Categories in a Shared Mailbox

Hi,
I've just had to delete the OST of a user that has her own mailbox and access to a shared mailbox.  When this was recreated, she lost all her categories on the shared mailbox.
My question is, are the categories stored by default locally (in an Outlook 2010/ Exchange 2010 environment) or on the Exchange side?
If the former, presumably the user will need to recreate them? If the latter, should they not populate automatically.? Is there any way of checking whether Categories are enabled on the Exchange server and if they are not turned on, to turn them on?

Hi Steve,
For Exchange account in Outlook 2010, the categories are stored in the default message store (mailbox or pst). If you are setting up a new system and using your old pst the color categories will be available on the new system. Please make sure the color
categories which are set for shared mailbox are the default colors in the color list of Outlook instead of some customized colors.
We can access user mailbox from Outlook Web Access to check whether the categories are still stored in mailbox. For more information about Outlook Categories and Color Categories, please refer to:

    According to your description, I understand that some e-mail send to shared mailbox are be inserted an image in the body.

  • Exch2010: User mailbox changed to Shared Mailbox

    [apologies for posting in the Exch 2013 section - the drop down did not show legacy exchange forum categories!]
    I recently migrated from Exchange 2003 to 2010. Mailboxes were moved and showing in EMC as 'User Mailbox'. All good. 
    Now, two weeks later, around 10 of the 60 mailboxes are now showing as 'Shared Mailbox' and I'm not sure why, or how this changed.
    There is no pattern to why some users have been converted, they are a mixed bag of staff. I have compared mailbox permissions and send as permissions with 'User Mailbox' types but can't see any difference. The users affected have not reported any issues
    to me. 
    What would cause this to happen? I am keen to convert back to User Mailbox type but want to be sure this doesn't happen again.

    Hi,
    The issue is odd. I recommend you check event log to see if there is any clues. Maybe someone converted user mailbox to shared mailbox.
    When you run the Set-Mailbox -Type Shared command to convert user mailbox to shared mailbox successfully, this operation will be logged.
    Open Event Viewer, locate the path: Applications and Services Logs -> MSExchange Management, check if there is related event.

  • Is there a way to create a rule that sends and Auto Response for a shared mailbox?

    I have a shared mailbox set up that receives emails that are sent to 3 different addresses:
    [email protected]
    [email protected]
    [email protected]
    I would like to create a rule that would send an auto response when someone emails one of these addresses.  However, I don't want an auto response sent to [email protected] so I can't just set up an "out of office" reply for the mailbox.
    Is there a way that I can create a rule to send an automated response to 2 of the 3 addresses?

    we can enable the shared mailbox in ADUC and create Outlook rules for it in Outlook to achieve it. please follow these steps:
    1. In Active Directory Users and Computers, right-click the shared mailbox and click Enable Account.
    2. Configure the Outlook account for the shared mailbox in Outlook.
    3. Click Rules > Manage Rules & Alerts.
    4. Create a rule like the following format:
         Apply this rule after the message arrives
         Have server reply using a specific message
         Except if the subject contains specific words
         Select exception(s) (if necessary) of the Outlook Rule - (“except if from people or public group“)
    5. Apply the auto reply rules for this shared mailbox.
    Then users can receive auto reply of the shared mailbox except the exceptions we have set  when they send messages to this shared mailbox.

  • Who has deleted emails from shared mailbox ?

    Hi Guys,
    We have a shared mailbox and is accessed by more than 5 users.
    Some one did something and the emails got deleted. I see them in recoverable deleted items folder.
    Can anybody let me know how to find out who has deleted them ?
    FYI - we do not have auditing enabled on this mailbox prior to deletion.
    But using the MFCMAPI, I was able to figure out the last modification time (which is same for all the emails in this folder)
    So, I think, if we can find who accessed this mailbox during that particular time, I will be near to solution.
    Can you guys let me know how to check who accessed the shared mailbox at a particular time ?

    If you did not enable the mailbox auditing logging for the mailbox, I am afraid there is no event to record the operations.

  • One shared mailbox with multiple distribution groups connected and the sent items folder - how to configure?

    Hi!
    I have been struggling for a while now with the following issue.
    For starters:
    We are using exchange 2010 in combination with outlook 2013 on client computers.
    Cause of the limitations concerning the number of mailboxes in outlook im looking for a solution to receive and reply 
    to multiple aliasses. So i did the following:
    1. Configured one shared mailbox.
    2. Configured multiple distribution groups
    3.  made the shared mailbox a member of the distribution groups
    4. Configured full access and send as permissions for myself on the shared mailbox ( testing )
    5. Gave send as permissions to the shared mailbox in Active directory. 
    6.  Logged in to OWA to setup rules for the shared mailbox.
    I now receive emails from all connected distribution groups in the shared mailbox and also in the right folder.
    I do however have to select the proper from address when i reply to an email. 
    the email sent by the main SMTP of the shared mailbox is placed into the sent folder of the shared mailbox. 
    I setup the senddelagate blabla in register.....
    When i sent an email as one of the connected distribution groups it fails to put the sent item in the sent items folder of the shared mailbox. The email is sent using the proper address but placed in the sent folder of my main account. 
    I want this emails to end up in the sent items folder of the shared mailbox. Or even better, in a sent items folder for each of the addresses. 
    Any suggestions ?

    As what
    Rajkumar says, sending as a shared mailbox(full access permission) will put the email in the sent item of shared mailbox. But it cannot be located in the “sent item” of a distribution group. Because
    it is a distribution group instead of a enabled user mailbox.
    According to your further description, I understand that the reason why you configure that is some users reached the
    limitation about the number of Exchange accounts you can include in the same Outlook profile. Is it rights? If I misunderstand, please point it out.
    By default, user can only add 10 Exchange accounts to the same profile. You can customize the limit to the number Exchange accounts in the same profile using the following registry data:
    Key: HKEY_CURRENT_USER\software\policies\Microsoft\exchange
    DWORD: MaxNumExchange
    Value: integer value starting at 1 (default = 10 if DWORD is missing)

  • Exchange 2013 - Out of office unavailable when shared mailboxes added in

    Good Morning all,
    I have a strange issue with our MS Exchange 2013 environment concerning out of office.
    When certain users try and access the OOO it gives them the below error message:
    "Out
    Of Office cannot be display because the server is currently unavailable"
    As I mentioned, this is not affecting all users, here comes the strange part(I think so anyway)
    The users in question have a shared mailbox added, if I remove the mailbox VIA ECP / Outlook client, out of office begins to work, once I add the mailbox back in, everything works, until the next day or some sort of refresh takes place and then OOO becomes
    unavailable again.
    Any help would be greatly appreciated.

    Did you recently installed windows update?
    If yes, then check this, see if it applies by uninstalling the update.

  • Unable to change members of AD security groups who have access to shared mailboxes

    I have an exchange 2013 running for over a year now and never had any problems with it. Until recently.
    A request came in to make a new shared mailbox. So I did just that and gave rights to a security (not mail enabled) AD group. Just like I Always do. Everything worked fine. A few hours later I did exactly the same for another request and then the people
    could not access the shared mailbox. So I added my regular user to the AD group and I also couldn't (I tested it with OWA and Outlook). I tried to remove myself of one of my own shared mailboxes and the permissions wouldn't stick. When I removed the entire
    group then the permissions were gone(and I could not access the shared mailbox). When I added it back I had my permissions back but still wasn't in the group. Then I tried adding a distribution group with the same result.
    It seems when I add normal users directly to the permissions everything works.
    When I had to restart the server a few days later. All changes were applied but I could not change it again.
    i'm a bit stumped on this one. i'm out of options.

    "I did exactly the same for another request and then the people could not access the shared mailbox.", I would like to verify if you give the same Security Group rights to multiple shared mailboxes.
    If the security group members can't have access to all the shared mailboxes they have rights, you can recreate a security group and grant permissions to shared mailboxes one by one to check the result.

  • How do I get reminders to show up from Tasks I have created in a shared mailbox?

    I have tasks set in a shared mailbox.   They have reminders set in them.  I do not get the reminders.  Running Windows 7, Office 2010 Plus. 
    I have also tested this with meetings from the Shared Calendar and it does not work.
    Is there a setting that needs to be changed or something I can do to start getting these reminders, as well as the ones in my own mailbox?  Or even better have an automated e-mail sent to me when one of these tasks become due?

    I have found my way to this topic also through the outlook forum and am surprised that you guys are sending Gabe H back to the outlook forum once more... this looks to be a little bit like we users are dealing with a bureaucratic government desk?!?
    Anyways...
    In our office we have the same issue... reminders and notifications don't work from a shared calendar. Also, it is impossible for items in a shared calendar to appear in the "to do bar" in the email-viewpane. For that issue a ticket was created all
    the way back in 2010 on
    Shared calendar items in "to do bar"
    and users are still discussing and asking questions on it without any solution from you guys at Microsoft. Thats almost
    5 years without a solution. The two issues are clearly related and they exist at least since Office 2007 and still remain unsolved in Office 2013 which our office is using.
    Now... in stead of referring and rereferring this issue from forum to forum and refrain from answering at all on the other... maybe you could put your heads together, brains in gear, try to think out of the box for a change and help out all those millions
    of outlook users which would love to use shared calendars in the proper way.

  • Shared mailbox and personal mailbox showing identical content in Outlook

    I have one user on Outlook 2010 who has Full Access permissions to a shared mailbox. In OWA, everything looks fine, but in Outlook, the shared mailbox shows the contents of her personal mailbox instead of the content of the shared mailbox.
    If she views the shared mailbox's Inbox, it shows her the contents of her own Inbox instead of the shared mailbox. If she attempts to view the shared mailbox's Calendar, it shows her nothing at all. There are no error messages.
    I configured a separate Mail profile (via Control Panel) for the shared mailbox, and that works fine also.
    I deleted her Mail profile and all cached Outlook data, then created a new profile, and let Outlook recache all the data. Same problem.
    Any ideas what is going on or how to fix it?

    Finally some moderately helpful info:
    The end user logs into a computer on an untrusted, foreign AD domain (domain2.com) using an account from that domain. She then logs into her Exchange mailbox in Outlook using her domain.com account.
    Every domain2.com computer she logs into gives her the same random mailbox mirroring problem.
    I had her log into Outlook on a computer on domain.com located in my office and leave it running for 3 days. Every time her Outlook client on her regular computer would start or stop mirroring mailboxes, she would let me know, and I'd check the computer
    in my office and find no problem.
    So the problem is something in the foreign domain or something that that domain's administrators are doing to the computers. Unfortunately, several other people on that domain are using mailboxes and shared mailboxes on my Exchange servers in the exact same
    configuration and are not having this problem. It is only this one user.
    I am pretty sure they are not using roaming profiles. I know they are not using mandatory profiles.

  • Shared Mailbox Mail Management

    Hi,
    I have a shared mailbox which is accessed by about 10 members via outlook (shared mailbox has not been setup as account).
    When a user (supervisor of the team) moves the mails from Inbox to other share mailbox (method: drag & drop), the mails move perfectly fine, but the other user still see those emails in the inbox.
    This happens only for one particular shared mailbox.
    I tried restarting the transport service, restart of server, using outlook switch cleanfreebusy but no luck.

    Did you try creating new outlook profile for the supervisor and one of the team member and see how it goes for a team member?

  • Shared mailbox - send as and auditing Exchange 2007

    Got 3 users A,B,C who all access a shared mailbox X.
    They have a requirement to be able to answer emails sent to mailbox X BUT the return address to be X (i.e. not their own or send on behalf etc) so any subsequent relies still go to X and not the individual email addresses.
    However, enother requirment is that there needs to be a way to determine which user (A, B, or C) actually sent the email from shared mailbox X.
    Any way at all to do this?

    Since the full access permission has been assigned to users, please give Send As permission to these 3 users (A,B,C) for this shared mailbox X. Then user A,B,C 
    can send as the mailbox X with the From field shown as Mailbox X. Please follow these steps to set it:
    1. Make sure the Full Access permission have been configured correctly.
    2. Give send as permission to UserA, UserB and UserC for shared mailbox X.
    Add-ADPermission -Identity “Mailbox X” -User UserA -Extendedrights "Send As"
    Add-ADPermission -Identity “Mailbox X” -User UserB -Extendedrights "Send As"
    Add-ADPermission -Identity “Mailbox X” -User UserC -Extendedrights "Send As"
    3. Then UserA, UserB and User C can send messages by the following steps in Outlook:
      a. Click New Email > OPTIONS > From, then the From field is shown in the message.
      b. Click From > Other E-mail Address, and select the Mailbox X.
    Then the recipients would receive the messages which the From field is shown the Mailbox X name instead of UserA, UserB or UserC.
    To track which user has send as Mailbox X to the recipients, we can enable message tracking log or
    Mailbox audit logging to track it.

  • From field in shared mailbox displays LegacyexchangeDN instead of person's email address.

    We have a situation where a group of users who utilize a shared mailbox are getting a weird issue from time to time.  They will take mail from their own mailbox and drag it to the shared mailbox.  Sometimes the email show up fine, other times the
    from field shows the GUID of the person's mailbox rather than their email address after they move it.  See attached pictures.  Any idea what would cause this and how I would fix it?  It appears this way in everyone's Outlook and OWA.

    DisplayName is an Active Directory property which represents the display name of a recipient in an appropriate format to display to the end-user. This is a Unicode property which may contain non-ASCII characters so that a user name may contain DBCS characters.
    In your case, you need to create a registry entry on Outlook side.

  • Shared Mailbox migrating from Lotus Notes to Exchange

    We currently have Lotus Notes and in the process of migrating to Exchange Server 2010. We are using the Quest Notes Migrator for Exchange and the Quest Coexistence Manager for Notes tools.
    One of the issues we’re coming across is Shared Mailboxes..
    Currently in Notes we have:
    Signatures as part of the NSF file so they are included with every email – how will Outlook clients behave for Shared Mailboxes? Because we want the same Signature to be part of every email sent from a shared mailbox regardless of which user sent the email.
    We are aware that if we use OWA we won’t have this problem, but how do we configure Signatures for Shared Mailboxes using Outlook clients?
    Stationary: We have Stationery linked to our Shared Mailbox accounts, so for example, in our helpdesk mailbox, we have stationary documents/templates we send to end users who email our helpdesk asking a FAQ. Opposed to pointing users to SharePoint, how
    do we tackle this in Outlook? Is there options?

  • Shared mailbox shows emails and subfolders of the users mailbox in Outlook

    After We migrated the Exchange from 2010 to 2013 any shared mailbox has been migrated  is showing the inbox and all the subfolders from the user's mailbox in Outlook, instead of the shared mailbox content.
    note: if we create new shared mailbox it works fine without any issue.
    We have tried to removed full access permissions and re-added full access permissions, disabling AutoMapping and then added the shared mailbox manually in Outlook and that works fine but it is not a solution for us as we have 400+ shared mailbox and
    we cannot do it for every user have access on each shared mailbox.

    Hi,
    Please check if this issue persists in Outlook online mode.
    After you remove the full access permissions, the shared mailbox will disappear from Outlook automatically. When you add the full access permission then, the shared mailbox will appear again in Outlook. There is no need to add shared mailbox manually.
    Please remove the full access permission and then re-add the full access permission. This time, you can make use of the AutoMapping feature to check if shared mailbox display properly.
