives, yo? Do I now have to sort through my whole freaking library again?

    Did you repair disk permissions after running the update? The photo/keyword links are in the iPhoto.db file. You can make a copy of that file and open with a text editor and see what you find. A list of all keywords are kept in the AlbumData.xml file. If they are there but not being seen then you can try to rebuild the library. Make a backup of the iPhoto Library folder beforehand and then launch iPhoto with the CommandOption keys depressed and follow the instructions to rebuild the library. I would select only the option to rebuild the database. See if that will bring them back.

    Got new MacBook pro with OSX 10.6 and iPhoto '09 - nice setup BUT my desktop is a G5 PPC single processor 2.56Ghz running 10.5.8 and iPhoto '08 -- now my laptop iPhoto library is not available to my desktop where all my other iPhoto libraries are:
    Can I transfer iPhoto '09 library back to iPhoto '08 library somehow?
    Or is there a way I can install iPohot '08 on the MacBook Pro?
    Any way I can just update my PPC G5 to iPhoto '09 without having to buy and then trash Garageband, iWeb and iMovie which I do not use nor want?

    Look in your Applications folder for the iPhoto application. Drag it back into the Dock. If it's not there and you can't find it on your HD you'll need to reinstall it from the disk it came on.
    If you have iPhoto 8.1 on your HD try launching it with the Command+Option keys depressed so you can get the rebuild window with the options listed.

    Select the last three options and rebuild.
    If you can't get to that point in iPhoto rebuild the library with iPhoto Library Manager as follows:
    Using iPhoto Library Manager to Rebuild Your iPhoto Library
    1 -Download iPhoto Library Manager and launch.
    2 -Click on the Add Library button, navigate to your User/Pictures folder and select your iPhoto Library folder.
    3 - Now that the library is listed in the left hand pane of iPLM, click on your library and go to the File->Rebuild Library menu option
    4 - In the next window name the new library and select the location you want it to be placed.
    5 - Click on the Create button.
    Note: This creates a new library based on the LIbraryData.xml file in the library and will recover Events, Albums, keywords, titles and comments but not books, calendars or slideshows. The original library will be untouched for further attempts at fixing or in case the rebuilt library is not satisfactory.

    It depends on the size if the library. If it's small enough to fit on a DVD disk then just burn the iPhoto Library package to a DVD disk from the Finder.
    If it's too big to fit on a single disk and you want the disk(s) to be readable my an iPhoto library at some later date for reimporting back into iPhoto then select events and use the Photos->Burn Disk menu option. That will preserve your events and the keywords, comments and titles of the photos. Burning by Events will let you keep a chronological back up and know what photos need backing up.
    IMO, the best way to backup a library is to have an external FW HD and copy the entire library to it. Then use an application like Synk Standard or LaCie's free SilverKeeper to make daily, incremental backups to it. That way you always have a current backup in case of drive or library problems.

    TIP: For insurance against the iPhoto database corruption that many users have experienced I recommend making a backup copy of the Library6.iPhoto database file and keep it current. If problems crop up where iPhoto suddenly can't see any photos or thinks there are no photos in the library, replacing the working Library6.iPhoto file with the backup will often get the library back. By keeping it current I mean backup after each import and/or any serious editing or work on books, slideshows, calendars, cards, etc. That insures that if a problem pops up and you do need to replace the database file, you'll retain all those efforts. It doesn't take long to make the backup and it's good insurance.
    I've written an Automator workflow application (requires Tiger), iPhoto dB File Backup, that will copy the selected Library6.iPhoto file from your iPhoto Library folder to the Pictures folder, replacing any previous version of it. It's compatible with iPhoto 08 libraries. You can download it at Toad's Cellar. Be sure to read the Read Me pdf file.

  • Is there an easy way to import those misfortunate photos back into iphoto

    I moved my iphoto library to my external drive so that both my laptop and imac can use the synced photo library.
    ... but now my imac iphoto says I can not open my iphoto library, because is from a newer version of iphoto. And the application then closes.
    I figured out my newer laptop has a newer version of iphoto on it.
    Imac iphoto version is 6.0.6
    Laptop iphoto version s 7.1.5
    I Downloaded iPhoto Library Manager and use its rebuild function. This created a new library but says a lot of my pictures are lost. I can search and find them on my external drive and reimport, but there are a lot of them! Any suggestions?
    I'd rather use the 6.0.6 on my imac than pay for an upgrade.
    I just won't use my laptop's iphoto.
    BUT, how can I get my 6.0.6 working again with all of my pictures in tact? Or is there an easy way to import those misfortunate photos back into iphoto painlessly?
    Any other solutions??
    Will Snow Leopard have the newest iPhoto included?

    If you want to revert to iPhoto 6 then you have two choices:
    1. Restore from your back up
    or
    2. Create a new v6 Library and start over.
    To create and populate a new *iPhoto 6* library:
    Note this will give you a working library with the same Rolls and pictures as before, however, you will lose your albums, keywords, modified versions, books, calendars etc.
    Hold down the option (or alt) key key and launch iPhoto. From the resulting menu select 'Create Library'.
    Go into the Old iPhoto Library (Right Click on the Library Icon and choose ‘Show Package Contents) and find the Originals folder. From the Originals folder drag the individual Roll Folders to the iPhoto Window and it will recreate them in the new library.
    When you're sure all is well you can delete the old iPhoto Library.
    In the future, in addition to your usual back up routine, you might like to make a copy of the library6.iPhoto file whenever you have made changes to the library as protection against database corruption.
    “Snow Leopard” is an OS Upgrade. While we have no idea what will be included with it, on past experience, no, it will not include a new version of iPhoto.
