Hi all,
Problem:
I am facing problem in Correspondence Letter Infotype IT0906 at the time of viewing print preview of any letter. it is giving one error message:
"Object <<smartform name>> does not exist".
What i Did:
in "SPRO-payroll-payrollIndia-PublicSector-correspondenceLetter-basic setting"
i made entry:
"IN01     HINUREQ_CORRS_LETTER     ZFORM_HR_MAIL_CORRES_RAVI01"
Subtype -- IN01
Program -- HINUREQ_CORRS_LETTER
smartForm -- ZFORM_HR_MAIL_CORRES_RAVI01
Debugging Result:
entryies are not in following tables for smartforms for which Standard program is searching( Program for IT0906 in PA30):
1.FPCONTEXT
2.fpinterface
3.fpcontexti
4.fplayout

Currently even i am also working on the very same requirement for my client.
We need to generate a Confirmation Letter from Standard Transaction from Infotype 0906.
I have developed a Adobe PDF Form and also Driver Program.
Have provided both Form Name and Program name in the Table ' V_T7INFORM_SUBTY '.
In the Screen when am clicking the Button Only the PDF form is Shown. The Driver Program is not getting Triggered.
I searched a lot but couldnt get proper solution for this issue.
If you can help me on this it will be of great great help.

Till now the E-Rec correspondence letter has for email subject the activity name (eg: "Correspondence: Rejection"). We would like to replace it by the Posting ID and title.

ISU: PWB PDF letter is not clubbing in one PDF.

Hi Expert,
We have requirement like 'everyday batch job(FPCOPARA) will run for correspondence PDF letter and will produce consolidated PDF file per correspondence letter type.
For e.g: If there are 10 different Occpuant letters then after executing the batch job, one PDF will be create which will contain 10 pages.
Our functionality is working as expected but it is creating different PDFs under same Spool no. When we checked in SP01, it looks 1 PDF having multiple pages but system is creating one spool with 10 different (Documents) PDF files by considering above example.
For e.g: It is showing in SP01, spool no xxxx. having 10 pages but after opening the PDF it shows 1 of 10 documents and each documents show only one page. PDF should say Page 1 of 10.
I thought it is related to Printer so I had discussion with our Basis team but it seems the issue is related to FPCOPARA or PWB form (EFRM) setting. Somewhere we have say to batch job that, consider these all documents as single PDF. But still there is no success yet.
I can send detail analysis if required.
Quick help is appreciable.

I think this is Adobe PDF forms you use to create the spool with the PDF parts.
There is a solution if you print via SAPPDFPRNT(see SAP note #1444342). You must use the latest SAPPDFPRNT and the latest SAPGUI 7.20 patch(patch level 5). After installing the patches you must define a printer with port FILE on your desktop. If you print the spool request on that printer via frontend printing SAPPDFPRINT sticks the bunch of PDF together to a single PDF and stores it at a location of choice.

Triggering a correspondent letter in SAPconnect

Hello,
I am trying to track down an issue in E-Recruiting 6.0 SP10 where performing a task which would trigger a correspondence letter, i.g. Applicant Acknowledgement Letter, etc., does not reach SAPconnect (scot). The SMTP service works fine, yet the triggering event never seems to reach SAPconnect to get sent out.
Is there a trace tool that can help us locate where the problem may be? Is there a transaction that we can look at to see if a configuration step may have been missed somewhere?

Hello Ryan,
there is some logging / traces for sure, but the problem you describe appears very often with an easy reason.
Scenario:
- user e.g. recruiter or workflow sends an simpüle correspondence or invitation.
- activity is set to 'done'
- database is fine
- SLG1 is fine
- still no email in SOST / SCOT
Reason:
- user has no printer in his user profile, as smartform rendering for email is processed through the printer driver no printer -> no email
Can you check this, should be faster then digging through traces.

Attaching letters to Actions

Hi Experts,
Can anyone tell me where can we attach letters like promotion, offer, tranfer attach to the actions? I think in ECC 6.0 der is 1 Infotype 0906 for printing letters but is there any way v can attach letters to action so that once v execute dat action that letter should be sent for print and mail shud go to employe...
While searchin i came across this Infotype 0502 Letter of appointment Cntr grouping is 25 singapore. where and for what this infotype is used?

In the infotype, you maintain the details required for generating correspondence letters. This letter serves as official notification of the proposed action.
You can use this infotype to generate a correspondence letter at an employee level, and in a .PDF file format. The letter contains details of the proposed action for an employee.

Using this report you can print or email correspondence letters at an employee level, or in a batch.
To enable the system to send mail to the employee, you must maintain the following settings in the Communication infotype (0105) for all employees:

Prerequisites
u2022        You must have maintained the required details in the Additional data for Corrs. Letter infotype (0906).
u2022        To enable the system to send mail to the employee, you must maintain the following settings in the Communication infotype (0105) for all employees:
○       You have specified the system user name in the subtype System user name (SY-UNAME) ( 0001)
○       You have stored the e-mail address in the subtype E-Mail (0010)

Hello Friends,
Please can you let me know, if there is any transaction to generate a report on consumer ledger account.
I am aware of FPCC0002, but this generates a correspondence letter.
If there is a way out to get a output in report format.

I don't think there's such a report in standard SAP.
However, it's not difficult to create a custom program to do it. The mass activity "Creation of Balanced Account Statements", transaction FPCC0002, uses function FKK_ACCOUNT_BALANCE_COMPUTE to determine the account balance of a customer (see event 0703, function FKK_SAMPLE_0703). So the custom program has to select all partner/accounts you want the balance for and call for each the function FKK_ACCOUNT_BALANCE_COMPUTE.
The function is not "fast", so in case you want the balance for a large customer set, I strongly recommend to execute such a report in parallel streams, for example as a mass activity.

Correspondence - Dispute Letter

Hello Gurus,
We are using Dispute Letter "Correspondence: Query to Customer" where in I have created a smart form and configured it in the action profile.
Now I know that when a user selects the correspondence, the letter will be either be mailed or faxed.
So I need to know where do we configure this information so that whenever a user selects the letter (either through email or fax) to be sent out to the customer.
Is there a standard BTE out there or are there any SMTP settings that I need to do or am I missing any configuration.
Please advice and suggest..

I know we could send dunning letters from worklist in EHP5 but we are EHP4, but my question is how will the system pick up the email/fax of the customer unless these values are configured some where in SAP.
So I need to know are there any BTE's or SMTP setting that needs to be done so that the dipsute letter is sent out to the customers email/fax when the user select the correspondence from dispute management.

Error in Generating letter for correspondence in Recruitment

dear Experts,
I am working on Recruitment module in SAP HCM. Have 1 problem when I tried to generate the letter from the recruitment activity e.g. receipt of application
When I tried to generate it, the system will call up Microsoft Word, but then it displayed a small screen, asking in which file format I would convert the file e.g. plain text, encoded text, RTF, HTML, etc.
When I selected RTF, it would give me error message "unknown error". When I selected "plain text" or "encoded text", it would generate error message "Internal error in SAP OLE document container control"
Did anyone face problem like that? would really appreciate if you could share the remedy

I have tried to update the installation of MS Word 2002, it didn't work. Then I installed the MS Office 2003 which include MS Word 2002, still it gave me the same error.
There is something about the office integration with the SAP, which I suspect the problem is on installation, although I am not sure which part.

Training & Event Management, automatic correspondence with Word std letter?

Hello,
I was wondering whether it is possible to use only Word documents for all correspondence (manual and automatic). Instead of Word documents for manual and SapScript forms for automatic correspondence.
If the Word documents are stored at a central location so that SAP can access these, would it be possible?

Correspondence in Training and Events Management

Hello everyone,
i'm trying to set the correspondence in Training and i have a question. Can i set up the system so when i select one Business Event i can send a notification to participants and to their supervisors at the same time, using tha same form? Until now i can assign one recipient froup to each notification. Can anyone help???

The configuration takes place in the IMG at SAP Learning solution > Training Management > Day-to-Day activities > Correspondence
The wizard allows you change the header and footer of the notification, add logo.
Also there are standard triggers that you can connect with different letters. You can also create custom triggers and letter.
You can setup default delivery method for notification like internet email, word doc, printer, fax etc...

Note that emails need to be stored in the system. The infotype is normally 1032 and subtype is 0010.

Where is the changed Job Offer Letter stored?

I am changing the text of Smartform for Job Offer in portal. Once the text is added i am able to send the new version of Job Offer to email. But my requirement is to get the new Job Offer Letter and store it in an archiving system
I am not sure if the new Smartforms gets stored somewhere SAP database tables. If it does how do i get it?
Any help will be appreciated.

Even i am not very sure where exactly it gets stored. but i can give u a direction to check out classes
starting with cl_hrrcf_* and ending with bl i.e. cl_hrrcf_*_bl in tcode se24.
Here you will find some classes related to activities where you will be able to retreive the letters.
Also go to infotype 5136 i.e. in se11 check hrp5136 and see if there are any entries
In this infotype, the following data is stored for an activity of the Simple Correspondence category:
●      Activity Type
●      Global Key for Activities
●      Activity Status
●      Due Date
●      Type of Related Object (user who created the activity)
●      ID of Related Object (user who created the activity)
●      Note for Activity (points to a text in the document storage for HR objects)
●      Activity Category (Simple Correspondence)
●      Completion Date (date on which the activity was completed)
●      User Name (user who executed the activity)
●      Process (to which the activity for the Simple Correspondence category is assigned)
●      Subarea of SAP E-Recruiting (Recruitment)
●      Object ID of Talent Group
●      Time Stamp of Last Change
●      Form (indicates the form used as the template for the correspondence)
●      Individual Letter for the activity (points to a text in the document storage for HR objects)
●      Individual letter section for the activity (points to a text in the document storage for HR objects)
see the entry which i have made it bold if this helps. HR_KW is the document storage object used for HR and HR_CONT is the content repository, this letter will sit somewhere in the application server of the E-rec system.

E-recruiting: Additional field on cover letter screen

I want to add a checkbox input field on the application screen in
e-recruiting above the cover letter. I found the actual BSP
(coverletter_v.bsp of HRRCF_REG_APPLN) and added the field.
I am not sure where the best place to put the new database checkbox field
but I am biased towards an append on table HRP5136 (Correspondence)
associated with the registration of an application(OTYPE = 'ND' and
ACT_TYPE= '1020', '1030' and '1035').
Could someone advise me what kind of objects and methods I
should/need to change in order to implement this completely and also why
don't external breakpoints take effect(I tried several places in the controller methods associated with a cover letter)? Is there a customizing that have to be set in order to get the effect of setting breakpoints?
In my case, as far as I understand there is no possibility to add an extra field in
a predefined user-exit, but rather one has to change SAP standard. Is
that right?
The reason why we need an additional field is that an
applicant may choose to appear as anonymous in the list of all
applicants and in that case (s)he needs to tick off the new checkbox
field. I did not find a suitable solution for this in SAP standard
e-recruiting system.

As of now, the custom fields automatically being displayed on screen is available only with BSP.
The WDA screens are available for extrenal & internal candidates. You can craete your Z fields in cutomer include in the respective infotypes. The WDA developer will ahve to explicitly put the UI elements on the relevant screens & map them to these Z fields. We had a similar requirement & we have done this in this way.

I see that SAP's Training and Event Management provide auto generation of emails for triggers such as Waitlisted, Cinfirmed, etc. Appreciate if someone can help me with configuration steps to make sure the Correspondence functionality works OK in Training and Events Management.
I have never worked with Workflows -- does setting up correspondence involve any Workflow settings. If yes, what are these and how easy / difficult is it to set up these workflows .....

Offer Letter Generation in E Recruitment

Hi All,
In SAP Recruitment module, we can generate an offer letter for an applicant using
PB60 Tcode.
Likewise in SAP E - Recruitment, is there any possiblity to generate an offer letter?
I have searched in the list of activities in e-rec. but not able to find an activity related to offer letter generation.

I guess I got it. You want to specify contract specific data like money, future working hours and so on?
Well there are no infotypes for that in e-recruiting.
You have either the possibility to define hard coded smartforms, create an own "contract" application, or specifiy custom data via the changable area of a correspondence activity.
