BAdI Workflows: Items rejection - problem in workflow

Hi SRM Freaks,
I'm currently working with SRM_SERVER 500(SAPKIBKS09) release, and we've implemented the SHC Approval(BADI) workflow (WS14000133). After a few SNotes installation the worklflow is quite stable, but we have some problems with rejected items which can not be rework by requester.
(for example 1SHC with 3 items -- 2 items approved and 1 items rejected).
Do you have an idea why the rejected item can not be canhged !?

Problem in displaying workflow Items in UWL

Hi all,
I am facing the following problems in displaying the workflow Items in UWL
I am able to see the work flow items in SAP inbox but not in UWL.
The following are my issues and questions
1. what is the type of system to be created in portal.
BI JDBC System
BI ODBO-Compliant OLAP System
KM Windows System
Portal Tenant System
SAP system using connection string
SAP system using dedicated application server
SAP system with load balancing
Web Service System using WSDL URL
2. what is the configuration need to be done in Universal Worklist & Workflow
3. Any other configurations need to be done in WAS server and SAP server.
Please anyone give me the solutions and it is urgent.

Hi,
1. What is the type of system to be created in portal ?
This depends on what type of a system are you trying to connect to. If it's an ECC system or R3 system, you may use SAP system using dedicated application server. Give an alias to it and check the permissions of that system.
2. What is the configuration need to be done in Universal Worklist & Workflow ?
You have register this system now. Go to System Administration -> System Configuration -> Universal Worklist Administration -> UWL Configuration -> Chose New -> Enter the Name, System Alias and select WebFlowConnector.
In the System Administration -> System Configuration -> Universal Worklist Administration -> Registration for all types of Universal Worklist WebFlow, register item types by clicking "Register Item types for all systems". Alternatively, you can also click on "Register items types for new systems".
3. Any other configurations need to be done in WAS server and SAP server ?
The portal user should have corresponding user on the ECC or R3 system or whichever backend system you are trying to connect to. This user should be authorized to have RFC access to function group SWK1 and transaction SWK1.

Workflow item update status problem

Hi,
we are having 2 level approval process (SRM 5.0 classic scenario). we are having below mentioned problem.
User creates a SC and it goes for approval.once he approves the SC.system shows the node id state as COMPLETED in bbp_pd but the workflow item status will be STARTED and status text will be IN Process.
could any one suggest me how to overcome this problem.do i need to execute any reports or any config is missing?

i have checked the way you have sugggested.
1) before approval the status is STARTED and status text as IN Process and node id status is READY
2) After approval the status is STARTED and status text is IN PROCESS and node id status is COMPLETED
workitem id remains same. approver is not changing anything he is just clicking on approve button.i am not able to see any information in RZ20. i tried to update the cart status through program BBP_ALERT_SB_NOTTRANSFERED but i found no changes in RZ20
any suggestions please

How to configure portal inbox workflow item?

Dear All,
I have a problem with my portal inbox. My workflow item in my development portal inbox is displaying differently from the production environment.
For example when the MSS user click on leave approval item in his inbox to approve a leave, my development portal is displaying the approval screen in a better view but the production is just displaying the backend sap inbox screen.
Anyone knows where I can configure this and is there any documentation for it. I suppose this is a UWL configuration right?

Hi Brian, that is the backend.. Transactions WFVISU seems to have some changes, what iview to display. This info is received when you register a system in the UWL Admin Console....
You could download the Config XML from Dev and import it to QA with a different name and higher prio and see if seomthing changes...

Workitem Lock problem in workflow for leave request

Hi Experts,
I am facing the strange problem in the workflow of the leave request.
We have implemented the two level approval for workflow. For the first level approval we have created custom WebDynpro application where approver approves the request and selects 2nd approver for the workflow. Here we are calling method initiate_state_transition of class/interface if_pt_req_request to change the status of workflow from sent to approved in custom WebDynpro application .
For the second level approval we are using standard approval application.
When 1st approver approves the request, workflow moves to next task, but this task gives error "Work item 000000605682 locked by user SD21690 (enqueue error)".
I am not getting why this is happening?

Hi
As you have developed a custom application for first level approver where the status of record is being changed from sent to approved.
please check what is the workitem number that is initiated. If its 605682 and the first approver is SD21690 then please make sure you release that workitem in your webdynpro application.
You must have customized the workflow to add the first approver step. Where you would be mentioning the name of the custom application in SWFVISU against your custom task.
The problem is with the workflow so please check the workflow. Your first approer is not releasing the workitem post approval and that is the reason for lock.
Vivek - this lock is not enque lock its a workitem lock.
Please revert with further questions if required.

SC in Awating Approval satus but No workflow item found

Hi Experts.
We are using SRM 5.0 and have found this strange problem where a SC is awaiting approval status but there is no workflow item generated when we check for the sc in bbp_pd.
We tried to check in swi1 for workflow item id for that particular but are not able to see this SC.
What could be the reason where the workflow is not started since in our case once the sc is created workflow gets started automtically in this case that has not happend.
we ran the clean_req_req_up job and bbp_get_status_2 for this sc but no help

Thanks for your response As suggested we did check for the SC in SWI6 but we get a messge " there are No workflows that have already worked with this object type"
Since our SC have approvals in line will restart of workflow trigger the approval or will t get auto=approved,since in a few cases when we retriggered the workflow teh approvals were never called and the SC were auto-approved.
There are more than 10sc which have stuck in thsi kind of situtation
we also had a SP patch upgradtion,cld this have been caused because of SP upgradation?

AD-hoc approver n step item level shopping cart workflow

We are on latest version of SRM and using n step item level SC approval workflow.
The scenario goes like this:
-     Requester creates shopping cart and workflow goes for two step approval.
-     In the approval preview the requester is able to see both levels of approvers, which is correct.
-     Requester now selects second level approver and replaces him with a ad-hoc approver. WE DO NOT WANT THIS. Requester should NOT be able to replace an approver determined by approval badi. However should be able to extend approval step with ad-hoc approver say third level approver a ad-hoc approver. Also he should be able to change AD-HOC approvers ONLY.

You may be able to achieve it in the BADI BBP_WFL_SECUR_BADI .
You can use the Business Add-In (BAdI) BBP_WFL_SECUR_BADI to determine whether
A shopping cart can be changed during the approval process
The approval workflow restarts when changes are made to the document
A reviewer/approver can be added or changedThese are the call scenarios (see import parameter SCENARIO).

N level workflow. item level approval

Hello,
How does item level approval work in N level workflow ?
1) Suppose the shopping cart has 3 items then does the workflow proceed only after all the three approvers approve their items ?
2) Does the approval workitem stay in the approvers inbox will the time all are approved ? and if yes does the approved workitem appears differently ?
3) Does the approver see only his item or all other items too? if he does then are the other items greyed out?
4) What happens if or more of the approvers changes the contents of the item or rejects the item? Does the entire shopping cart again goes to the requestor and what happens to the other approver workitems ?
5) Is it possible to have shopping cart level approval workflows as well for N level workflow ?
Where can I find this information in sap help?

Workflow Item not created while processing draft PO from SOCO

Dear SAP SRM Experts,
In SRM 7.0, I've a scenario where I create a PO draft in sourcing.
In the 3step of the GAF, I've the option to
1. Edit the PO and order it.
2. Directly process the PO draft to create a PO..
While in case one the WF item is created with status awaiting approval, in the second case (when I directly process the draft) the workflow item is not created but the status is still 'Awaiting Approval' !!.
Use of PC workflow is done and the PO is not auto approved.
Any pointer regarding this would be very helpful.
The call stack is way different between the first step and second.
My understanding is if there is some error in the follow on PO, the work item would not be created. But the SC in soco is similar and while in first case it does create the workitem in second case it doesn't.
When does the decision to create workflow item is decided in second case?

Thanks for your inputs.
The problem has been identified. The error is because the vendors are deleted completly from the system. And those were earlier used in shopping cart as preffered vendor. Thats why the system is throwing the error message.
As we can not process this SC further we want to delete this SC (line item). But again while deleting the SC the system is throwing the error message . "Business partner xxxxxxxxxxxxxxxxxxxxxxxx not found." Thus its not allowing us to delete the SC.
Do you have any ideas how we can delete the SC line items, or SC ? Any FM ?

if you dont want some to create the PO with reference of the SC then your buyer can reject the item from SOCO.. then SC will not be in SOCO to create a PO..then you can refer the same SC to create the NEW SC..

Workflow item processed but not removing the billing block from item

My credit memo has 310 items with billing block at header level and item level itself. We are removing billing block through workflow.
The problem i am facing is work item is processed by the user but billing block is not removed from the document at item level.

When I am trying to forward workflow item using SWIA , I am getting the message like " WS is not a valid object type for a task".
It's in statuts "STARTED" and AGENT is "SAP WORKFLOW".
How can I forward this item to user as workflow administrator.

Please follow the below steps........
1. If you have the workflow instance number
Oepn table SWWWIHEAD through tcode se11/se12/se16
Enter the instance number in field TOP_WI_ID and execute.
You will find there are multiple woritem there.
Get the workitem whrere WI_TYPE is 'W'.
That is the dialog workitem of that workflow. ( There may be the multiple dialog workitem as per the workflow design )
Now forward the dialog workitem through SWIA
2. If you hav woritem number which is not wokflow instance number
Open table SWWWIHEAD through tcode se11/se12/se16
Enter the instance number in field WI_ID and execute.
You will get the worklow instance number in field TOP_WI_ID.
Now get the top wokitem id adn open table SWWWIHEAD through tcode se11/se12/se16
Enter the instance number in field TOP_WI_ID and execute.

Workflow - resubmit rejected content thru DIS

I have a problem with a workflow. The problem occurs when a contributor is working with content that was previously rejected in a workflow through the DIS. They make the changes recommended by the reviewer and check it back in, but the content is not moving on to the next workflow step. The manual says that they should be able to set a flag named Revision Finished Editing, but it is not appearing in the metadata field screen when I do a "Checkin with metadata". Note that I can see this field if I do the checkin through the web client, just not in the DIS.
Is this a bug, or do I have to do something to get this check box to appear?

There is actually one thing you could try (which would alleviate your training issue a little bit): you might have noticed that the appearance of the "Workflow" line is a feature of DOC_INFO. You could try to modify the output of this service (this will be an idocScript customization- I assume quite a simple one) to expose not only the name of the workflow, but also APPROVE (and REJECT, if you will) workflow actions. Then you should verify whether this change affects also DIS.
This would save your users two mouse-clicks.

Xserver problem with workflow

Before everything was fine, last Friday we had to reboot our db-tier (database on cm running on it) box.
We got this error,
On entering Oracle Applications Manager (OAM) to check on the status of workflow components (Workflow Manager, "Go" button), under Workflow Metrics, both Work Items and Agent Activity displayed the message
"BIB-7000 Cannot access X Server"
We use VNC. And 11i.
Based on the metalink Note:351839.1., it says it might be due to the DISPLAY configuration..
In the jserv.properties, it looks like

The wrapper.env DISPLAY variable is looking for the Xserver on dbhost:0.0 while your VNC server is running on dbhost:1.0 and dbhost:2:0 and dbhost:3.0.
You may want to check what your $APPL_TOP/admin/[ENV].xml file has the display set to. Autoconfig/cloning has been known to reset the display variable to port 0.0.
Whatever the xml file and the jserv.properties are set to (the concurrent manager script also has an entry in it for DISPLAY), you will probably have to change it to a Valid port (ie. 1.0, 2.0 or 3.0). You may also have to execute the following commands 'DISPLAY=dbhost:1.0;export DISPLAY;xhost +'.
There is a metalink note on setting up the XServer for eBusiness but I can't remember the number.
