Content Management Structure
Hi everyone,
This year employees at my company from training, marketing, and sales would like to organize all images, text and other reference material in one place, to be used as a reference for all documents created within the company. I'd like to get started by learning as much as possible about how to do this correctly. So I have some questions:
Does anyone know of good learning materials, such as books or online courses, that address content management?
Can snippets be saved and shared, such as in Bridge?
Can images that are stored online be placed in InDesign? Will these images update in InDesign when changed online?
Will text that is placed, then formatted, retain this formatting if the original document is edited and updated?
Any other information, guidance, or lessons learned would be appreciated!
Thanks,
Paulette
Hi Christian,
you can use the <a href="http://help.sap.com/saphelp_nw04/helpdata/en/2a/1d95a6ff8e5b49a51960210374ba5b/content.htm">Resource Statistics Report</a> for that. Just navigate to Content Management -> Reports -> Resource Statistics -> Start
Add the location "/", under parameters enter as Access Path Pattern "/**", check only "Include Folders" and "List Matching Items" and click on start.
Hope this helps,
Robert

SharePoint 2010 Manage content and structure copy operation issue
Hi,
I am trying to copy a subsite from location A to B in the same site collection using the copy operation of Manage content and structure. Site is getting copied but default.aspx page is not getting copied to the destination. I tried copying the default.aspx
page directly using copy operation but that too is not working. There is no error thrown but the page is not coming up in the pages library of destination site.
As a workaround, i copied the page using SharePoint designer but i am looking for a solution to this issue.
Thanks in advance
AjitHi Ajit,
According to your description, my understanding is that you could not copy default.aspx page using Manage Content and Structure.
I did a test about this issue, and found the followings:
1.When I checked out the publishing page, then copied the site to other location at the same site sollection with Manage Content and Structure, the page was not copied.
2.When I checked in the page without publishing, and copied the page as the step1, the page also was not copied.
3.I published the page, then copied it, the page could be copied.
So , for resolving your issue, please check the default.aspx page, make sure that the page is published.
I hope this helps.
Thanks,
Wendy

This is a default behavior as a new content is added to site 2 with a different metadata so it is marked as unpublished -
Moving pages using Manage Site content and structure is corrupting the version history
Hi,
I am using share point 2010 manage site content and structure feature to move pages from one sub site to other. After doing several edits and check ins of a page and if I try to move the page using manage site content and structure , the version history
is corrupted in the destination site (i.e., all the versions are not showing).
Note: Sometimes content is also getting replicated after performing move operation.
Is it a Bug/ Known issue in SharePoint?
Any info on this issue is very helpful to us.
Thanks in advance!!Hi,

Moving files in Content and Structure View hangs on Long Running Operation Status window
Hello,
I have the following issue in a site collection: when I go to site content and structure and browse to a document library, and I select multiple documents, click actions --> move and give the target destination, the screen keeps hanging in LongRunningOperationProgress.aspx
with the message "starting" and the running circle. The files do get moved, but the screen does not come back.
In other site collections this works as normal, and when the LongRunningOperationProgress.aspx page is open, it also states (n of N files moved) or something similar. This status is missing in the faulty site collection.
When I open https:\\<site collection url>\Long%20Running%20Operation%20Status\AllItems.aspx I see that an entry is created here with title "(no title)" and Status "NotStarted".
I have included the ULS log, filtered on the thread ID. I am sure there are some clues there (like Invalid text value. A text field contains invalid data. Please check the value and try again.<nativehr>0x81020018</nativehr><nativestack></nativestack>),
but I can't figure out where to start solving this problem. The Windows event logs don't give any errors. This issue exists on both web front ends (tested locally). The farm is using 14.0.6106.5002.

From your error message, this occurs when the value you supplied for a text field is larger than 255 characters. To address the problem, store less text in the field
or change the field type from text to note.

Sharepoint 2013 copy/move operation using Content and Structure fails
Hi,
We had a recent upgrade from SP2010 to SP2013 environment. After the migration, we realized that the
copy/move operations using Manage content and structure(sitemanager.aspx) is not working as expected, neither does this give any error nor is it stuck. In fact if I check the content and structure log I find the message as
succeeded but file/item is not copied to the target.
The strange thing is that if I am performing this operation with Full Control permission level it
does not work but if I do the operation as Site collection admin it works without problem. I know if sub-sites are to moved then one should be site col admin but in this case I am trying to move just documents or pages.
Any help will be greatly appreciated.
ThanksHi Vineet,
According to your description, my understanding is that copy/move operation using Content and Structure cannot work in SharePoint.
I recommend to check if there are any custom fields in the source list/library and target list/library. If yes, delete the custom fields to see if the issue still occurs.
Here is a similar thread for you to take a look:
http://social.technet.microsoft.com/Forums/en-US/56d803d7-8573-4c29-9f6b-c63023941f44/manage-content-and-structure-cannot-move-or-copy-items?forum=sharepointgeneralprevious
To copy or move files/items between sites, we need to have
appropriate permissions on both sites.
I recommend to check if the user has full control on both sites.
Best regards.
Thanks

Does moving sites using Content and Structure cause issues in SQL content db's?
I would like to be able to use "manage content and structure" to move sub-sites within a site collection (SharePoint 2010). For example I have a site that is right under my top level site and I would like to move it to be the child site of one of
its' current peers.
There is some concern from admins that this creates a mess in the content DB, therefore all moves should be done using powershell export/import.
Can anyone tell me, technically, what happens when we use the move command in "content and structure" within a site collection and if there are known issues with it?It doesnot hamper Content DB, all changes are made within the Site Collection Content Database.
using Manage content and structure has benefits, like UI based content restructuring, no support required from Farm Admin. However if you feel to use PowerShell you could still go for it.
Enable developer dashboard, to see what happens in the backgroud while using Manage Content and Structure.
Hope this helps!

Problems using Content and Structure to move pages
I am developing a public facing website using SharePoint 2013. The site uses the management metadata friendly URLs. The site consists of a site collection with half a dozen sub sites. I am wanting to move some pages from one sub site to another. So I have
been using the Site Content and Structure under Site Settings. I select the pages to move and then select move and select the other sites pages library. Many times this is failing, sometimes leaving a copy of the page in both sub site's pages library, other
times not moving the file at all. The most frustrating thing of all though is that it never fixes up the managed metadata navigation terms. So I am having to go through and move the term and all it's children that relate to the pages I have moved. Then I have
to manually edit each one to have the URL to the correct sub site after the move!!! Occasionally doing the move seems to delete the term completely from the term store. This is so frustrating.
The content and structure move tool at least fixes up links within the pages. But it really should fix up friendly URLs too.
Is there something I am missing? Is there a recommended approach for moving pages from one sub site to another?Hi Vertigrator,
may i know your sharepoint latest cumulative update? i would like to check if this issue only happens on the specific environment.
please help me to confirm, if the steps, more likely:
1. navigate to site actions->site settings-> site content and structure
2. select the site that need to be moved, in the drop-down arrow of the site select "move" or "copy".
3. select the destination.
do this path are also able to give the same result as the steps? http://yoursite/_layouts/sitemanager.aspx
and please do restart your "sharepoint server Publishing infrastructure" at the "site collection features".
as i know, sharepoint sites are not actually moved from one location or server to another, rather they most likely backed up to a file and then the content or site is re-created from the backup file.
example at 2010:

Content Management in Portal How to
Hi,
I´m Learning XML Forms but I have red that it is too static and I was wondering how do we manage content within Portal and KM? is there another tool to create and deploy content within the Portal? or it has to be developed and called from an iView?
Thanx in Advanced!
Gerardo JHello Gerardo,
I agree with you that XML Forms are static, that means you create one form for each common structure document that is to be published.
But this functionality has its own advantage, check this link for more infos:
http://help.sap.com/saphelp_nw2004s/helpdata/en/69/d96b9ba84611d5993600508b6b8b11/content.htm
Once you have your XMLForms ready use these forms to publish documents and then show them in you IView.
Here is a link how you can configure CommandGroups in your IView and show available XMLForms.
http://help.sap.com/saphelp_nw2004s/helpdata/en/8d/2813418366f023e10000000a155106/content.htm
We have also a Business Package easyWCM which stands for "easy Web Content Management" which exactly addresses your requirements.
You can check our product at http://www.easyWCM.com
To get an idea how XMLForms are shown on IViews you can check the screenshot of easyWCM.

Authorisations in Content Management folders..Controlling viewing
Hi All,
Need some advice over a situation that I have here in controlling access in Content Management...I am a bit stuck here.
CM Structure
User 1
Folder 1 Group1 Read
Folder 2
Folder2.1
Folder 3
Folder3.1
Folder 4
Folder4.1
Folder 5
Folder 5.1 Group51 FC
Folder 5.2
1) User 1 has FC over folder 5.1
2) Created a group 51 and attached the user to the group
3) For the user to see the entire folder structure, he needs to have a read access to the top Folder. Hence created a Group1 in the top. Attached Group 51 to group1.
Now when the user logs in, he sees the entire structure, but when he clicks on Folder 2, Folder 3 etc...he does not see any content in it, this is because these folders inherit permissions from the top folder.Hence all this folders gets a "read" access. and when the user clicks on to 5.1, he is allowed full control.
However, my client does not want users to see the Folder 2,3,4..If I give Read access in the top...it gets inherited down..if I dont give read access in the top, no one can see anything below.
Since I have a large number of folders in the next level, it is not practical for me to delete read access in the next level.
Any advice on how I can solve this problem.
Regards,
Rajan.KIs it feasible in your scenario to simply set the unwanted folders to "hidden" or is it completely ACL-based? With the regular end-user explorers (e.g. ConsumerExplorer), hidden folders won't be shown (this is a setting of the corresponding collection renderer). Administrative Explorers (e.g. Admin Explorer) do show hidden files, though. Note that you can only modify the hidden state with such an administrative explorer. This makes sure that you have at least one way to reset that state and to not hide it in an explorer that afterwards does not show the file and thus would not allow you to reverse that step (in principle this means that users with no administrative accesses whatsoever will never be able to hide resources).

Content management with FrameMaker
The company I work for has had a customized EDD built for structured FrameMaker. A template was developed from the EDD and the authors make technical manuals with this template. Our manuals are printed in pdf and on hard copy. We do not have any current plans to publish on the web. We are currently using FrameMaker 7.2 and will soon go to version 8.0.....anyway, the "powers that be" are looking into a Content Management system for us. A portion of our company is using XMetal with the content management system. Is it possible, with the use of DITA, to continue to use FrameMaker with content management, in conjunction with an XMetal system? We DO NOT want to lose the WYSIWYG capability. On the other hand, are there any suggestions of how to build a type of data/content management system with elements in Structured FrameMaker? As I said earlier, we publish our manuals pdf or hard copy, so keep that in mind. Thanks, Vera
Hi Vera...
It really depends on the CMS and how it integrates with the authoring tools. There's no problem sharing DITA files between Frame and XMetaL, but the CMS may have a special connector with XMetaL that hasn't been developed for Frame. It may be that you'll have to request that the CMS vendor develop a similar connector for FM if it doesn't exist. If the CMS doesn't make use of a connector for XMetaL .. and you just check out files then check them back in .. this process should work fine for FM as well.
Feel free to contact me off line for more info if you need help developing a connector for FM.

It has been a few years since I have worked with an IPTV. A customer has called and wants to know how to manage his server. He wants a user to be able to set up some feeds. Is there a place you put in a static address for a user to have full access to the content manager. Currently the user gets a message that he has read only. He is using DHCP but I will make a reservation for him. Is it somewhere in the gui or is it a text file you have to edit?
Thanks,
JayDepending on the version ...
Newer versions (~3.2 IIRC) require you to edit the security files of the Apache Web server used as the interface for the Content Manager. The password for "Admin" (the default account) is set at installation time but is editable as a text file. I don't have access to my CM right now, but if you follow the path for the CM on the server, you'll find it under the Apache directory structure.
Earlier versions had no security to the CM. If you can get to the CM screen with your browser, you can add or change content. There may be some issues with uploading content (Windows NT4 or WIN2K security applies to directory privileges). That restriction can be changed by defining the user's rights under the Microsoft User Admin utilities.
I'll try to post a specific path and filename for Apache when I get back to work later this week.
Good Luck

Error while accessing a library using content and structure
I have a library having document and folder inside it. When I open the library using content and structure I get an error with a correlation ID. When checked the the logs with Correlation ID got an error message "View 'All Document' does not exist."
'All Document' is name of default view on the library.
When I open the library from view all site content the library is being opened.
Please help!!!Hello Victoria,
Thanks for the response.
I have tried troubleshooting steps given by you.
Check if the issue occurs with other users. Use another user to access the library in Content and Structure and then compare the results. --
I tried with different users but no luck
Make sure that the user account with issue has permission to view the All Documents view of the library. --
Yes, user Account have the permission
Check if the issue occurs with other libraries in the Content and Structure. If not, I recommend to save the library as
a template including contents and then create a new library based on this template. After that use the new library instead of the old library. --
No other library have this problem. I cannot save the library as template including the contents as the it has many folders and files. The current size of library is 786 MB
Clear cache in the browser or use another browser to see if the issue still occurs. --
tries but issue persists.
Best regards,
Ratnesh
