Creating a (pdf-editable) form in InDesign

Hi,
I have several documents set up in InDesign as templates.
My staff and volunteers will open the document, edit only a couple of items and print it out.
The problem is that most volunteers do not have access to InDesign.
I would like to be able to have them use Acrobat Reader to edit the documents while (hopefully) maintaining the style (font style, etc).
See the items with the purple background in the example.
Most of the volunteers will have a PC.
Any ideas on how I should set this up and save it?

George, Thank you for your reply. I have been using Acrobat X, however I subscribe to Creative Cloud so I have the current version  Acrobat (XI) available. I downloaded that version and tried it. (I have rarely used Acrobat, So I am unsure how to create form fields in it - I have always used InDesign to create the document/form.)
I just tried using Acrobat XI. I was able to get the form field to work. However, I still can not figure out how to keep a particular font and alignment (16 point Apple Chancery, Center-aligned). Do I assign that in Acrobat? I do not see font choices in Acrobat.

    I have a price sheet that I have made in excel that has a quantity column for all our products and a total column that has a formula that multiplies the quantity they enter times the price of our product. Then at the bottom I have a total field that adds it all up. It is VERY basic. Is it possible to transfer this over to PDF and keeping the formulas? And somehow making the fields editable? Basically I need it to do these functions in an editable PDF because not all our clients have excel.
    If I need to start from scratch in Acrobat, let me know the best way to do this since I am not familiar with the forms functions. I

    Start by creating a PDF from the Excel file.
    Then you'll want to study up on using the form field tools available in Acrobat Pro.
    Doing simple calculations shouldn't be too hard to pick up from the help files in Acrobat so give it a shot then come back if you have specific questions/issues.

    Only InDesign can do this. You may want to look at InDesign automation.

    I am not sure what this has to do with the Acrobat SDK, as we don't have a version of SDK for Linux (or Java).

    In Acrobat, there is a way to create a button with a behavior for "print" that will queue the document up for printing. I don't see a way to do this on the InDesign end, though, via behaviors. Something that will export from InDesign and carry over to the PDF. As this is something I'd like to use on every page, adding it to a template would be much easier than manually adding these to each page in Acrobat post-export.
    Any guidance anyone can offer would be greatly appreciated.

    In Acrobat, Print is a button option, however, it only opens the Print dialog box, so the user can set choices and then print.

    Hi I created a Magazine layout using InDesign CS6 and wanted it to be viewed on native Ipad reader (but not as apps).  I put interactivity features like page navigations and hyperlinks and converted it to interactive pdf. The problem was the links and buttons are not showing on Ipad.
    I tried using Acrobat Pro to create the hyperlinks and this time the navigations and hyperlinks are showing. But is there a way not to create the hyperlinks manually one by one (specially the next page and previous page). If I have more than 100 pages of documents this process will be very tedious.
    Is there a solution to create the interactive pdf directly from InDesign without creating the links in Acrobat?

    This is Sean Smith.  Marilou who wrote the original post works for me.  Bob if you could point us in the direction of details you need I’ll ensure we provide the additional information as soon as possible.
    M tells me she pretty much doing exactly what Steve's article suggests.
    The concern is what a remarkably cumbersome process this appears to be.
    Even though I believe her explanation entirely I find the problem to be highly disconcerting as it’s wasting an immense amount of valuable time and inhibiting the production process significantly.
    She is producing wonderful results but via an immensely painstaking process fraught with potential for error.  Each page link has to be manually linked to the next by number.  It’s entirely possible to make a mistake and link to the incorrect page thus missing pages.
    If she inserts a new page – guess what? All the pages links have to changed manually and double checked yet again.
    If she makes a ‘Contents’ section as we do and exports the InDesign file as an interactive PDF all the contents items and links are missing and are therefore blank.
    She then has to export the document as a plain PDF and do the job again in Acrobat.
    For an extravagantly wealthy company with such extraordinarily expensive software I find this to be entirely incredulous.
    Who is the Product Manager for InDesign?
    Are they aware of this issue?
    What are they doing about it and when will it be done?
    Just curious are you guys paid employees or volunteers as this appears to be an official forum and we are new here?
    Digital publishing of PDF magazines appears to be an explosive growth market especially for platforms such as the iPad but this primary product for the task appears to be inadequate or ill-conceived.
    Is DPS a possible solution or is this more for Apps than PDF production?

  • Created a PDF brochure using Photoshop/InDesign

    Hi, I have created a 6 page brochure.  I layed out the Artwork in Photoshop, then placed the templates into InDesign to add all of my text.
    I Export as an Interactive PDF, but when I open the PDF, objects on it seem to load out of sync.  Within a couple of seconds everything is loaded, but I want everything to load instantly and at the same time so everything on the PDF is displayed together.
    Any ideas as to why things load after one another?  It seems that the Text of the PDF always loads last.
    It's only 1.81 MB so doubt it's anything to do with file size.

    Elements on a PDF page are rendered according to the "Reading Order" - this decides which elements overlay which others, so the top ones always appear last. Depending on the complexity of each element, and the presence of transparency, it can take a second or two to complete on a slower machine - especially if there are very large bitmap images involved that need to be uncompressed before rendering.
    As you're making an interactive PDF I assume flattening the layers and transparency in InDesign is not an option - that would increase loading speed by removing any need to calculate transparency mixes.

    Sorry for not giving you a clear enough description. I was trying to avoid a novel.
    I hope to use FORMSCENTRAL for create a form for on-line users to register for meetings including paying via paypal.  Some of the people register and pay for the meeting by themselves and others are registered by their office assistant, so there might be as many as 25-30 people.
    The individual registrants are easy and doable with FORMSCENTRAL.
    However, for the multiple registrants, I would like to create a form that can handle multiple registrants and only one submission for payment.  So far, I have  only been able to do that by creating a form that has the registrant fields created multiple times.  I would really like to be able to have the set of fields created once unless I need to add the set of fields multiple times.  I am sure that complications keeping track of the total payment due as well.
    Being able to set-up a table with the fields across (left to right) for each registrant would be good.
    Maybe this does not explain it well enough in which case, I can call and explain our need.

  • I have created an editable form which cannot be saved as a completed copy by adobe reader users.

    I have a created an editable form in indesign and acrobat, however when other users open up the form and fill it in they cannot save the completed copy. It comes up with that the user needs to click done signing, however there is no done signing button in adobe reader.

    Unless they're using Reader XI then you have to first apply a special right in Acrobat that allows them to save the filled-in form in Reader.
    The exact location of this command depends on your version of Acrobat.

    Is it possible to do this without coding? Due to the nature of my job, i'm limited to certain software, accesses and accessibilities. 
    My idea is to have 1 master PDF or a Form for me to put in their information. This form would be linked to a Master PDF Binder.
    For example if a new employee joins, i would like to fill out the information in such form and it will change the information in the document I will be sending to the new employee.
    I hope this example explains my situation.

    Hi,
    I am making forms in InDesign CS3 and then I use Acrobat Professional 9 to create forms. Sometimes I have to edit a form so I have to go back to InDesign, recreate the pdf and then copy all of my form fields from the old pdf to the new pdf. Is there a more efficient way to do this? Is there a way to add the form fields in InDesign then when you create the pdf the form fields are already there? Or is there a way to copy the form from one pdf to another and have the form fields paste in the same place?

    Redo the form in InDesign, export to a PDF with a different name than the original form, open original form then use Document>Replace pages.
    That will replace the image of the form but leave the old fields intact.

    Hi,
    say the tree is built from ViewObject1. In the AM model, create a second View Object instance for this. Say ViewObject2. Create the form from ViewObject2 and the tree from ViewObject1. When creating the tree, use the"Target Data Source" option at the bottom to reference the iterator of ViewObject2. Then create a PartialTrigger on the paneFormLayout that holds the synch form. In the partial trigger property, reference the tree so that when the tree selection changes, the form is updated. Then create a PartialTrigger property on the tree and point it to the submit button of the form so you can show updated values in the tree.

  • Show/hide objects/fields in PDF application (form) ...

    I'm creating a PDF application (form).
    The layout is being done in InDesign then the fields/buttons/drop-down boxes are being added in Acrobat Pro.
    I have a situation in the application where the user will select an option from a drop-down menu ... let's say the options are "car" and "airplane". (These are just examples.)
    when the applicant selects "car" it should only show the following fields ...
    Tires
    Engine
    Fuel Economy
    When the applicant selects "airplane" it should only show the following fields ...
    Wingspan
    Max. Altitude
    Seating Capacity
    How do I do this? I only want the applicant to see/access the fields that are relevant to the selections they make earlier in the application.
    From what I've found online, "Java Script" is what I need to work with ... but I have no idea how that works.
    I have no ability to write code from scratch, but I have been successfull at modifiying existing code.
    Some examples or some code that I can copy/paste and modify would be great.
    Also, where do I go within Acrobat to access/modify the code?
