Best way to share catalog for picking photos?

Hi Folks,
I have photos from a couple field campaigns, and my PR department here is interested in using some of them.  My question: what's the best way to share some sort of catalog with them so they can pick the photos they want?  I could export all my photos in small format, then they could send me the filenames I guess, and then they would create a list of filenames, and I would search for and export those ones.  Is there a better way?

You don't need to install Picasa.
You can do a number of things:
Upload them to any of a number of sites - flickr, Picasa (the site, not the app), SmugMug etc from within iPhoto
You zip them and send them via services like YouSendit
You can use DropBox
You can burn them to CD and send that: export them from iPhoto to a folder on the Desktop: burn that with the Finder.

    Right now, both of our MacBook Pro's use iPhoto to access those photos independently of one another (each laptop does their own thing). This also creates problems because when files are imported on my laptop they are saved locally (on my laptop) and not on the network drive, same goes for my wife's laptop. Then she's not able to see those new photos.
    *Part II - sharing:*
    I'm also in the process of trying to figure out the best way to share all of our photos between our different laptops. Using the "sharing" function in iPhoto isn't ideal since that requires both laptops to be on.
    My understanding of sharing the iPhoto library itself (having it saved on the networked drive) between two laptops is that only one laptop can access this library at a time, or there's potential of having the files become corrupt (two laptops trying to access the file at the same time).
    Question: What's the best way to share photos between two laptops?

    Yes there is. But I don't recommend it as a way of working with iPhoto.
    Simply go to iPhoto Menu -> Preferences -> Advanced and uncheck 'Copy Files to the iPhoto Library on Import'.
    Now iPhoto will not copy the files, but rather simply reference them on your HD. To do this it will create an alias in the Originals Folder that points to your file. It will still create a thumbnail and, if you modify the pics, a Modified version within the iPhoto Library Folder.
    However, you need to be aware of a number of potential pitfalls using this system.
    1. Import and deleting pics are more complex procedures
    2. You cannot move or rename the files on your system or iPhoto will lose track of them on systems prior to 10.5 and iPhoto 08. Even with the later versions issues can still arise if you move the referenced files to new volumes or between volumes.
    3. Most importantly, migrating to a new disk or computer can be much more complex.
    The problems arise when you change the path to the Files. iPhoto has no way of reconnecting that path and you could find yourself resolving aliases one at a time for all 34k Photos.
    Other apps, such as Aperture have a command to re-connect with the master files.
    FYI, I am familiar with how to get to the "original" and "modified" folders/files within the iPhoto Library.
    Good for you but never, ever access the files this way. Period. Within the iPhoto Package File there are no user sercviceable parts.
    All your work gets done in the iPhoto Window. Everything you need to do can be done from there - and must be.
    Then manually move the file structure (all new folders created - by date) back to my networked drive
    Never, ever break up the internals of the iPhoto Package File. You'll break iPhoto if you do.
    Also, what format is that Networked Drive? iPhoto needs to have the Library sitting on disk formatted Mac OS Extended (Journaled). Users with the Library sitting on disks otherwise formatted regularly report issues including, but not limited to, importing, saving edits and sharing the photos.
    Question: What's the best way to share photos between two laptops?
    If simultaneous sharing is your goal then you need to use a Media Server app. iPhoto isn't one.
    The key really is the format of the NAS. IF you can make it Mac OS Extended (Journaled) then you can easily store your Library on it and share it. Otherwise you need to use another application for the job.

    I don't know. Part of the issue has to be that iPhoto is not a HD browser. Another part is what you mean by " ... just pull the images".

    No need. Web galleries are built into Aperture 3. Put the images you want to be in the gallery in one Album (Smart or otherwise). Select all the images. Click "New→Web Page". Select a theme. Change some of the text. Make some other changes. Click "Export Web Pages ... ". Make some more decisions. Give the folder a name. Save it somewhere with access to those whom you wish to see it. Select "Tell me when done". Check your email (have a coffee). Click "Show in Finder". Open the folder. Double-click the file "index.html". Brilliant! Enjoy.
    The trick to sharing this is to make the folder available. The index file will always open the web site pages in a web browser.

    Currently I have a common itunes library in a shared folder that each user is linked to.  The problem is that when one user adds music to the shared file, it does not automaticaly appear to other users when they open their iTunes.  They have to go to the shared library and select the new music in order to make it visable in their iTunes.

    We can't see what your exact situation is. We sort of know what's worked for us out here. Just trying to help you get this going in less than 24 hours!
    Sharepoints manages the samba configuration file. It's free software that puts a pretty face on an otherwise cumbersome config file.

    As I stated. You will not get prompted on windows, if you have set up sharing in an insecure fashion. You are not using a secured sharing situation.

    All of our music (about 15,600 songs / 81 GB) is currently on my MacBook Pro.

    We would like to be able to download separate podcasts to our respective computers.

    At that time, we'd also like to have separate apps (i.e. not all the same apps on each others phones).
    So my questions are:
    Is iTunes Match the solution?
    If so, do we share an Apple ID for music... but have separate Apple IDs for everything else (apps, reminder, etc.)? Is that possible?
    In short, what's the best way to share music across multiple devices, while still keeping the devices autonomous in other ways? Thanks for your help!

    First, read this thread: FAQ:  Why iTunes Match can NOT be used as a backup!
    If you each want your own, personal content on your future iPhones this can be done with one iTunes Store account ID, however keep in mind that you will both be using one account. If you wish to use iTunes Match this is also possible but you may not have multiple iTunes Store accounts. You both must share the same account. You would both be able to subscribe to your own Podcasts. 
    For sharing the music locally I recommend Home Sharing, not iTunes Match. And have a backup scheme for the personal data on both notebooks. If you do not have a backup scheme in place now, I suggest you purchase a 2 TB Time Capsule to backup both computers.

    I have successfully installed VMware server on my machine and set up a virtual machine, powering Windows XP for study issues (emulation via wine does not do the trick for me). The virtual machine runs fast and stable but does not meet my requirements unless I have two issues faced:

    How to access a USB pendrive monunted by the host system properly within the client?
    Second:
    What is the best way to share file system space between host and client? Should I set up a Samba share which is accessible for both host and client or is it save to grant my VM access to my physical hard disc as a whole (using it as a partition)?

    Do not setup your VMware to be able to access your physical disk as a whole. This would have you mounting the filesystem twice, corrupting it in the process.
    You /can/ setup VMware with Sharing Folders that lets you share your filesystem (either / or just /home or something else) and that is what I would recommend.
    As for accessing the pen drive from both operating systems at once, I'd say use the same Sharing Folders method. I always share /mnt so that I can access my cdrom/USB/etc from the vmware OS.
    The sharing folders is basically the same as a samba share, but uses vmware's own method (HGFS). Samba is more secure (if you are worried about your VMware OS breaking from it's shell and attacking your real filesystem, which is unlikely). You need the vmware tools installed to make use of it.

    I've created a brush and symbol library for a team of people to use.  I'm wondering what the best way to share this library is. 
    I'm not sure if the Document Profile is good, because then I would have to update the document profile and then copy it to each person's machine in order for them to always have the latest library, which doesn't seem like it will be easy to keep everyone updated with the latest file.
    I was also thinking of using a template, but I think that will have the same problem.  Additionally, I prefer not to have all the brushes and symbols embedded in every file so performance isn't impacted.
    Preferably I would like to store the file on a server, and have it open by default when Illustrator is opened, so everyone always gets the latest version when they open Illustrator.  Is there a way do this?

    Plus, these are commercial videos, and I don't think they allow that.  Of course, if they're private, I'm obviously not trying to sell anything.  But I have to think that it somehow is against their TOS since me posting a bunch of private videos that nobody can see really doesn't do them any good at all.

    I know that FCPX contains all sorts of share options which create different resolutions and file sizes appropriate for different sites like YouTube, Facebook, and others.  But how to create the videos really isn't the problem.
    I want to know how to share them.  I'm creating videos that are ultimately to be viewed on the internet.  When I have a completed video, I want to show it to the person who it is for before I finalize it.  I know that if it very small, I could email it.  And if it's larger, I could use something like Dropbox.  But I don't necessarily want them to have a copy of it (though I could do that and put a watermark on it).
    I'd like to upload it to a site like YouTube or Vimeo, but those sites seem to be about sharing videos with a wide audience.  I know you can make a video private on YouTube, but, from what I've read, they permanently have the right to use the content, which I definitely don't want.
    So what's the best way to do this?  I'm going to have to do it regularly, so I'm willing to pay for a service if it assures privacy and does not try to assert some right to my content.
    I know there is an issue to be considered with people screen capturing content, but I'll use a watermark to lessen the chances of that.

    So, my husband just got an iPhone. I will get one soon, but not for a few months. I have a MBP, where the iTunes library lives. When he got an iPod we simply sync'd it with my library... multiple iPods, no prob.
    Well, now with the iPhone, he will want to sync Cal, Address Books, iTunes, etc. Should we set up a separate account on the MBP? If we do, he cannot access my iTunes library. Or should we add it to my iTunes, just like the iPods. If we register his iPhone in my iTunes account, can I add another iPhone later, will he still get his own bill? Will my iTunes purchases still be billed to my account?
