Calendar: Archiving past events

Anyone know how I can archive past events between date "x" and date "y", and only keep the last "z" years?  I would also want pssible occasional  access to the archived past events.

What I'm doing is exporting each of my Calendars out of my Mac Calendar App, and using iCalMaker to cut the 2007, '08, '09 & '10 events out, and leave in only the  '11, '12 and '13 events.
I'm doing this to hopefully speed up the Calendar App, which has become very slow (a lot of "Beachballs").
iCalMaker has "burped" & crashed quite a few times as I was importing a Calendar file into it (especially the larger files); but it eventually works when I try it a 2nd time with the same file.
I do hope that the Apple Upgrades coming up this Sept includes a Calendar App which has the means to easily Export Calendars which includes the ability to select the Date Range that you can export out (are you listening Apple??)

    The iPhone has a setting for how long a past event will appear in your calendar.  I found steps to help you change this setting in the iPhone User Guide:
    Calendar settings
    There are several settings in Settings > Mail, Contacts, Calendars that affect Calendar and your calendar accounts. These include:
    •Syncing of past events (future events are always synced)
    •Alert tone played for new meeting invitations
    •Calendar time zone support, to show dates and times using a different time zone
    When you tap on Sync, you will be given several options for how long you want past events to stay on your iPhone, and there is also an option to select All Events so that they remain on your calendar.  You can find this information on page 69 of the iPhone User Guide

  • Calendar Problem: Past events disappeared!

    I have the iPhone 4S. Earlier today, I was checking the Calendar app for info on a test I had last month, when I noticed that the event (along with another I had on the same day) were missing. I thought at first that maybe I had accidentally deleted them. But then I went onto the iCloud website, and the events were both still there. Then I took another look at the Calendar app, and saw that these weren't the only events missing.
    At least 3 events from earlier this month, most of the events from last month, and everything before March that wasn't one of my contact's birthdays, have disappeared.
    Current-month and future events haven't been affected, only past stuff. Everything still shows on the iCloud website, though.
    I've tried checking and un-checking and re-checking the different calendars I have (3 calendars attached to iCloud account and 3 e-mail accounts) but that doesn't seem to have had any effect.
    HELP PLEASE!! I'm not always by a computer, so having to login to iCloud to double-check events is going to become a pain in the you-know-what.

    Try going to Settings>Mail,Contacts,Calendars>Sync (in the Calendars section) and set this to a longer time period.

    If you are syncing with a calendar on another computer, you may have the iPad settings set to a limited number of events.  To check, go into Settings, Mai/Contacts/Calendars, and scroll down to the Calendars section.  Tap Sync and select the number of months back you wish to sync.  You may want to consider choosing All Events to have your calendar completely up to date.

    Well I seem to have overcome the problem, but not easily, and not by identifying the cause. I don't like that I don't know what caused the trouble. I make no guarantees, but this is what I did (on an iMac with Snow Leopard 10.6.8). Be sure to create backup copies of your files first:
    [Note: before you do any of this, you may want to try running Disk Utility program (found in Applications/Utilities/) and run the "Repair Permissions" option. See if that solves anything, but it didn't for me]
    a) I exported my iCal as an archive: Menu item, "File/Export/iCal Archive...". This won't likely do you any good, though, as something was wrong with it and I could not re-import it. But try anyhow.
    b) After backing them up, I deleted the folders and contents inside the Calendars folder: "Users/<your user name>/Library/Calendars/<subdirectories>". To create a backup, right-click on the Calendar folder and choose "compress Calendars" from the pop-up menu. Then drag the folder contents into the trash.
    c) After creating backup copies, delete (drag into the trash) these preferences files found in "Users/<your username>/Library/Preferences" (the slashes delimit the folder names):
      Users/<your username>/Library/Preferences/com.apple.iCal.plist
      Users/<your username>/Library/Preferences/com.apple.iCal.helper.plist
      Users/<your username>/Library/Preferences/ByHost/com.apple.iCal.helper.<some convoluted hex number>.plist
    d) Restart your computer;
    e) Launch iCal and reimport the individual calendar files you exported earlier.
    Hopefully all is well.
    Let me emphasize again that you will not likely succeed in reimporting the calendar archive. In the first place it likely contains corrupted data that caused your trouble in the first place. So you will need to import the individual calendars that have been exported. Be very certain to export these individually first.
    And if you want to make doubly certain, then copy and paste some of your important and key events into a TextEdit file and save that file in case you don't succeed.
    Perhaps you subscribed to some online calendar? If I recall correctly I had imported a calendar when the World Cup Soccer series was happening; I speculate that might have contributed to the issue. I wish I could have found exactly what caused the trouble. It may have been some older, less compatible format that was retained through a series of Mac OS updates.

    Is there a way I can delete one of my calendars on iCal without losing all the past events? Right now, if I just delte it I get a warning that all event in that sequence will be gone.

    Actually, I've figured it out. In order not to lose the past events in a calendar I can export the whole calendar. Delete it, then Import it into a calendar that I don't want to delete. This way all the past events will remain.

  • Ios 7 calendar list view only go back 12 months, how can I sync all my past events

    My iphone 5  ios 7 calendar only shows events for past 12 months (ios 6 could show events from the beginning, about 6 years).  I uninstalled and reinstalled itune and related Apple program, also disable add ons in outlook 2007, where calendar and contacts stored.  Now the calendar shows all my past events after I reset sync history in itune but calendar list still only shows past 12 months.  Even the search won't bring any thing that is older than 12 months.
    I really really miss my old calendar, so frustrated with ios7, can anyone help me? Did I do anything wrong or missed anything?

    In Calendar, tap the event, tap Edit, then change the Starts date you want the event to move to.

    How do I find a past event(s) in calendar on mountain lion without manually going back day by day? I would ike to be able to use Calendar as a searchable log.  I do not care about syncing with iOS, just finding an event or notes in an event, such as "oil change", "research paper turned in", "dr. appt."  The find function only works on future evernts.

    I tried the "year" view, but it makes not difference.  A Spotlight search does not present the info in a calendar format, only in an events and reminders format. It also only seems to be finding the "today" view, but it is impossible to be sure since it only shows a time for the event but no date.  There has to be a way to find the last time or all the times I made a Dr.'s appointment without going through an entire year or more day by day.

As a fellow calendar user, I can certainly understand how this feature is super important to you! May I ask have you tried the suggestion that maya0630 provided? It would be best to confirm that the calendar is set to Google so you can manage it online from a computer. If you can be so kind as to update me on the status of this issue then that would be great.

    Looks like you are on some very old software.    Update your iOS and you can disable the calendar notificaitons.

  • Syncing calendars ( Past events being deleted)

    When i sync my iphone it deletes the previous appointments on that day. i end up with a blank calendar on my computer but the entries remain on the Iphone. Any suggestions?

    Found the issue for me. The events are not deleted, but filtered in the standard calendar view. The iPhone shows everything as it should. Outlook 2003 has all the events to as seen when going to categories view.
    It seems that once events pass on the iPhone and then a sync via iTunes to Outlook 2003 the "All Day Event" field is removed from the calendar entry.
    Creating another Day/Week/Month View in outlook 2003 that has a filter to only include calendar entries where the "All Day Event" field "does not exist" will allow viewing the "hidden" past events.
    Hopefully this will be fixed VERY SOON.

    Why would you be surprised?  You were syncing your Notes with iCloud or a Mail Account.  Synchronization means when you make a change on one device, it affects all other devices that are synched for the same purpose.  Like when you delete an email (usually) it also disappears from your other devices as well.

    What I do, since I have shifts with same times just different daily, is make an event for the shift. Then on the repeat option, choose custom, and then monthly choose the days I want to copy the event to. Then on the end date option I choose the end of that month, so it essentially doesn't repeat, more of the copy and paste effect. Hope this helps, cheers.
