Custom Retention policies for default folders in Outlook

Hello,
The following are the steps I've taken to create a retention policy for a user.Exchange 2013, outlook 2013
The problem is that even if I create a retention tag for a default folder, I cannot implement it. I've gotten retention tags for user created folders to work, but not the default folders.
Login to microsoft 365 as exchange Administrator
Click Admin > Exchange
Click ‘Compliance Management’ on left side
Click ‘Retention Tags’
Create desired retention tag by folder (choose default folder or user created folder)
Save each tag as it is created
Click ‘Retention Policies’
Click ‘New’ to create a new policy
Add desired tags to policy and click save
To apply Retention Policy click ‘Recipients’ on left side
Click ‘mail boxes’
12.
Select user and click edit > mailbox features
13.
 Select desired retention policy
14.
Save
Using this method I created a retention tag to delete mail in the junk mail folder after 14 days. I added the 14 day junk mail retention tag to a retention policy and applied
it to a user. But whenever I look at the junk mail folder it shows that the email will be deleted in 30 days --- not 14.
What am I doing wrong?

Hi,
We can try to use managed folders to specify retention settings for default folders such as Inbox, Deleted Items, and Sent Items. See:

  • Different retention policies for RMAN

    Hi@all,
on our DB Server with RHEL 6 and Oracle 11.2.0.3.0 we're creating the following backups with RMAN:
    - every day at 11:00 pm Level 0 backup
    - every day at 05:00 am, 11:00 am and 05:00 pm Level 1 backup
    I've activated this retention policy:
    CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 7 DAYS;
So every backup is obsolete after 7 days. We use the control file and no recovery catalog. We have to get so much backups in front of SLA's.
Now (in front of our physical disk space) i want to switch the retention policy to the following:
    - Fullbackups (level 0)should be obsolete after 7 days
    - incremental backups (level 1) should be obsolete after 2 days
    - arch. redologs should be obsolete after 7 days (i like to use LogMiner and mostly i need the arch. redo logs from the last 7 days in our company)
Is it possible in RMAN to define different retention policies for the different types of backups?
Thanks for your help and regards,

You misunderstand what retention policy is and how it works.
When you say 'retention policy 7 days' you are telling rman to keep everything -- all backups of all types -- that are necessary to recover to any point within the last 7 days.   If you say 7 days, rman makes the decision on what he needs to recover, not you.
And note that all recovery begins with the most recent full backup prior to the requested point in time.   So if you are taking a level 0 backup every seven days, with a 7 day retention, six days into the cycle, you will still need the level 0 backup from 13 days ago, so rman will not consider it obsolete.

  • Question for customs "Define rules for default document data"

    Hello all,
we would like to set up the data for AES. We set the country of origin, as you can see on the below screenshot.
The problem is that the country of origin is not forwarded to AES. In the export declaration under the item detail there is an empty field at the country of origin.
What do we have to change in the set up "Define rules for default document data"?
    Thanks in advance.
    Sven Sklarek

    Hi Sven,
Sorry to take the conversation in a different direction, but it's very unusual to propose the Country of Origin (CofO) by default, and not usually accepted by the Customs authority.  Generally the CofO depends on where you obtain the goods.  If that doesn't change much, it's usual to set the CofO on the Material Master record in the ERP system - in that case the value copies automatically into the GTS Export Declaration item.  That is why there is no standard configuration having IT_CUCOO as a Target Field.
Also, in many countries, CofO is not mandatory in the Export Declaration (although always mandatory in the Import Declaration).  You might want to check the situation in your area.

  • 10.6.6 - How to set custom view options for specific folders

How is it that Windows has had the ability to ability to set custom folder view options forever and OSX can't. What is the big deal? Just do it. Whenever I set the folder view options it changes the view for all the folders. I can do folder specific changes as long as the finder window is open then I close it and open it again every folder is the same again. It's just an annoyance and it's something so rudimentary it's embarrassing.

    Try the following:
I want to have, say, one folder in list view
Open that folder, set it to list view, type command-J, and in the view-options window that opens, check the box at the top for "Always open in list view".
then the subfolder of that folder I want to have in cover flow view. permanently.
Open that folder, change it to cover-flow view, and in the view-options window check the box at the top for "Always open in cover-flow."
Those two folders should "remember" the custom views that were set for them.
There's additional discussion about the meaning of the"Use as defaults" button in this thread
    http://discussions.apple.com/thread.jspa?messageID=13063792
My own take is that folders that have not been customized by checking the "Always open in xxx view" box will by default open in the same view (icon vs list vs column, etc) that was in effect for the previously opened folder. *Within each view*, you can set the default parameters (text size, etc) for a new folder by setting up a folder the way you like and then checking the view options box for "Use as defaults" at the bottom.

  • "Set by a custom retention formula installed on this server" is disabled.

    Hi,
I want to use a custom retention formula to determine expiration but the option "Set by a custom retention formula installed on this server" is disabled.
    How can I enable it?
    Thanks in advanced.

    Hi,
To use a custom retention formula to determine expiration, click Set by a custom retention formula installed on this server. This option is only available if a custom formula has been set up by your administrator.
However you can create a custom retention policy, follow the articles for doing it by code.

  • How to use retentions policies in OWA

Please don't use acronyms without defining them first
I am trying to setup retention policies for my boss's email. He uses Outlook 2013 on his laptop. Am I correct in thinking that if I set up retention policies through his microsoft 365 Outlook Web App, the retention policies will be applied to Outlook
2013 client on his laptop? He does have exchange.
As I understand it, retention policies cannot be applied to default folders (Inbox, sent items, deleted items, and junk mail). Retention policies can only be applied to created custom folders. Is this true?
Are Deleted items and Junk Mail retained for a certain period and then deleted by default? If so, what is the default retention period? Can it be changed?
Does Office 365 back up emails? If so, how long does it retain emails? Can it be changed?
I did setup a Test folder with a retention policy that was a week long. A week later I check on an email I placed in the Test folder and the email said it had 0 days until expiration. I checked the Test folder again a week later and it was deleted.
Is the Test email recoverable? I would prefer that it is not. I did some research and found that the Managed Folder Assistant needs to run before expired items are deleted. How do I get Managed Folder Assistant to run every night? I don't know how to use Powershell
and only have access to OWA.
I need to figure this out pretty soon. If you need more info. just ask.

    Mr. Bomb Diggity
    2. Policies are applied at the Mailbox Level. So if you apply a Retention Policy to his mailbox, it would indeed be "pushed" to his outlook.
    3. Default Folders do have retention policies, however I believe the users can not change them. I will have to verify that. I do know that you can setup custom policies for other folders and the users can choose which policies they want on that folder.
    4. Again you will have to find out which policy is applied to that mailbox and find out which retention tags are set for those folders.

  • Retention Policy for Tasks

I am helping a client with their Exchange Online archiving policies.  Everything was working well until we realized that Tasks were getting archived according the default archiving policy.  I do not see the option to create a Default Retention
Policy for Tasks.  It is not listed in the Default Folders drop down menu.  Another article indicated that they had the same issue and had to set the Default Policy to never archive and then setup individual policies for folders they did want archive
in order to protect the Tasks folder.  However, I only seem to able to create "Archiving Policies" as a personal option.  I do not get the option to create an Archiving policy default folders.  The only option I see for Default folders
is "Delete and Allow Recovery" or "Permanently Delete".  Move to Archive is not listed.   Please Help.

The Default tag applies to Tasks folder as well. If you want to prevent items in that folder from being moved to the Archive mailbox, create a new Personal tag with the move to archive option, and apply it to the folder. As the retention options for the
Tasks folder are not exposed to the end user either via Outlook or OWA, you will have to use EWS based script.
You can refer to this article for more info:

  • New retention tag in default MRM policy (question/recommendations)

Hi. I was asked by a user to setup a policy so that she could assign a policy that deletes any items older than 90 days.  She'd like the ability to assign this action to any folder in Outlook, both default (inbox, sent, etc), and personal folders she's
    created.
So, what I did was to create a new tag, and then added it to the default MRM policy.  This is what the tag looks like:
My question is, is this the "correct" way of doing this? Should I have created a whole new policy with just the one tag in it? Also, will she be able to apply it to any folder in Outlook, including the default ones?
    Thanks in advance!

    You've missed one 'catch':
Users can apply archive policies to default folders, user-created folders or subfolders, and individual items. Users can apply a retention policy to user-created folders or subfolders and individual items (including subfolders and items in a default
folder), but not to default folders.
    http://technet.microsoft.com/en-us/library/dd297955(v=exchg.150).aspx#RT
Personal tag with Delete action will not work in this case, if she wants to apply it to all folders.

  • Public Folder retention policies?

I'm trying to find out if retention policies can be applied to public folder content in Exchange 2013.  I can't seem to find consistent information on this.
In this Exchange 2013 Public Folder FAQ:
    http://technet.microsoft.com/en-us/library/jj552408(v=exchg.150).aspx
"Can you set retention policies on public folders?
Just like in previous versions of Exchange, you can set retention limits on items."
But in this Public Folder White Paper:
    http://technet.microsoft.com/en-us/library/jj150538(v=exchg.150).aspx
"Retention policies aren’t supported for public folder mailboxes."

Corey, I have confirmed that the FAQ is wrong.  MRM does not apply to public folders.  You will have to come up with some other method to scrub them, like writing a script that uses EWS or something like that.
The author must have conflated folder quota limits with retention policy.  I've asked that it be fixed, but nobody has committed to any timeframe.

  • RMAN Retention Policies

We are looking for two retention policies for our backups. 30 days retention for all backups on TAPE and 7 days retention on all backups on DISK. If we set retention policy to 30, disk couldn't accommodate all backups on disk at the same time, we need backups on tape for at least 30 days.
    Any ideas?

You would have some block of code in your script to delete obsolete backups... replace that with two commands (one global and one for disk). You would still have retention policy for 30 days
    RMAN TARGET /
    CONFIGURE RETENTION POLICY TO RECOVERY WINDOW OF 30 DAYS;
    ALLOCATE CHANNEL FOR MAINTENANCE DEVICE TYPE DISK;
    ALLOCATE CHANNEL FOR MAINTENANCE DEVICE TYPE SBT;
    DELETE FORCE NOPROMPT OBSOLETE;
    DELETE FORCE NOPROMPT OBSOLETE RECOVERY WINDOW OF 7 DAYS DEVICE TYPE DISK;

  • New Outlook 2013 Installation - How to configure for default pop email and access exchange 2003 server for shared folders only

I have successfully installed and configured outlook 2013 to access my pop.integra.net email accounts.  We have an 2003 exchange server we use for shared folders which I am having difficulty accessing.
My preference would be to set up my access to the exchange server and use the same data folders for email as are in use for my pop email account.  In outlook 2003 this was simple, but in 2007 on up it seems this feature has been hobbled.  Is there
a workaround to get both accounts to use the same database?
Next issue is if I use the Mail client wizard under Control Panel to set up access to the exchange server - everything looks fine but when launching outlook I receive the following 2 error messages:
"The resource that you are trying to use is located on an unsupported version of Microsoft Exchange.  Contact your e-mail administrator for assistance."
"Cannot start Microsoft Outlook. Cannot open the Outlook window. The set of folders cannot be opened.  Your Microsoft Exchange administrator has blocked the version of Outlook that your are using.  Contact your administrator for assistance."
Obviously the optimal solution is to upgrade the Exchange Server - assuming that is not an option - are there any workarounds?
    Any assistance would be appreciated.

    Downgraded to Office 2007.
So now have a new Windows 8.1 laptop with outlook 2007 installed.
From what I have been told this should allow me to connect to the Exchange2003 server
I set up the pop account - works fine
set up the exchange account through Mail.exe and am unable to launch outlook.
    "Microsoft Exchange is Unavailable"
"Retry - Work Offline - Cancel"
    Then
"Cannot start Microsoft Office Outlook.  Cannot open the Outlook Window.  The set of folders cannot be opened.  The information store could not be opened."
The data file path is the same for both the pop account and the exchange account:
    C:\Users\Scott\app data\local\microsoft\outlook\outlook.pst
How do I get this to work?

  • No default search folders in Outlook 2010

    Hi there,
I joined a new company and we use Exchange 2010 SP3 UR6 with Outlook 2010. All users are using Online-Mode, nothing cached. Nobody has the default search folders. I ran outlook with /cleanfinders /resetfolders, nothing.
It's not vital of course, but I'm still wondering how that can be. New and old mailboxes only have the "root" Search Folder. Left click on it does nothing (is this normal? From my memory I don't think so), right click offers to create a new one...
    Cheers

    Hi,
Your administrator can specify whether to create the standard default Search Folders when Outlook starts for the first time by using group policy. See:
Please contact your administrator and confirm if he has applied the policy. For your reference:
    http://technet.microsoft.com/en-us/library/cc179004(v=office.12).aspx
Note: This article is for Outlook 2007, it also applies to Outlook 2010.
-> Left click on it does nothing (is this normal? From my memory I don't think so), right click offers to create a new one...
This is the default behavior, we need to use right click > New Search Folder to create new search folders.
    Hope this helps.

  • Custom Icon Images for Folders in KM

    Hello Everyody,
I have to display folders such as Pesonal Documents, Public documents, Recently used, Favourites etc which are there in the entry point repository in KM. Right now all these folders are being displayed with the default icon image specified. I want to replace these default images with custom images but couldnt see any property where i can change the image path for these folders. I checked the details of all these folders and even went through the properties but there it shows only the default image name speciefied for that folder and no active settings where i can change the image path for custom icon. Kindly suggest how to implement custom image for KM folder icons.
    Thanking you all in advance,
    Regards,
    Sarabjeet.

    Hi,
If I understood, you have a KM navigation iview, where some folders apperar. You want to change the icon for each of them differently.
    For this do the following:
First have a look into the KM.navigation iview and get the layout set property. Go to System config->KM->Content management->User interface->Settings->LayoutSet and find the layout set you are using. Go to appropriate resource renderer and check the "<b>Icon setting</b>". Change it to: <b>iconreplace</b>.
Now get the KM details for your folders and change the <b>IconSource</b> property to your image Example:
    /etc/public/mimes/images/add.gif
Voila...the icons for these folders are changed!
    Hope this is your case.

  • Default Folders Policy/Items retention period not respected ?

    Hello,
We have Exchange Server 2007 SP3 and we've set up a default folders policy to erase all mailbox content older than 31 days.
However in three mailboxes we've sampled this policy isn't properly applied : the mailboxes had mails newer than 31 days deleted ( some 20 days, some 28 days, mine had only 14 days old mails !
Can you please explain to me why this is happening?

    Thank you sir Allen

I set the entire Mailbox to be deleted after 31 days, then creating managed content settings on tasks, agenda and contacts and uncheked the item retention period so that these items do not get deleted.

  • I do not want Bridge to be the default program for opening folders.

I have recently upgraded from CS5.5 to CS6 Design and Web Premium. Since my upgrade, when I click on any “folder” IExplorer no longer is my default browser for my folders. Bridge now opens all my folders. This is very annoying. I DO NOT want Bridge to be default. I tried uninstalling Bridge and it did not work, Bridge must have corrupted my registry.
When I tried to open a folder it warns me there is no program associated with this file. This is unbelievable that Adobe would do this. Why would you not give the user a chance to choose if they wanted Bridge to be the default folder browser. Or at least have an easy way to revert it back to IE.

I HATE that every time I try to open a “FOLDER” Bridge opens.
It seems the Adobe Forums are unreachable due to an update but using email I do respond nevertheless.
To be Honest, I don't understand how you are able at all to start Bridge when opening a folder?? Can you report back with details of System and version info of Bridge and maybe explain your workflow?
And Bridge is only slow for the first time, it needs to cache files first. Which brings me to the point that Bridge is a file browser and not so much as a folder browser. You can use the folder panel for an overview of the system content and folder structure and for fast and easy navigating.
