Clear Retention Policy Tags from mailbox items

Hello Experts
I searched for this but didn't find clear answer so I decided to re word
running - exchange 2010 sp3 RU4
background - we had email retention policy applied to all mailboxes in the environment during 2010 migration project w/ retention hold enabled except for pilot batch users
there will be changes coming soon from the business regarding amending existing policy tags
currently testing this scenario
user A - policy enabled for 1 yr but on hold.. 50% items are expired
If policy gets removed from user A mailbox
question 1
how to clean existing tags from individual items in the mailbox? Can it be done or items are left like this forever
if yes, how long will it take to clear up automatically.. once you remove the retention policy from a mailbox, my guess is running MFA on demand will not do anything
question 2
Ex -if initial retention tag for inbox folder was 90 days and now changed to 270 days, during mfa re evaluation, will the "start date" be still calculated from first time message was stapmed
or when it was re evaluated again

The MFA works against messages according to their tags/policy.  If there are no policies applied to a user, the MFA will not process items for that user.

    Hello - We have E2K7 Managed Folders, we are migrating to E2K13 and will not have "Archive Mbx's". I've migrated most of my managed folders to E2K13, but ran into a couple issues:
    Issue 1:  To match E2K7, created RetentionTags like "Inbox-40 days","Calendar-530 days", etc.  Also created "Default-2years".  Added these tags to a RetentionPolicy, expected the "specific" tags to target
    Inbox, Calendar, etc and then "Default-2years" to get all there folders (unless sub-folder of Inbox, for example, sub-folder would get 40 days".  Didn't work out that way, Default is the only tag applied, so everything is 2 years. 
    I've read articles, could use some further explanation.
    Issue 2:  1 Managed Folder policy would not migrate ... Deleted Items.  We have Managed Folder policy set so that whenever items are moved to Deleted Items, they stay for 30 days, then are deleted.  Users can move them out, but they get moved
    back in by other policies, are restamped and get 30 days.  I can't find a way to do this in E2K13.  Possible?

    And for the retention tag "Default-2years", is this tag based on managed folder?
    If not, please migrate from managed folder first. After that you can create retention tag you want to apply to mailbox.
    For the second question, if you want to deleted items older than 30 days in the Deleted Items folder, you can create retention policy tag to apply to the Deleted Items folder to remove old messages.

    Based on the description, you created a retention policy tag, the type was Inbox, added this tag to a retention policy and then applied this policy to the journal mailbox. However, this retention policy didn't work.
    For this issue, first, I recommend you check if this tag is disabled. Besides, please check the application log to see if the Managed Folder Assistant has processed this journal mailbox. You can force the Managed Folder Assistant to apply the policy manually
    by running the Start-ManagedFolderAssistant command.
    If you have checked the above, I suggest you change the Action that retention policy tag performs to check the result.

    Now, with Cisco Unity, I see that the voicemails show "Expires: Never."
    The Cisco voicemails differ from UM in that instead of being *.mp3 files, they are *.wav.
    I cannot figure out a way to create a Retention Policy tag that deletes a specific file type. Any ideas?

    Those don't exist. The tags work on message class. The Cisco VMs are not the same forms as the Exchange UMs essentially.

    These are titles and in the dynamic menu will be the item description per item.
    These are actually important though and you do not really want to remove them but make them better and reword them other then the same as the link test. These are good for the user experience as well as SEO. A bot knowing a description of a link and where it is going coupled with the URL's and the title of an anchor are all important aspects of your sites SEO.

    I have exactly the opposite problem. In OWA 2013 (SP1) the assigned retention policy and the expiration date is not shown. We are in coexistance with Exchange 2010. OWA 2010, Outlook 2010/2013 are showing the assigned retention policy and the expiration
    date as shown in the first messsage of this thread. Setting "MustDisplayCommentEnabled" to true does not help. Any ideas how the information can be activated?

    When a retention policy is applied to an item in user's mailbox, the retention policy for a message appears in the header in the Reading Pane under the recipient names and includes the expiration date. If no retention policy is applied, no information appears
    under the message recipient names.
    Based on my knowledge, I'm afraid there is no way to hide it in the Reading Pane.

  • Retention Policy is not auto archiving email

    Hi, I created a new Retention Policy and attached 2 Retention Tags.
    I have a mailbox that is 18 GB and i need for all items\folders to be transferred to the same folder structure in the archive.
    The archive is presently empty, i only see a deleted items folder and the retention policy is not moving emails automatically.
    The Retention Tags attached to the policy are:
    Tag Type: Personal Tag, Age Limit for Retention 365 days, Move to Archive
    and
    Tag Type: All other folders in the mailbox, Age Limit for Retention 365 days, Move to Archive
    I also tried running the start Start-ManagedFolderAssistant cmdlet.
    Any advice would be greatly appreciated.

    For the personal tag you created as follows, and users need to apply this tag to items from Outlook side.
    Personal Tag, Age Limit for Retention 365 days, Move to Archive
    For the "All other folders in the mailbox", if you choose the option of All other folders in the mailbox, then this would be a DPT. The DPT is applied to any folder that doesn't have a Retention Tag associated with it.
    The action "Move to Archive" moves a message to the user's archive mailbox. If the mailbox user doesn't have an archive mailbox, no action is taken. So please make sure you have enabled archive on this user mailbox.
    Once a retention policy is applied to a user mailbox, then the retention policy tag for an item will appear in the header in the Reading Pane. Please check whether you can see the retention policy description when you open a message in Outlook.

  • Retention policy not removing items after 14 days?

    Hello and good day all.
    I hope some one can help with this. I have an Exchange 2013 server and i need to set a Retention policy to delete items from select mailboxes after 14 days. These boxes get automated log emails that are only needed if a problem is reported that day. Otherwise
    they are trash.  no users check these boxes and so they tend to fill up.
    The following was all done in the web interface.
    In "Retention tags" screen I have a policy called "14Days" and it is set "Delete and allow Recovery" then period is "In Days" 14
    This is then in the "Retention Policy" Screen added to a policy called "2Weeks"
    I then added this in "Mailbox Features" screen to the select boxes.
    All this done 26 days ago. I figured i need to wait the 14 days for the cycle to come around.  However these boxes still have items from September in them.  I used a command line to verify the policy is on the mail boxes.
    Some items are in the in-boxes and some are in deleted items.

    Hello and good morning.  The mystery continues.
    in event log is have items 9017 saying the work cycle started and there are 14 boxes on this data base. Then i have an event 9018 saying 14 were processed. 
    Does it matter that I have 4 Mailbox databases? the ones to have this policy are all in a single data base.
    There are no other policy's created or defined other then the ones that came with exchange that we don't use.
    I created a new policy with a 15 day retention and applied it to a box.
    Next i cleared the entire event log and then ran "Start-ManagedFolderAssistant" to force it on
    the mailbox.
    so then just to check i ran "Get-RetentionPolicyTag

    And it looks okay.

  • Apply Retention Policy to All New Mailboxes

    I have created a retention policy tag to “Delete and Allow Recovery” after 14 days of all items in the “Deleted Items” folder.
    I then created a Retention Policy to apply the tag. I see using the EMS I can run a command “Get-Mailbox | Set-Mailbox –RetentionPolicy “Empty Trash” to apply to all existing mailboxes but how do I apply this to all new mailboxes as
    well?

  • Exchange 2010 SP3 - retention policy fails to expire any messages that existed in Deleted Items prior to implementing retention policy

    I created retention policies that are working as expected for Inbox, Sent and Drafts folders. However, I created a similar policy for Deleted Items: (New-RetentionPolicyTag “test-DeletedItems-Retention” –Type DeletedItems –Comment “Items older than
    90 days are deleted” –RetentionEnabled $true –AgeLimitForRetention 90 –RetentionAction PermanentlyDelete). The messages that existed in the Deleted Items folder prior to implementing the policy do not appear to have any retention policy applied to them, so
    it appears that they will retain in Deleted Items indefinitely.

  • Retention Policy - Archive All folders to archive-maibox (including inbox and send items)

    Hello,
    with exchange 2010 we have a retention policy to archive all mail older than 2 years to the archive-maiblox using the retention policy.
    The policy is having the setting "all other folders", so this isn`t working for the folder "inbox" "send items" etc.
    What can i change to have ALL folders moved to the archive-mailbox?

    Did you means that you select "All other folders in the mailbox" as a tag type? Is right?
    If so, it will not work for the default folders (such as Inbox and Send Items..).

  • Retention Policy between Mailbox and Archive Mailbox level

    Dear All
    I have some questions about the Retention Policy between Mailbox and Archive Mailbox.
    I want to apply different retention tag on different Mailbox level. 
    In normal case , I would like apply the Retention Policy for Mailbox after 28 days moving to archive Mailbox and over 365 days to be deleted.
    And the Archive Mailbox should be liked deleted the mail over 90 or 180 days.
    But I found that the archive Mailbox is applied the same Retention Policy as the Mailbox one.
    Is it Normal case ? How can I set another retention Policy for My archive Mailbox ?

    You cannot have a different retention policy for primary and archive mailbox. The policy applied to the primary mailbox also applies
    to the archive mailbox.

  • Exchange 2010 - Archiving Policy tag (how to create dont move message)

    Hi guys!
    We have started to use functionality Archiving corporate Mailboxes.
    We have deleted all the default retention policies/tags and created 1 default which Will move all the messages which are older then 60 days.
    Soo default archive and retenetion policies are gone after deleting them.
    Now the idea is to create 1 more retention policy tag, that user would manually chose what they do not wish to be moved to archive mailboxes and stay and instead of that those messages must stay in the mailbox.
    Well we got stucked at how to create that kind of policy tag:
    any hints would be more then appreticiated.

    Agree with Ed. We can't tag an item to stop it from being moved to archive.

  • Exchange 2013 CU3 Retention Policy Not working for Calendar & Tasks

    We are currently on Exchange 2013 CU3 with Online Archiving Enabled for the user
    Default policy is set to move  all the items in mailbox which are  older than 30 days to online archive mailbox.
    Calendar and Tasks Items are also getting archived alongwith other Outlook items from Inbox,Deleted Items etc
    Followed Technet website and created RPT for Calendar and Tasks with retention disabled
    Still DPT takes precedence and move all the items under Calendar and Task to Online Archive Mailbox

    I recommend you refer to the following article, despite this for Exchange 2010, however the same applies to exhcnage 2013:
    Prevent archiving of items in a default folder in Exchange 2010
    To prevent the <acronym title="Default Policy Tag">DPT</acronym> from being applied to a default folder, you can create a disabled <acronym title="Retention Policy Tag">RPT</acronym> for that folder (or disable
    any existing RPT for that folder). The Managed Folder Assistant, a mailbox assistant that processes mailbox items and applies retention policies, does not apply the
    retention action of a disabled tag. Since the item/folder still has a tag, it's not considered untagged and the DPT isn't applied to it.
    Why are items in the Notes folder still archived?
    If you create a disabled <acronym title="Retention Policy Tag">RPT</acronym> for the
    Notes folder, you'll see items in that folder are not deleted, but they do continue to be moved to the archive! Why does this happen? How do you prevent it?
    It's important to understand that:
    A retention policy can have a <acronym title="Default Policy Tag">DPT</acronym> to
    archive items (using the Move to Archive retention action) and a DPT to
    delete items (using the Delete and Allow Recovery or
    Permanently Delete retention actions). Both apply to untagged items.
    The move and delete actions are exclusive of each other. Mailbox folders and messages can have both types of tags applied - an archive tag and a delete tag. It's not an either/or proposition.
    If you create a disabled RPT for the Notes folder to not delete items, the archive DPT for the mailbox would still apply and move items.
    When it comes to archiving, there's only one archive policy that administrators can enforce – the <acronym title="Default Policy Tag">DPT</acronym> with 'Move to archive' action.
    You can't create a <acronym title="Retention Policy Tag">RPT</acronym> with the 'Move to archive' action. This rules out using the disabled RPT approach to prevent items from being moved.
