Cross Reference paragraphs from Word to imbedded Visio document

I have a word document with about 200 steps included which are cross referenced throughout Word.  I have a Visio flowchart that serves as a visual picture of these steps, but requires manual input and adjustment when we adjust the steps in Word. 
I don't want to use the hyperlink, I'd rather have a cross reference that will auto update the step number only to match the Word paragraph number.  If I could incorporate cross references from the text in the Visio file objects to the paragraph numbers
in Word, this would save many hours at my organization.  Additionally, this is Visio Professional 2007 as I couldn't find a forum for 2007, only 2010.  I've searched many forums, but haven't come across any successful answer.  PLEASE HELP MICROSOFT!

When I've used hyperlinks, I've always tied them to bookmarks in the word document. I haven't heard of a cross-reference between the two products.

  • Cross-References coming from Word in FM 7.2

    Hi Folks,
    I have a problem with the Cross-References. I create an EDD and Read/Write rules, and generate a conversion table. With it I'm converting all the my documentation in MS Word to Structured FM 7,2. It works well, but there two main problems that I can't solve. I spent a lot of time reading the Structure application Developer Guide, but I can't find a solution.
    First one is a minor problem that I can solve with a script but, maybe I'm doing something wrong on FM and it is easy to fix on the conversion table. When I apply the conversion table it generate without problems the RootElement, and apply tags for the paragraphs and Character formats, but I can't do that put other tags that are not related with text. I mean, my DTD need this structure:
    <book>
    <body>
    <heading1>xxxxx</heading1>
    </body>
    </book>
    and I obtain it:
    <book>
    <heading1>xxxxx</heading1>
    </book>
    I don't know if I can modify Rules, or EDD or Conversion table, to add the intermediate tag when use Structure Current Document
    Second one is a blocking one. I generate the XML with the tags and fix any problem on it. It works great and I obtain a XML :

        type = "38548: Heading 1: 1. This is the title"/>This is the title</heading1>
    <paragraph>This is the text of the Title <reference Idref = "i1003066" type = "Page"/> and it bla bla bla</paragraph></book>
    But when I try to re-open the XML with my structured application I obtain a log error:
    "Error at line 17, char 31, Message: ID attribute 'i1003066' was referenced but never declared"
    and a warning about cross-references missing (they working before save it as XML). File open and all is fine, except that references are missing and when I try to update the Reference dialog box to find other file is open with this message:
    1 Unresolved Cross-References to File: Current
    And ask me to find the "Current" file where point the reference. All the references in the document appears missing.
    Must I have two set of files, one FM for generate the PDF, and the XML for generate the help with my XLS? It is not possible re-open the XML on Framemaker and don't lost the references?

    In this case, I couldn't agree more. Esperanzas, I would recommend that you limit your faith in the conversion process, because there are many variables that will likely get mistranslated. Unless you are willling to do some programming with the FDK to clean up afterwards, I would expect that all cross-references should be recreated manually after import.

  • Cross Reference, Paragraph Style conflict?

    I'm created an epub file and have a cross reference for one of my chapter titles. When I export it to ADE the final product has the cross reference in the file but the paragraph style for the text that I linked lost all of it's styling somehow. The paragraph style is supposed to be centered and have space after it but it is completely gone but the code is still in the xhtml file.
    I have opened the xhtml file and cannot see where the issue is. Has anyone else had this problem exporting from CS4? If so, how do you fix it?

    According to the FM7 Help, the variables for background text frame use might be:
    <$paranumonly[paratag]>
    to pick up the first instance on a page, and
    <$paranumonly[+,paratag]>
    to pick up the last.
    The "+," bit is the key. I've never tried it myself.
    This presumably also assumes that the paras of interest all have the same format name.

  • Cross reference data from 2 different ecc system.

    Hi Sdners,
    Iam working on a scenario where i have to get data from two different Ecc system,consolidate them and send it back to their respective system.
    But some refernce data in both the systems are different and when iam merging data from 2 system i have to maintain either of the reference data.But problem comes when i syndicate it back to ECC ,it cannot accept a new reference data.
    Please suggest me some answere how to proceed in such case.

    Hi,
    First enable keymapping property to YES  for the table which you want to do
    importing and syndicatig.
    Create two remote systems type inbound/outbound .
    Import the data from first remote system and map the corresponding fields.
    Don't forget to map the remotekey field which is on the destination side.Make clone
    of one of the dispaly field and map to the remote key field.
    After importing you can see the records from which remote system are imported
    using Edit Key Mappings option in DataManager.It shows that remotesystem
    name and corresponding remote key.
    Do the same for second remote system too.
    After merging data in data manager , you can see the merged record and see the
    two remote systems names and two remote keys by using Edit Key Mappings
    option so the merged record goes back to both remote systems when you syndicate
    the records.
    Syndicate the data from first remote system by selecting destination properties and
    output remote system property under map properties tab as your first remote
    system.
    Do the mapping for corresponding fields and don't forget to map the value field under
    remote key .Then MDM generates remote keys for only records belongs to your
    first remote system.You can see this in destination preview.It does n't genarate
    remote keys for second remote system.Then check the option Suppress records
    without key under map properties tab and execute the syndication.Finally we can
    see the accurate records.
    Do the same for second remote system too.

  • Cross References Will Not Display Page Number

    Got some documents created in InDesign CS3 (MAC). When bringing them into CS4 (Windows) and trying to create a paragraph cross-reference the page numbers will not display. All the other text in the cross reference ("paragraph", the word "page", etc.) displays correctly. Even the cross reference under the "hyperlinks" toolbar shows nothing (instead of the usual # indicating a page number).
    However If I copy some of the same pages into a new document and create a cross reference in it the page number displays correctly. But since it's over 300 pages I really would hate to have to do that!
    Any ideas?

    Is it maybe because CS3 does not include the cross references function (not a feature until CS4)?
    That's a real problem if we use an outside source to create a lot of our documents and they're working in a previous version.

    I am laying out a series of long documents (~130 pages each) in InDesign CS5.5.
    The writer for the project has used cross-references in MS Word for areas like the TOC, index and page references ("See page X for more information").
    Is it possible to import these cross-references into InDesign so that the InDesign document functions like the Word document with the cross-references?
    I am thinking no because I am having a ton of trouble with it so far, but wanted to get a definite answer from an expert.
    When I import the text, the cross-references appear in InDesign in the Hyperlinks/cross-reference panel. However, InDesign says they need to be updated based on the way the text flowed in InDesign. And when I click the auto update button, all sorts of funky stuff happens and basically -- the cross-references create a bunch of typos and become junk.
    Thoughts? Knowledge on this topic?

    I can't speak to general or specific causes of your cross-reference problems. However, I believe that InDesign x-refs behave a bit differently in CS4, CS5, and CS5.5, and if you have either of these earlier releases, you might try them for comparison.
    Also, you might want to look into the free trial of DTP Tools' cross-references plug-in for InDesign, at dtptools.com, to see if it's more successful than InDesign's built-in x-refs.

  • ID CS4 - How to accurately identify existing cross references?

    Hi there,
    I'd like to know how I can accurately identify an existing cross reference.
    I've assumed responsibility for a large document with many figures and many more to be added. I've been adding cross references that use my "figure" paragraph style. All of my cross references point to locations within the same document.
    I am encountering older formatted text that looks like it might be a cross reference but I can't be certain. I've been using the non-printing visible rectangle to clearly identify cross references I've added. The previous authors did this in one or two locations but apparently not consistently.
    What does it mean when my cursor is placed in a bolded word and when I select the Type>Hyperlinks & Cross-References menu and none of the fly-out menu options are available? Does this mean I've placed my cursor within an existing cross-reference?
    If so, is there any way to change the format of an existing cross-reference so that it uses the visible rectangle?

    Unfortuantely, it's all in German, but ask Werner for an English version…
    I discovered some problems with its UI on Mac OSX, but if you are on Windows it should work fine.
    The trial version is restricted to 25 hyperlinks…
    Since "Wps HyperlinkInspector" is using "nodes" [+] you can expand, expect problems if you are testing with the current version of inDesign CC. There are some severe bugs with ScriptUI right now (e.g. you cannot expand "nodes").

  • FrameMaker 11 trial version crashing on save and cross-reference insertion

    Hi everyone,
    I've recently started a new position. My prior background was heavily DITA, and I'd describe my FrameMaker experience as late beginner or early intermediate. The new position uses FM exclusively though, so I've been on a steep learning curve lately.
    I'm using the trial version of FrameMaker 11, downloaded about two weeks ago, until the PO for my full FM 11 license is processed. I'm working in book and document files that have been upgraded, I believe, from FM 9 to FM 10 and then from FM 10 to FM 11. All of my colleagues are still using FM 10, with a mind to upgrade to FM 11 in the spring as our new budget comes through (I am, so to speak, the FM 11 guinea pig for the group).
    My workstation is a brand new HP Elitebook laptop running Windows 7 64-bit (I believe our IT department downgraded it from Windows 8). Windows is fully up-to-date. My trial version of FM 11 is 11.0.1.382 and also up-to-date as of this message.
    My issue: FM 11 randomly crashes several times a week, sometimes once a day or so, sometimes when I try any of the following:
    Saving all files in a book (using Shift + the File menu command)
    Saving individual document files (generally using the Save icon in the tool bar)
    Attempting to insert a cross-reference (placing the insertion point within the document, then opening the Cross-Reference tool in the right-hand side bar)
    The crash takes the appearance of FM freezing for several seconds, then the dreaded message window opening with the words "FrameMaker has detected a serious error and must quit", with columns of error codes below.
    I've googled and binged and not found anything for this issue in FM 11, so I thought I'd post here. I have tried the following, based on somewhat similar discussions I've seen for crashes in earlier versions of FM)
    Mif-washing the files
    Working in the Structured FrameMaker interface instead of the Unstructured
    Neither of these has worked. FM 11 trial continues to crash. It doesn't happen often; I'd say that I'm able to successfully able to perform the above tasks 20 times or so, with the crash on the 21st. But on a busy day, that's a few crashes a day.
    To mitigate damage, I have autosave set to every two minutes and gotten in the habit of only having one or two documents open, instead of all in a book, to minimize the number of recovery files I need to process.
    After one of the initial crashes, I did as Adobe asked and forwarded the crash report to them for troubleshooting.
    My colleagues are watching all this very closely, and my troubles might influence our decision to upgrade from FM 10 to FM 11. So any insight into this issue would be appreciated!

    Eric,
    The multitude of unesolved x-refs may due to the font issues when updating the book. During an update, if the files aren't open, FM tries to open them in the background but if it encounters an error like a missing font, it skips the file and then any x-refs to that file are unresolved. This can cascade to make things look really worse than they are.
    What is your default printer when you start FM? It should be the Adobe PDF prnter instance. If not, then you might want to insatll the Sundorne SetPrint utility (http://www.sundorne.com/FrameMaker/Freeware/setPrint.htm) thta will automatically set this for your FM sessions only.
    One other place where fonts can hide is in table definitions. The catalog stores the font information (and not just the explicit paratag) of the cells in the header and first row. As Jeff mentions, you need to check the MIF file in detail. An excellent tool for quickly browsing your MIF is Graham Wideman's Mifbrowse (http://www.wideman-one.com/gw/tech/framemaker/mifbrowse.htm).

  • Cross-Reference creation

    Hello to all!
    I am new to this amazing world of Extendscript but I have been using Framemaker since version 5.5.
    I am working on a kind of cross-reference manager and it works really nice. I can list all cross-references at book or document level, select the cross-reference to be shown in the current document and so on. I am using non-structured FM.
    The problem I am facing is the creation of cross-reference itself.I know how to create a Cross-Ref Marker for the Xref, but I don´t know how to insert the Xref into the content. I tried with NewAnchoredFormattedObject function with objType, format and textLoc parameters. Also there´s the XRefSrcText property (string containg unique ID:pgf_tag:text).
    The question is: Should I use the same string (the content of XRefSrcText) as text for the Cross-Ref type Marker? Or just the pgf text that contains the Cross-Ref?
    I have found several examples using Framescript but I am unable to replicate the code using ES.

    I have been trying to create the XREF following your suggestions:
    First I created a XREF using the FM procedure. Then I created a code to get the info from Data Browser in the ESTK.
    Then I created a XREF using my own code: FM recognizes the XREF (as you can see on the right image) but I cannot get any cross-ref on the content.
    Here is the code for the Cross-ref marker target creation:

  • How to use the Cross Reference fields in P4P

    I have been receiving questions related to the Cross Reference section from many different customers and partners. This post represents my attempt to describe the Cross Reference Section and the Equivalent Numbers stored within.
    Identity
    A term that Kelly uses and I will borrow is “identity”. A given specification can have many identities. The basic identity is the specification number generated by GSM. This is useful during early stages of design. Once we get past a draft or development status in the workflow the organization quickly wants to identify the specification in other ways. Examples include:
    Execution System Number: Operations and Supply Chain quickly need to formalize an item or material for forecasting, inventory and purchasing…
    Custom Numbering Conventions: Sometimes an organization has very specific custom logic for identifying materials. Usually terms like smart numbering are used to describe their methods.
    Data Migration Identifier: In some cases customers have extensive data clean up projects. As part of the effort systems and processes are developed and an identity is created. In my experience we loaded a “Base Stock” number to represent Packaging Materials. The label stock that was commonly used was historically not represented so we created a number as part of the migration project.
    Identity Functionality:
    The Fields: The four major fields that make up the Cross Reference section are as follows:
    >>System Name: This field describes the system generating the identifier. Examples I like to use are Oracle EBS or SAP Material Master. Sometimes geography must also be concatenated to the system, i.e. Oracle EBS – NA. This occurs when the customer is a large multinational where multiple ERP implementations exist. Therefore the same material may be known by many different numbers, i.e. Oracle EBS – NA = 77432, Oracle EBS – EU = 88883.
    >>System Code: The system code is merely the syntax used during integration. Using CSS or various APIs you may chose to identify the system using an abbreviation, EBSNA or SAPMM.
    >>Equivalent: The value representing the identity within a given system.
    >>Externally Managed: If you are using CSS or an API to receive Cross Reference data you can define the field as "Externally Manged". When a cross reference is marked in this manner the general user community will not be able to edit the field. Administrators associated with the role [Externally_Managed_Cross_Ref_Admin] can edit the field if needed.
    Syndication: While some users enter equivalent numbers manually, others use integration tools to generate and transmit identities. If a given cross reference is marked as “Externally Managed” then users are unable to manually enter data. On initial syndication the specification will not have a given equivalent. The specification is sent to middleware, a number is generated by the appropriate system and the response is sent back to GSM to add the System Code to the specification with the appropriate identity value.
    Copy verses Issue:
    >>Copy: When a user copies a specification the Cross Reference data is NOT included. Since the identities refer to the originating specification it does not make sense to carry over to the copy. If we did then users would quickly need to delete the data.
    >>Issue: When a user issues a specification it maintains the Cross Reference data. This is an important concept because it is expected that a system like GSM will have many issues related to a single ERP #. ERP systems are usually not interested in many of the fields stored in the Product Data Management system.
    Reference: As raw materials are consumed as inputs into Formulation or Trade Specifications the organization may come to identify the materials based on equivalent numbers. Therefore GSM allows for an equivalent number to appear next to the GSM number.
    Implementation Issue:  Ingredients In Packaged Quantities
    Some customers run into a situation where the ingredient specification does not represent a packaged quantity. From an R&D perspective the developer does not care if the material comes in a box or a tanker. In this situation the GSM ingredient may be represented in the ERP system by many items and therefore more than one cross reference value. These items represent packaging differences that are important to purchasing, manufacturing, warehousing, and other execution systems.
    I hope this helps describe some of the purposes and implementation issues around the Cross Reference field.

    You need to get jmf.jar in your CLASSPATH, either on the command line, in an environment variable, by putting a symlink in $JAVA_HOME/lib/ext, whatever works for you. Have you done that? Once it's in the classpath, you can run jmstudio from any directory with the command "java JMStudio".
    Items in the bin directory are just shell scripts, run with "sh jmstudio" or whatever suits your shell (on Mac OS X, copy one of these guys and append ".command" to the filename to make him double-clickable in the Finder).

  • Problem deleting cross-references: Deleted cross-references do not convert to correct text

    This helpful page states that, "When you delete a cross-reference, the source cross-reference is converted to text."
    I use InDesign to create user's manuals, which are full of cross-referenced page numbers.
    The cross-references are all internal to a single document, they do not link to other documents. Each cross-reference is linked to paragraph text and the cross-reference format is Page Number.
    I find that whenever I delete a cross-reference, the cross-reference does convert to text; however, the text—which in this case is a page number—is wrong.
    For example, this sentence is on page 16:
    "You can measure your heart rate using either the handgrip heart rate monitor or an optional chest heart rate monitor (see page 21 for information about the optional chest heart rate monitor.)"

    However, when I delete the cross reference, the sentence now reads:
    "You can measure your heart rate using either the handgrip heart rate monitor or an optional chest heart rate monitor (see page 16 for information about the optional chest heart rate monitor.)"

    Now, to my mind, the cross-reference should have converted to the text "21," since that is what the cross-reference said (and it is the correct page number for the optional heart rate monitor text that is being referred to).
    Instead, the cross-reference converted to the text "16," which is the number of the page that the sentence is actually on, but is most definitely not what the cross-reference said and is not the correct page number to boot.
    Do any of you know the reason this happens?
    Is there a way to make the text convert to the correct page number when the cross-reference is deleted?

    Update: The cross references work when I export the book as Print PDF. Sadly this solution does not work in my case, because all my interactive element are disabled when exporting as Print PDF.

  • Some FM cross-references do not convert to hyperlinks in RH

    Some existing cross-references as well as new cross-references in a specific chapter within a book are not converted into hyperlinks in RH. The cross-references work fine in FM. Cross-references in other chapters in the book are converted correctly.  The problem started after  I killed Robohelp with the UI froze while performing an Update All.
    After re-opening the project and updating the linked files in RH, a different character tag (blue italics) was automatically applied to the cross-references that were not converted to links. We tried deleting and recreating the cross-references, deleting and re-linking the affected chapter and importing the character and cross-reference formats from another book, but nothing has helped. Any ideas on what can we do to fix this problem?

    and use only Robohelp instead of FM-Robohelp.

    For creating cross-references between chapters, open the chapter documents and insert cross-references as is done for any normal document using menu command "Special->Cross-Reference".
    For updating all cross-references throughout the book, you can use the menu command "Edit->Update Book".

    Is there any API to import Item Cross References into mtl_cross_references? (not customer item cross reference)?
    From what I read from the forum, there are no such API's.
    So should I directly be inserting into the base table mtl_cross_references?

  • Suppressing variables and cross-reference formats

    Hi all,
    I'm hoping someone can help me with the following two questions:
    I am using TCS 3 (FM 10 and RH 9) and have my FrameMaker content linked in Robohelp.l
    1) Is there any way of suppressing a variable from being included in Robohelp (example, the Table Continuation variable), without having to conditionalize each instance of this variable? If conditionalizing is the only way to do this, is there a fast way to conditionalize all instances of the Table Continuation variable? (faster than doing it manually by searching and replacing).
    2) Is there a way to suppress a cross-reference format from being converted to the Robohelp procedure.

    #1 - not sure about
    #2 - definitely yes - in the Conversion Settings screen in RH, when you select the FM xref, you see in the field for RH and a little sample of what it will look like - the trick is that you can type over the text to specify what you want to show - I use "<$paratext>" to change one of my "print" xrefs (xxx on page yyy)
