Data Merge: Direct output to PDF

I'm using CS3 Design Premium, Mac Pro, and I have a single page letter that uses variable images and text from a CSV file. I routinely have 4000+ records with about 10 different variables each. Normally, I break it up into about 250 chunks, export to a PDF, and then combine all of the PDF into one file.
Is there a cheap (under $100 or FREE) plug-in, script, or something else that takes the original document and outputs the merged PDF?

I just set up a simple test file with 8000 records of three fields each. 21 records per page.
I didn't use a stopwatch but direct-export to PDF seemed slightly faster than the creation of the merged document.
And since the export of the merged document failed I would say that the direct route to PDF is rather a good feature, don't you know.

    g'day there
    i'll ask this question anyway despite expecting the answer "no, use CS5".
    in InDesign CS3, when using the data merge feature, is there any way to export the merged data directly to PDF like one would in CS4/CS5, as opposed to merging to a new indesign file and making the PDF from there? i use CS3/CS4/CS5 in my workplace and export data merges directly to PDF when using CS4/CS5, but the machine that i am on 90% of the time has CS3 and my workload has an increasing amount of VDP art which is not just in the hundreds of results, but in the tens of thousands.
    to me, the obvious answer is of course to swap machines, install CS4/CS5 on my machine, give the artwork to another operator who has CS4/CS5... but for the sake of this post imagine that these solutions could not be used.
    in my situation, i'd imagine that this answer would either lie in a scripted solution or a third party plug-in such as XMPie. Maybe the solution lies outside of indesign and with VDP software which may be available on the EFI Fiery RIP maybe?
    any ideas, or should i plead my case to management to pony up the cash for an upgrade? I figure whatever answer there is, money will have to change hands at some point.

  • InDesign Data Merge using password protected PDFs?

    I am trying to print postcards with Data Merge and I've run into a problem. The source files for one of the images are password protected PDFs. They all use the same password, and I do know the password, but InDesign wants me to enter the password every time it processes a record.
    If I'm printing 10,000 postcards, I would have to enter the password 10,000 times to make my merged file!
    Does anyone have any suggestions? Is there a way to enter the password once and, maybe hold down [command + option + control + kitchensink] or whatever, while clicking "OK" to apply that password to all future password dialog boxes? Is there a script I can run that could automatically enter the password?
    The original source PDFs need to keep the password protection, so removing the security en masse isn't an option. Making non-secure copies of all the possible PDFs that could be used seems really unwieldy and would take up a lot of network storage resources, so I really hope there is a more elegant solution out there.
    I'm using CS5 on a Mac and I would LOVE it if anyone has any suggestions at all on how to fix this. Thanks!

    Your path needs to use a colon instead of a forward slash. Also you might need to add the name of your hard drive before Users.
    The easiest way to get the correct path is to manually place one of the images, then go to the links panel, right-click on the image name and select Copy Info > Copy Platform Style Path.

  • Data merge & creating separate PDF docs

    I am using the data merge functionality to create targeted registration announcements for training. For example, a letter that says dear (Name), you are confirmed for (Course Name) on (Date).
    Within InDesign it works great, however when it exports to PDF it creates one big document with all of the names, albeit one per page. Is there any way to create a break so that if 5 names are added via data merge, then 5 separate PDF documents are created? It seems that otherwise the only other option is to manually create 1 page at a time which will sort of defeat the purpose.

  • Is there a way to name the .indd files created by a data merge with values in the CSV file

    I have a data merge document that is set to single Record per Document page and 1 page per document.  In my CSV file I have a field for Part Number.  If I run a data merge with 10 records I end up with 10 .indd files.  I need a way so that the resulting .indd files are named the same value that is in the Part Number field.

    So there are several ways to get unique name PDFs from an indesign Data Merge. However, none of these 3 articles will truly answer your question of how to get unique indesign filenames using the database. I can see a practical purpose for this as merging business cards directly to PDFs is great, but I can be guaranteed that while on proof, there will be alts to the business cards that need to be done outside the merge, meaning specific records need to be exported to indesign files for further manipulation.

    Procedure
    When we activate the Smartform the system generates a Function Module. The function module name we can get from Smartfrom screen from menubar
    “Environment => Function Module_Name” . In a report we can get this Function module name by calling a Function Module standard SSF_FUNCTION_MODULE_NAME. This function module at runtime calls the FM generated by smartform, which in turn is then used to pass data from the report to Smartform. In the report given below the FM generated is “ /1BCDWB/SF00000152 ”. In this FM we can see CONTROL_PARAMETERS in import tab. This is of type SSFCTRLOP. We need to set the GETOTF of this to be ‘X’. Setting this field will activate the OTF field in smartform.
    In export tab of the FM generated by smartform we can see a parameter JOB_OUTPUT_INFO which is of type SSFCRESCL. The SSFCRESCL is a structure of having one of fields as OTFDATA. OTFDATA in turn is a table of type ITCOO. ITCOO has two fields TDPRINTCOM and TDPRINTPAR. TDPRINTCOM represents command line of OTF format data and TDPRINTPAR contains command parameters of OTF format data.
    In every Smartform output in OTF format, TDPRINTCOM begins and ends with ‘//’. ‘EP’ represents the end-of-page value for TDPRINTCOM field.
    In addition we need to set few fields at the place where we call this FM(generated by smartform) in our program. While calling this FM we should set control_parameters, output_options, user_settings and job_putput_info fields as shown in program.
    Once these settings are done we can call Function Module CONVERT_OTF to convert the OTF data of smartfrom output to PDF data format. Once these are done we can call method “cl_gui_fronted_services=>file_save_dialog” to specify the directory path where we want to save the output PDF file. After this we can call Function Module GUI_DOWNLOAD to download the PDF file on our local system.
    Here is a sample code of program to perform the function.

  • Possible to include merge fields with exported PDF?

    Hello,
    I have only a simple question - is it possible to include data merge fields when exporting to pdf?
    Using InDesign CS2, we are doing a direct mailing campaign and having the printing outsourced. It is a 4 page document with only page 1 personalised - sending to over 1,500 recipients.
    The printer says he doesn't want our indesign file, he just wants us to create the 4 page indesign document, prepare the data merge fields, export to pdf and then send it to him.
    He says he'll then import it back into his own indesign one he gets this pdf and do the merge himself with the excel .csv file we provide.
    Does this sound about right? If so, how can I ensure the pdf is correct to send over?
    I have managed to get the data merge fields to be clickable like links in the exported PDF by including 'hyperlinks' and 'interactive elements' when exporting - but is this correct?

    The printer is right that he can use your pdf.  It is ok to place a pdf into InDesign. It might fit into his workflows and experience to do this work so.
    I would recommend to use a PDF/X4 with bleed as the printer requieres to place into an INDD file. But you should communicate with your printer how he wants it.

  • Speedy Data Merge (in the background)

    Hi,
    Doing this manually, after linking the source file etc. with the:
    Data Merge (Panel) > "Export to PDF" (Flyout)
    I'm able to export to PDF successfully without doing any of the steps that will either ask InDesign to "Preview" the records or generate another copy document with the "Merged Records".
    I'm trying to match this in the script I'm working on (that it skips those steps in order to speed up the generation of the output file).
    Currently I'm having to use "app.activeDocument.dataMergeProperties.mergeRecords ()" before the traditional "ExportFile" which in turn is creating the separate "Merged Document", then having to close both (slow).
    So, if I can get some help with the question above, is there a way to trigger the functionality of "Data Merge (Panel) > "Export to PDF" (Flyout)" within Extendscript?

This function module at runtime calls the FM generated by smartform, which in turn is then used to pass data from the report to Smartform. In the report given below the FM generated is “ /1BCDWB/SF00000152 ”. In this FM we can see CONTROL_PARAMETERS in import tab. This is of type SSFCTRLOP. We need to set the GETOTF of this to be ‘X’. Setting this field will activate the OTF field in smartform.
    In export tab of the FM generated by smartform we can see a parameter JOB_OUTPUT_INFO which is of type SSFCRESCL. The SSFCRESCL is a structure of having one of fields as OTFDATA. OTFDATA in turn is a table of type ITCOO. ITCOO has two fields TDPRINTCOM and TDPRINTPAR. TDPRINTCOM represents command line of OTF format data and TDPRINTPAR contains command parameters of OTF format data.
    In every Smartform output in OTF format, TDPRINTCOM begins and ends with ‘//’. ‘EP’ represents the end-of-page value for TDPRINTCOM field.
    In addition we need to set few fields at the place where we call this FM(generated by smartform) in our program. While calling this FM we should set control_parameters, output_options, user_settings and job_putput_info fields as shown in program.
    Once these settings are done we can call Function Module CONVERT_OTF to convert the OTF data of smartfrom output to PDF data format. Once these are done we can call method “cl_gui_fronted_services=>file_save_dialog” to specify the directory path where we want to save the output PDF file. After this we can call Function Module GUI_DOWNLOAD to download the PDF file on our local system.

  • Why does an InDesign document exported to PDF using data merge result in very different sized PDFs?

    I've got a small sheet that I update on occasion and use data-merge to add people's names to the sheet. It's very much like an invitation where every invite has a different name on it. I use the data merge feature to select a list of names and then they get inserted into the document. Then I use the Export to PDF command in the data merge window to create a pdf that has all of the invitations in one big file. They are four-up per page on letter sized paper. Sometimes I print 2000 of them and the resulting PDF is about 2mb, sometimes I print 1000 of them and it's 20mb. Document, settings, method of issueing the commands to output the files are all the same. The only difference is the list of names and those are all almost identical in length. Anyone know what could be happening?
    One clue is that it takes about a minute to run when the result is going to be a small file and about 5 or more minutes when the result is going to be a large file.
    My guess is that sometimes it includes a copy of the images once per page, and sometimes it only includes them once per document, but I'd love to know why and how to control that. Thanks.

    My Requirement is as follows -
    I have multiple Smartforms and a single Adobe Form.
    I want to merge the Smartform Outputs and Adobe Form output in a single PDF.
    I am able to merge multiple Smartform Output in a PDF , but not able to find any way to merge smartform and adobe form output as the Smartform output is in OTF Format and Adobe form output is in PDF Format itself.
    I have tried few ways , but could not find any success.
    Request you all to give me some direction to this problem.

    I am afraid this is not possible using SAP functionality. There are probably 3rd party tools which allow you to merge several PDFs into one, but SAP itself does not offer such a mechanism. There is an internal SAP function, though, which can merge several "parts" (=several PDFs) within an Adobe-created spool request into a single PDF, intended for downloading this PDF from SP01.
    This is described in note 1717357.

  • Linking Data Merge Field with JavaScript for PDF link

    Hello everyone,
    I am using the data merge in InDesign to generate a PDF with data from a data source file. The data merge will populate a Product Number field. I want to write a script that will modify the Product Number field to contain a JavaScript Link in the resulting PDF.
    For example, the product number [1234-567] will launch: app.launchURL("plsddr://localhost/1234-567|*", true); when the Product Number link is clicked on in the resulting PDF.
    Can anyone provide an example on how this could be done, or point me in the right direction? If there is a better way to go about this, please let me know.

    What findText returns is a list of Text, but that's totally interchangeable with Word. It appears InDesign can switch at will between Characters, Words, Lines, Paragraphs, and Stories.
    Text can consist of one single SpecialCharacter (a column break, or a hard return, or any of the SpecialCharacters enumeration), or of a standard JavaScript "String" object -- a simple Unicode string.
    The property that 'holds' the text is "contents" -- so, adding all of this up, to 'get' the text that has been found, you'd typically use
    next = list.pop();
    alert ("The text contents of this one is '"+next.contents+"'");
    and you can build further on that -- using it as a HyperlinkDestination URL, or something like that. The Text item -- 'next' -- still points to the 'live' text it was found at, so be careful not to modify it. Doing something like
    next.contents = 'hey what happened';
    will change the actual text in your document. But it's also useful to add, for example, a hyperlink to the actual position this text was found on.
    (A tip regarding changes: if you are to change your document, the original items findText pointed to will be messed up after you changed the first one! To prevent that, work backwards from the last item found to the first. findText(true) will reverse the order of found items, from last to first -- see the JS Help on that.)

    I'm not sure if this is possible but my goal is to do a mail merge from a script and have them save out as PDF files on the fly. 
    My template has all the data fields linked and i can merge to a new document with no problems, but I want them to merge/export to a PDF rather than the new doc. 
    Any thoughts?

    I have a project that entails tax forms from the IRS  -- I know everyone's favorite stuff.
    1)I need to setup a form that asks the webusers questions regarding their personal tax information -
    2) then validate/massage that data/information and determine what PDF form template to output this data to. (possibly output to 4 forms determined by users response)
    3) output the data collected in step 1 to the correct PDF template/form example template= http://www.irs.gov/pub/irs-pdf/f1040.pdf  - applying the data to the correct fields - bascially filling out the users name, address, calculations etc.
    4)allow the user to save/print/download the produced form in step 3
    I know I am not the first person to need this functionality. Can you please simply answer my question - can this be done?  Does it require software from other companies, or is this something that can be accomplished with just adobe products?  If so, can you point me to some tutorials that show me the necessary process to do this?
