Bought Outlook for Mac... now Finder searches includes Emails

Hi there -
I have a macbook pro. I often use the Finder's search feature to locate a word document or something on my machine.
BUT since I have installed outlook for a mac it includes searching my emails which is ridiculous. I get a ton of emails for work and even though sometimes they do really point me to an email related to what I am searching this is NOT HELPFUL.
I want to search my computer like word, excel, images, pdfs, etc. Anything but NOT outlook emails. How can I prevent that?
It's so annoying and makes it harder to find what I am looking for.

Welcome to the Apple Discussions.
Find and Spotlight are two excellent features in the operating system. Each function works a bit differently from the other.
Let's deal with SpotLight which uses indexing. I takes a bit of time to set up; but, it does that in the background. It will slow your work down as it indexes your files in the beginning, only. Here's how to begin to get the MOST out of SpotLight.
Open System Preferences > Spotlight > Search Results.
The first thing you can do is deselect the mail messages in the list of things to search. While you're there deciding what you want to display for results, you can also click-drag the items into a preferred search order.
That alone should fix your concern; but, there's more.
Click System Preferences > Spotlight > Privacy.
The second thing to you can do is decide where Spotlight will work and what volumes you wish to have indexed for FAST and complete searches.
Note that Spotlight will find instances of type inside PDFs and even in some artwork! That's nothing short of astonishing, IMHO.
Here's how to AMAZE YOURSELF:
This Spotlight preferences window shows a list of locations to "Prevent Spotlight from searching these locations:"
First, Add ALL the items that you WANT to index (using the + button under the window or drag a folder or disk into the list).
2. Close the System Preferences window.
3. Reopen System Preferences > Spotlight > Privacy.
4. REMOVE all the items you just added.
5. Close the System Preferences window to reset the Spotlight database.
Spotlight will then begin to index the folders and volumes you just removed from the Privacy List.
(Leave the items in the list that you do NOT want to search.)
You'll see a small black throbbing dot inside the Spotlight logo as it indexes. It may take some time.
You may hear the fans go on to keep the heat down from the increased CPU activity.
When the indexing is finished, you'll be able to find practically anything FASTER than you can type. (I'm a two-hand touch typist and it's faster than I am.)
I hope this helps. I wasn't crazy about Spotlight until I learned how to use it. Now, I'd be lost without it.

    Apple told developers they were removing that service over two years ago. The developers that depended upon it should have done something about it.
    Why did they remove it? My guess is because it was pretty crappy, was difficult to maintain, and wasn't a good solution for multiple devices that could get the info without tethering to a "base" Mac.

  • Outlook for Mac won't retain restored email database.

    Hi all.
    A couple of days ago I performed an export of what I thought was just pre-2014 emails from my Outlook for Mac 2011 program.
    I turned out that all the emails were exported and, for some stupid reason, I had clicked the "delete" button during the export process so they all went.
    The export file is around 2.5GB, which seems about right for the number of emails that were exported.
    The problem is that I've been unable to import the emails back into the program.  The instant error message I get says: "Outlook did not import an all your data. You stopped the import process before it was completed."
    This happens even though I don't actually do anything.
    Now this is where it gets weird, I have done two complete reinstalls from my Time Capsule. On both occasions, all my email reappears in the inbox, but then as soon as Outlook starts to sync, they begin to disappear.
    Does anyone have any ideas as to how I can permanently restore my old emails?

    Just yesterday after many years of using this my third party emails stopped working, only gmails are online. I have not changed or made any changes because its been working fine till yesterday. Any ideas what can be the problem?

    What's the type of the problematic account? You might first need to update your Outlook 2011 for Mac to the latest version and verify result
    Usually if the Database for the Outlook profile get corrupted over time, you will experience the isseu. You can try to rebuilt it on Outlook 2011 on Mac and hopefully clear the issue:

  • Imac is 4 months old.  Using installed Outlook for Mac 2011 but now want to use ical so that I can start to use iCloud to sync with my Ipad2 and iPhone.  How do I move my calendar from outlook to ical on the iMac?

    This is my first attempt at using this forum so please be patient with me.  I am new to the apple world.  Bought an Imac desktop computer back in October and installed Microsoft Office for Mac 2011 because I was used to Word, Excel, Powerpoint, and outlook.  Now I am being told that I should be using ical for my calendar so that I will be better able to move to icloud for use between my Imac, Ipad2, and Iphone.
    The question is:  how do I move my calendar which is in "Outlook for Mac 2011" into ical on my Mac?  Do I have to remove the Outlook entries from the computer and reinstall them back to the same machine or can I somehow move calendar entries within the machine?  I appreciate any help I can get.  Thanks.

    Person search requires middle name
    When connected to my enterprise environment Exchange server, why do I have to know a person't middle name to search for them?
    If I want to search for the user whose full name is "Bob Anders Johnson" without the knowledge of their middle name, on pretty much any other search system, you can type in: 
    "Bob Johnson" and results will arise including the desired result.
    "Bob" produces all Bob X X names. There's about a hundred... too many!
    But if I type in "Bob Johnson" no results... as it's trying to match a middle name of Johnson. WTF?!?!
    I guess if I'm crafty, I could search for the last name, but that's silly if there's a lot of Johnsons, as there would be no way to hone the search after typing in the last name...
    I don't know Bob's middle name, why does Outlook & Exchange require me to?

  • HT3748 since upgrading to Mountain Lion, my Mac Mail no longer works well w/exchange email; so, I have had to switch back to outlook. Now, how can I use outlook for mac's calendar and contacts with icloud?

    Since uprgading to Mountain Lion, my mac mail no longer works with my exchange email properly. I finally gave up and moved back to outlook for mac, but now my new issue is using outlook calendar and contacts with icloud; possible?

    Sorry but I'm really not to sure what I have. I'm not good with knowing my computer model. All I know is that its a MacBook running with Leopard. I got my computer last year so I suppose its fairly new. Is there a place on my computer where I can check to see what it is (sorry to be so dumb with my own mac)
    And everything else works fine. I love Safari. It's just my mail that doesn't work. Here's the message that pop up several times.
    "The MobileMe IMAP server “mail.mac.com” rejected the password for user “akcastaldo”
    Please re-enter your password, or cancel."
    The only problem here is, even though I enter my password it doesn't do anything. It makes that message go away for about 3-5 mins. After that it pops right back up. And I can't even go into my preference and change my email password. So I don't know what to do.

  • I am running Microsoft Outlook for Mac 2011 and all my tasks on my imac are gone.  I can create new ones but cannot find my old ones.  I have tried to rebuild the database but I get an error message with [-18000] code

  • HT204053 I am unable to sync all contacts on my iMac (which includes outlook for Mac contacts) with my iPad mini, how do I do this, I have enabled icloud on both devices and ticked all the boxes.

    I am unable to sync all contact in my address book on my imac with my ipad mini, it looks like only icloud & yahoo contact sync leaving out the ones in outlook for mac.  I have enabled icloud on both devices and ticked all the boxes.

    No, they are in the On My Mac account in the Mac Contacts app, not iCloud.
    or are they in a different format despite being in mac contacts?  If so can the outlook contacts be exported in some other way to icloud?
    Outlook is not compatible with iCloud, check Microsofts site if you need more verification.
    If you want them in iCloud use Mac Contacts and move them from On My Mac to iCloud. This will remove them from Outlook.

  • Certificates now showing up in Outlook for mac or Mail app.

    I want to use outlook for mac to get my e-mails from work. I installed the certificate that i need to connect to the exchange server. I can see it in my keychain. But when i add my account details into Outlook or Mail, and it gives me the popup that i need a certificate, i can't select the certificate that i installed. I only get the preinstalled ones from OSX but not the one i installed myself that i need to connect to the server.
    In outlook for mac it only shows me the certificates from the category "my certificates" in the keychain, while the certificate i installed from work is being put into the "certificates" category.
    Is there any way how i can Outlook or Mail to recognize the certificate that i installed ?

  • No Sync with Imac and Outlook for mac 2011

    Hello,
    just bought a new bb torch, but it does not synchronise with outloop (office for mac 2011).
    no contacts, no agenda.
    I can not choose which agenda/contacts.
    It looks like the Torch goes to the standard email progam of Imac and not to Outlook.
    The only contacts are the standard contacts from addressbook imac.

    I have just discovered the same thing - if you do a search around the topic you will find it confirmed that the only thing that will sync with Outlook for Mac is contacts.
    I've just moved everything over from a PC to a Mac and so to find it not working is so frustrating.
    SORT IT OUT RIM - or at least assure us you're working on it.

    How do I sync outlook for Mac 2011 contacts with Address book.  I updated the itunes or apple updates and it erased my contacts from the address book.  I did have is set up where the they automaticaly updated back and forth but now I can not find how to check this.  Bottom line I want my contacts back to address book. ??????? anyone.

    Outlook for Mac doesn't support contact (or calendar) syncing with iCloud because Microsoft  chose not to include the CardDAV (and CalDAV) protocals that are required (see http://support.microsoft.com/kb/2648915).  You'll have to use the OS X Address Book (Contacts) app to sync with iCloud.
