Commas in index keywords

I tried searching on this but found no answer so here goes. I'm using RH7. I'm adding new keywords to the topics rather than the index file. I want to have commas in the index--e.g., Smith, John--but RH is not allowing that. It's making Smith the keyword with John a subkeyword. What do I need to do to make this work? Add to the HHK file instead (which used to allow commas--at least in X5, which I just upgraded from)?

Yes, you need to add the term to the HHK file using the Index Designer pod. You open it by expanding the Index pseudo folder found inside the Project Manager pod.

My guess here is that since X5 appeared WAY before IE7, it simply doesn't understand that IE7 remotely exists. Because it isn't recognizing IE7 (which you really can't expect it to) it's shifting automatically into NetScape mode.
You asked if there is a way to prevent it. I'm sure there is, but unfortunately I can't tell you how. It would require amending the JavaScript code X5 uses. As X5 is rather long in the tooth, this would likely appeal to a very select few users. The best option would be to upgrade RoboHelp to the latest version. Then again, I can understand if you aren't able to do that just yet.
If you can't do that just yet your second best option is to manually add the steps to the list. Depending on what other things you are doing, you might factor this into some batch job that does other things. Then it would be somewhat automatic.

  • How can I delete topic index keywords that are no longer associated with a topic?

    I am trying to clean up the index of an older Robohelp project before it becomes part of a merged webhelp project. I do not want to include any of its index keywords or topic keywords. I've managed to remove most of them, but I have a group of troublesome entries that refuse to go away. In fact, they cause RH8 to crash. I am running Windows XP.
    Looking at the code in Visual Studio, it appears that an instruction is pointing to field which contains "zero".  (see image below) 
    I have tried creating a new index and deleting the old index, but RH just keeps adding these topic keywords (in bold typeface) to the new index. If the keywords are no longer associated with a topic, where is RH storing these disassociated keywords? If I open the .hhk, it is empty.

    Not sure why RH crashed when deleting a portion of the topic keywords manuall
    y from the index pane, but I was finally able to remove them with the Remove Unused Keywords tool. Duh! Thanks anyway!

  • Word import/linking - index keywords and cross-ref conversion options

    Hi all,
    there are two options for linking/importing Word documents that seem to have no function. Maybe somebody can clarify what these are used for?
    * First, the option "Add index keywords to topics" in the link properties is always greyed out, even if I select this option in the project settings. When is this option available, and why would you choose it rather that creating a new linked index?
    * In the conversion settings in the project settings window, there is an option to convert cross-references to hyperlinks. But cross-refs are always converted for me even if this check box is not selected. Does this option do anything?

    I created a "RoboHelp for Word" project. I got a Run-time
    error '49': Bad DLL calling convention messge.
    I keep getting messages saying there is a problem with
    Micorsoft Word, or Unable to load Virtual Transaction Module and
    had to kill the process using the Task Manager. Obviously, I
    abandoned this approach. I did however open that project with
    RoboHelp HTML and when I imported a Word document the Index was
    created.
    Any ideas why?

  • Broken links with index keywords

    Using RH 8, I have 20 broken links associated with index keywords. can someone advise how to easily get rid of these broken links?

    I assume you are talking about links to index keywords rather than unused index keywords. If so, you have references to those index keywords somewhere inside your project. Your options are to repair the links or remove the references. If you right click on each broken link there are options to Edit, Restore and Show References which will help you find out what is going on.

    Links and I can't seem to resolve them. RoboHelp help has a topic,
    "Removing topic references from keywords" but their procedure
    doesn't work for me. If anyone has figured out a fix, let me know.

    Well, I think I got it figured out. This may not be the best
    way, but I'll share it with the community anyway in case anyone
    else needs it.
    1. In RoboHelp go to Tools > Reports > Broken links.
    2. Save the report to a text file.
    3. Close RoboHelp (it'll crash later if you don't)
    4. Find the .hhk file in the project folder (back it up
    before starting)
    5. Open the .hhk file with WordPad.
    6. Copy part of the "Missing Topic" path from the report and
    search for it in the .hhk file.
    7. When you find the keyword reference, delete everything
    between the <li><object
    type="text/sitemap"></object> tags.
    8. Save the .hhk
    Note: after doing this, I had to restart my computer before I
    could open a topic in RH without it crashing.

  • Apply Conditional Build Tags to Index Keywords?

    My client has a bespoke module for a specific customer in
    their software. There is a common Help Topic with conditional build
    tags applied to content, so that one Layout is for the standard
    product, and the Help excludes all mention of the bespoke material,
    and the other layout includes text on the bespoke module. This
    works well, except for the Index Keywords for the bespoke stuff,
    which still appear in the Index for the standard Help Guide.
    Any ideas anyone? How do I tag index keywords so they are
    excluded from a defined Layout?

    (I don't know if you ever used ForeHelp, but the Index tags
    were inserted immediately next to their tagged text, so that they
    were automatically included within the boundaries of the
    Conditional Build Tags. This also had the benefit that when
    exporting to Word, the Index at the back gave reference to the
    actual page number, not the page number of the beginning of the
    topic. Quite useful; I was thinking along those lines...)

  • Can you help with RoboHelp Version 11: WebHelp Index Keyword Sorting?

    I'm new to RoboHelp 11, and I am finding it difficult to alphabetize topics listed under my Index Keywords. When I look at the keyword topics in my RoboHelp HTML editor, they are listed in alphabetical order (see the Tools topic in the first image), but when I generate WebHelp the Tools topics are not in the correct order (second image). I believe that the problem pertains to new entries made to a converted RoboHelp Version 6 WebHelp application. Basically, I have been adding content to several old version 6-generated html files in the new RoboHelp HTML editor.
    Another issue that's perplexing is the fact that the Move Up and Move Down icons at the top of the Index editor pod, or whatever it's called, are grayed-out (not functioning). I remember with the Version 6 application, they worked fine.
    Can anyone offer any suggestions on how to get the index alphabetized? I appreciate your help.

    Just an expansion of what Rick has suggested. Binary index is only used when Microsoft HTML Help "CHM" is your primary layout. So, because WebHelp is your primary layout, Binary should definitely be unchecked. Selecting the Index file (HHK) is fairly standard for WebHelp use and it is sorted numerically and alphabetically by default. The HHK file contains all the Index keywords and their topic associations all tucked into one file, whereas adding Index Keywords using the "Topic" radio button embeds the coded reference right in the topic html file itself.
    This online help topic explains a little more about the Sorting options depending on the primary layouts and whether Binary is selected.

    This is the key paragraph:
    >>Note: The Sort command is unavailable with a binary index. The sort function is enabled only when the primary layout is HTML Help and the Index is set to Index File with no Binary Index. In all other layouts, the index remains sorted but for HTML output, the sorting of the index can be changed. Sorting enables the up and down keys on Index Pod.<<
    As you have noticed, your Index Designer view is apparently working as documented. I share your puzzlement about the out-of-sort listing in the WebHelp output shown in your screenshot. I wonder if there is some left-over crud from the ancient RoboHelp 6 code that is not converted properly and gumming up the works? Also curious if you have more than one Index in your project and if you are selecting the right one in the WebHelp Settings > Content dialog. Maybe Rick, Peter or Willam can shed some light on this?

  • How to Fix Index Keyword[colon]Subkeyword in RH 7 HTML

    I have a longstanding RH X5 for Word help project that I have compiled as Win4 Help (*.HLP) countless times. The Index formats nicely with Keywords on the left margin and Subkeywords indented beneath their respective Keywords.
    When I open a copy of this same project in RH 7 HTML (see post here), the Keywords in the Index format as expected, but the Subkeywords do not indent beneath their respective Keywords.  Instead, the Keyword plus a colon appears before each Subkeyword.
    For example,
    Reports
        Detail
        Summary
    appears as
    Reports
    Reports:Detail
    Reports:Summary
    This use of colons and not indenting prior to Subkeywords persists in all my outputs from the newly-opened RH 7 HTML project.  This is not acceptable.
    I hope that someone has the answer on how to either
    open a RH X5 for Word project in RH 7 HTML, such that either the Index Keywords and Subkeywords behave properly and show up like the first example above.
    OR
    provide a workaround short of manually editing the HTML code, to supply the Index Keywords and Subkeywords as shown in the first example above.

    I did file a bug report, referencing this forum post.  Here's hoping Adobe will fix this bug.
    I did end up editing the *.HHK file using the following method:
    1. Close RH7.
    2. Open the existing *.HHK in Notepad.
    3. Open Word.
    4. Copy the contents from Notepad into Word.
    5. Save the Word file.
    6. Close Notepad without saving.
    7. Create macros in Word that help edit the Subkeywords so they appear as unordered lists of "objects" nested right below the
    list item "object" for the main keyword.
    8. Use these macros to fix up the *.HHK file text.
    9. Save in Word.
    10. Open Notepad.
    11. Copy all the *.HHK file text into Notepad.
    12. Save the *.HHK in Notepad.  NOTE:  Save in a folder other than the RoboHelp project folder!
    13. Open Windows Explorer and navigate to the RoboHelp project folder.
    14. Rename the existing *.HHK in Windows Explorer.  (I like to change the extension so RoboHelp won't recognize it as a *.HHK
    file anymore.)
    15. Copy the updated *.HHK into my project folder.
    16. Open the RH7 project.
    I did use the GUI Index pod to make a few changes, where I found any problems in the new Index.
    So, I will keep my macros and they should help me if I ever need to do this again.
    If anyone wants a copy of these macros, let me know and I will copy them here.  They work in Word 2003.

  • Index Keywords Missing

    Hi! I need help on RH x5 index.
    Here's the problem:
    After indexing about 75% of the files in the project, I tried
    to publish and everything's working fine. After I indexed all of
    the files, everything's messed up.
    My primary layout is WebHelp. The first few index keywords
    ("$300,000" to "Forms") are displaying very well. However, index
    keywords following the word "Forms" are all messed up - some are
    not showing, some are displayed but parent keywords are missing.
    Now, when I try to publish CHM, everything's showing, except
    that they're not in alphabetical order. It shows "ZAP" on the top
    of the index, and shows "$300,000" as the last entry.
    What could be wrong? Is there a limit in file size? Or
    probably the number of entries? The size of the HKK file is 469KB.
    TIA.

    I'm no expert, but I've had my index "issues" over the years.
    I think anyone wanting to help you will want to know whether you've
    tried using the Binary Index setting in the Project Settings.
    We have projects with much bigger HHK files than yours, so
    that's not the problem.
    Have you opened up the HHK file in Notepad (or other text
    editor) and taken a look?
    We had the type of problem you described when we imported
    topics from a different project and
    those topics had keywords saved in them (instead of in that
    project's HHK file. This was caused by a bug in RH X5.
    If you did that, I can give you the workaround we used.
    (Sorry if the formatting below isn't ideal -- I'm just going to
    paste the whole thing in from a different source.)
    Warning: It is time-consuming if there are many keywords to
    fix.
    1. With the project closed, have someone with MS Access open
    its .cpd file and print out KKeywordList. From this printout you
    can see which keywords are causing the problem, because the
    problem-causing keywords have a negative value.
    2. Delete the .cpd file.
    3. Make a backup copy of rhkkeyword.apj.
    4. Using Notepad, open rhkkeyword.apj and add the problem
    keywords manually in this format:
    <keyword>
    <name>Testing</name>
    <keywords/>
    </keyword>
    Multi-level keywords are inserted as follows:
    <keyword>
    <name>first level keyword</name>
    <keywords>
    <keyword>
    <name>FIRST subkeyword</name>
    </keyword>
    <keyword>
    <name>SECOND subkeyword</name>
    <keywords/>
    </keyword>
    </keywords>
    </keyword>
    Warning: The
    <keywords/> tag occurs only once for each main
    keyword, and it occurs after the last subkeyword, if any, as shown
    above.
    5. Save and close rhkkeyword.apj.
    6. Reopen the project and click the Index tab. If RoboHelp
    fails to open or crashes, then you know there are syntax errors in
    rhkkeyword.apj. Delete the .cpd file, fix rhkkeyword.apj and try
    again.
    7. When RH's index is displaying properly, check for any
    subkeywords whose main keywords are not defined. (These appear
    bolded.) For example, if you have "batching\grouping" but not
    "batching", add "batching" to a topic.
    8. Recompile help and check it carefully.

  • RH9 in TFS Crashes When Trying to Add an Index Keyword to a Topic

    I am using RH 9 with TFS (Visual Studio 2010) on a Windows 7 64 bit system.
    My project is checked in to TFS and is running well.
    However, when I add an index keyword to a topic (Topic Properties > Index tab), and click Apply, RoboHelp crashes.
    I get the following error:
    I have other writers using RH and TFS and they don't experience this problem.
    Has anyone seen this before and any ideas how we can solve this?

    Are you adding your keywords to the Index ( .hhk ) file? Or to the topic itself?
    That may seem to be a silly question as you stated you are adding via Topic properties. You may believe that by adding via Topic Properties, you are adding to the topic itself. But where the keyword is actually added depends on your setting in Project Settings. There, you may choose to add to the .HHK or to the topics themselves.
    My thought here is that if you are using the option for .HHK file, you don't have access to the file and that may be the fly in the ointment here.

  • SNMP comm str indexing with a shut VLAN

    Hope someone can help us with the following. We encounter problems when accessing a Bridge-MIB value using a SNMP comm str index of the VLAN.
    The VLAN (interface) in question is shut. If the SNMP comm str index is used for this VLAN, the Cisco device generates SNMP authentication failure traps.
    So vb:
    VLAN 100 is shut.
    executing:
    snmpwalk -community public@100 1.3.6.1.2.1.17.4.3.1.1
    output:
    SNMP authentication failure traps
    For us the questions are:
    Is this normal behaviour?
    Is the SNMP comm string index (MIB instance) available when the VLAN inf is shut?
    If so, is it possible to enable the MIB instance eventhough the VLAN inf is shut?

    Currently, there is no existing mib object to shut/no shut a vlan.  CLI does allow user to shut down a vlan.  Once a user shut down a vlan from the CLI, there is an additional vlan status shown in 'show vlan id xyz',  yet there is no MIB objects to show this additional status.  vtpVlanState is mapped to the first value in the Status but there should be a way to show additional status.

  • Mixing Topic & Index Keywords

    We recently converted old .hlp files to .chm. When we did the
    conversion, it created a mix of topic and index keywords. For some
    reason, when we generate, only the topic keywords show up in the
    .chm. Does anyone know how to get both keyword types to show
    up?

    Can you check your help project folder for one or more index
    (.hhk) files and verify that at least one of them contains the
    index keywords that you want to add to the help file? And that this
    .hhk file is the one that you specify in your CHM project settings
    and window definitions?
    If you open the project (.hhp) file in Notepad, you should
    find that the .hhk file is referenced in the OPTIONS section...
    [OPTIONS]
    Index file=Example.hhk
    ...and in the WINDOWS section:
    [WINDOWS]
    main=,"Example.hhc","Example.hhk", ...
    The same .hhk file would normally be referenced in both
    cases, but you do have the option to create multiple indexes and
    associate each one with a different window.
    It's necessary to create a binary index when including
    keywords from both the topic files and the .hhk file, but the fact
    that your topic keywords are showing up in the index suggests that
    you're already creating this.

    Is there a way to create commit and index profiles en masse with ODC? And also Import Server jobs?
    I have a need to create perhaps several hundred specific of these, due to specific queuing requirements by a customer.
    Any pointers or insights welcome.

    There is one "Import-Export" utility provided by Oracle for dealing settings of ODC.
    May be you can create that export file though Java program which can be then imported in ODC using that utility. The format of Export file needs to be studied.

    way to configure RH to highlight index keywords in the results

    Not that I am aware of. Bear in mind the keyword does not
    have to be in the text of the topic that is found.
    Look in the wizard when you generate the help. There is an
    option to select the highlight colour there.
