Damaged Index in Mail

A client of mine has been having a problem that started a couple of weeks ago. His Mail program will seemingly randomly pop up a message saying:
"Your Mail index has been damaged. To repair it, quit Mail.
Mail will repair the index the next time you open the application. Your mailboxes and email messages will be preserved."
He OK's this, Mail goes through a 5 minute re-indexing process, and then everything is fine for a while, but this will happen again sometimes rather quickly, other times after a day or so.
Is there a way to completely get rid of the indexing to force Mail to create a new one rather than "repair" it, or is repair basically doing the same thing?
In case it matters, this user is in a client/server situation, although the mail is not being handled by the OS X Server. Just the user account is hosted on a server. But all users just run and handle Mail locally on their machines (but obviously the database is stored in the users folder on the server).
PowerMac G5 Dual 2GH   Mac OS X (10.4.7)  

If this keeps happening repeatedly, someone should verify/repair the disk there (not permissions), in case there is some filesystem corruption.
The procedure to manually re-create the index (after having fixed all filesystem issues, if any), would be as follows, but I’m not positive doing this manually will actually solve the problem:
1. Quit Mail if it’s running.
2. In the Finder, go to ~/Library/Mail/. Make a backup copy of this folder, just in case something goes wrong, e.g. by dragging it to the Desktop while holding the Option (Alt) key down. This is where all your mail is stored.
3. Locate Envelope Index and move it to the Trash. If you see an Envelope Index-journal file there, delete it as well.
4. Open Mail. It will tell you that your mail needs to be “imported”. Click Continue and Mail will proceed to re-create Envelope Index -- Mail says it’s “importing”, but it just re-creates the index if the mailboxes are already in Mail 2.x format.
Note: For those not familiarized with the ~/ notation, it refers to the user’s home folder, i.e. ~/Library is the Library folder within the user’s home folder.

  • Spotlight indexing in mail is not working when I search, since 10.4.8 combo

    Hi
    I have noticed every since I installed the intel 10.4.8 combo update I have been unable to search my mail in Mail.
    I assuming that it is spotlight that indexes the mail boxes. Though this only appears to be a problem when I am searching using the search box in Mail.
    When I use the top right hand spotlight icon it works fine.
    Does anyone know how to fix the search in Mail?

    Actually, if you pay closer attention to what David has told you, you will see the banner he mentions provides for searching all mailboxes or the currently selected one, not just the Inbox, & for searching on the entire message; or the from, to, or subject fields alone.
    The banner appears after doing any search using Mail's search box, even ones with zero results.
    David wants to know what options are selected in that banner.

  • MAIL: The upgrade failed - error occurred during upgrade. launching Mail Import assistant  to repair damaged index did not work

    After installing Yosemite, the Mail required an upgrade. the upgrade was completed but resulted in a message: The upgrade failed. error occurred during the upgrade, check continue to launch Mail Import Assistant.
    This resulted in an instruction: Your mail index has been damaged. To repair it quit mail. Mail will repair index next time you open mail.
    Following this instruction resulted in the same failure message being repeated continuously.
    How do I proceed to upgrade the Mail app.?

    If doing as the alert directs (relaunching Mail) has no effect, see below.
    The new version of Mail stores its database in a different format than the old one, so the database has to be converted before Mail can use it. Sometimes the conversion fails because the old database is corrupt. The easy way to recover is to discard the old database and start afresh. You can do that without losing any messages, provided that:
    ☞ All your incoming mail accounts are on an IMAP or Exchange server
    ☞ You store sent messages on the server
    ☞ You don't have any "On My Mac" mailboxes
    Most well-known independent mail services such as iCloud and Gmail are based on IMAP. On the other hand, ISP-hosted mail services almost always use POP. If your ISP is one of your mail service providers (or the only one), you probably can't use this procedure. Ask for further instructions in that case.
    If you know that the conditions above are satisfied, continue as follows.
    Quit Mail if it's running. Back up all data.
    Open the Library folder in your home folder by holding down the option key and selecting
              Go ▹ Library
    from the Finder menu bar. Inside it is a subfolder named "Mail." Move that folder to the Desktop. You're not moving the Mail application; you're moving a folder named "Mail."
    Open the Internet Accounts pane in System Preferences and recreate your mail accounts other than iCloud with the same settings as before. To recreate an iCloud mail account, all you have to do is open the iCloud preference pane and check the box marked Mail.
    Launch Mail. If all goes well, your mailboxes should be restored automatically. The messages will be downloaded from the servers, so it may take a long time if you have very large mailboxes. Some people have mailboxes in the gigabyte range, and that may be a problem if your bandwidth usage is metered.
    If the mailboxes are created successfully, you can delete the folder you moved to the Desktop. You may have to recreate your Mail rules, signatures, and custom stationery. If it's very important to you not to have to do all that, ask for instructions before deleting the folder.

  • Wrong name in email address and damaged index in address book

    I have experienced this problem for months now. I have a Mac Pro at the office and MacBook Pro at home. The address book is synced with .mac. At random I will receive emails and the mail program will attach the wrong name with the address ( John doe [email protected] will be displayed as mary smith [email protected] ) this also happens in mail I have sent and copied myself on. The incorrect name is usually one that exist in my address book. The second part of the problem which may be related is the index for both address books will get damaged. Every few days I have to discard the address book index file ( AddressBook-v22.abcddb ) which fixes the index issue for a few days. The computers nor the applications ever crash. I wonder if the .mac syncing could be key to both computers having index issues. Rebuilding the address index does not fix the wrong name issue. Both computers are 10.5.2. I feel there is some deeper corruption issue that rebuilding that one index file does not correct. I have also rebuilt all the mail boxes.

    SOLUTION: my ultimate solution to the address book confusing contact info in ichat, mail, etc. was to go to ~/Library/Application Support/AddressBook/ and delete the AddressBook-v22.abcddb file. back up your contacts first!!! but after you delete and relaunch, Address Book will rebuild using the info from the Metadata folder. worked like a charm.

  • Damaged index file

    This morning for the second time in a week I got the error message saying something like: "The index file has been damaged, please quit and re-open mail and your email will be re-imported". The only option was to click the "Quit" in the dialog. Last time this happened, a few days, ago I seemed to have all my mail (with some duplicates and some marked unread) and some new ones. A closed discussion topic back in Jan talked about the same thing but with some lost mail. No reason for the problem or 'real' fix was suggested back then. I'm still in the middle of the re-index (10-60 minutes to go) with 76,000 messages to index. Maybe I should look into archiving some of the older mail to outside of the mail folder.
    Before this, last week, I moved from a G5 to an Intel Mac, migrating my files from one machine to the other.

    After using the right search field I found another mention of damaged mail indexes (http://discussions.apple.com/thread.jspa?messageID=7122581&#7122581). Here there was a question about IMAP accounts and a better procedure to fix the problem. I have, this week, set up one IMAP account for testing purposes (now deleted I wonder if this was a cause. It wasn't blamed in the previous post but was it just a coincidence? (BTW, my mail was reindexed and appears OK for the second time)

  • After deleting "Envelope Index" files Mail cannot re-index

    I followed the common suggestion of deleting "Envelope Index" files to speed up mail, but after restarting Mail, it freezes when re-indexing my archive: it blocks after indexing just 6,000 messages out of my 600,000 messages (I have a pretty big email archive). I've tryed anything (reinstalling Mail, importing in Thunderbird or Postbox), but no way to get back to my email archieve
    Moreover: I couldn't find Envelope Index* files in my Time Machine backup (tried "find" via shell, but no way)!

    That's not a way to speed up Mail.
    Please follow these directions to delete the Mail "sandbox" folder.
    Back up all data.
    Triple-click the line below on this page to select it:
    ~/Library/Containers/com.apple.mail
    Right-click or control-click the highlighted line and select
    Services ▹ Reveal
    from the contextual menu.* A Finder window should open with a folder named "com.apple.mail" selected. If it does, move the selected folder — not just its contents — to the Desktop. Leave the Finder window open for now.
    Log out and log back in. Launch Mail and test. If the problem is resolved, you may have to recreate some of your Mail settings. You can then delete the folder you moved and close the Finder window. If you still have the problem, quit Mail again and put the folder back where it was, overwriting the one that may have been created in its place. Post your results.
    Caution: If you change any of the contents of the sandbox, but leave the folder itself in place, Mail may crash or not launch at all. Deleting the whole sandbox will cause it to be rebuilt automatically.
    *If you don't see the contextual menu item, copy the selected text to the Clipboard (command-C). In the Finder, select
    Go ▹ Go to Folder...
    from the menu bar, paste into the box that opens (command-V). You won't see what you pasted because a line break is included. Press return.

  • Default Apache Indexes: add "mail to" button

    Howdy,
    I run a LAMP server and I am currently hosting some .pdf's for college, being shown using the default apache Indexes option (with some .css I found)
    I would like to add a button, visible when hovering, to mail each file to an email address (to be asked each user), specifically, a kindle address (I don't think it changes anything).
    This is the general idea...
    I don't know the AMP part of LAMP. I hunt around for the right scripts and tweak the bits I understand.
    Both msmtp and mutt are installed and working properly.
    Is there a standard way to accomplish what I want? What options do I have?
    Feel free to send me somewhere else, just asking you guys because I like this community. Been following the wiki/forums while trying to properly setup my arch server^^

    AFAIK there is no way to actually modify the output of mod_autoindex apart from adding a Header, Footer and CSS. You might need your own script to handle this.

  • Ssd indexing and mail search

    I've mavericks on ssd and I disabled (as interner suggest) indexing on my ssd... but now in mail I cannot use the search function! how can I restore that? do I need to reenable indexing on the drive?

    SSD is just a tool for your machine to work faster, smoother, cozier.
    Use it. Even if there is a longevity issue, you do keep backups and will get a new SSD when it's needed.
    Enjoy the speed while you have it.

  • Mdworker32 going haywire indexing small mail messages

    Thought I'd post here to see if anyone else is running into this.
    I installed Snow Leopard on my 17" MBP Unibody yesterday morning. Late yesterday I noticed the fans going strong, and my battery draining fast. Activity Monitor showed mdworker32 using a full core (98-99%) nonstop.
    Reviewing the console I'm seeing things like:
    9/3/09 10:46:20 AM mdworker32[29367] (Normal) Import: Spotlight giving up on importing file /Users/[username]/Library/Mail/IMAP-[emailaddress]/INBOX.imapmbox/Messages/1262 198.emlx after 299.634 seconds, 299.624 seconds of which was spent in the Spotlight importer plugin.
    That's an incoming email message from last month, file size about 18K. I'm seeing dozens of these messages in the console, all with email messages, and none that I've reviewed are very large. Mail has no trouble viewing the messages, nor do I have trouble viewing the files directly in pico or TextWrangler.
    Anyone else seeing this?

    Problem (roughly) solved. Details posted here for anyone searching.
    On a hunch I removed all third-party Spotlight importers. These were located in:
    /Library/Spotlight
    and
    /Users/username/Library/Spotlight
    I had roughly ten installed. After moving them all to my desktop I force-quit mdworker32. Things were then fine. Since there were no more 32-bit spotlight importers, mdworker32 didn't even launch (just mdworker, the 64-bit version).
    I moved two back in - iWork and Microsoft Office. These are the only two I really care about. mdworker32 then launched. After a minute or so it was up to 98% processor usage again.
    I pulled the Microsoft Office importer out again (leaving iWork in place). mdworker32 quit on its own very quickly.
    I was already up to date with Office 2008, confirmed by running the AutoUpdater manually.
    So pending further research, I'm leaving the "Microsoft Office.mdimporter" file on my desktop.
    I hope someone finds this useful; I'll update this post if I gather more info.

  • "Mail index is damaged"

    New problem.....When opening mail, I get the message "Mail index is damaged. Quit program and mail will repair index when re-opened." The only option at that point is to hit the quit button.
    When I then open mail again, there is no repair/rebuild, and the same dialog box opens. So at present my Mac Mail program is unusable.
    Any thoughts?

  • Mail can't index after upgrading to yosemite

    I am on a Macbook Pro, Yosemite 10.10. 2.53 Intel Core 2, 4GB Memory.
    A few weeks ago I updated to Yosemite from an older OS. All seems to be working fine, except for Apple Mail. It is having trouble indexing the mail. I did have a large storage of mail for my business and my personal. I don't know how to proceed. I did perform a backup via Time Machine.
    Here's what I did:
    When I try to open Mail, it says it needs to import messages. I click 'Continue'.
    After about 6 or 7 minutes, it appears to be done importing my 25K messages.
    I get a message saying it is upgrading my mail database and migrating my data.
    Then I get 'The upgrade failed. An error occurred durig the upgrade. Click Continue to launch the Mail Import Assistant, which will help you create a new library and import your existing messages.'. I click Continue.
    I get an error message saying, 'Your Mail Index has been damaged. To repair it, quit Mail. Mail will repair the index the next time you open Mail. Your mailboxes and messages will be preserved.'. This has not worked when I open Mail the next time.
    I have tried to go to Migration Assistant, but that did not seem to be what I was looking for. I cannot find where my mailbox folders are stored in order to delete several folders and their contents if I have too many stored messages.
    Please help. I am not sure what to try to get Mail to open and to recover my messages. Thanks.

  • Spotlight trouble indexing mail in Lion

    Having a terrible time with Spotlight perpetually indexing mail.

    -- those seem to be ridiculous errors for Spotlight -- if it can't figure out how to parse some of the info, it should ignore that info.
    This continues until the disk cache gets totally overloaded, and the machine slows down.
    Only help is to reboot.
    I have tried turning off spotlight indexing to delete the spotlight cache (and used Cocktail to delete the Spotlight index)
    That was no help.
    Also rebuilt all of the mailboxes within the Mail program.
    Then turned indexing off and back on.
    Still no help.
    Just tried deleting a couple of old mailbox entries in ~/Library/Mail
    There was an old Unix mailbox there from an early version of OS X, and another one that I could not identify, and should have been deleted long ago.
    I know I can turn off the indexing for mail, but that is one area where I would like to keep it.
    I haven't tried a reboot since the latest deletes, but seeing the same messages flowing in the logs does not give me much hope.
    It may be possible that 1 or 2 bad emails are causing all the trouble, but I am at a loss to find them.
    Have 18 different accounts that are active ( I do web work so have webmaster, and other accounts on a number of servers).
    Those are a mix of IMAP and POP.
    INBOX total is usually kept around 100 emails - almost never goes above 200 unless I am away for an extended time.
    Most mail ends up in folders ON MY MAC.
    Largest of those has about 1500 messages.
    Do not have extra folders on the servers with any of the IMAP accounts.
    It is about time I archive some of the older messages, and that may help, but it will take me a while to get to that, and then flush the messages.
    Problem occurred after update to Lion.
    Did not seem to have the problem with Snow Leopard
    Anyone have any other ideas?

    I thought I had posted a follow up to this posting, but I guess not.
    Soooo, here it is.
    The problem was not with Apple Mail.app as it seemed, but actually with Mailsmith.app.
    I use it for a number of mail accounts that I want to handle separately from my other mail accounts.
    Within that application there is a Spotlight helper/worker

    That is what was causing the problem for me.
    Some users remove that section from the application, or do as I did -
    Set the folders for Mailsmith mail for privacy in Spotlight.
    Note: also set any backups of the Mailsmith mail for privacy also.
    I filed a bug report with Mailsmith, but it is still open.
    There appear to be a lot of issues with their Spotlight helper through the various versions of OS and Mailsmith.

    The problem may be with certain emails, attachments, or addresses, don't know.
    I am happy excluding that mail from Spotlight, and now my logs don't overflow and crash, the machine goes into deep sleep, and runs much cooler.

  • Mail not indexing after dropping Entourage

    This has been driving me crazy all day; I hope someone can help. Recently, I moved back to mail.app from Entourage. When I was using Entourage, Spotlight indexed my mail correctly. Since moving back, my mail is no longer being indexed by Spotlight. I've rebuild the envelope index, the spotlight index (via the command line) and run the mail importer from the command line. None of this has worked.
    One anomaly: when I run mdimport -L, Mail.mdimporter does not show up in the list; Entourage.mdimporter does. Is there a way to get rid of that and replace it with Mail.mdimporter? NB: I did run mdimport -r /System/Library/Spotlight/Mail.mdimporter. It ran for several minutes, using quite a bit of CPU and seemed to complete successfully (no messages in the console). Still no Spotlight searching.
    Any troubleshooting hints?

    I have the same issue, except I have some more details. I had backed up my user directory to an external disk with ditto. I was messing with resizing some partitions (removing my 2nd partition for Windows), and accidentally blew away my OS. I reloaded then restored my User data with ditto again.
    I use an applescript to autoarchive my mail, and it looks for mail in the spotlight cache, checks the date and moves it to my local folder. The path the script references is "~/Library/Caches/Metadata/Microsoft/Entourage/2004/".
    This is empty, so its not getting indexed by spotlight.
    Does anyone have any other info on this.

  • Mail Indexing

    Everytime I open mail, or change mailboxes within Mail, it indexes the mail.
    It just started doing this within the last couple weeks. Prior to that, I never noticed it indexing.
    I have a total of 189 messages, in two different mailboxes. Mail says the total size is 43.1 MB.
    How can I stop it from indexing each time?

    Copy this INBOX.mbox and place the copy in another location of your choosing such as your Documents folder for backup purposes.
    Repeat Show Package Contents for the original INBOX.mbox moved to the Desktop. Delete all package content files except for the mbox file at 27.8 MB in size and empty the Trash.
    With the Mail.app quit and using the Finder, go to Home > Library > Mail > Mailboxes.
    Move the INBOX.mbox from the Desktop to/within the Mailboxes folder.
    Launch Mail and this transferred mailbox will be available under On My Mac in this mailboxes drawer if this folder is available and if not, along with any user created or imported mailboxes in the mailboxes drawer.
    Select this mailbox in the mailboxes drawer and the Mail.app will take additional time to re-index the mailbox. If successful and when completed, all messages in the message list for this mailbox will appear as unread.
    To mark all messages as read, select a message in the message list and at the menu bar, go to Edit > Select All. At the menu bar, go to Message > Mark and select As Read.
    Use the Rebuild Mailbox on this mailbox for good measure and this should resolve the problem.
    If so and there are no missing messages, you can delete the copy of this INBOX.mbox placed in your Documents folder.
    You can leave these messages as is or transfer the messages from this mailbox to the new INBOX mailbox for the account.
