CFolders & DMS

Hi experts,
I want to have CFolder ( for partners outside the organization) and Document Management System ( within the intranet) and both of which integrated to back end SAP R/3.
Can any one tell me
(1) What are the components to be installed ?
(C-folder is a part of Cproject suite but I am not sure for DMS what is to be installed.)
(2) Is there any front end (like SAP GUI) required to be installed for DMS ?
(I guess an internet browser is enough to upload/download/view documents in  C-folder but what about DMS ?)
(3)CPU and RAM requirement for C-folder and DMS installation

Hi Anupam,
1) Your first requirement is something for which SAP DMS and cFolders are made for. There are transactions in R/3 through which import and export of document can be achieved within cFolders and SAP DMS.
You can have different servers for SAP DMS and cFolders.
2) The Content server is something where you will be storing your documents. It depends on you business requirement. Basically its nothign but a storage location for your documents.
TREX is a search tool, which can be used both in DMS and cFolders.
3) ABout hardware the sizing guides are available on service.sap.com, you can get an estimate over them easily with that information.

    Hi all,
    We have implemented cFolders 4.0 in our project as a document repository. We have a requirement to allow users to upload certain document types only (e.g. .doc, .xls). Is this configuration available out of the box? Otherwise, how do we customize the standard cFolders configuration to enable this restriction?

  • New module for a SAP QM consultant

    Is it a wsie decision to learn SAP PS module at this stage. I am a certified SAP QM consultant.
    Also I would like to know the scope of learning SAP PLM modules (Like cfolders,DMS,etc).I get confused on which to choose from these small components like these in SAP PLM. Also I find it difficult to get study materials. Could anyone guide me on this, so i can take a right decision.
    Is SAP PS also a part of SAP PLM. Can some one put some thoughts on what SAP meant by SAP PLM exactly.

    PP and MM are closely integrated with QM module. It is better and easy for a QM consultant to expand his knowledge in any of these module.  MM has more opportunities than PP but numbers of MM consultant in the market are much higher.

  • Cfolder license

    We are using ECC, SRM and DMS.
    Whether cfolder comes free along with any of the above three?
    What should I do to activate cfolder if so?
    Can we use cfolder without DMS?
    How complicated will be interfacing cfolder with ECC and SRM? I dont know whether we have to use DMS also, when cfolder is used, if needed it will become a trio of cfolder talking with ECC, SRM and DMS?
    Can anyone throw some light on these questions?

    Presently, I am working with a client who needs a lot of interaction with supplier. My scenario can be briefly like this.
    Case 1
    Suplier needs to upload documents (PPAP docs for automotive industry)
    OEM engineer need to download it and review it.
    Based on the review, OEM engineer will give approval for submitted documents.
    Approval status needs to be updated online with supplier
    If documents are not acceptable, status moves to rejected.
    Supplier have to re-submit the document, the cycle continues.
    Case 2
    Notification cerated for complaints in R/3
    Supplier is informed through workflow.
    Supplier will submit online CAPA (corrective and Preventive action) documents through online
    OEM engineer will review doc and doc status changes to approve in R/3.
    Complete notification in R/3.
    CAPA document should be available for any time in R/3 for analysis purpose.
    If review fails, supplier to resubmit CAPA again. and cycle continues.
    Expectations are
    Supplier to use an online portal for doc uploading.
    OEM will access documents through ECC 6.0/ R/3
    May come the need of DMS module- document management system for storing documents.
    Firewall safety is to be considered in atmost priority.
    Can you jsut guide me in what way this can be mapped using R/3, Cfolders, DMS.

  • Transfering cFolders Docs to DMS via Collaboration tab in cProjects 4.5

    Hi Experts,
    I am trying to move documents between cFolders and DMS using the the "collaboration" tab in cProjects.
    The steps I am following are as follows.
    1. Created a link to a DMS document structure from "SAP DMS" tab in cProjects
    2. Assigned a collaboration from the "collaborations" tab
    3. Selected transfer documents.
    4. Transfered the needed documents to a folder in DMS from cFolders
    5. Clicked save documents button
    6. When I check the doc structure from the SAP DMS tab I see the document but there is no document number or type.
    7. When I select refresh the transfered document dissapears. I have also tried saving between steps to no avail.
    I have done the needed configuration for object links and default doc types under "Integration with Other mySAP.com Components -->Collaboration Projects -->SAP DMS Integration --> Specify Default Document Types per cProjects System". Also I am able to transfer a document which is stored in cProjects documents tab. I am only having an issue when trying to transfer from cFolders.
    I have seen several threads on this forum on similar issues but no clear solution. Appreciate any thoughts on this. Hope I have explained the issue clearly, but do let me know if any further information is needed from me.

    Did you try with T Code CFI01(ECC ) - Import Documents from cFolders?
    If no then try you will get sucess

    please check the cFolders configuration guide (for release 4.0, the guide is also attached in note 973764), chapter u2018cFolders Back-End Integrationu2019 or the Online Help in the SAP Help Portal under http://help.sap.com/ > SAP ERP > SAP cProject Suite > Project and Portfolio Management XX > Design Collaboration with cFolders > cFolders Functions > cFolders Back-End Integration.
    For example, you can use the back-end integration for cFolders to exchange DMS documents. In the DMS system (or so-called back-end system), use transaction CFE02 to export DMS documents to cFolders and CFI01 to import documents from cFolders into DMS.
    Please read the above documentations to see the system and installation requirements.
    Besides creating a RFC destination in transaction sm59, you need to maintain the backend system using transaction CFC01 in the DMS system. At least one cFolders system must be defined in the customizing before backend integration can be used.
    In order to allow the user to create new documents in cFolders, he/she needs write and create authorization in the relevant folder.

    The requirements documents consist of software, hardware, mechanical etc...

    Hi Prasad,
    Given the way i understand 'Requirements Management', it's a holistic approach which includes identification, documentation, analysis, prioritization and agreement on requirements and then controlling the changes and communicating it to relevant internal and external stakeholders.
    This is an ongoing process throughout a project.
    In  this perspective, DMS(for handling documentation),c-folders(collaboration,communication wrt ERP objects like docs,BoM et-al),c-projects(colloborative pjt mgmt) and ECM(managing changes) would be an ideal proposition to handle requirements management in Automitive sector effectively. You may explore other solutions for a finer degree of control.

  • Import redlining Layers from Cfolders to DMS or Local System

    Hi Gurus
    1. Assume, a JPEG image has 4 redlining Layers in cfolders ..
    Can we import the JPEG image and the redlinings layers from cfolders into DMS or to the local system ....
    2. Also In DMS ..i  tried Creating Layers in the JPEG file and i was able to save and view it again, but for the File which was imported from Cfolders to DMS, i was not able to view the layers contained in it .. Is there any settings , i am missing here ?

    Hi Paddy,
    the folllowing steps for ingetration of cfolder with Portal:
    1. login in to portal. there will be one tab content admin.
    2. click on content admin, there willl be one folder portal content. here u can create new folder like e.g cfolder.
    3. under this folder, u have to create IVIEW, WORK SET and Role.
    first create iview, while creating iview it ask for some details related to cfolder like application id, system id, ip address and url mentioned for cfolder. this u will find in BSP application SE80 Tcode.
    same create roles and work set and assign roles to workset and iview to workset.
    4.then go to user admin here u have to map user ids in EP. it is only for mapping purpose so that there will be single login . they dont need to login again into cfolder if they accessing cfolder through ep.
    5. then go to system admin here u can create themes.
    click on content admin

  • Link between DMS DIR and cFolders

         We are creating documents directly in cFolders. After collaboration with users, we are pushing the final document to R/3 DMS. But we need to know, for which cFolder scenario this DMS document has been created. Is there any way we can find out this?

    No std functioality is available.
    You can however use one of the fields in DIR to link Scenario or collaboration name with DIR
    You need to take an abaper befor modifying anything here...

  • Automatic creation of folders in Collaboration from DMS

    Hi experts
    Need your Technical assitance in the DMS - cFolders interface.
    We have the following requirement.
    Step1: EHS Specification need to be converted into PDF document and automatically a document (DIR) should be created under particular document type .Also this should be linked with the same specification through Object link (We plan to achieve this through WWI tool).
    Step 2: From the DMS document we would like to create the document/ Folders in the already existing collaboration automatcially by selecting the Specification from which the document was created. (automatically through program ).This is s where we stuck up and could not move forward
    In Standard we can create a document in DMS and send to cFolders through the transaction CFE01. But we want automise this functionality. I really need your assistance on this requirement how we can modify the standard behaviour of the system.
    I appreciate your speedy response to how to move forward furhter on the Step 2.

    Thanks for the response!!  We have already created an entry in this table for Role Category = BUP003 (the SAP-delivered role category "Employee").  In this table, we have chosen the "Vendor Based" radio button, since we want Vendor master data to be created for all BUP003 business partners that are created.
    Which function modules need to be activated via the SPRO path Cross-Application Components -> SAP Business Partner -> Data Distribution -> Activate Function Modules in order to have Vendors automatically created whenever a specific role of BP is created?

    you can use iViews for accessing web dms just like cFolders or cProjects....

    When you create documents in Cfolders (3.1 not 4.0), what technology does it use? I am aware you can publish DMS documents to Cfolders and you can use KM to create documents in 4.0 with webdav but what technology is KM using to create documents and folders within Cfolders 3.1? Can you specify an external content repository for these documents like an HTTP content server?

    for the creation of documents via TA CFE01/CFE02 or WEbDAV the cFolders APIs are used in the background:

    here are the answers to your questions:

    You should typically NOT use the same content server, since the content server is residing within your firewall, cFolders (and connected content servers) are typically residing together in the DMZ.

    See above. You have the options to have the content server(s) "visible" or "invisible" in the internet. Please have a look at the cFolders configuration guide for details.
