Content Organizer Rule - route new doc to auto created folder

I have set up a content organizer rule and used the "Automatically create a folder for each unique value of a property:" Check box.  The folders are created properly but I now want to set up a rule that will route documents
to folders that have been automatically created.
E.g. I have uploaded a document with a serial number of 100-150 and a folder has been automatically created.
Now the user uploads a document and identifies the serial number the document as 100-150, I would like to route this new document to the folder that has already been created. 
Note: There will be numerous folders created as users upload new documents with new serial numbers, so creating a rule for everyone would not work.

In edit Content Organizer rule page, I see there is an option as Automatically create a folder for each unique value of a property:
However, unlike the drop down used in the property based filters above, this drop down *only* contains properties that are required by your content type. 
This is done to prevent adding folders that have no values for a property. 
If you need to put similar documents to the same folder, you could consider making use of this feature.

    2. Now if I again update the properties of the document, it will still be inside Doc B only and not moved inside Fol1 <o:p></o:p>
    3. I have opened Doc B in File explorer using "Open with Explorer" command and copied a document inside Doc B. Now after refreshing Doc B, even though the newly added document fulfills
    the content organizer rule condition, it is not moved inside Fol1 automatically (which it should, I suppose)<o:p></o:p>

    Just for an FYI: The rule which I created is to check whether the document title is not Empty. If it is

  • Issues with 'Content Organizer Rules' of SharePoint 2010

    Hi Everyone,
    Hope all's going well. I have configured Content Organizer Rules for my SharePoint application. It's configured properly and its routing documents to the desired folder in other libraries of the site.
    I want these rules to be applied to a particular library, however they get applied to all libraries in the site collection.
    Is there any way to restrict 'Content Organizer Rules' not to be applied on some specific library.

  • SharePoint 2013 : Content organizer rules to move the document across web applications

    Hi,
    I wanted to move  the document in drop off library to another web application based on the metadata values.I am thinking of doing this using content organizer rules but I am not sure it will help across web application.
    Is there any other out of the box or no customization solution to achieve this requirement?

    According to your description, my understanding is that 
    you want to move documents across web applications and keep the metadata. Is it right?
    For moving documents across web applications, you can use Send To connection to achieve it. However, it may cause some meta data missing.

  • Incoming email settings for a dropoff library & content organizer rules in SharePoint 2013

    I have configured an incoming email setting for a drop off library,I need to save original email also.Following are the issues:
    1)Two attachments are getting uploaded for an email , Email(.eml file) as well as the attached file .I just want to save the email part as it is already containing the  attachment
    2)In Mozilla i can see the popup for for opening the .eml file while in IE it is directly opening in browser ,is it possible to show popup in IE?
    3)I want to write content organizer rules depending upon the email subject,but i m not able to find that column

    Inder: When you set the incoming email, you get option to save only email and not attachment. check the incoming email settings on that library.

  • Drop Off Library and Content Organizer Rules allow bypassing of destination permissions

    I had a test scenario where
    User Betty didn’t have permissions to a destination library (only I had permissions to it)
    Via the Content Organizer rule and the Drop Off library, Betty could send a document to a library where she didn’t have access.
    Anyone addressing this issue and how?  We just don't want people to be able to send things to a destination where they don't have access, but looks like the Content Organizer Rules impersonate some part of the move.
    What's odd is you can see the "CreatedBy" as Betty, but she can't go to the library and even see the moved document...permission is denied.

    This is the known and documented behavior of the content organizer. To prevent someone from using the content organizer in this way, you'd need to prevent them from having access to add documents in the drop off library in the first place, or else
    use some other process, such as workflows, to move the documents using the creator's permissions.

  • Workflows not triggered when documents are created in Doc Set via Content Organizer

    The following is my scenario:
    A document set (containing several documents) is created in Library A on Site A
    Using Send To, the Document Set is sent to the Drop Off Library on Site B (a different Site Collection)
    A Content Organizer rule then moves the Document Set and its documents to destination Library B
    In Library B I have defined a workflow (using Visual Studio 2012) that is triggered when new item is create
    When the Document Set arrives in Library B from the Drop Off library (i.e. when the Content Organizer moves the Doc Set to Library B), the workflow is triggered (and executes) on the Document Set, but it is NOT triggered on the documents within the Document
    Set.   How can I get the workflow to trigger on the documents within the set when they are created via the Content Organizer rule?
    The interesting thing is that if I manually add another document to the Document Set in Library B, the workflow is triggered on that document.  It just does not trigger when the documents are created via the Content Organizer.

  • Content Organizer and tagging

    In SharePoint 2013, I created rules in Content Organizer to route documents to document libraries depending on the title of the document. 
    I also want to tag the document with tags according to the document title. 
    For example:
    I have two document libraries one titled Excel and one titled Word. 
    I have 3 documents that I just put in the drop off library titled:
    Word_Income_10.doc
    Excel_Salary_10.xls
    Excel_Salary_11.xls
    I want the xls to route to Excel document library and the .doc to the Word. 
    I want various tags to be applied automatically (through content organizer maybe?) depending on the title.
    For example, for Word_Income_10.doc I want to apply the tags "Income" and "10" because they are in the title
    and for Excel_Salary_10.xls I want to apply "Salary" and "10" 
    and the tags "Salary" and "11" to Excel_Salary_11.xls
    Would prefer to avoid creating multiple folders to achieve this.
    Is this possible?

    The Content Organizer does not set field values, but merely route based on field values. So if you want to set these, then you'll need to create Column Default Value Settings or use a workflow instead.

    We have activate Content Organizer on two Site collections, one name FromSC
    (From Site Collection) and the other name ToSC (To Site Collection).
    We have created a new "Send To Connections" with the Action "Move and leave a link"
    The document is moved from the librairy in the site collection "FromSC" to the librairy in the site collection "ToSC" but we don't have any link in the librairy in the site collection "FromSC".
    Anyone have the same problem?

    Based on your description, I have done a test in my SharePoint 2010 and I re-appeared your issue.
    I have followed the following article to create a new "Send To Connections" with the Action "Move and leave a link".

    A link is created when I manually move the document to the Send To Connection.
    But if I am using the rule "Content Organizer Rule" the link is not created.
    Besides, I have created a new "Send To Connections" with the Action "copy" and I got the same results.
    By testing, I came to the conclusion that it is by default that when we use the "Content Organizer Rule" and choose the target location with the screenshot, it just take the connection as a destination path rather than using its action.

  • Send To Location via Content Organizer webservice changes Modified date to 5 hours ago

    I have 2 site collections in the same webapplication. The destination site collection has Content Organizer features turned on. I then created a Send To location using specifying the records center as <url>/_vti_bin/OfficialFile.asmx. I also created
    a SPD 2010 Workflow that uses the Submit File action to that same url.
    Before I perform the send/submit, the created and modified dates are both "a few minutes ago" in the source site collection.
    I then can do either Send To, or run the Workflow, and either way the document that is in the destination site collection has a Modified date of "5 hours ago". I also tried this with a document that does not match any rules, and it is sitting
    in the Drop Off Library with a modified date of 5 hours in the past.
    The timezone of the servers is UTC-6  (central), and so are the timezones of all web applications, and so are the regional settings of each site collection (including central admin). But since it's DST, it's actually 5 hours difference
    right now, that is the only clue I have. Of course it could also mean nothing at all.
    We are on SP2013 SP1, (the 1st SP1), Server 2012, SQL2012.
    I have not heard of this happening to anyone, but it's happening consistently for me in different environments. Can anyone help point me to where I can find the source of this error?

    Not really, it suddenly stopped happening.
    Probably it was fixed when I upgraded to the "real" SP1 (not the bad one they initially released) or I also upgraded to the Dec 2014 CU, which may have fixed it.

    how can I set a routing rule for a specific file type, for example for "pdf" or for "docx", for my content organizer?
    As standard I can only choose for the rules the content type, name and title of the file uploaded.

    Based on your description, my understanding is that you want to create a routing rule for a specific file type.
    I recommend to create rules with the conditions as the image below shows for the Document content type(for example: .docx files):

  • Problem routing documents with Content Organizer Timer Job

    Hi,
    We have a farm that has two front-end servers with SharePoint Server 2010 Standard and one back-end with SQL Server 2008 R2. We are using a multiple site collections with the record center template to route documents in different document libraries. The farm
    has SP1 and cumulative update of December 2012.
    The problem is that the Content Organizer Job cannot route documents in a one of the sites, and reports the error in the log: “Routing Engine: Rule 'Move_Document' incorrectly specified the target folder /sites/Energy/DocumentLibrary was not found”. This is
    happening only in one of the front-ends, because, if the other front-end runs the job for this specific site, the problem doesn't replicate.
    We try to restart the two front-ends, and restart the SharePoint Timer 2010 service, but none of the solutions corrects the problem.

    Do you have NLB in use and are you using Kerberos authentication? My gut feel is that you might have issues where one WFE is trying to work with the other one but is failing to authenticate for some reason.
    Try logging onto each box and browsing to the sites given as the timer service user identity, see if you can browse to the site.

  • Content Organizer bug - PDF files does not get routed correctly if autodeclaration is on and library level default values are set

    It looks like whenever one specifies Column default values at a library level then the content organizer routing goes a bit awry SPECIFICALLY FOR NON OFFICE FILES [e.g. PDF] . Below are the observations and issues
    1. Column level default value set on a record library with auto declaration of records turned on.  The content organizer routes the document to the library but also keeps a copy of the document in the drop off library. It does not remove it from the drop
    off library. The instant we clear the default value settings at the library level of the target library the content organizer works as expected again. 
    2. If default value settings are specified on a column in the target library then the PDF file gets routed to the document library but all the metadata is blanked out. The copy of the file that remains in the drop off library has all the correct metadata but
    the target library has blanked out metadata. 
    Are the 2 observations described above by design or are they bugs? If so is there any documentation that is available that proves this because this does not make logical sense and proving this to a client in the absence of any documentation is a challenge.
    The problem goes away if we shift the default value to the site columns directly at the site collection level. It's just the library level defaults that the pdf files do not seem to agree with

    Thanks for responding. This can be replicated in any environment but is only replicable for a specific combination of content organizer settings . The combination of settings I am referring to can be seen in the screenshot below. If you turn off redirect
    users to the drop off library for direct uploads to libraries and if you turn on sharepoint versioning then you should be able to replicate the issue. Also we are using managed metadata site columns. I simplified this use case to a custom content content type
    with just 2 custom managed metadata columns and can still replicate the issue in several environments. Also note the issue does not occur if the default values are set at the site or site collection level. It only occurs if you set the column value default
    at a library level.  I was able to replicate this on a completely vanilla Enterprise records site collection freshly created just to test this.  Also note that the issue is not that the file does not reach the destination library. The issue is the
    document does not get removed from the drop off library after it is transfered to the destination library which technically should have gotten removed.

    In the Oracle Manual "TEXT REFERENCE" there is in the addendum B a list of supported formats, I looked in 10.2 manual, there is no note of Outlook, if I look in 11.1 I see that Outlook is supported, see http://download-west.oracle.com/docs/cd/B28359_01/text.111/b28304/afilsupt.htm. Also ZIP,DOC, XLS are mentioned with all the versions Oracle Text supports.
