Hi Ganesh,
It will take couple of days to inform all the information of archiving, but i will try to give brief explanation regarding archiving FILE configuration:
Prerequisites of archiving are
You should have storage system connected to your system.
FILE configuration: T.Code -- FILE
You can create your own Logical file name, Logical file path, Physical file name
and Physical file path. For more detail information please see SAP Help.
1. Create Logical File path: Example: Z_ARCHIVE_PATH
2. Assign this to physical file path, Here you should know what is your operating system. Based on that select the syntax group and create your Physical file path. Example: if it is UNIX -- /archiving/<FILENAME>
3 Create Logical File Name. Example:
Enter “Z_ARCHIVE_DATA_FILE_TECH”
   Physical File:
Enter “D_<PARAM_3>_<PARAM_2>_<DATE>_<TIME>”
PARAM 3 gives Archiving object name, PARAM_2 gives one character alphabetic code, which guarantees that the archive file is unique.
*Data Format:
Set to “ASC”
Application. Area:
Set to “BC”
*Logical Path:
Set to “Z_ARCHIVE_DATA_PATH”
After creating the this assign the logical file name to Archiving objects. It is assigned in SARA > Enter AO > Click on Customizing > Archiving Object specific customizing Technical settings --- Assign Logical file name.
Here in this screen you can also mention File size as 100 MB. Meaning after 100MB of first file second archive file is created.
You can also configure whether u want to have automatic deletion run or manually to schedule the deletion job.
Similarly you can also schedule the automatic store job.

    Recently i implemented the Data Archiving in CRM 2011 in supported way. 
    We identified the entities where the volume of data is very high over the period like case, opportunity, activity, system jobs, lead etc.
    I am using "SSIS Integration Toolkit v5.1 for Microsoft Dynamics CRM" from KingswaySoft to create and delete the data.
    I created a new organization same as main organization. In new organization i create the closed case, opportunity, activity, lead from main organization and once done i delete them from main organization. This exercise we execute in every 3 months. We always
    delete the completed system jobs from main organization. And we provided the access to new organization only to few admin users just for reporting purpose.

    Hi Srinivasarao,
    In CRM most of the standard applications have their own archiving objects and these can be archived using the transaction SARA.
    There would be certain prerequiest for this and also some techincal setting such as file server configuration etc which needs to be done. Please contact your basis support guys and they will be able to help you.

  • CRM data archiving.

    Hi,
    I am involved in a project ,where i am  facing performance issues in the Agent Inbox of IC Webclient.
    The Agent Inbox search takes a lot of time and sometime fails in the live environment.The reason of the slow response has been identified due to the presence of huge volume of data in the CRM tables. There is a select query  which has five major tables in the loop.
    The standard CRM tables involved are CRMD_ORDERADM_H , CRMD_ACTIVITY_H and CRMD_ORDER_INDEX.
    Due to the presence of huge amount of data in these tables, I am considering the option of archiving the data from these tables in order to free the memory.
    We are  using Activity Management and IC webclient to record the interaction with the customers.
    However, i am not sure of the impact that can be caused due to the absence of data in these tables.Will the absence of data in the fields of these tables have an impact on other or the existing  CRM functionality.
    Will the absence of data in these fields(above standard tables) hamper the existing functionality .?
    Could you please give your  thoughts on this ?Any sort of suggestions are welcomed.

    Thanks for the reply.I still have two queries .
    I need to archive only those activity transactions(Business Activity-Interaction Record) which have the status as closed .
    1)How do I set this criteria to archive only such activity transactions.?
    2)Do I have to create a new archiving object or can I use an existing archiving object such as CRM_SERORD,CRM_ACT_ON etc...?
    Where could I set this criteria ,so that the system picks up these activity transactions which have their status as closed and then archives them.
    The archiving object CRM_SERORD has the table CRM_ORDER_INDEX .This data in this table is used for searching a business transaction.

    I am trying to archive data in Write Optimized DSO.
    Its allowing me to archive on request basis but it archives entire requests in the DSO(Means all data).
    But i want to select to archive from this request to this request.(Selection of request by my own).
    Please guide me.
    I got the below details from SDN.Kindly check.
    Archiving for Write optimized DSOs follow request based archiving as opposed to time slice archiving in standard DSO. This means that partial request activation is not possible; only complete requests have to be archived.
    Characteristic for Time Slice can be a time characteristic present in the WDSO, or the request creation data/request loading date. You are not allowed to add additional infoobjects for semantic groups, default is 0REQUEST & 0DATAPAKID.
    The actual process of archiving remains the same i.e
    Create a Data Archiving Process
    Create and schedule archiving requests
    Restore archiving requests (optional)

  • Can I add multple tables to a single Flashback Data archive

    Hi ,
    I want to add mutilple tables of a schema to a single Flashback Data archive . Is this possible ?
    I dont want to create multiple Flash back archives for each table
    Also can i add an entire schema or a tablespace to a flash back archive created ?

    Do adding multiple tables to a single flashback archive feasible in terms of space ?Yes, you can use. Multiple tables can share the same policies for data retention and purging. Moreover, since an FBDA consists of one or more tablespaces (or subparts thereof), multiple FBDAs can be constructed, each with a different but specific retention period. This means it’s possible to construct FBDAs that support different retention needs. Here are a few common examples:
    90 days for common short-term historical inquiries
    One full year for common longer-term historical inquiries
    Seven years for U.S. Federal tax purposes
    20 years for legal purposes
    How is the space for archiving data to a flashback archive generally estimated ?[url http://docs.oracle.com/cd/E18283_01/server.112/e16508/process.htm#BABGGHEI]Flashback Data Archiver Process (FBDA)
    FBDA automatically manages the flashback data archive for space, organization, and retention. Additionally, the process keeps track of how far the archiving of tracked transactions has occurred.
    It (FBDA) wakes up every 5 minutes by default (*1), checks Tablespace quotas every hour, creates history tables only when it has to and rests otherwise if not called to work. The process adjusts the wakeup interval dynamically based on the workload.
    (*1) *1 Contradicting observations to MOS Note 1302393.1 were made. The note says that FBDA wakes up every 6 seconds as of Oracle 11.2.0.2, but a trace on 11.2.0.3 showed:

    5.1 Space management
    To ease the space management for FDA we recommend following these rules:
    - Create an archive for different retention periods
    o to optimally use space and take advantage of automatic purging when retention expires
    - Group tables with same retention policy (share FDAs)
    o to reduce maintenance effort of multiple FDAs with same characteristics
    - Dedicate Tablespaces to one archive and do not set quotas
    o to reduce maintenance/monitoring effort, quotas are only checked every hour by FBDA

  • How to start Archiving process in production system.

    Dear Experts,
    As i was new to archiving process need help regarding this.as our client as 1.3 Tb of data with them,as they want to clean the unwanted data from the database.as they are using windows 2003 as server, oracle as database and using sapr/3 4.6 c.i want to know from where i have to start the process.i have read so many threads regarding this.they are helpful for me.i have some queries that i have to clarify.
    1) I have found which table increasing more in database.,i have checked (DB15 ,SAARA).how to find this has to archive.
    2) Data which is not important who has to delete that data.i heard data deletion is not basis work.
    3) After deleting data in datbase without reorganising space will not be empty is this may be the cause??
    4) is there any data loss in  reoraganising??
    5) is there any way to do reorganising with brtools in oracle.??
    Please clarify me.

    Dear Naveen,
    Data archiving is an inter-departmental activity.
    The person responsible for each application (which he/she is using in SAP Solution to carry out the business process) should be involved in SAP Data Archiving Process/Activities.
    The team should be grouped with the persons responsible for each application.
    After the planned Analysis, The team grouped for executing the Data Archiving process produce the checklist for Archive Data (based on your business process and other dependent factors). They will provide the inputs (archiving objects) for Data Archiving requirements.
    Moreover, As a part of Data Archiving process, you will have to delete the planned archive data from the actual Database. So, some spaces will become free in Database but all will be scattered in its respected Tablespace(s) in random manner. You will have to perform Database Reorganization to regain the free space.Because, The Data is stored in Database in form of Fragmented database objects (Tables/Indexes) in its respective Tablespace (s).Reorganization is generally performed to defragment these database objects. By doing so, one can improve performance and regain the space within tablespaces that was being unused due to fragmentation.

  • "No list available" - Spool message  - Data Archiving

    Hi ,
    I am facing problem in CRM Data Archiving .
    Now I am Archiving the Arc Object  >> PRODUCT_MD .
    All the parameters i have given correctly.
    when i execute the job, in the spool message it says <b>"No list available".</b>
    I thought the problem with the input.
    then i executed this tcode  - "COMMPR01" (based on the help.sap.com for this archiving object.)
    I selected some of the  "Material" in that and set the product status as
    <b>"To archive".</b>
    Any Idea on this .

    When ever we execute logic in batch mode, the ALV list will be populated to the spool. The error says that, there is not data coming up via list output of the report. Hence there is no spool being created.

    We are facing issue in SAP CRM Data Archiving info structure. I have created the fieldcatlog for the service Ticket( CRM_SERORD archive object) and Act On ( CRM_ACT_ON archive Object).
    in our scenario, multiple Business partner(Consumer, orgnisational and employee) are attached to each Service ticket, in my ZARxx tables are storing the one entry means one service ticket and one Business partner.
    My requirment is it should show all the business partners for each service ticket.

    SARA --- SAP Archive Administration
    All data archiving activities commence with Archive administration (transaction SARA). SARA provides the overall administration of archiving schedules and manages the archiving sessions. The process includes customization of objects, their conversion to archived sequential archived files and most importantly, their overall management. In addition to these, the archive administration process also retrieves the archived files and converts the data through an automated process, if there is a change in software, hardware or the data structure. The data archiving process is streamlined and simplified through the Central command of archiving administration
    DART --- Data Retention Tool
    A data retention strategy is required for retaining enterprise information for long periods of time. The Data Retention Tool (DART) provides this functionality. It is capable of extracting data, which is period-specific as well as any supporting information. DART transforms database objects into flat files that can be read by any third-party software designed for flat files. It is available as an add-on for older versions of SAP R/3, but is an integrated feature of the recent versions of SAP R/3.
    SARI --- SAP Archive Information System
    SARI provides much-needed retrieval capabilities against previously archived data. It requires the archive files be loaded into new tables in the database. In this approach, AS requires detailed, technical knowledge of the database table structure and field layouts. Database structure of an enterprise needs to be flexible and dynamic to be able to quickly adapt to organisational changes. It might happen that the current database structure is not compatible with the structure of database when archive files were initially generated. Archive Information System is a standard tool delivered by SAP that facilitates customized access to the archived data

    Basically Data archiving process comprises three major phases. They are:
    1. Creating an archive file: The archived files of data are created in the SAP database by the Archiving Management system. The Management system reads the data from the database and writes it to the archive files in the background. In instances of archived files exceeding the maximum specified limit, or if the number of data objects exceed the stipulated limit in the system, then the system automatically creates new archive files.
    At the end of the process of saving data into archive files, ADK triggers the system event SAP_ARCHIVING_WRITE_FINISHED, which is an indicator to the system to start next phase of archiving process.
    2. Removing the archived data from the database:
    While archiving management system writes data on the archive files, another program deletes it from the database permanently. The program checks whether the data has been transferred to the archive. It is quite important too as it is the last check performed by the system before deleting data permanently from the database. Several deletion programs run simultaneously, because the archiving program is much more faster than the deletion programs. This is important as it increases the efficiency of archiving process.
    3. Transferring the archived files to a location outside the SAP database
    Once the Archive management system has finished archiving the data, the next step is to save the archived files at a different location other than the SAP database. This can be accomplished by an automated process in the system or by a manual process. This step is optional since many enterprises may wish to keep the archived files within the current database. However, large enterprises transfer their data periodically as a part of their data archiving processes.

    As you aware, we cannot delete info types Basic pay, Garnishment document  likewise there are around 15 info types which I am unable to delete due to time constraints etc.., for this process also the SM35 batch session is the better way.
    User wants to remove from table level ,the information is not required and no one should see the information.

  • Can data be purged without the archiving process in BW system?

    Dear all,
    can anybody give me some comments on the data purging process?  After checking some materials about BI data archiving,  I am wondering:
    if data can be purged skipping the archiving process?  As long as no requests to retain the historical data, it should be good for performance reason to purge some useless data.
    My doubt to this question is:
    1. Will there be any inconsistency if we do the data purging manually without instruction of SAP standard process?
    2. Will there be any particular issues for DSO and Cube data purging?  Since there should be some business related dependencies.
    It would be highly appreciated for sharing the best practice in data purging or archiving in BW system!

    Hi,
    as others are pointing you should never delete data with other means than SAP standard procedures (request, selective, archiving....); in other words, do not delete data directly from the the BW DB tables!! This would definitively lead to big troubles... I am not sure what you mean exactly by "manually"...
    Deleting data (purging and or archiving) should always been considered carfully:
    - is the cube/dso a source of data for other targets (datamart)? If this is the case then the deletion should be carefully analyzed
    - for DSO/ODS it is particularly important to ensure that the keys of the records to be deleted will never be loaded again in the DSO; because of the overwrtie capabilities for these containers, this situation will obviously lead to incorrect data posted in subsequent targets
    Currently we've never used the archiving functionalities of BW... We monitor closely the data genererated by BW itself in datamart scenarios (PSA in between providers can grow very fast) and have implemented a customized process for that since it wasn't possible to archive PSA in BW3x....
    Most of the data stored in our providers are still used by our consummers (six years of data, some 3TB) and we use the logical partitionning extensively on the calendar year; this enable us to "move" "old" data to less expensive storage line.
