Creating a Smart Backup

I'm not sure of the best way to do this, be it with Time Machine, Automator or another 3rd party application, but here it goes:
I just got a new computer (MacBook Pro with Snow Leopard) and I would like to set up an automatic backup.  I haven't trasferred any files in yet (they're all on my external HD), I wanted to see the best way to go about setting up my backup before moving the files in.  Here's what I would like from my backup scenario:
1.  Backups of the documents, music, pictures is pretty straight forward, just a smart copy kind of thing that automatically looks for what files are new/modified on my computer and updates everything on the external.  I'm not sure if I can do this with Automator, or if one of the commercial apps I saw on the app store (DropSync, DirectorySync, etc)
2.  Movies, however, is a bit more complicated.  I have around 600GB of movies/TV shows, and don't have room for them all on my computer hard drive (computer is 750GB, external is 1.5TB).  In fact, I would like to keep very few of the tv shows on my computer, only really the last one or two seasons.  For example, on my external HD has the folder 'Breaking Bad', and within that is 'Season 1', 'Season 2', 'Season 3' and 'Season 4'.  However, on my computer I still have the 'Breaking Bad' folder, but only have the folder 'Season 4' since I don't need seasons 1-3 on my computer.  When I add a file to 'Season 4' on my computer, I would like the 'Season 4' folder on the external to be updated when I perform a backup/sync.  However, this does not mean that the 'Breaking Bad' folder on my computer will be synced to the one on the external, just this subfolder.  Can this be done?  I'm assuming I'd have to go through and specify paths for all my folders, but there aren't that many shows so that would be ok to do for each season.  I believe I'm out of Automator territory here, any suggestions on what I can do?
Also I don't think I would like to use Time Machine since I would like to be able to let friends/other computers take files off my external.  I'm told with Time Machine it's not as simple as browsing the finder.

Now regarding your points:
1. ChronoSync can do this by setting up a schedule to run as frequently as you wish. ChronoSync does not support 'live syncing' where a file is synced as soon as it is modified, but you can schedule a sync to run as frequently as every minute.
2. I would recommend creating individual sync documents for each subfolder you wish to keep in sync between the two targets. You could then group your sync documents together in a sync container that could be scheduled and run like an individual sync document. You could also just use one sync document and exclude the items you do not wish manually to prevent them from being synced.

    If you mean a separate folder on your TM backup drive, then the answer is, "Yes." TM will not disturb it. However, if your plan is to store items on the TM backup drive then a preferable method is to partition the backup drive:
    To resize the drive do the following:
    1. Open Disk Utility and select the drive entry (mfgr.'s ID and size) from the left side list.
    2. Click on the Partition tab in the DU main window. You should see the graphical sizing window showing the existing partitions. A portion may appear as a blue rectangle representing the used space on a partition.
    3. In the lower right corner of the sizing rectangle for each partition is a resizing gadget. Select it with the mouse and move the bottom of the rectangle upwards until you have reduced the existing partition enough to create the desired new volume's size. The space below the resized partition will appear gray. Click on the Apply button and wait until the process has completed.  (Note: You can only make a partition smaller in order to create new free space.)
    4. Click on the [+] button below the sizing window to add a new partition in the gray space you freed up. Give the new volume a name, if you wish, then click on the Apply button. Wait until the process has completed.
    You should now have a new volume on the drive.
    It would be wise to have a backup of your current system as resizing is not necessarily free of risk for data loss.  Your drive must have sufficient contiguous free space for this process to work.
    Be sure you provide sufficient space in the TM partition. It should be at least twice the size of the drive it is backing up. If it isn't large enough for both TM and your storage needs, then you should get a bigger drive or another drive.

    I've been doing a bit a reading here, but I am still unsure of what I need to do.  I recetnly upgraded from Snow Leopard to ML, but I want to create a bootable (mirror)  backup on an external drive.  I have always used SuperDuper to do this.  Super Duper claims that it's latest version will create a bootable backup of ML. My backups in the past have been a bootable mirror of my drive and not the OS alone.  Am I better off just redownloading ML and creating a bootable thumb drive of ML or would I be ok mirroring my drive with ML on it as a bootable backup.  I hope this was clear...
    My backup system has been like this:
    Two 1tb bootable HDs (mirrored) that I swap out every week - the one not in use goes into a fire safe
    One 2tb for TM
    Cloud backup for important stuff.

    The Lion Recovery Disk Assistant is an app. When you Open it, you have the opportunity to create a Recovery HD on a thumb drive for whichever OS X you're currently booted into. Just the Recovery HD and not the entire installation of OS X. The Recovery HD is created and hidden when you install OS X. SuperDuper! doesn't clone this. Here is some reading for the Recovery HD in Mountain Lion. It's the same for Lion. If the Recovery HD isn't on your system, you won't have the ability to boot into it for recovery purposes. So the Recovery Disk Assistant gives you this ability via a thumb drive.
    The main difference between creating a Mountain Lion Recovery HD  and Lion Recovery HD is the Reinstall Mac OS X option in the Utilities menu. The Lion Recovery HD ONLY downloads and installs Lion. The Mountain Lion Recovery HD ONLY downloads and installs Mountain Lion.
    For example, if you create the thumb drive while in Mountain Lion, its Recovery HD is put on the thumb drive. And when you boot from that thumb drive, you get the Utilities menu of selections with the ability to download and install Mountain Lion. So, you can't use that thumb drive to download and install Lion. Hope this makes sense.

    I've read some articles and watched some videos on how to create a disk of my drive from the disk utility. Is that a good way to create a bootable backup of my Mac Mini? I also want to have all my applications transferred over to Lion, though I know how to do that in the installation of the OS. But I want a fresh install over Snow Leopard and reinstall my apps from that bootable disk, again is that possible? If this can work, how can I know for sure if the backup works?

    That is not what I said exactly ......
    1 Clone the SL (internal) to the external.
    2 Boot from the external and install Lion on it.
    3 Run Lion from the clone until you know it works (and you can identify any incompatible apps).
    4 Clone the Lion external back to the internal.
    5 You're done.

    I am trying to create a smart folder that lists all my iPhoto original content in the last few months. I want this so that my wife can connect into the smart folder over the LAN when copying specific photos to her PC.
    I am have trouble working out how to restrict the search to only those files that exists in the iPhoto directory. When I look at info for a photo is states "Where: /Users/Shared/iPhoto Library/iPhoto Library/Data/2009/....etc etc".
    However if I add an filter for "Where from" begins with "/Users/Shared/... etc etc" it returns nothing. Is there a way to do this?

    Find the iPhoto library file.
    Right click -> Show package contents.
    Double click the Originals folder.
    Type anything in the Search box at the top of the Finder window.
    In the top of the Finder window, click "Originals".
    Click the + (plus) sign next to Save.
    Select Kind is Image.
    Click the + (plus) sign again.
    Select *Created date* is *within last 3 months* (or whatever you want).
    Go to the search box and delete what you typed. Don't hit the X to delete the search text.
    Now save the smart search.
    This is saved in ~\Library\Saved searches. Copy or move it to the desktop where your wife can get access to it.

I didn't understand the option to Inherit or start a new back up, and therefore selected the option to create a new backup. I believe I should have selected to Inherit backup history so that when i back it up on the new MackBook Air, it appears the same as the one I'm returning.... Is there anyway that i can re-select the option to Inherit backup history for time machine?

  • How do I create a permanent backup of all my iTunes data, and movies?

    I'm confused about how to effectively backup and share my data.  And know others must have wrestled with this one too - so help please!
    Our family works across several platforms (PC, MacBookPro, 2 iPads, iPods, 2 iPhones and appleTV) and want to have a method to effectively share and save (i.e. permanently backup) our data (iTunes, other documents and movies).   We use HomeSharing, iCloud and iTunes Match, which work most of the time.  All the devices are linked to a single iTunes library.
    I understand that iCloud serves to synchronise data and share it between devices. Great.  But how do I create a permanent backup of the data?  I could get a third party online service (e.g. Box.net) or use external harddrives.  Is there a simpler approach that apple provides, that I've missed?  I'd lke to make teh solution a simple to use (i.e. upload data and share it), reliable without paying the earth!

    The best way to backup your iTunes library is to an external hard drive.  The article below will explain how to do this.   If you want the files on a CD or DVD, you would need to create playlists.  I'll include that information as well.

  • IPhoto 8.1.2 can you create a smart album with only one face

    I'm using iPhoto 8.1.2 and have about 23k photos in the library. I have identified 32 key faces, and would now like to create some smart albums that contain only the face or faces that I want and to exclude all the others.  S for example  a smart album that has only my son.
    I tried using the doesn't contain this face, but you can only have around 10 filters/critiria in a smart album.
    any suggestions are appriciated

    You can't really, because you can't exclude enough of the faces.
    I would keyword the preferred images as well, so finding the face and the keyword would find the pics of the person alone.

  • Can I create a full backup on google drive by moving my user folders to Google Drive Folder?

    Can I create a full backup on google drive? Google suggested I simply move my folders (Pictures, Music, Downloads, Documents, etc) into the google drive folder. But these seem to be automated files involved with Mac's organization... will this create problems for my computer? Ie. if I import new photos, or download music, will my computer know where to put it if its in google drive?
    If this is a problem, how else could I possibly create a full backup of personal data on google drive (or any similar syncing service, for that matter).  iCloud is prohibitively expensive, and programs like crash plan and carbonate run so slowly and bog down my computer so much that they are not worth it. Google drive seems simplest and most competitive in price, but I am worried about moving my folders.

    Google Drive also installs a client--a google drive folder on my hard drive that is programmed to sync changes automatically to the cloud--that allows me to drag and drop.  I suppose my original concern was about dragging files from my hard drive (such as "pictures" that would contain my iPhoto library, etc) into it.  Would that mess up Mac's internal organizational system? If I drag and drop my pictures folder, music folder, etc. into the google drive client folder in Finder, will those applications still function correctly?  Will my mac still be able to figure out where to put photos I import from my camera, etc?
    I am only as tech savvy as I have to be to survive professionally as a traveling teacher, so I am looking for something pretty straightforward that will free up some of my brain waves for other activities, rather than remembering which folders I have made changes in and need to sync.

    I am trying to find a way to create a smart mailbox that only shows emails I have sent.
    If I receive 20 emails today, 10 yesterday say, I have a Smart MB where I have set up emails received today, another SMB for emails received yesterday and another SMB for emails I've received in the past week. I can very easily see what has come in during the last few days or whatever.
    What I also have are rules that move all emails received and sent to specific folders. The idea is that I will have nothing in my INBOX. The problem is that although it's easy to set up views to see what emails I've received on any day using the calendar option, I can't see a way of doing this to see what emails I've sent.
    So, if I receive 20 emails today and I replied to 3 of them, those 3 will get sent to whatever folder I've allocated for them - I put all emails TO/FROM in one folder for each email address. This way I don't have 2 email folders TO and SENT for each recipient.
    My problem is that I want to ONLY look at what I've sent today or maybe yesterday etc. if I can set things up the same way as receiving emails, But I can't seem to do this.
    Seems strange that there are options to see filter out what's coming in but not what is being sent! But if there's a way to do this, it would be appreciated.

  • Photo loss from a project when creating a smart album

    Running Aperture 3.4.3 on iMac with OS X 10.7.5. Photos stored on internal drive. After creating two smart albums based on a date range, one with keywords and one with ratings, some, but not all, of the photos that appeared in the smart albums disappeared from the original projects (each project contains photos from a single day). One of the original projects still notes 454 photos under its thumbnail, but when opened only displays 308 photos. The project path of the photos in the smart album still references the correct project. I tried deleting the smart album but the photos did not immediately reappear in the correct project so I undid the delete. I tried closing and reopening Aperture. I tried system restart. No luck. Reading the Aperture help/manual suggests that the photos should remain in the original project.

    First: Make sure the Browser Filter is set to "Showing All" (or "Unrated or Better") when the Project is selected.

    I have created a smart album to find unnamed faces, but I have many old pictures in my library with strangers in them so the smart album ends up quite large. If I could apply the rules of the smart album to only one event at a time I could find the photos i need with no faces recognized in them easier right after I import them.
    Or conversely, is there a fast way to delete all the unnamed faces boxes for all my pictures with strangers in them- there must be a faster way than going through and clicking the 'X' on each individual face.

    Make the criteria: Event Contains XXXXXXX and Faces is unnamed.  That will search only that Event.
