Confirmation ending in Awaiting for Approval Status

Hi Experts,
The Confirmation of Goods receipt was working fine till last month. Now For some PO's Confirmation is going to Awaiting for Approval status this is happening only for few PO's and for others PO's Confirmation is happening properly and the status is Posted in Backed.
I observed that Workitem ID is not created for those confirmation's which are in Awaiting for Approval Status.
Please help me resolve this issue.

Hi,
First point if you make a GR confirmation means the PO change version will be generated and the PO workflow will restart for the PO change version.
Goto BBP_PD and enter PO number check the PO change version is closed or not. If it is not closed then PO change version workflow will be in Error. If it is in Error then GR confirmation workitem will not be genrated.
all these things will happen because of if you create a GR confirmation or any changes made to PO when the PO status is still in Transfer status.

Hi Gurus,
while confirm the goods/service when try to check the document i am getting a message as the document is free from errors but when i click on confirm the history is showing as " waiting for approval" but when i go to item details and click on approval button it is showing as "error in process".
Has anybody experienced this type of problem?.

Hello Mahesh,
You can verify the status of the Confirmation document through BBP_PD transaction.
The confirmation status if the Awaiting approval should not yet checked.
hence please check the status of the workflow related to the same confirmation in swi6 TRANSACTION.
Try to complete the Workflow manually if the workflo is stucked.
Then verify the status of the docment

SC status is still in Awaiting for Approval Even after PO and confirmation creation.

We have SRM 7.0 with Classic scenario, Here we have strange case where for One SC already backend PO created and Confirmation is done. Still SC status is showing as Awaiting for approval. Kindly Help me to solve this issue.

Hi Basu,
What is the workflow framework that your are using. Is it application controlled workflow?
1. Go to T code BBP_PD and check if the workflow triggered for the shopping cart is in in-Process status. If it is in in-process status copy the header workitem and go to T code SWPC , remove all the values displayed in the selection screen just enter the header work item ID and execute. If you are able to see any entry after execution select it and click on continue workflow. this will fix your problem.
2. Check in transaction SM58 to see if there are any failed entry on the day of shopping cart creation , if there is any entry in failed status please reprocess the LUW.
hopefully any one of the above steps will fix your issue.

Shopping cart in status awaiting for approval

Scenario is
case 1 SC is created and ordered, but status is having awaiting for approval.
when we did dummy changes in SC and ordered, then we got approved stattus.
my problem why in first case work flow is not started .

Hi,
When you ordered the cart first, did you check if a workflow was started?
BBP_PD -> SWI6
If a workflow was started then expand the workflow in the technical workflow log to see if there are any errors in the log.
If the workflow was not started then check with the start conditions to see if they match the first cart cart. Refer to note 322526 for other checks to carry out.

After Rejected still Status 'Awaiting for approval'..

Hello Friends,
I am in SRM 5 and SP07..
After SC has been rejected.. The status shows awaiting for approval but inside when i click on the item the status shows 'Rejected'.. And the workitem is not come to back to requestor inbox inside of that the next level approver pull out from the list and error message through as 'Approval step without ad-hoc capability.no preview possible'..
I am using n-step Badi with WS14000133..
and also i checked in SWI2_FREQ with TS10407972.. in the Agent 'No agent Available' but i can see the created_by cointainer has got filled with 'USJOHN'.
please give your thoughts..

but we were on 4.0.SP08
surprised for 5.0SP07 this problem is continued
you will get a note from SAP to apply
the note which we got may not be applicable to you

Shopping Cart is awaiting for approval even it is not needed.

Hello friends,
I am implementing SRM 5.0 and i am facing problem related to approval of shopping cart.
Even the shopping cart does not need any approval the status is showing as
it is awaiting for approval.
When i go in to detailed through transaction sw2i_freq the system status is in " error".
What could be the possible reason for this situation? .
i am using SRM 5.0 with service packe 6.0.

If the error message is like Error when processing node '0000000241' (ParForEach index 000000), check the note 962488 "Workflow definition '&' not in version '&'".

Shopping cart awaiting for approval

For the documents shopping cart, RFX we dont have any approval proceedureonce the shopping cart is created it gets auto approved.
But for the documents in the approval tab shows automatic approval for the documents, but in the query report for the the document shows awaiting for approval.
Can you guide me on this

I am facing the same issue in the ECS SRM 5.0 after approving the shopping cart the PO created in EBP but the WF status is waiting and PO is not transmitted to R/3. Below is the status of SC and PO in BB_PD. Kindly suggest what could be the problem where i can analyze.

PO Awaiting for approval

We are on SRM 5.0 , configuring Extended classic scenario. After SC is approved , even if I assign the vendor while creating the SC , it always creates a incomplete PO and it is in Held status. When Purchaser Logs in and Process the PO, add the vendor and order the PO, it always says that "Awaiting approval". I have configured the "No Approval Workflow" for PO, but still it goes for approval. When I check for the approval inbox, a work item "Create PO" appears in my inbox. I could not process the workitem only forward button is available.
Please help me to solve this issue.

Hi,
Go to the transaction SWU3 and check ---> Maintain Runtime Environment and observe all green ticks.
You will find a list of all scheduled background jobs XXXXXXXXXXXXXX. Execute each and observe the jobs for different activities.

Observe whether all automatic workflow customizing is active and green green.
or,
Go to SM37 and put SW* all related to Workflow.

Change Ordered to Awaiting for Approval

Hi,
I have query regarding the SSP PO Approval.
Work flow for approval of the po dint went to any approvers inbox, but Po was automatically approved. Even though we have made many changes so that PO will come ack to Awaiting Approval. But with in seconds it was changing to Ordered.
What were the posible errors & what are the corrective actions to be taken.
Please give ur inputs.

Check in BBP_PD the workflow that has been triggered.
Then, check in SWB_COND the workflow start condition for event CHANGEVERSIONSAVED for BUS2201.
Start condition for change version should not be fine.

Shopping cart is awaiting for approval even it does not need

Hello friends,
I am doing configuration to srm 5.0 .
my shopping cart is waiting for approval even it doesnot need approval.
Even when i create direct material purchase order the PO is going to approval.
i have clearly defined the start conditions.
what could be the possible reasons for this situation.

I am using simple starting conditions based on price less than 1000 euros.
I have done the same configuration to SRM 4.0 also based on prices.
I have activated workflows for shopping cart
1.with out approval
2.one step approval
I have followed the configuration document carefully.
Could you suggest what could be possible other reason.

Shopping cart not editable when status is "awating for approval"

Hi SRM Experts,
All the shopping carts which are "awaiting for approval" can be editable as per SRM. I am not able to edit any shopping cart which is awaiting for approval.
Please note that there are no follow on documents have been created.
Is there any settings we need to do for eanbling the change icon in shopping cart.

Workflow for Approval of Appropriation Request

Dear experts,
I have been working on Workflow for Approval of Appropriation Request.
Even after carrying out all the required configuration, the process is not working. Following are the symptoms:
When appropriation request is submitted for Approval, I am maintaining user ids of approvers in the Partner field.The moment I click For Approval status the Approve Button is deactivated.Even when I log in from the Approver's user ID the button is Deactivated.
When I check the Business Workplace Inboxes of Approvers there are no Workflow related mails.

Have you maintained all the configurations related to Work flow in IMG? like activating event linkage, assigning agents, approval schema etc...
Also, have you maintained the workflow automatic configuration in transaction SWU3,
you have to maintain the following:
1. create a user id WF-BATCH, user type system and maintain a password for this user (seek BASIS team help for doing this)
2. Assign SAP_ALL & SAP_NEW in user profile tab.
3. in SWU3, under Maintain Runtime Environment --> Maintain Workflow System Administrator , select line and click on execute button, select user - WF-BATCH, save and back.
4. then in the same screen select *Configure RFC Destination * click on execute, system prompts with the user id mentioned in the above step, you enter the password mentioned in the first step, click OK.
5. now select *Maintain Runtime Environment * click on perform automatic configuration button (f9).
6. Ensure that the option Maintain Runtime Environment turns to Green tick mark.
7. select Classify Tasks as General click on perform automatic configuration button (f9).
8. Ensure that the option Maintain Runtime Environment turns to Green tick mark.
Now can go to transaction SWDD, on the left side of the screen, in the field WORKFLOW enter this value* WS00300022* press enter. Click on test (F8) button.
In the Test Work flow screen select BUS2104 line, it shows a new line at the bottom of the screen with the following options:
Object type: BUS2104, Key:
You enter the appropriation request number in the field key (you cannot directly enter value here, choose drill down option (f4) then a new window pops up, enter the approp request number, click ok.
then click on execute (f8).
Now you can check in the approver's business work place under Inbox - workflow.

When an approval status is set to a number , then what does it signify.
For eg.
In a condition step, if approval status = 15 or approval status = 2 then what does it signify.
how do we understand that what is the value which has to be assigned for approval status.

In SRM 5.0, there is an include which identifies the various values that Approval Status (and other things) can have.
These can be found in the function group BBP_WFLH in the include BBP_WFL_CON.
If you are on SRM 5.0, this might be helpful to know.

SRM 5.0 Confirmation in Awaiting Approval Status

We have the confirmations in "Awaiting Approval" status.
I had checked the following steps but still the status remains as-is.
1. Transaction SWUD
2. Enter workflow WS10400010, press enter
3. Execute 'Test environment'
4. Check 'Including subworkflows'
5. Execute 'Consistency check for components'
There are no errors for BUS2203 (Confirmation business object).
I have cross checked the BUS2203 for WS10400010 Active Status is both T-Codes SWETYPV and SWE2.
We had a previous issue of BUS2203 with some errors and that went away after following steps in OSS Note and SDN comments. Note 962488 - "Workflow definition '&' not in version '&' (WD 401) and SDN.
WS10400010 is No Approval Workflow for confirmations that is active and classified as General Task.
Can you please advise on this status issue?

Please analyse the Workflow log from SWI2_FREQ. I think you can check this issue in SRM forum. I think this is discussed.
