Convert RH8 HTML Project to RH8 Word Project

Hello,
I am new to this organization and taking over an existing RoboHelp 8 HTML online FlashHelp project. My supervisor has requested that I find out how to get our RH8 HTML project into a RH8 Word project, and after reading this forum and others, this sounds like it is not the way to go. The intent of converting to Word is to allow multiple authors (who are not HTML savvy) to create or update help topics. So, my questions are:
Is this the right path to take?
If converting from RH8 HTML to RH8 Word is not the correct path, what suggestions do you have for allowing multiple authors to create or edit content outside of RH8 (and then of course fold into the HTML online Help project)?
Any advice is greatly appreciated. Thanks!

In addition to what Jeff offered, there really isn't any clean manner to convert a project from RoboHelp HTML to RoboHelp for Word.
Now if you have a need to allow users to edit content in Word, you have the option in RoboHelp 8 of "Linking" Word documents to the project. When you do this you have icons in RoboHelp that alert you to changes in the linked Word content. You then simply update to pull the new content into RoboHelp.
Keep in mind that in order for this to be remotely successful, you will need to ensure everyone uses Word consistently. RoboHelp really works with Word content best if it has been consistently styled with Heading 1, Heading 2 and Heading 3. Sometimes folks just swipe across text and adjust the font color and size to be larger instead of applying consistent styles. When that happens things become a big mess when it comes into RoboHelp.
Personally I would view converting projects from RoboHelp HTML to RoboHelp for Word to be a bad move. I'd suggest sticking with RoboHelp HTML and utilizing the linking feature to your advantage.

  • Best practice for adding images to a RH8 HTML project?

    I'm working on a Word to RH8 HTML conversion. The images in Word are SNAG images but the resolution is poor and some of the images may need to be recreated from scratch again. Going forward I imagine I should work on getting them right in Snagit9. Any suggestions?

    For example, installation help topics dealing with install/uninstall screenshots for an application's client and server:

    In other words, use cfg for configuration, dir for directory, btn for button, etc., and use either a function or application window as your lead, allowing you to see all related graphics in sequential order. If you've ever done any manual book indexing, think of this as Index entries/subentries, only the "entry" in file naming is your leading prefix (client_, acct_, etc.), and your subentries are the rest of each file name. Such as:
    Accounts
    configuring groups
    using lookup feature
    lookup button
    templates
    Use the same naming conventions for your topic file names as well; using this method eliminates the need for virtual folders. Many users on this forum use the folder structure, but editing/renaming/adding/deleting folders seems to very often create all sorts of grief. I find this naming structure to be less stressful.

  • Missing Images After Moving RH8 for Word Project

    Hi everyone!
    I am encountering a problem that I cannot solve, so I thought I would try posting here for some help from the pros.
    I am working with a legacy RH for Word project. I currently have RH 8 and Word 2007. I relocated the project and all of its associated files from my local machine to a network drive. Now I have found that all of the image files that I have used throughout the project are showing up as broken links.
    I have tried deleting and readding the references with no success.
    I have also made sure that both the path to the current location and the path to the old location show up in the list under "All Project Folders" on the Help Image Properties box (with the current location on top of the previous location, if that matters).
    The images display if I do the Active Test and they display when I bring up the Help Image Properties box. I have double and triple checked that the images are in both locations, but when it comes time to generate the primary layout and view it, they are broken again.
    I am at my wits end, so any help you can give me would be greatly appreciated. Thanks!

    Many moons since I have used RoboHelp for Word but I am suspecting the issue is moving the project to the network. I think it is OK to have the documents on the network but not the project.
    Not sure and more than happy for a RoboHelp for Word user to chip in and contradict.

  • Conversion from RH7 to RH8 hangs on 1 of 5 projects - no err msg

    I have successfully converted 4 of 5 RH7 projects. The one project that won't convert doesn't have anything special or different about it. It is not my most complex project nor my simplest.
    Once the conversion starts the meter bar goes about 1/3 of the distance then RH8 locks up (stops responding). No error message is presented.
    Pre conversion I removed the projects from RSC, removed read only attribute, and deleted .cpd.
    I have tried the solution from this thread http://forums.adobe.com/message/2312324  (open the .hhp, selecting Noto the xpj prompt.) with no change in the result.
    Obviously the problem is with the project, but I don't know what else to try. Is there a conversion log or some way to know what file is being converted when it locks up?
    Specifics
    OS = XP with all patches
    RH = 8.0.2.208
    Project location = C:\TW_Local\RoboHelpProjects  (not a networked folder )
    Project history =Originally an MS Word file, converted to RH6, converted to RH7
    Project zip size = 28MB

    You could check if the rhvariable.apj file is blank. If it is, copy one from a working project. Or see snippet 79 on Peter Grainge's site which contains code you can paste in. The problem manifested in RH6, but it's possible it's still an issue in RH8.

  • Convert RoboHelp for Word project to RoboHTML

    I have a couple projects which are created RoboHelp for Word
    in RH6. The projects now need to be converted to RoboHelp HTML
    projects and Flash generated outputs. In conjunction with this I
    have the following questions:
    1) Can RH Word projects be opened in RoboHTML? If so, what
    are the pros and cons and how is the conversion done?
    2) These independently projects will be linked/merged with a
    master project which in RH HTML. Will this cause some inherent
    problems.
    3) I know I can generate a Flash based output from RoboHelp
    for Word, however, how differently will (if at all) RH HTML treat
    these files if called from within an RH HTML generated project.
    4) I will also need to generate Printed documentation in the
    end. Any impact on that?

    All those questions and in detail too. This is a forum, not a
    book shop. :-)
    What we can do is give you some general guidance so that you
    can experiment safely, then come back with specific questions.
    You cannot open your RH for Word project in RH HTML. What you
    have to do is import the underlying document(s) excluding the
    footers as they contain RH for Word information that is not
    relevant. Before you do anything, zip up the existing project and
    keep it somewhere safe. Now you can use the project and blow it
    apart without worrying. If anything goes wrong, you extract the zip
    copy and start over.
    There's a topic on my site about importing ordinary Word
    documents (as opposed to RH for Word doc files) and that will be a
    good starting point.
    First get all the existing projects converted and running
    properly as independent projects before you give any thought to
    merging.
    When you are ready, then look at the topic on merging webhelp
    that is on my site. Just adapt as necessary for FlashHelp. I think
    you need at least RH6 to merge FlashHelp, maybe 7. Not sure without
    checking. RH6 FlashHelp has some indexing problems as you will see
    in another thread.
    RH generates files after which they go to development. What
    do you mean by RH HTML treating those files? Do you mean will their
    HTML be written differently? Almost certainly yes but why is that
    an issue as long as they look how you want?
    You will be able to generate printed documentation and that
    is covered by yet another article on my site. Maybe now you are
    getting the picture as to why nobody can provide the answer in
    detail on a forum.
    You have a massive task ahead of you and I think it would be
    foolhardy to start with your real projects. Starting from where you
    are, I would create some small RH for Word projects and then go
    down the path you have to. With small projects like that, you will
    be able to understand what is going on and the issues. It's the
    same reason why most driving schools don't start you off in a
    Ferrari!

  • Merged WebHelp Pro projects in RH8 - CSH options not working

    Hi -
    We are trying to upgrade from RH7 to RH8. Currently, we have several context-sensitive WebHelp Pro projects that are merged on the RH7 Pro server. To accomplish this, we simply select the "merge projects" check box in the Admin tool. (Nothing is done in the RoboHelp client w/respect to merging as must be performed with non-Pro projects.)
    The master project is master by virtue of being listed first in the Web Administrator. The order of the remaining projects defines their order in the merged Help TOC. The master project specifies two named custom windows and a custom skin. In the WebHelp Pro options for the child projects, we set Skin = Default and Default Window = None.
    The Help implementation is context-sensitive using map IDs. Some have the older context strings, defined in their respective projects' .ppf file. All works as expected in RH7. When a map ID is called from one of our applications, the individual Help topic inherits the master project's custom window and skin. The topic with the specified map ID or context string appears in the right-hand pane of the custom frameset. The TOC lists the topics of all merged projects. We used the RoboHelp-supplied RoboHelp_CSH.js in the design of the Help system. The call looks like this:

    We don't specify a project name and the server is happy (still resolves the map ID). For RH8, we have set things up identically on the server. However, the 'child' projects are not inheriting the 'look' (window/skin) defined in the master project. Either that, or the map IDs are not resolving. We also have a single-pane window defined in the master project for Help pop-ups, which now insists on appearing with the other custom window's frameset (button bar, TOC, and topic pane). We have changed nothing, other than importing the RH7 projects into the RH8 client. The server's "merge" check box is selected. The call to Help for RH8 needed to change and so far looks like this:

    Note that we haven't tackled using the Robohelp_CSH.js file that is packaged with RH8 yet. First things first, i.e. make sure server is running correctly and we have devined the new parameter syntax correctly. The question is, what needs to change for our Help application to work in RH8? The link specified above displays the correct HTML frameset, but the topic pane is empty/blank. If we leave out wnd=MyHelpWindow, we get the correct topic, but it apears in the user's default browser window, with no TOC. Also, if we target the single-pane window I mentioned above, it appears in the expected size and location defined in the master project, but it is multi-paned (again, with a blank topic pane).
    Here is one observation. We did find that in the RH7 Web Admin, selecting the master project and clicking View Project shows the master's default topic in the custom frameset. Doing the same for some child projects, they display their default topic in a plain window (no frameset). In RH8, many child projects would display the default RoboHelp frameset and a 404 error in the topic pane. By carefully investigating the child projects' NewWindow settings, we've found that RH8 is particularly sensitive if those settings are anything other than having 'One Pane' and 'Use Default Browser Settings' selected.
    Does anyone know why this is still not working? Any help appreciated.

    May be you have popup blocker enabled in your browser and that’s why popup window containing the help doesn’t open up.
    The reason its launched in a separate browser window is so that CSH window properties specified in help layout can be applied on the new window.
    If you have to do away with the popup window and want the page to open directly by entering the URL, then there is a workaround, but in that case your CSH window won’t have the properties specified in Webhelp Pro window used while publishing Webhelp Pro to RoboHelp Server 8.
    The workaround is as follows:
    1) Backup <RHS8_Install>/WEB-INF/SysWebPrjLst/wnd_ie_iframe.asp and <RHS8_Install>/WEB-INF/SysWebPrjLst/wnd_ns_window.asp
    2) Stop Tomcat service
    3) Edit <RHS8_Install>/WEB-INF/SysWebPrjLst/wnd_ie_iframe.asp and <RHS8_Install>/WEB-INF/SysWebPrjLst/wnd_ns_window.asp and copy following text in these files:

  • Displaying the TOC of a RH6 project in RH8

    As a companion question to my other recent post re RH6 to RH8 TOC, specifically:
    If I have a RH6 project which I open in RH8, how do I display the TOC of the RH6 project without creating a brand new one so I can view and edit it?

    Apologies if I have misunderstood your question but just try double clicking on the TOC file that has been updated from RH6 when you opened the project in RH8. You'll find it in the Project Set-up pod.
    Read the RoboColum(n) for mutterings on RoboHelp, Technical Communication Suite and technical communication.

  • RH8 HTML not launching

    Installed RH8 on a PC and it works under everyone that is logged in except the one person that needs it.  They can do a "Run As" and put in anyone from the administrator to themselves and it will work. However RH8 HTML cannot see the network to open the projects that are stored there when it is launched with "Run As".
    Rebooting, reinstalling, creating this person a new profile, none of it has fixed his problem of not being able to launch it.
    RH8 Word works fine, it's just the HTML version that's acting this way.
    Anyone have any ideas on what might be causing this?

    Actually the PC is used by one person, but in testing I have logged various people in and they all are able to run it except the person that needs RH8 HTML on the PC.
    The person is set as an administrator on the PC, but can't run it.  Run As appears if you right click a progam and allows you to execute that program with different credentials that what you are logged on with.  Say the currently logged in person only has User or Power User rights.  You could do run as and put in the credentials of an administrator to execute it with those elevated permissions.  In this case it's the only way he can run it, but it blocks out the network drives for some reason.  This leads me to believe that RH is looking for something when it launches and it is hitting a network drive as it searches and then hanging at that point.  It shows up in Task Manager for about 3 seconds and then closes itself. The question is what could it be looking for...
    As for Source control, I know that it is a really a bad idea to open ANYTHING Adobe off the network, but I have no control over where the employees work on their projects.  I'm the IT guy, not their manager.  I can suggest they move them locally, but have been told many times over the years that it is too annoying to have to check out their files so they won't.

    I just had my PC re-imaged with Windows 7, Microsoft Office 2010 and the Tech Comm Suite 2.5. I am trying to generate a PDF from my project within RH8 HTML and recieve the following error. Why can I not generate a PDF? I have Microsoft Word 2010??

    Hi there and welcome to our community
    You are likely seeing that message because only the newest Adobe RoboHelp 9 is compatible with Word 2010. Your version 8 doesn't understand Word 2010.
    There are threads here that discuss installing Word 2003 or 2007 and using RoboHelp 8 with those lower versions of Word.

  • Importing Word docs from a RH for Word project

    I have a HUGE RH for Word project that I'm trying to convert
    to RHTML (RH Office X5). We generate CHM with this project, and
    we've got map ids for all topics. I've been to Peter Grainge's site
    to get some ideas, but I don't think they're going to work. There
    are so many Word files and topics (537 and 2,974, respectively)
    that the more I think about it, the more I think that a conversion
    to RH HTML might not be worth it.
    When I tried to import all of the Word documents and also
    convert the TOC (converting the Index isn't an option since it
    never worked with our large number of Word docs) and use the
    HTMLHelp.css (using the Import wizard), RH HTML crashed twice after
    40 minutes.
    So, I created a new RH HTML project and tried to import just
    one Word doc from the RH for Word project, and selected the same
    wizard options. As I expected, the Word doc imported, but even
    though I told RH to split the topics on Heading 2, it also copied
    in the characters (#S+@) that preceded every topic heading and
    incorporated them into the Topic Title. AND, RH HTML did not
    "convert" the TOC - it was blank.
    In another post I saw a reference to this patch -

    I'm not sure it's related, although when I examined my second
    failed import attempt, the imported topics were visible in the
    project folder only by using Windows Explorer - RoboHelp HTML did
    not display them from within RoboHelp.
    Does anyone know if this is the patch that will fix this
    issue as well?
    By the way, based on the number of questions I've seen posted
    about RH for Word 7 with zero replies, I'm thinking I'm going to
    run into issues as well, even if we leave it in RH for Word when we
    upgrade to version 7. It seems that its size is an issue for RH
    HTML.

    Hi Jim,
    just as an encouragement: we sucessfully converted a HUGE RH
    for Word project (4,300 topics) to RH HTML a while ago, including
    TOC, index and everything. I must admit though that we had all
    those topics in only 25 word documents. Maybe you can reduce the
    number of documents by moving the topics? There will always be
    problems you run into and afterward, we had to go through every
    single topic and check the formatting, but I guess you'd always
    have to do this. But I think it's worth it, working in HTML is so
    much more convenient.

  • Hyperlink word with bookmark not converted in HTML

    Hi,
    I use RH10 to create an HTML help from several Word documents.
    I have a problem with Word hyperlink that is not converted in the HTML output. In my RH10 project, i have 2 link word document. I created with Word an hyperlink with bookmark in a document called docA.docx on another Word document called docB.docx. The docB.docx document contains the bookmark called by the docA.docx document. The hyperlink property in Word is "docB.docx#myBookmark".
    This hyperlink works fine with Word, when i clic on the link in the docA.docx the docB.docs document is open by Word.
    Problem appears when i update the word document in RH10 to generate HTML document. The HTML hyperlink token href="" is generated so there is no hyperlink on the HTML output.
    When i remove the bookmark in the Word document the HTML hyperlink token href="docB.docx" is generated. So i don't know if it's a RH10 bug or if this feature is not supported by RH10.
    For information, i used hyperlink with bookmark because cross-reference is not allowed with multiple document.

    I'm talking about classic hyperlink in Word.
    Clic on hyperlink
    Select an another Word file containing a bookmark
    Clic on the "Bookmark" button in english version of Word ("Signet..." in my french version) and select the bookmark
    When you clic on "OK" button the hyperlink path is updated with the bookmark
    And this path link is not converted in the HTML generated by RH. If i change the "#" by another character the generation is ok.

  • RH8 HTML, workspace font 8pt, can it be changed?

    Hi,
    My IT department just upgraded me to a faster machine Windows 7 however my RH8 HTML displays my Project Manager et al pods in Ariel 8pt. I know I can adjust the topic font size from the View option, however, has anyone figured out how to change the font size elsewhere on the workspace? My css works fine in my output. It's just my workspace view.

    I realize this is an old thread, but since I just encountered the same thing in RH11, I thought I would comment. I don't know how RoboHelp interprets what fonts size to use, but I was using two 22" monitors and a 14" laptop screen at 1920x1080 with Windows 8.1. I am testing TCS5 against MadPak. I'd never seen this problem in RH, and I was starting to think I would need to go with Flare to see the screen. I tried changing the resolution and nothing happened. 
    It wasn't until I pitted the two screen capture programs against each other that I realized something else was going on. Neither of them could capture. RoboScreen Capture was changing the resolution and making a single browser window take up the entire 22" monitor screen. I was seeing other inconsistencies with menu sizes, and I was not able to resize the display text or menus the way that I like them. I also noticed that moving windows from the laptop screen to the monitors resulted in the screens being very large for until they were completely on the new monitors screen (vs. in transition between the two).
    To resolve the problem, I have had to stop using the laptop scree, but I suspect it's a Windows bug related to graphics, and it impacts RoboHelp because of the way RoboHelp determines its work space font size. A new graphics driver or a reinstallation may be what is really needed in these situations. It does appear that the bug has only gotten worse in Windows 8.1 (perhaps related to the increasing options allowing users to resize display items separately).
    Once I changed my settings to two monitors and rebooted, all of my problems resolved. As multiple monitor use becomes more and more common, and Windows continues to become more customizable, Adobe may well want to change the way RH11 determines its font size. Flare did not bat an eye at this bug. It was fine. Both graphics programs were unusable but in different ways.

  • RH8 HTML Intermittent Hourglass

    Ever since I have upgraded from RH7 HTML to RH8 HTML I have experienced nothing but problems.  Currently, I accessed my project, it states "ready" but my when I try to access my topics (under Project Manager) to edit I'm not able to do so because of an hourglass that displays.  As soon as I "attempt" to do something the hourglass appears....when I sit to "wait it out" it disappears.  What on earth is the cause of this?  I have been at work for the past 1 1/2 hours and am still "waiting it out"...unable to access my topics!

    This might be related to a problem in another thread.
    Create a zip copy of the project as a backup. Rename the project CPD and then reopen the project. When it is open, check everything is good. Also go to Tools > Reports > Unused Files and make sure that none of your topics show there.
    If there are problems, post back. Keep that zip safe.

  • Importing RoboHelp7 for Word project into RoboHelpHTML - error

    I am trying to import my RoboHelp7 for Word project into RoboHelp7 HTML so that I can include Captivate App Demos in my help project. (As I don't seem to be able to find out how to do that in RH7forWord.)
    I make a copy of my project directory from RH7forWord. I then open RH7HTML and choose to open the hpj project file in the copy directory. It works for a bit and then reports "This project is from a newer version of the program. This project is no longer compatible with this version. Please make sure you have the newest version installed."
    I have rebooted, ran all updates to all Adobe products and rebooted again. It still reports the same error.
    What can I do to start using RoboHelpHTML on my RH7forWord project?

    Ok - I have to admit complete brain fart idiocy here. I thought I was using RoboHelpHTML v7 and I was opening v6. Both of which I have on my system, and the desktop icon for the latter I have mis-named.
    Very sorry for the wasted bandwidth and thank you for taking the time to respond Peter.
    I will start a new topic on going from RoboHelp for Word 8 to RoboHelp HTML 8 in a moment that I hope you will take the time to offer advice on.

    1. Copy/Paste Webdynpro components in the new project as was suggested before
    2. Or create new project, copy _comp folder from old project to the new one. But, do not forget to update .dcdef & .project files manually after this. You have to set the correct project name in .dcdef and set the correct local project path in .project.
