Backing up network shares

The school I work for uses a large number of Network Home Directories for Students. Our 350 students share approximately 150 MacBook Airs and iMacs, with each student using a network account to log in.  I've load-balanced the student accounts across 4 Mac Mini servers acting as file shares (with twin 256gb SSD) and 1 aging 2009 Xserve.  In years past, the student home directories were hosted on RAID volumes, providing data redundancy in case of a drive failure. With the Minis, however, this is not the case. Each mini has 2x256gb SSD drives: one drive is reserved for OS/Apps/Server Data and the second drive will be used exclusively to handle student home directories.
I have a fifth mac mini with a 4TB Pegasus Thunderbolt RAID 5 that I would like to use as a backup server for these Home Directories. I'd like to use some combination of rsync/automator/ical to schedule these backups to happen nightly (like, between 10:00pm and 5:00am).
I was thinking that:
BackUpMini would need to mount the network shares of each of the 5 file servers:
     /XServe5/Home Directories/students a-g
     /Mini1/Home Directories/students h-l
     /Mini2/Home Directories/students m-o
     /Mini3/Home Directories/students p-s
     /Mini4/Home Directories/students t-z
BackUpMini would have the RAID mounted with a volume called "Home Directories Backup" with unique directories
     students a-g
     students h-l
     students m-o
     students p-s
     students t-z
An rsync script would copy each source folder to its corresponding target volume on the RAID.
Does the logic seem sound?
If so, does anyone have any advice on what a script should look like to handle this all in one shot?

So a few thoughts that may help you down the right path.
First, if you are equally distributing your 350 students across the 5 servers as seen here:
     /XServe5/Home Directories/students a-g
     /Mini1/Home Directories/students h-l
     /Mini2/Home Directories/students m-o
     /Mini3/Home Directories/students p-s
     /Mini4/Home Directories/students t-z
We can assume a normalization of there being 70 home folders per server.  (Obviously, the number of students in the T-Z is likely less, but we will stick with the averages).  If this is the case, you might be running a real tight ship when considering that a 256 GB disk will provide an average of only 3.65 GB per student home folder.  Not knowing the age or the work content, this could be very tight and may result in some issues, especially if you are not redirecting cache and temp files.  Consider that each home folder, without user template modification is 8.3 MB before logging in.  Once logged in, the home folder can triple without launching a single app.
Again, you have the experience so I trust you ran the numbers.  I know however that I would be very concerned about a volume so small.
So now to your question.  Yes, rsync can do this very effectively.  The 3.1.1 release has been very good.  Add the creation times and extended attribute patches when you compile. 
And, assuming that you are looking to do a nightly sync, then your strategy makes sense.  Plus, you should not be concerned about bandwidth.  After all, the rsync will occur in the evening when no one is using the network.  The rsync should also push the data over ssh, not by mounting AFP/SMB shares.  Tunneled over ssh is faster, does not require the Finder to be active, and can easily be automated via cron or launchd.  Simply exchange your ssh key and your backup system will function fully automated. 
Also, if all of the machines are integrated into the same domain, you can even push all permissions.  If you opt to do this, rsync should connect as the root user (must edit sshd.conf) so that you can traverse all the folders, avoiding permissions lockout.  In theory, if you do this right, you will be able to move the backup volume to the failed mini, remap the net home mount, and pick up right where you left off.
And remember, the minis can be link aggregated to support more network bandwidth.  I remain a fan of the USB to 1000Base adaptors since it leaved the TB port open.  But Thunderbolt to 1000Base will work just as well.  Talk to your switch team to enable 802.3ad link aggregation on the switch and you can run the minis at 2000Base.  For the $40 cost of an adaptor, this extra speed is really a bonus.
Oh, one other tip about rsync.  I've gotten into the habit of wrapping my rsync script into a conditional.  What I learned (the hard way) is that rsync does what you tell it and does not question.  This can be devastating...  So I've been doing my rsyncs like this and I sleep better at night:

  • Are network shares backed up by TimeMachine?

    I know that when I have an external drive, it gets backed up with Time Machine. I wonder what happens with a mounted network share, will it also be backed up? I like having Time Machine atumatically backing up my external drives, but I don't want it to backup mounted network shares.
    If this behaviour matches what Time Machine does, could somebody confirm it? if not, could anybody please indicate how am I supposed to configure my Time Machine taking into account that laptops tend to roam and that the network share name can't be predicted.

    TimeMachine doesn't back up your Windows partition. (Hmm, I've not attempted to add a Windows partition to TimeMachine. I'll have to give that a try.)

  • Turning .ds_store writes back on for network shares

    I used this article: http://docs.info.apple.com/article.html?artnum=301711
    to turn off the writing of .ds_store files to network shares because they were very annoying on my Windows machine. However, it turns out they're more useful than annoying, especially since I access most of my files over a network to keep my MacBook HDD clean.
    I tried both
    defaults write com.apple.desktopservices DSDontWriteNetworkStores false
    and
    defaults delete com.apple.desktopservices DSDontWriteNetworkStores (found via Google)
    and restarted after each one. Neither of them did anything. Does anyone know how?

    This just stores the preferences of folder lay out and view I believe. The problem is they have to have write permissions to those shares for those files to work or the Mac user will get access denied on a share.
    The .DS_Store files are created by the Finder during its normal course of operation but they are invisible by default. The Finder will automatically put a .DS_Store file into every folder you have opened. These files are used to save the positions of icons, the size of the respective Finder window, the window's background, and many more view options.

  • Multiple Users Mounting the Same Network Share?

    Hello, first time posting...
    I'll cut right to my main question: Is it possible, on OS X v10.3.9, for multiple users to simultaneously connect to the same network share?
    Here in my office, we have a single Mac that is used by multiple people throughout the day. It has two accounts on it, 'Communications' and 'Studio'. 'Communications' is an Admin account that is used by a co-worker who spends the most time on the Mac. He created the no-limitation 'Studio' account for the rest of us to use.
    There is a certain Windows network share that we both frequently use. We've found that if one user connects to the share first, the other user will not have access to it; using 'Go -> Connect to Server' will result in the share being greyed out in the list, and the share will not show up in the Finder.
    However, there is one way around it. If Studio connects to the share first and then Communications (the admin account) attempts to make a connection of it's own *through a shortcut on the dock*, then a 'clone' of the share will be created on Comm's desktop, with a "-1" after the name (though it might be some other number).
    This may sound like I've answered my own question, but what I'm looking for is a way for the non-Admin account to access the share after the Admin account already has (so that we don't have to log-in and disconnect Communications everytime Studio needs to manage files on the share).
    We have Thursby Software's DAVE installed on the Mac, but I'm not sure how it fits into all this.
    Any thoughts, suggestions or advice?

    Bizarre. It turned out I could merge them, but only in to the mapped drive - L: - and only by explicitly clicking on the drive icon - if I typed L:\series in to dialog box it converted it back to \\nas\share\series... Not helpful.

  • Excel 2013 hangs while trying to open a file from network share

    Hi,
    I am having issue opening excel file from a network share. it happens randomly, the file opens and hangs abruptly. Nothing happens after that ( we can only move the cursor), if we click on the excel sheet we get a beep sound. after i kill the excel process
    and open it again ,it works fine.
    Where did the member use the Excel file? Local disk, SharePoint, File server, or network shared disk?
           Network shared file and sometime locally
    Does the issue occur in the special file or every file?
          it happens randomly and the whole excel freezes. i have to kill the excel session.
    Which Office version is the file created? Excel 2013 or early? If it is XLS format, please try to convert to XLSX to test.

      Does the file have some macros?
     Yes, they have macros in some files 
    Does the issue occur recently? If it is, have you installed some programs or update before you encountered it?

    Since your first image showed that "To see if more information about the problem is available, check the problem history in the Action Center control panel." Please go to this path (Control Panel\All Control Panel Items\Action Center\Problem Reports)
    to check the detailed information, and you might upload the screenshot or info here.
    Then, please try the following methods and check if they are helpful:
    1. File --> Options --> Advanced --> uncheck "Ignore other applications that use Dynamic Data Exchange (DDE)"
    2. Turn off "Protected View"  --> (File –-> Options –-> Trust Center --> Protected View --> Uncheck all options

  • How to get "fast user switching" and network shares playing nice

    I've been alternating between banging my head against a wall and reading every forum I could find to try and get a reasonable compromise between using "Fast user switching" and sharing a folder from a file server.  It baffles me how the network share/mount model of OSX/AFP is completely killed by fast-user-switching; this is a big problem with Apple requiring users to be actively logged in to share music/video from iTunes which therefore essentially requires fast-user-switching if anyone else wants to use the computer.  (anyone find it odd that you can share files without being logged in, but sharing songs requires an active login for each user who is sharing?  Apple: time to make iTunes sharing a service!)
    For the sake of example, lets just say I want to share my /Groups folder from my desktop and have it be accessible to my laptop.  Here are all the things that I tried:
    Apple Method 1) Share /Groups in the Server.app on the desktop (running Lion Server), use finder on the laptop and drag the share icon to "Login Items", alternative use a startup Apple script using "mount volume"  Both of the options work and will mount the /Groups folder under /Volumes/Groups, of course when the second person logs in via fast-user-switching (and occasionally the first person for no apparent reason), they will get /Volumes/Groups-1 since /Volumes/Groups is already taken.  Tomorrow we log in a different order and now the previously /Volumes/Groups-1 user has their mount at /Volumes/Group and vice versa.  Any links, aliases, finder sidebar references, and application settings which pointed to yesterday's location are now BROKEN.  Not very user friendly to my mother-in-law who is trying to find those pictures of the kids and doesn't know anything about mount points. I also can't reasonably mirror the file location structure on the desktop so that application preferences that are synced between the two (portable home directories) work.   fail.
    Apple Method 2) Use automounter and set up by hand direct maps for /Groups or an indirect maps for the children of /Groups.  Now it will automatically get mounted to /network/servers/SERVER/Groups/ on the laptop and on the desktop it will automatically create a similar symlink structure so that the same path (/network/servers/SERVER/Groups) work both on desktop and laptop.  Cool.  Except when the second person logs in, the /network/servers/SERVER/Groups/ mountpoint is already owned by the first user and they don't have any permissions to access it.  Fail.
    Apple Method 3) Use mount_afs and specify directly the mount-points.  Have each user have their own startup AppleScript which mounts /Groups to a different location (e.g. /Users/Shared/username/Groups) that way they don't conflict with multiple users.  On the desktop, set up symlinks from /Users/Shared/username/Group to /Groups so that it will be the same as the client and applications settings will work when synchronized back/forth by portable-home-directories.  Will it work, yes it does, but what a bear to maintain.  Is this really what I should expect to do just to have multiple users on my desktop and laptop (which again is essentially required now if I want to do any type of iTunes sharing).  This can't be what apple expects.
    What I ended up doing - the "not quite apple" solution.
    Non-Apple Method 4) After a read of "Autofs: Automatically Mounting Network File Shares in Mac OS X" (http://images.apple.com/business/docs/Autofs.pdf) at the very end there is a single paragraph  of "Kerberized NFS": "A Kerberized NFS mount can have multiple connections from multiple users, each using the correct user’s credentials for each transaction. This allows administrators to support multiple users, each authenticated with their own credentials to the same mount point. This is very different from AFP and SMB mounts," (emphasis mine)
    It appears that by using good 'ole NFS (abeint with Kerberos for security!) you can actually have multiple users on the same mount point.  Roughly following the guidance at https://support.apple.com/kb/TA24986?viewlocale=en_US.  What I needed to do was:
    1) create /etc/exports on my desktop and add a single line "/Groups -sec=krb5".  The existence of /etc/exports triggered a start of nfsd which no longer has any GUI options in Lion.
    2) Add a line to /etc/auto_master on my laptop "/-  auto_mymounts" to reference a new direct map.
    3) Create /etc/auto_mymounts and add a single line "/Groups         SERVER:/Groups" to create the direct map.
    THAT'S IT.  Three lines in three files.
    Now when I log into my laptop, there is a /Groups that is a network mount of my desktop's /Groups, same location AND it works for all of my users, even simultaneously. 
    In the end I'm happy with what I've got, but man was this a difficult path just to support fast-user-switching.  In Lion, Apple appears to be getting away from NFS (no longer turned on by default and remove from the GUI controls) but clearly this really useful functionality which doesn't exist in AFP. 
    I'm really curious, after all this work.  Any other ways to accomplish this?

    In my example above, yes I chose to mount the share "Groups" to the top of the root since that is where I put it on my server and I wanted to keep them similar; but that was just my preference, it isn't a requirement.  You can export and mount from other directories.

  • How do I merge multiple instances of the same network share?

    In my (large) Lightroom 5.2 (Windows) library I have three instances of, essentially, the same network share (a Drobo NAS) which appear separately in the library.
    One appears as Share (\\nas) L:, one as \\nas\Share and one as \\nas\share. The contents of the share are spread randomly across the three - so one might contain the folders series\event1, series\event4 and series\event5 and another series\event2, series\event3 and series\event6.
    Is there an easy way to convince Lightroom that they're all the same physical location and merge them in the library? No amount of dragging, dropping, importing or synchronization seems to have had any effect so far!

  • Office 365 x64 Click-to-Run Not Automatically Updating from Network Share

    We are piloting Office 365 x64 and pointing the clients to a network share (see config file below) for updates.  When we subsequently download the updates to the share the clients will not automatically install them.  If we manually do so from
    within an app (File > Account > Update Options > Update Now) it works fine.  The ACL and Sharing permissions allow Everyone and Domain Computers read-only access (in addition to some other ancillary accounts).  I've tried manually running
    the Office Automatic Updates from Task Scheduler and left the box running overnight.  I've rebooted, logged back on, closed and opened the app several times.  Nothing happens, just always sits at the current version.
      Anyone have any ideas?

    It seems when the install finished it added an extra Office\Data to the path. My path should be \\hsbswpush02\GPsoftware\o365\Office\Data\15.0.4551.1005
    but it shows
    \\hsbswpush02\GPsoftware\o365\Office\Data\Office\Data15.0.4551.1005
    If I edit the path and delete the extra Office\Data Office 365 ProPlus updates from my network location. I cannot figure out why it is adding the extra Office\Data to the path.
    My config file looks like this:

    have you tried omitting the \Office\Data element, from the Updates element ?

  • Is it possible to prevent the OS from dropping and deleting a network share shortcut?

    One thing that has always bugged me about Mac OS is that when a network share becomes unresponsive or unavailable the shortcut on the desktop disappears and you get a glaring messaging that the share has been disconnected.
    Is there any way to prevent a network share from being removed just because it becomes momentarily unavailable?
    As an example, on a Windows machine the network share shortcut remains, you simply cannot use it but it is there and ready to go the moment the share comes back online. Is there some way to make OS X behave in this manner? Or is there a way to extend the time out interval for a network share?

  • Office files slow when opening from a Network Share

    Hi!
    So, we have a client who moved from having regular Office installations to Office 365 for Mid Size business and reinstalled the Office that comes along with Office 365. Ever since we did
    that, there is a delay in opening any office files from a network share. Opening up a Word or Excel document takes up a lot longer than it did before. We have another client with the exact same issue who have Office 2013, so I think its mostly something to
    do with office 2013. This problem has been going on for a month, and I have tried everything I can. I have gone through most posts on technet and the internets. Tried disabling AV, Office File Validation, added the network share to trusted locations, removed
    add-ins. Nothing works! All other files opens up quickly, pdf, jpg. We can open larger jpg or pdf files faster than smaller office documents. This is a significant problem with our clients as they work in recruitment and open up resumes all day from the network
    share and it takes forever to open. 
    Any advice or help is appreciated!

  • Unable to mount a network share drive in mac os 10.7 when logged in as root

    I enabled the root account by entering sudo passwd root in the terminal window. Once the account was enabled successfully, I logged out from my admin account and logged in as root. I then attempted to mount a network share running on an Xserve and a Windows share but was unable to. I logged out as root and logged back in using my admin account and I was then able to mount both shares successfully.
    Is there a new Lion security feature that prevents the root account from mounting network shares? If so how can I get around it?

    I had the same problem. While logged in as root, I can't use an alias or Cmd+K to connect to a server, but it works fine as any other user. I tried the link above and after reading the mount_afp man page, it describes two steps needed to mount a server. Here's what I had to put in Terminal to mount a share called Installers:
    The root account does not seem to be getting past the first step when using Cmd+K or an alias to a network share, although this worked in previous versions of OSX.
    This problem was not fixed in 10.7.1

  • Network shares in Windows 7: What am I doing wrong?

    I bought the extreme 6th gen and it's working rather well however I'm running into issues trying to map network share in windows.
    I have a Seagate Slim 500gb bus powered external drive hooked up to the USB port on the back of extreme. There are 2 partitions both formatted for hfs, one for time machine and one for copying files.
    While in mountain lion, the share works fine. I've run time machine several times and it seems all is good. However under windows it's a different story. I will map a share, I.e. \\devicename\partitionname and then it will prompt for login details. I have a device password setup, so it's the name I gave the APE and the password. However I will almost always get an error saying that "x: refers to a location that is no longer available" error.
    However, if I update the APE then the network share operates fine after it restarts. Also, if I unplug the drive then plug it back in after getting the error that seems to fix it as well,
    Under osx there are no issues, so I don't know why this is happening under windows only, either my desktop or laptop. Login and workgroup credentials are correct.
    So is this a drive issue? Does the APE not like bus powered USB drives? Perhaps my Seagate slim is going to sleep and won't wake up unless I restart the APE. Can this be confirmed because I'm having a heck of time looking up this issue anywhere else, but surely I can be the only one running into this. Thanks.

    I am not sure what the last post means..
    If the drive sleeps and cannot be woken up by the request for files, it is unsuitable.
    Replace with another drive. .not a self powered one.
    Or you can try a powered hub  to unload the power problem from the AE.. they have never been great with USB drives that are self powered. Although the gen6 should have more than adequate power available.

  • Export-VM to a network share permission problems

    I am just getting into scripting backups of Hyper-V VMs using Powershell. I have using 2008 R for the Hyper-V host and 2008 R2 for the server with the network share. I am using Powershell Management Library. I have been able to export the VMs up to the local
    VM host. However, I have not been successful in exporting  to a network share. I get the stock message:
    "Failed to create export directory with error 'General access denied error'(0x80070005): MyVMtoExport (98504EFC-2B8A-43A8-A14D-999B78CFB736)
    Failed to create export directory."
    I have read about and applied NTFS and share permissions on the folder on the network share. I have given full control to my domain account, the domain Admin account, as well as the machine account of the Hyper-V host.
    I have been able to (as the same user), xcopy files from the Hyper-V host to the share. I have also been able to export the VM from Hyper-V manager to the share.
    I have gone back an forth checking permissions, but can't seem to export the VM as myself or as the Hyper-V host machine account.

    I assume that the logged user can manager hyper-v and it has proper share/ntfs permission on share folder (also the computer account ).
    Please run powershell.exe directly on hyper-v host do not "run as administrator" then export the VM   .

  • Why is a network share not showing up in time machine settings when on the wifi?

    Hi all,
    I am currently trying to set up time machine for my Macbook air. I have connected an external harddrive to the network router and made it available as a network share. I have both read and write access to the drive, when mounted as a an SMB volume and while connect to the network via Wifi. However, when opening time machine settings and trying to select the backup volume, the network drive doesn't show up.
    What's wrong?

    Time Machine cannot backup to a SMB network volume.
    Time Machine may also have problems backing up to AFP volumes on some network attached storage devices (NAS).
