Budget Approval Workflow before release.

Hi,
My Client want to trigger a approval workflow for Budget once its created in CJ30.
Let me know if any once have a worked on same process. Just share a process how we can do it the same.

I have created a project in CJ20N. Also, created a cost plan CJ40. Then, I have creted a budget in CJ30. Now, before release of this budget, I need to trigger a approval workflow.
Let me know how we can do this?

                  I suppose bus2001 will be suitable to your requirement.
                  If it doesn't suits, you can find the business object by adopting following steps :
                  1.Switch on the event trace inb SWELS transaction.
                  2.Go to CJ40 and do the changes and save.
                  3.Go to SWEL and see what business object have generated for the time stamp at when CJ40 is saved.
                  That's the business object required for your scenario.If no business object is seen , set the status(system or user as required) and do the above 3 steps again.
                 Still, no event is fired in SWEL, find the appropriate BAdI or user-exit  and you can get the job done.
                  There is no standard workflow that suits to your requirement.You have to go only for custom developments.

  • FMBB Budget Approval workflow is not triggered

    Hi Experts,
    I want to activate the standard workflow for Budget Approval in FMBB t-code. I found two standard workflow templates for this WS12300025 and WS12300026 and I activated it. In both workflow templates start event is maintained as 'BUS0050'  'PREPOSTEDDOCCREATED' .
    But when I am creating Budget document in FMBB t-code, 'BUS0050' 'POSTEDDOCCREATED' is triggering , so the standard workflow is not triggering.
    Then checked in forums, that we should maintain SPRO settings. I maintained the setting in SPRO.(Attachment 1).
    After maintained this setting I am facing an error while creating Budget in FMBB t-code. (Attachment 2).
    Kindly help me on this is urgent .

    Ibrahim, The complete statement is:
    If event linkage not activated it (Workflow Instance) will not get traced i.e. in T-Code SWI2_FREQ, thats the reason I have suggested to check error message in SWEL .
    SWEL will always create entry whether linkage is activated or not, the only thing is trace should be on in T-Code SWELS.  Hope things are clear now.

    We have requirement for budget approval request for portfolio item. I guess we dont have any standard workflow for budget approval. Please suggest if anyone has worked on similar requirement. Also I want to know if SAP recommends any non workflow based solution for such requirement.

    Hi Shrikant,
    In this scenario, you can only enter the values manually after offline approval or you need to develop a z-webdynpro component and attach those details to financial information of portfolio items.
    In case of SAP PS/internal order, the budget planning & approval has a control over business transactions like PR/PO commitments since the planning is done over cost collectors. In portfolio management, no cost collectors, so no budget planning provided. And the information in items are there to enable decision making.

    I am implementing BCS Standard workflow templates WS12300025/6 on ECC 6.0.  When I test the workflow, i get the following error:
    "Function module call up error: FMBCS_WF_ROLE_BUDGET parameter: FMBCS"
    What could be the cause of this?

    I have tried simulating the rule alone but I get the error message "Test not Executed".
    I must admit I am new with Objects.   Which Object ID is not properly imported?  When I define binding automatically, the following workflow and rule objects are generated,

    &BUS0050&    &BUS0050&
    &LEVEL&        &LEVEL&
    I have also tested the workflow without the rule using Tcode SWDD directly,  the task is started ok but work item in the agent's inbox has decision box showing only one alternative (Cancel and keep work item in inbox) instead of two.  In addition it does not show the attached pre-posted document.
    When I run Tcode FMBB directly to trigger the workflow, the workflow is not triggered even though type linkage for event PREPOSTEDDOCCREATED has been activated.
    I am puzzled by this.  Please give me step and step and if possible give me the objects.

    If someone creates a new user via the FIM Portal, can this go through a typical FIM Approval workflow before the user is provisioned to other target systems like for example AD?

    You can use the OOTB approval workflows. In short:
    - Create a set of "requestors"
    - Create an AuthZ workflow using the OOTB approval activity
    - Create a Request MPR, that gives the requestors from step one permissions to create resource. Your target after request would be something like "All Active People". Lastly, trigger your AuthZ workflow you created in step two in order to kick off the approval

    To enable budget approval workflow:
    1) Activate the check box in Project Type window for budget approval in last tab page
    2) Activate the check box in Budget Type window for existing or new budget types where we need to use approval.
    When budget are defined for any project (using project type defined in step 1) and budget type, then approval process is activated by default.
    However the supervisor is identified based on HR definition. The approval is only one level using the default workflow.

    I use basic workflow for parked document to release all invoice document from AP. But i get problem with down payment request.
    In my company, we run down payment by F110 according to down payment request. We use workflow to release parked document before post. But down payment request is created as noted item, so that, it isn't go to workflow when create. Please give me advice how i can manage Down Payment Request. Ex: we want block down payment request when being create and have release function to permit down payment by F110.

    Using T-code F-47 - Down payment request against raise to possible as follows.
    a) Purchase Order Document
    b) Production Order
    c)PM Order
    d)Service Order
    e)Process Order
    f)Internal Order
    Down payment request is not possible against to raise StockTtransfer Order(STO) and display error message.
    So, you have to choose the above list only.

  • Preview of approval chain before workflow gets triggered

    Hi Guys,
         I have a different requirement where users want to see the preview of approval chain before workflow gets triggered. I mean once we enter all the data in transaction, after the data validation is done then they want to see the approval chain. What is the best way to achieve this functionality. your input/ideas are highly appreciated.

    There is no easy way to do this. Basically the only possibility is to enhance your transaction with a subscreen or a tab where you have to simulate the logic used in your workflow to find agents and show the result of that simulation.
    If you are in a homemade transaction it should be pretty easy to do. If you're in a SAP standard transaction it may become a really tough modification/enhancement.

    I am trying to setup Work Order Release Approval workflow. I have set its AME using supervisory level as the action type. When I tried set work order status, I had to set the department as I set department attribute as its AME condition, and work order status changed into Release - Pending and form become disable.
    Where can the supervisor make his/her approval to relese the pending status?
    I tried the Maintenance Super User page, but it can only review.
    Any help is greatly apprecaited.

    I am trying to use the seeded Journal Approval workflow for budget journals. I know that this workflow works by journal batch - that is, each batch is sent into a different workflow approval process.
    Now, my users create budget journals that hit different periods, and each of these journals is being created as a different batch. However, I need these journals to go into one single approval, not one approval for each batch. Is there any way to do this?

    You need to make sure you read the documentation provided by the GL team on this workflow to make sure the changes you make to the workflow are allowable. Also make sure you read the section on Oracle Support Policy for Predefined Workflows, Events, and Subscriptions in the Workflow Guide.
    Technically speaking, you could have a master approval workflow, which is run, and when complete after all approvals have gone through, issues a complete activity command to the individual journal batch workflows to complete them.

    Viewing Approval Workflow as a Customer
    I have a service where there are five service group authorizations.  When viewing the submitted requisition as a customer, the following delivery process is presented:
    --- Delivery Process ---
    Service Group Authorization (Status = In Progress)
    Delivery project for <<Service Name>> (Status = Pending)
    I was not able to locate where the customer can view the approval workflow.  There is just one line in the delivery process (Service Group Authorization) indicating approvals are in process.  The customer does not know how many approvers or who is approving.
    Emails could be sent after each approval, but this still does not address the concept of the self service by checking the status of the request online.
    Is there a way to view the approval workflow as a customer?

    Angelo - I agree, we've also submitted it as a feature request.  Cross our fingers for version 10. 
    Ed - Where we get a little confused about the feature request process is that, other than finding out in the monthly calls, we never seem to be able to test possible features before they get released.  An old one of ours was 'released' until we tested it and worked out that our requirements did not match the functionality.
    David... one suggestion, though a bit of a hack, would be to look at the TxActivity table and try and have an insert/included page in the RequisitioneEntry Summary page (requisitionentrystatus.jsp I think) that checks the DB for the given ReqEntry and graphically (or textually) builds a table to highlight the stages.  Something we've had a couple of dreams about but haven't moved forward with - it would be something 'external' to the RC application but included in the presentation.

    First i need to understand the process of how do we create a PO for a PM Order.
    If the PO gets created where do i need to put a break point so that i can debug which workflow is getting triggred for PO Approval.

    It is defined in customizing which workflow is triggered during release of purchasing documents.
    SAP provides a simple workflow for this purpose:
    Workflow: 20000075
    Identifier: wf_po_rel

Essentially, I need users to be able to post JVs below the threshold amount, and park (send for release) ones above the threshold. I just posted a note, the contents of which are copied below.     Our objective is to have senior accounting personnel approve/release journal entries that exceed a certain value, say $100,000. We have configured the release function for parked documents, using workflow WS10000051 with business object 'FIPP', event "COMPLETED" and release amount of $100,000. However, this appears to assume that staff have authorization only for parking, because if you have posting authorization, nothing stops you from posting a document over $100,000. It seems illogical that you have to exceed a certain $ value before the release will trigger, but if your document is below the amount, you can't post it because you can only park.
    In order to avoid making approvers release every single journal entry, what we want is for users to be able to post any document below $100,000.00, but be forced to park ( save as completed) all documents >/= this limit. We tried setting up a validation on the document amount, but the error message forces us to exit completely, i.e. doesn't allow us to park the document.
    Is there perhaps a different workflow that triggers at the point of posting, rather than parking, that will accomplish what we want?

  • In search of assistance learning how to modify the mail message from an out of the box SP2010 approval workflow.

    So, I have found the article

    However, there is a basic problem that I run into before I get started.
    I am logged into the system as a regular user (ie not a farm admin, etc.).
    I do, however, have full control on the site on which I am working.
    I create a custom list.
    I create a simple one step approval - sharepoint 2010 out of the box workflow.
    I start SharePoint designer and give it the URL of the list. It opens up and I see the various objects on the left side of the screen.
    I click right on the Workflows object - which is where the article says I will find the ability to copy and modify the workflow.
    All I see is "open", "open in a new tab" and "Pin".
    I selecdt open in a new tab - and I get a blank screen labeled workflows that says "There are no items to show in this view".
    So, I click on Lists and Libraries, then on the name of my custom list.
    When the list displays, the Workflows section of the page has a "Modified Workflow" displayed.
    When I right click on it, no menu is shown. When I click on the modified workflow, I get the workflow settings page for that workflow.
    I am trying to figure out how to create the copy of the workflow so that I can modify one of the mail messages in SharePoint designer.
    Is there someone who has some advice on how to find this copy and modify option?  Or perhaps a web site, web forum, article series, or book covering the topic?

    According to your description, my understanding is that you want to modify the OOB approval workflow in SharePoint Designer.
    After opening the site in SharePoint Designer, just click Workflows in the left panel and then the workflows in the site will load in the right part.
    If you want to copy and modify the OOB approval workflow, then you need to right the approval workflow
    Approval – SharePoint 2010 under Globally Reusable Workflow. After that you will see the
    Copy and Modify button.
