Considersation of Exchange Online services

We are considering using Exchange Online Service for replacing our legacy pop/smtp email hosting service from our ISP. For that we want to review the performance of the service and issues we need consider.
1) our users are using outlook 2007/2010 for email. After change to Exchange Online service, can we still use outlook for email? How we should connect to the new Exchange Online Service?
2) Bandwidth required for the exchange online service for 30 users?
3) Some of our colleagues need travel to ASEAN Countries, Middle East, Greater China, Korean, Japan,etc. Do that need access thru servers in Hong Kong (where our office locates)? Can the Online Web service be used in those countres?
4) Now user are archiving their emails into Outlook Data file (.PST), how should we do the archiving with Exchange Online service? some of the users receiving 10GB email per year and we possible need keep them for 7 years. Any suggestion?

1) You can, but you need to update them and run the Desktop setup from the Office 365 portal. Configuring the account is usually done by Autodiscover, so all you need to do is enter username and password. Here's an example article:

2) Well it depends on the usage of course, but overall it will not be that different from your current setup. Higher latency yes, but that will be compensated by using Cached mode. Here's a general article with information and troubleshooting tips for network

3) It can be accessed from anywhere, unless specifically blocked by ISP/government.
4) You get 50GB by default, if you need more storage you can get the Exchange Online plan 2 license, that comes with unlimited archiving. There are advanced legal and compliance features that can meet most of the requirements for large enterprises as well,
so you should be OK. And if you need to keep mail for people that have left the company, you can just use Inactive mailboxes for free:

The biggest 'gotcha' is the fact that there is no point-in-time backup in O365. You as the administrator will be responsible for making sure an item is preserved when needed, or recovering items that the user removed by mistake. As mentioned above, there
are a lot of features that can help you with that, so you should have no problems if you are prepared. But it's worth explaining to the users that you might not be able to recover "that message I deleted 6 months ago".

    I wish to opt for exchange email online service frm microsoft for my personal hosted domain name.
    As you may be already aware that all other emails have the option of POP or IMAP setting.I currently have POP enabled for my mail accounts.I understand that this does not give the advantage of uniform syncing on all devices.
    But it gives me an advantage which i need.I have the same email account configured on 3 devices..a laptop,a desktop and a smartphone.The desktop is managed  by my office.Since it works on POP any changes made by them is not reflected on my laptop/phone.
    Let me know if this same option is available somehow if i migrate to microsoft exchnage mail service.I will be using outlook on desktop.Is there any feature on outlook to do the same or in exchnage mail itself.

    If you have Exchange Mail Service, besides the POP and IMAP service, you can also have Exchange account which have more powerfully features. Comparing with the POP, and IMAP, the
    data files are all stored on the Exchange Server Database. You can access it anywhere with any clients like Mobility, Outlook Anywhere and Internet Explorer (OWA).
    When you use Outlook to configure the Exchange account, you can also have business features like Calendar, Out Of Office notification, Meeting Room free time finder and ect.

  • Site mailboxes with Exchange Online?

    Hi All,
    We would like to use Site Mailboxes with our On-Prem 2013 Ent deployment. In addition to our On-prem deployement, we also have the full O365 suite including Exchange, SharePoint, Lync, etc.
    Question: Can we use Site Mailboxes in our On-prem environment, connected to Exchange online?
    The tables at the bottom of the following article indicates that SharePoint Online must be included in the O365 subscription, but the notes are not clear as to whether it is a requirement to use the SharePoint Online instance of SharePoint or if we could
    use our On-Prem instance.

    According to your post, my understanding is that you wanted to use SharePoint 2013 on-prem and Exchange online for Site mailbox feature.
    I’d like to briefly introduce the Site mailbox creation in SharePoint online at first. The Site mailbox is enabled by the site collection admin and the whole creation process is finished from the background. For the users who want to access the Site mailbox,
    it requires the SharePoint online users to also have the Exchange online licenses.
    In SharePoint on-premise, the Site Mailbox requires Exchange Server 2013 is mentioned in this SharePoint Server 2013 instruction:
    Configure site mailboxes in SharePoint Server 2013.
    Since Exchange on-premise includes more features and capabilities than Exchange online, I’ think it’s not feasible to integrate the SharePoint on-premise to the Exchange online service for setting up the Site Mailbox feature.

  • BlackBerry Enterprise Cloud Services - MS Exchange Online Plan 2 - Support for Legacy 7.1 Devices and Costs?

    Hello.
    All questions below relate to the MS Exchange Online Plan 2, and BlackBerry Enterprise Cloud Services (BBCS).
         -  How much does it cost to install the BBCS service?
         -  Is there support for legacy 7.1 BlackBerry devices?
    I have searched online for these answers but I've been unsuccessful answering these two questions. I'm aware that BBCS is available
    for the Exchange Online Plan 2 but I cannot confirm if there is a fee. Likewise, I've been unable to find out if legacy 7.1 OS BlackBerry devices are support on BBCS.

  • Delivery delayed possibly because of Exchange Online issue with DNS check

    I'm troubleshooting extremely late (3+ days) delivery emails FROM a domain hosted by Microsoft TO systemid.com.  Microsoft Remote connectivity analyzer
    https://testconnectivity.microsoft.com/ shows that it cannot get MX record for systemid.com.  HOWEVER, other tools like Mxtoolbox (http://mxtoolbox.com/) shows the
    MX lookup is successful.
    When sending FROM Google / Yahoo to the same email address at systemid.com, the emails go through right away.
    I was able to reproduce the issue by sending an email FROM my personal Hotmail email to systemid.com.  The next morning I got a delayed Delivery Status Notifcation:

    I think the root issue is that Exchange Online does not like something about MX record for systemid.com, although other tools say the MX records are fine.
    Can you see why emails from Hotmail or one of your Exchange Online customers cannot reach systemid.com although emails from Google / Yahoo go in just fine?  Please PM me if you need the name of the domain hosted by Microsoft or an email address at systemid.com
    for testing.

    If you open a service request via your O365 tenant, and explain the issue, they'll respond quite quickly.
    I've created some tickets at O365 support for about the same problems in the past, and you usually get a call from an EOP/EO engineer the day after.

  • Outlook 2013 with exchange online account disconnected, tryin to connect for hours or indefinitely

    I posted this in another forum (office 365) and was told to copy it here as it wasn't an office 365 issue so here is what I posted there:

    Let me see if I can clarify better. This issue has been ongoing as long as I have worked for this client (I started in January but have been told the issue has been going on since before November of last year). The client has multiple construction sites
    and its headquarters. There is a remote desktop server setup with a public IP address for the users "in the field" for accessing network resources at headquarters. At major construction sites (currently 3) they have high speed internet service installed
    since the projects typically are 1+ years to complete. So at current times we have the following:
    Main office:
    Remote Desktop Server with logins for all employees
    Main 2012R2 server
    50MB/s internet connection via CenturyLink ISP
    Site 1:
    3 main users of computers. 1 constant user, 2 minimal use users. All 3 have experience the issue 3+ times a week
    Comcast 50MB/S ISP
    Site 2:
    3 Main users of computers. 1 constant, 2 medium use users. All 3 experience the issue 3+ times a week
    Comcast 50MB/s ISP
    Site 3:
    4+ computer users. 1 constant, 2 medium use users and the rest check email couple times a day. They also experience the disconnect issue 3+ times a week
    15 MB/S DSL from CenturyLink ISP
    There have been instances where (as examples) user 1a called me to tell me it was happening. Users 1b and 1c were not experiencing the issue. I was able to use a remote tool called Teamviewer to connect to her computer. Once connected I tried to open OWA
    but it would not connect. I tried to ping the site and could not get a response. To verify I remoted into user 1b computer and his outlook was still connected and pinged fine. Both users being at the same site are on the same network. Had user 1a remote desktop
    into the RDserver at the main office. Remoted into the server at the office her outlook on that machine connected no issues (in my mind rules out account issue?).
    I don't believe it is network related due to the other computers working fine and being able to connect to her computer indicated to me that her NIC was fine. I don't think it was her account because it worked fine from the RD Server plus email service to
    iPads/iPhones continue to work without issue. Once the computer is rebooted everything works fine for a while (could be hours, could be days).
    Now to answer the questions for you:
    1. it happens to all computers not at the main office but happens at random times to them. It also does not affect every computer at a remote location. It could be 1 or it could be multiple computers at the same time.
    2. Affected users iPhones, iPads and outlook 2013 pro session on the RD Server at the main office continue to work no issues.
    3. They cannot get to OWA on their machines when in that state, however can log into OWA on another machine plus the answer to #2 above.
    4. It is all users at those locations, however I have experienced it myself at my house 1 time since January (I have a different exchange online plan/company than the one I am discussing in this post). The issue is random and it is uncertain if it will correct
    itself if left sitting long enough (longest time it has been left is about 20 minutes or so) however even 20 minutes is a long time to wait for the service to return so users just reboot.
    Please let me know If you have any solutions/ideas.

    I go along with you. Since the affected account could connect to other clients without issue , it indicates Office 365 account is no problem. And other computer were working fine and can connect to her computer, it shows the network environment does not cause
    the issue. In this situation, the issue should relate to the specific Outlook Client. However this forum mainly focuses on Office 365 online services, to get more accurate responses, it’s suggested that you raise the problem in the Outlook forum. If they got
    any result and you need further assistance from Office 365 side, please feel free to let us know.
    In addition, about “I have had the users try to use OWA when it gets disconnected but they cannot get to that URL either. IE comes up with page not found”, I’d like to collect some information:
    1. Does the issue only happen to IE? Have you tried logging in other browsers using the OWA address (like Chrome or Firefox)? Does it work?
    2. Does only this user have the issue? Does it happen to other users?
    3. Which version of Internet Explorer browser does the user use?
    4. Could you provide us with the whole screenshot of the error message? You can post screenshots in our forum by clicking Use rich formatting and selecting the Insert Image icon.
    Also, please try the following steps for troubleshooting:
    a. Clear the IE caches and cookies when you log into Office 365 again.
    b. Use the InPrivate Browsing of Internet Explorer to login.
    c. Reset Internet Explorer’s settings, and try again.
    d. Try to login in another network environment.
    If there is any update, please let us know. I ’ll keep on monitoring this thread.

    As of today we still randomly experience this disconnect issue. Just today I had my test user call me to say she was disconnected. She is in location 2 where I have a test laptop also setup with her logged in. When she called I had her check the test laptop
    and the outlook profile on that machine (same network) was still connected while her computer was not connected. I had her run the online analyzer tool on her machine (the one that would not connect) which ran for almost 2 hours. The tool finished right at
    the same time that her outlook finally connected back to the server.
    If anyone has any ideas/solutions please let me know.

    Oddly enough my computer is right at this moment in this same disconnected state. Outlook shows an exclamation point in a yellow triangle. Its state is disconnected. If I go to portal.office.com I get to the login page but get page can't be displayed after
    entering my credentials. I tried using google and found this for login

    I just finished migrating a client from Google Apps to Microsoft Exchange Online using the IMAP option in the Microsoft Online Services Migration Tool.  
    I added the mailboxes by creating a CSV file [i.e. GoogleApps(Gmail)_Mailboxes.csv] in the following format:

    Additionally, I had to tell the Internet E-mail Mailbox Migration Wizard to use the "Individual Account Credentials" option since I was able to specify each account password in the CSV file when adding the mailboxes to Microsoft Online Services Migration
    Tools console.
    Just to note, the users had to manually export their contacts to a CSV file and calendars to iCal (ICS) files in order to import those items into Outlook.
    I hope this will benefit others since Microsoft doesn't seem to have a custom, specifically defined migration strategy for this scenario.  With Google Apps being in direct competition with BPOS/Office365, I assumed that Microsoft would have a simple
    strategy using something like ActiveSync to facilitate the migration of email, contacts, calendar entries, etc.  Hopefully we'll see something along those lines become available in a future release of the migration tools.

  • VSS timeouts on Hyper-V guest, Exchange Replication Service, CU5

    I'm having a problem with a Hyper-V guest that is running Exchange 2013 CU5.  I will say I have had issues with this VM since installing CU5.
    Note:  I am doing a backup from within the VM guest, not from the host.
    The scheduled backup takes a long time to complete, an entire weekend to backup 150GB to an ISCSI disk.  In addition the CPU time is very high (58%) while this is happening.  Attempting to open the backup manager window consistently makes the CPU
    time hit 99%.  When this happens Outlook clients will fail.  When backup manager opens it will continually say "Reading data; please wait..."  If the backup manager happened to already been open, the backup job will say "Volume
    1 0% of 4 volumes."
    The processes taking up the CPU time are Microsoft Volume Shadow Copy Service  (24%), Microsoft Block level backup service (62%) and virtual disk service (12%).  Memory use always hovers around 65%.  If I attempt to kill the processes with
    task manager, there is no change.  If I use the kill executable it will say the process is not running.  I cannot stop the corresponding service either.  I cannot stop the backup.  I cannot query vss writer status.  I cannot restart
    the ISCSI service (device in use.)  Restarting the NAS that contains the ISCSI target does nothing.  The only recourse is to restart the server.
    If I restart the server and start a backup fairly soon after, the backup completes normally, in about an hour.  During a normal backup CPU usage is at about 30%.  The Microsoft Volume Shadow Copy Service runs at 0% CPU time as well as the virtual
    disk service.  The Microsoft Block Level Backup Engine runs at 10% CPU time.  The scheduled backup is set to start at 9:30pm.  I have also tried changing backup times.  If I restart the server at 4 am and do not run a manual backup, the
    scheduled backup performs poorly.

    I will add also the following issues I have been experiencing ever since installing CU5:
    1 Version buckets threshold easy reached.  Had to modify threshold and set limits on email size. Sometimes still happens.
    2 After a restart of the server, the server may have no, or limited connection to the network.  It may or may not have an exclamation point on the network icon.  If there is no exclamation point, it can ping other network resources, but inbound requests
    and pings, will fail.  The event log shows that the network should be available while booting, but it's not since it cannot communicate with active directory.  The fix for this is to disable/enable the network adapter and then all is well.
    I really need some help figuring this out.  Again, never had an issue with this server prior to Exchange 2013 CU5 being installed.

    It mentioned that with turned on Exchange writer, we will fail to do system state backup and Exchange backup at a same time:
    The Exchange writer may cause conflicts with the information store backup feature of the Backup utility. The information store backup feature uses online streaming to back up the Exchange databases. If the Exchange writer is registered, the Backup utility
    may log errors if you try to back up the system state and the Exchange information store at the same time. (For example, the Backup utility may log Event ID 8019.)
    In order to confirm if it is the cause, please test to:
    1. Create a backup-once task to backup only a simple file - this is a quick test to confirm if Windows Server Backup is fine or not.
    2. A second backup-once task to do a system state backup without any exchange related information.
    3. If both failed, please test to disable Exchange Writer and redo test 1&2.
    It will take us some time on doing these tests. The reason is to figure out if it is Exchange related or not. I'll continue discuss with you if any new clue is found.

  • Exchange 2010 to Exchange Online migration Error

    Hello,
    I am in the middle of an Exchange 2010 to Office 365 cutover migration and i keep getting errors when trying to create a migration endpoint on Office 365 hence the migration can't progress. 
    I have sucessfully completed step one which is to verify the on premises domain and the Office 365 domain but it seems i am stucked on connecting with Outlook Anywhere using each available method on Microsoft Remote Connectivity Analyzer.
    The first error message that i am getting when connecting through Microsoft Remote Connectivity Analyzer is that the
    "The certificate chain could not be built. You may be missing required intermediate certificate". On a side note, this works on internal LAN and Outlook clients are able to connect using autodiscover.
    The second error message i get, is when trying to connect using "Test-MigrationServerAvailability -ExchangeOutlookAnywhere -Autodiscover -EmailAddress <email address for on-premises administrator> -Credentials $credentials"
    on a Exchange Online Powershell session i am getting:
    "The migration service failed to detect the migration endpoint using the Autodiscover service."
    I just can't understand why the Autodiscover tests won't pass. I am aware that Microsoft Remote Connectivity Analyzer would show error because it misses the root certificate but what should i do in order to have it running properly?
    Please note that i am using an internal CA-Server which is the Exchange Server it self so i have self signed certificates. 
    I wonder, am i missing the big picture here?
    For the migration endpoint/batch to work, is it mandatory to have a valid certificate or to be able to use autodiscover?

    You need valid publicly trusted certificate to create the migration endpoint. You can get one for free from sites like startssl or comodo.

  • Exchange online and Exchange 2010 on-premise calendar availability

    I am running a hybrid exchange 2010 on-premise and online exchange environment.  The online exchange users cannot see calendar availability of anybody on premise.  The on-premise users can see the online exchange availability.  I can see the
    calendar if the calendar is shared, but trying to setup a meeting or calendar appointment still shows the unavailable through all days.
    All of the users are using office 365 for outlook on premise and exchange online.  If it is only working one way, could it be an autodiscover issue where it is not configured correctly on our on-premise exchange 2010 or online exchange?  Which
    side would be causing the issue?

    I am not sure why we have that value for the OriginatingServer.  That server is a backup domain controller, not the server that houses the on-premise exchange.

  • Calendar Sharing between 2 organisation Exchange 2010 SP3 and Exchange online with Federation Trust.

    Hi...
     Our company is running Exchange Server 2010 SP3 Standart would like to have Shared calendar with organisation running with Exchange online.
     We made a Federation trust between organisations and I checked that one certificate was installed and the rule for their domain was created. but when I try to share my calendar I always receive.
    "Calendar sharing is not available with the following contacts because of permission settings on your network."
    Name I took from GAL or input manually and always same. Forgot to mention that we migrated from Exchange 2003 to 2010 SP3 and all old exchange servers I removed. I tried everything that I know and read and nothing helped.

    In EventViewer everything seems to be fine....
    No errors on policy creation... How can be checked this permission
    settings on your network they are on exchange on in DC ? 

  • Hybrid Deployment - Migrating from Exchange Online to On-Premise Exchange

    I'm migrating from Exchange Online to an 2013 On-Premise Exchange. 
    Hybrid Deployment has been set up and configured successfully. 
    However, I'm encountering issues while performing a mailbox migration to the on-premise server. 
    It's has been stuck at validating and reflecting a MigrationTranscientException Error.

    First Check  is the MRS proxy is enabled or not and restart the Microsoft Exchange Mailbox Replication service and
    IIS on Hybrid .<o:p></o:p>
    As now Microsoft has change the procedure to roll back the mailbox from O365, please follow the below mention Step<o:p></o:p>
    Moved the affected user's mailbox to the Hybrid Server from Office 365 <o:p></o:p>
    Connect to Exchange Online using remote PowerShell<o:p></o:p>
    Ran the command
    $Credentials = Get-Credential<o:p></o:p>
    Ran the command
    New-MoveRequest -identity <e-mail address of the affected user> -OutBound -RemoteTargetDatabase "Name of the Datbase" -RemoteHostName <Your Host Name> -RemoteCredential $Credentials -TargetDeliveryDomain <Your Target Delivery Domain><o:p></o:p>
    Ran the command
    Get-MoveRequest -Identity <e-mail address of the user> to check the status of mailbox move<o:p></o:p>
    once the mailbox move from Office 365 to Hybrid Server was completed then initiated a Mailbox move from the Hybrid Server to On-premise server <o:p></o:p>
    Mailbox was moved successfully from Hybrid Server to the On-premise server .<o:p></o:p>
    checked in the On-premise server 2007 and the affected user's mailbox was showing there<o:p></o:p>

    We need to set up a hybrid server to allow us to begin moving mailboxes to Exchange Online. We created a new Server 2012 R2 server with Exchange 2013 SP1 to act as our Hybrid server. Reading the literature leaves me with questions about what
    certificates I need.  My understanding is that the certificates in play on the on-premise Exchange 2010 servers don't need to be changed.
    I've looked at the TechNet article "Certificate requirements for hybrid deployments"

    Certificate requirements for the new Exchange 2013 SP1 server are still unclear to me, I think the new server needs a SAN certificate with:
    Hybridserver.domain.edu
    autodiscover.domain.edu
    EWS.domain.edu
    Can anyone clarify?

    Cert is required only if you want to deploy ADFS for SSO.
    Otherwise you can use your existing Cert for all the Services

  • How much access does an Exchange Admin have to their servers in Exchange Online?

    Hello, my company is looking at moving our Organization to Exchange Online, and I have only begun researching what this means for me as an Admin.  Does the on-premise Exchange Admin still have access to create/configure objects such as  DAGs
    and Databases and use tools like MFCMAPI and Logparser to troubleshoot IIS and other types of logs?   I've been looking around and so far haven't found any documentation that gives a great amount of detail on how much of my environment I will actually

    There shouldn't be anything to be afraid of, it's likely that the role of Exchange Administrator will change as more and more companies adopt Office 365, but I would see this as an ideal opportunity to embrace these changes, broaden your existing Exchange
    knowledge with that of the other services offered through Office 365 such as Lync Online and SharePoint Online and become the Office 365 Administrator within your company.
    The offerings in Office 365 are changing at a rapid pace, with more and more features being added every month, couple that with Mobile Device Management using Microsoft Intune - if you fully embrace it, you will be offering your end users more flexibility

    a specific? Or can I change the value of the Property from  ("WhenChanged") to something else that will give me a date time of the most recent addition of an email to the mailbox. This will then allow me to compare the date time to filter out
    addresses which have not received any emails.
