Checking Out a Document

What happens when a user has modified a document but has left the document checked out and gone home, then someone discards the check out to continue working with the document. What happens to the modifications if the modifications have been saved
but not chedcked in and modifications that have not been saved and left checked out?

Hi,
When you discard check out, all changes made are thrown away, and the document reverts to the version that had been originally checked out.

    I'm not sure what the easiest way is either.  First, I would try to create a new site collection with a new library and see if you get the same behavior.  If not, then its something in the upgrade process.  If it does that also would point
    to something being wrong in the way that javascript is being executed.
    If it is happening everywhere I suspect you'll have to start tracing javascript using something like IE developer's toolbar to see why the status on those buttons isn't changing when you select a document.  I'm not sure what else to suggest.

    And you did check the option Save in local draft folder during check-out?

  • How do I disable Check out dialog when opening Documents from SharePoint 2010

    Hi
    When I open a pdf document form a SharePoint Server 2010 in the client application (Adobe Reader X) I'm always promted to check out the document to be able to edit it. However in most cases I just want to view the document and the promt is a hinderance for most of the users. I can think of two possible solutions but I can get either of them done:
    1. Disable the check out promt in Acrobad Reader
    2. Make sure documents are always opened in the Browser (not in client application)
    We configured everything right form the SharePoint point of view. What do I need to configure to achive either of the above things in Acrobat Reader?

  • "This document could not be checked out." SharePoint 2010 checkout action using IE8

    I am setting up a two-server farm, and most everything works, except the checkout action for a document.  This problem occurs in both site collections, one of which requires checkout, and the other does not.
    Here are the options I've tried:
    Snow Leopard, Firefox 3.0.1 - works
    Snow Leopard, Safari - works
    Win 2003, IE 7 - works
    XP, Firefox - works
    XP, IE 8 - "This document could not be checked out.  You may not have permission to check out the document or it is already checked out or locked for editing by another user."
    In IE8, I am able to open a document as read only then use the button presented by Word to check out the document.  I cannot use that as a workaround, as not all users have a version of Office that will allow checkout in that way.
    Checkin works fine.  I need to resolve the checkout error.

    I was having the same problem mentioned here. I noted that this problem only appears when I use the FQDN in the URL ex 'http://hostname.domain.com/default.aspx'. If I access the Sharepoint site using the URL 'http://hostname/default.aspx', then
    I do not have any problems checking files in or out.
    I ran into this same error pattern when trying to do a document edit (library is set to force a check out), or do a direct check out via the ribbon menu or item context menu.  Oddly enough when we would use the 'Edit Properties' ribbon button (which forces
    a check out) we did not get an error and the document's status would change to 'checked out'.  Below are the two messages we would receive when trying to do a check out:
     IE error message - "This document could not be checked out. You may not have permission to check out this document or it is already checked out or locked by another user." - Click OK
     IE Error message - "The document could not be opened for editing. A Microsoft SharePoint Foundation compatible application could not be found to edit the document." - Click OK
    After trying several different suggestions I realized that I wasn't having the problem when I was accessing the site locally via FQDN but only when I was using the Public Site URL (via https).  Turns out we were getting the error because we did not have
    an AAM currectly setup.  Once I changed our AAM for the Internet zone with the Public URL value instead of the FQDN the error went away.
    Hope this helps anyone else trying to track this down.  Oh and this was SP2010 w/SP1 (Patch version 14.0.6106.5001) on Win2008 R2 with clients running both Win7 and WinXP using IE8.

  • How do I disable check-in/check-out on a SP2013 query that is pulling from multiple document libraries

    Some of the document libraries I am using need to have publishing enabled and some do not. But the query (for most recently updated documents in the site) shouldn't let the user check-out any documents (only see them in read-only mode).

    Vendors Unable to Check-In Contract Documents (e-Sourcing 5.1 Patch 06)
    When moving to patch 06 for e-Sourcing we found that Vendors were no longer able to check-in contract documents, even though they checked them out successfully.
    On Patch 05 this was not an issue with the exact same configuration.
    Has anyone had any encounters with this? 
    - Is there a permission that needs to be set to something specific?   I tried create/read/edit but that doesn't seem to work.

    When working with a Master Agreement or Sub Agreement within e-Sourcing you can attach Contract Documents (Word files) that you and the vendor can collaboratively work on. 
    Just like a source control system you can check out a document to make edits to ensure that no one else makes edits at the same time.  You then must check back in the document to remove the 'lock'. 
    On patch level 06 we found that although Vendors could perform the Check-out procedure (On a Contract Document click Actions -> Check-Out) they are not permitted to then check-in the document (Actions -> Check-In).
    Buyside users do not experience any issues with check-out/in.

  • Problem in checking in a document into a solution

    Hi All,
    I am facing 2 critical problems.
    1. we are having a digital signature strategy with 4 levels of approvals. when i copy a document that has been approved(approved is the las status in the signature) into a solution for operations. it becomes as the status new and when is try to open it says it is locked by the user. so far it is good.
    then for maintenance when i check out the document to a maintenance project for changes. After making the changes i was not able to check in again to the solution. A popup appears and says it is not ready to check in some of the documents are not released.
    my doubt is it mandatory to have this popup, or can we skip this through some configuration. because i was not able to change the document that is new status. and EOD i was not able to check in as well. this seems to be a big hurdle also.
    2. when i copy the struture from a template project into the solution, through copy option i was able to copy both project documentation and general documentation which comes to documentation tab of solution. but when i check out, all the documents(both general and project) comes into project documentation and it is editable also. the general documents are supposed tp be non editable. but since it is copied to project documentation . it is editable.
    dunno what can be done for this problem also.

  • Cancel check out in CMSDK

    Hello,
    I am working with the CMSDK(iFS 9.0.3), and have a doubt about the operation of cancel-check-out.
    Ej:
    1.- I create a versionado document called "prueba.txt" with the content "original document".
    2.- I make check-out on the document "prueba.txt".
    3.- I modify the content of "prueba.txt" with the text "modified document"
    4.- I make cancel-check-out of "prueba.txt".
    5.- The content of "prueba.txt" is "modified document".
    According to as the previous version of iFS worked (with the PendingPublicObject), when making cancel-check-out the document was with the content that tapeworm before making check-out. Now when making cancel-check-out does not return to be left the content that tapeworm the document before check-out.
    My question: Is correct the new operation of cancel-check-out or I am making something bad?
    Note: cancel-check-out means to do unreserve() of the VersionSeries.

    My commentary basically aimed at cancel-check-out, since in the previous versions cancel-check-out discarded the modifications that had been made on the document, since these were stored in the PendingPublicObject. Now when cancel-check-out is made not they discard the modifications. He is this correct one?

  • How to Show Who Checked Out Proj Documentation

    When a document is Checked Out on the Proj Documentation tab, is there a field to query and report on to show who Checked Out the document?
    Also in cases when the person authorized to check out the doc hands the document to an editor, is there a field to populate with the editors name to query and report on.
    We are using Solman 7.0 Implementation Project and preparing for 7.1.

    When trying to edit or access the document's attributes, a popup window should appear saying:
    "The document is locked by user xyz The document is opened in display mode ".
    Regarding the cases in which the document is handled to another person, there is no way to edit the document or assign anything to it during the check out time. Maybe the responsible person responsible could add this information before checking out the document. I would suggest to open the document's attributes and add a comment to the "comment" tab.
    Once the document is checked out, it is totally locked for changes, so I believe this is the easy option.

  • Using Product Structure for checking out originals of child DIR's

    I have a requirement of creating a package of documents.
    Some of my DIR's are linked to service notification, some are linked to Purchse Order, & some are linked to Sales order.....
    Each service notification, PO, SO is linked to one master DIR, so that they can be seen under Product Structure.
    Is there any method to extract(Check Out) all the originals of all these DIR's at one place using Product structure.
    Or can we atleast create a link between Master DIR and all child DIR's.

    as far as I know there is no way to check out a product structure, but you can check out a document structure.
    If you DIR has a bill of documents, you can use the BAPI CheckOutView2. The parameter GetStructure determines weather the structure is read or not.
    - GetStructure = 0 Document structure is not read
    - GetStructure = 1 Document structure is exploded one level
    - GetStructure = 2 Document structure is exploded completely

  • Page appears to be checked out, but when i try to override the checkout, I am told it isnt

    Sharepoint 2010 - IE8
    I want to edit the home page of our web site:
    1. The edit button is greyed out, and the verride check out button is active
    3. Click override check out
    4. Error message: Cannot complete this action. The file "Pages/xyz.aspx" is not checked out. Button: Discard changes
    5. Click Discard changes button - page returns to Step 1
    6. Check my permissions, I have: "Site Collection administrator", "Full Control, Limited Access", given through the "<site> Owners" group.  "Limited Access"  Given through the "Style Resource Readers" group. 
    7. View page library that contains the page. 'Status' shows Approved, 'Checked out to' is blank, but Check in button is available.
    8. Click Check in button.
    9. Error message: The file "Pages/xyz.aspx" is not checked out.  Click link to Go back to site
    10. I tried to restore a previous version. Error message: The file "xyz.aspx" is not checked out.  You must first check out this document before making changes.
    11. I tried to edit properties. Error message: "You cannot edit the properties of this document while it is checked out or locked for editing by another user
    12. Went to Pages>>Document Library Settings>>Checked Out Files - it does not show here.
    Now I am stuck
    Anyone have any suggestions?

    You can go to the document library which host these pages, and click Library>Library settings>versioning settings. Here, set it to no for Require documents to be checked out before they can be edited.
    Then please test it again.

  • Prevent Search version history returning checked out results

    Hello all,
    I'm working on a Java application that uses the Content DB API.
    As part of the application, the user can search for documents, including searching old versions of documents. To do this I have used the SEARCH_VERSION_HISTORY option on SearchManager.
    For each result I compare its ID with all the versions of that document, and with the latest version of the document. However, sometimes I am getting a result returned for a document that is neither the latest version nor any previous version.
    This appears to happen when a document is checked out. For example, say I have a document a.txt, which displays two versions if I display version history in the standard Content DB interface. I then check out this document. When I search for this I will get:
    a.txt (Version 1)
    a.txt (Version 2)
    a.txt (Checked out version, which isn't returned in the list of versions for that document ID, doesn't have a version number and is not listed as the latest version)
    This is inconsistent with what is displayed through the standard Content DB interface.
    How can I detect the checked out results so that I can remove them from my search results? Any help would be greatly appreciated,

    Hi,
    You're not doing anything wrong. It's just that the results are skewed due to the large number of on page duplicates for the target key. You'll see that if you play a little with the page size, set a DbBtreeCompare and a DbDupCompare, write a variable length data portion, you'll probably get different results each time you inspect the key range statistics. This a consequence of the way keys are distributed on pages and the structure of the btree (you can look over the "__bam_key_range" method in "btree/bt_stat.c"). Note that the values you get are estimates, and are strongly influenced by the factors mentioned.
    If you want to get the real values you'll have to iterate the entire database using a cursor and call the "count" method on each key to determine the number of data items associated with that key. This way, you can determine also the number of key/data pairs in the database by adding the duplicates of each key.

  • Opening/Saving documents from SharePoint 2013 in Firefox/Chrome bypasses Check Out and Check In

    My clients have an Office365 installation with SharePoint 2013.
    When I navigate to the site in IE and click on a checked-in document, it opens in Microsoft Word with a message
    Server document  To modify this document you must check it out
    with a Check Out button alongside.
    However, if I navigate with Firefox or Chrome and click on the same link, it just downloads the document to the browser's default download location.  If I then open the document in Word, there is no
    Server document warning and it is entirely writeable and it's also lost its link to the document library.
    Is the work-around for this that one cannot use Firefox or Chrome with SharePoint, or is there some setting in these browsers that will bypass the download and load the document directly into Word?

    Does anyone have a better fix for this?  We are attempting to launch support for a second browser - Chrome - but because of the issue with Office 2010 on the clients, the protocol handler from Chrome fails to connect the requested document directly
    to the MS Office app, but rather downloads the file.  IE Tab is not an option because it then defeats the purpose of having Chrome altogether since it simply uses IE8's engine.  IE8's performance with large lists on SharePoint 2013 as well as the
    HTML5-based functionality is simply dreadful which is the primary driver for an alternative browser.
    We are aware installing Office 2013 on a machine fixes it, but that is not an option due to the current licensing.
    Hope for Chrome 31?  Firefox seems to work fine in our testing, but the organization wants to go Chrome instead of FF.
