Communication to the SAP user's though SAP e-mails

Hi, SAP Gurus,
can we communicate to the SAP user's though SAP e-mails that so and so SalesOrder has been issued etc.
Can we know the  procedure to be followed for this communication.

    I think FM BAPI_USER_GET_DETAIL will do. Structure ADRESS contains everything.
    If you like to display at screen - use BAPI_USER_DISPLAY.

    We have a project to change the codification of our SAP users.
    We will use the AD ids as SAP users instead of the current codification.
    We will copy the current user to a new one and close the current.
    After this operation, all the users will lost their layout variants, their user-settings ...
    Do you know if it is possible to transfer all the user-specific objects to the new user ?
    Do you know if a program exists to list all the program where the SAP user is used ?

    Dear Lynn,
    We were in SAP ECC 6.0
    We created a specific program to recreate  old users to new users based on an input file.
    We didn't rename the user to keep the old user and keep the possibility to check the complete settings of this user.
    We deleted the old user one year after.
    With the specific program :
    1/ we created the new user
    2/ we copied some settings : layout variant, workflow settings, user settings, power list settings (linked to SAP EP)
    we have the possibility to close the old user (lock and validity date) but we did it after in a second step

  • SAP User Maintenance Against SAP License

    Hi Everyone,
    I would like to ask for an assistance regarding sap user. This is the scenario: The company has Employee A which was given sap userID with corresponding roles/profiles. Correct me if I'm wrong, the sap license depends also on the number of user in sap system. On this company, they reached the limit of their license according to number of user, for example 400 user. Suddenly,  Employee A resigned. New employee came, Employee B which will replace the job doing by Employee A. If we add another userID on sap system, the number of user will be 401 which exceeded the max user based on the license agreement. One way to solve this issue is to delete the userID as well as the profiles of Employee A and create new userID and profile of Employee B. Another way is to change the userID of Employee A and used its profile to Employee B. Is there available documentation from SAP supporting the above procedure?

    Licensing is based on active users. So if you lock user A, set its validity date to the day he/she left and take away the roles and profiles this user will not count for your licenses anymore sou you can safely create a new account for user B.
    Deleteing users can cause issues in workflow related proceesses and troubles searching in change documents. There have been some discussions about this in the Netweaver forum.

    Hi,
    I do not think that will be possible. You can recreate the same user-id though, and he/she shall be able to carry on (get the workflow items, inbox, transport requests and so on, of the earlier user-id).
    It maybe possible to search CDHDR and CDPOS tables to get some details of user deletion.

  • How to change the sender user id of workflow

    Hi,
    From our system workflow three mails are sending to different recipients. Two mails are sending through WF-BATCH user and another one mail is send through ADMINU user. Now we want send other two mails also should send through ADMINU user only not by WF-BATCH.
    We know that WF-BATCH is the standard user provided by SAP will send mail through workflow. but how to change this user.
    In ECC 6.0 we could see the transaction SWNCONFIG to make changes for sender. But in 4.7 that transaction is not there.
    So could you please tell me, how to change sender of workflow mail from WF-BATCH to ADMINU.

    What email address do these emails come from? What's different about the case where it comes from ADMINU?
    If you search this forum for WF-BATCH you'll see many similar questions.
    My response is to have a dummy foreground step beforehand assigned to the user that you want sending out the mails ; the next background task is usually run under the same username.

  • Provision UserID/Password from SAP Ssyetm to Non-SAP System

    I have a requirement to be able to provision UserID & Password from a SAP ECC6 system to a non-SAP thick client application.  All interactions between ECC6 & the non-SAP Application will be via SAP PI.  (SAP EEC6 <-> SAP PI <-> Non-SAP App) 
    Our landscape includes:
    SAP ECC6
    SAP BI
    SAP PI
    SAP SOLMAN
    SAP Portal
    non-SAP App
    SAP IdM has been ruled out due to budget constraints, Active Directory is not suitable due to the requirement that the non-SAP application must be able to authenticate users if the WAN/LAN is down.
    Yes, we could simply maintain the users in both systems, but for the time being that has been deemed not appropriate.
    I have thought about using CUA on SOLMAN to provision to the SAP Systems & then use SAP PI somehow to provision to the non-SAP App, but I have no idea how to pass the raw user password through SAP PI.
    If anyone has any ideas or can point me to links where I can do further research would be much appreciated.

    The search term "password AND synchronize" will help you further to find "flamewars" from the past.
    You cannot send "raw" passwords from CUA, as the password is represented by a "one way" hash which is not decryptable by mortals, but rather the "raw" password is encrypted and the hashes are compared locally. Non-SAP systems cannot do this... (bar trial-and-error).
    A better option would be to use a SSO mechanism. This is very easy within SAP.
    For bi-directional authentication with non-SAP you will face some challanges...
    The easiest option is to re-use a PKI certificate based authentication or re-use the native Kerberos authentication available for Windows bases PCs.
    In the SAP --> non-SAP direction you can consider using a verification library to extract the user name - but that is not "state of the art" and if such a UID should be encrypted then have fun...
    In the non-SAP --> SAP direction you are best off forgeting about the infrastructure trust or worste-case-scenario is a password sync. Rather re-authenticate the caller using a realm which already exist.
    Active Directory is not suitable due to the requirement that the non-SAP application must be able to authenticate users if the WAN/LAN is down.
    I would consider an application specific password self-service as a failover only and go for the AD or an "identity provider" which your applications trust as a service.
    If your AD or entire network goes down you will probably be in bigger trouble than passwords... so you should not expose "raw" passwords during normal operations for this eventuality...

I repeat that each user that logs on uses the same user name and password but on different computers.

    Historical.  They were created before BADIs and CMOD user exits were invented.  The other "old" user exits in SD are the user exit forms.

  • Best practise for SAP users who leave the company

    Could anyone reccommend a best practise document or give advice on how to deal with SAP user ID's when employee's/contractors/consultants leave? I am the basis admin just starting an SAP implementation and we have no dedicated authorisation team at the moment, so I have been asked to look into this :
    Currently we set the validity date in SU01 to the termination date.
    We chack there are no background jobs scheduled under that user id, if there are, we change the job owner to a valid user (we try to run all background jobs under an admin account).
    We do not delete the user as from an audit point of view I believe it restricts information you can report on and there are implications on change documents etc, so best to lock it with validity dates.
    Can anyone advise further?
    We are running SAP ECC 5.0 on Windows 2003 64 Bit/MS SQL 2000.

    Different people will tell you different versions of what they believe is best practice, but in my opinion you are already doing reasonably well.
    What I prefer is
    1. Lock ID & set validity date.
    2. Assign user to user group LEAVER or EXPIRED or something similar (helps with reporting) out of SUIM/S_BCE* reports.
    3. Delete role assignment (should you need it, the role assignment will be in the change history docs anyway).
    4. Check background jobs & act accordingly.
    For ease of getting info I prefer not to delete the ID though plenty of people do.

    When I go User Classification Display screen, under Contractual User Type column all my 150 users are marked "Operational" but for those which I defined as System / Communication User are defined any contractual user type.
    What does it mean??

    For SU01 role removal, you do not need S_USER_AGR with 02, and as you mentioned both authorizations available in production, if so trace should not show you the S_USER_AGR with 02 with RC=04.
    I would recommend to do role comparison for the user performing the activity. and then check if you have the S_USER_AGR with 02 in user buffer SU56.
    But ideally it should not ask you S_USER_AGR for 02 through SU01, so please take help of abaper to debug it.
    Also put trace in non-prd to see if S_USER_AGR is getting checked with 02 for removal through SU01.
