Data Merge Hanging Up on Import

Hi,
I'm using InDesign's Data Merge to build a catalog from a CSV file saved as .csv with Excel.  Every time I try to import the data, InDesign stalls out and then "quits unexpectedly" after about 5 minutes.  I can't imagine the data file is too big to import, as it has only 50 or so records now (there will be close to 1000 when the database is complete).  Any troubleshooting tips?

InDesign won't even make it to the preview stage, when I select the data source is when the program freezes.
As for the line breaks, all the records are the same length with no split cells or anything in Excel.  However, there are cells with no values (empty, not zero).  In the .csv that is translating to item A, item B,,,,, Item G and so on, which worked fine before the formulas came along.
I have a lot of logic formulas going on in the Excel spreadsheet to get the values into certain cells.  Its actually befuddled Excel to the point of shutdown now, so I'm assuming that if Excel can't handle it then I can;t expect InDesign to fare better.  However, in my InDesign catalog I need, on a table row, to have a field with a label displayed for it if there is a value in that field in the .csv, and have no label displayed if there is no value for that field.
For example, if the record has a hooked beak, I need the label to be beak:  so the line to read beak: hooked
If the record has no beak, then InDesign would skip that line altogether and go on to the next one. Like so:

<<tail>><<tail value>>
<<etc>><<etc value>>
where <<beak>> and <<tail>> are also fields in the Excel spreadsheet, each cell's contents a logical expression based on the existence of a value in the corrosponding beak value and tail value cells.  English: "If value does not equal empty, then write beak: , else write nothing."  When converted to a .csv, the field's values are preserved, not the formulas.
Does that make sense? And is there a way to do that with InDesign so I don't need umpteen thousand formulas going in Excel?  That would pobably solve the clog.

    Here are a couple of questions that might help understand what might need to be done to achieve your request:
    * How do you propose to identify the desired page(s) within a PDF and an ID document, so the merge field placeholder knows how to find it?
    * How do you propose to keep track of the page if they're re-ordered in an updated document?
    * What if the identification marker is within text and flows to a different page - would you want to retrieve the original page (before the reflow) or the new page to which the marker would have flowed?
    Perhaps the scripters could comment on the possibility of scripting these.

    For the life of me, I could not figure out why this one CSV file was not importing correctly into InDesign CS6. I could see the datasource in the Links panel but nothing showed up in the Data Merge panel.
    Through trial and error, I figured it out.
    In the CSV file, one of the column headers used the word table. It's what the client gave me, so I never thought much about it. Once I changed the word table to seating, the CSV imported properly into my InDesign file and all was right with the world.
    One word, I couldn't believe it...
    Hopefully this will save you from all the trouble I went through.

    I am using InDesign CS6 (8.0.1)
    I created the CSV by downloading it from a Google Spreadsheet as a CSV. I confirm with the Terminal that the character encoding is utf-8 usnig the file command.
    Problem detailed
    I am trying to import a CSV file (utf-8) with Data Merge via the Select Data Source... command with Show Import Options checked. When viewing the Data Source Import Options dialog, I set the following options—Delimiter:Comma, Encoding:Unicode, Platform:Macintosh. I leave Preserve Spaces in Data Source unchecked. It fails to import any variables and produces no error message. I have tried other CSV files as well (created TextEdit, Espresso, etc.) and it seems that InDesign will not import any files if Unicode is specified as the encoding, no matter which other options are specified.
    Can anyone else confirm this?
    Importing as ACSII works, but obviously does not display my content correctly.

    OK. I think I might have a positive answer for you.
    I was getting lost in the upper ASCII characters you showed. In your test file I never could see any--a case of not seeing the trees for the forest.
    Your quote marks are getting dropped in your test file. Now, this may or may not affect other factors but it does in some further testing. I believe ID has an issue with dropping quote marks even in a plain ASCII file if the marks are at the beginning of a sentence and the file is tab delimited. Call it a bug.
    Because of all the commas and quote marks in your simple file, I think you should be exporting from Google Docs' spreadsheet as a tab-delimited file. This exported file has to be opened in a text editor capable of saving it out as a UTF-16 BE (Big Endian) type of file.
    Also, I think you are going to have to use proper quote marks throughout, or change them in the exported tab-delimited file. Best to have a correct source, though.

  • CS3 hangs on multiple document data merge

    I am using data merge to create documents for high school graduation issues for two different high schools for the newspaper I work for.
    For each school, I have created a single document data merge to print proofs of the individual students. For the first and largest school,
    I've done a successful test run of a multiple document data merge of all the students. I then used the Excel .txt file from high school #1 to create the .txt file for high school #2. We have successfully done the individual data merges for proofs for each of the students in high school #2.
    However, when I try to run the multiple document data merge for high school #2, InDesign gives me the spinning wheel of death. Forever.
    I cand run or preview a single item, but it hangs up if I try to run them all or a range (even just 1-2).
    I am stumped as to why in what are basically the same documents one works and the other does not. Can anyone help?

    Brainstorming with a co-worker solved the problem. A graphic I was using was too large for InDesign to handle on the multiple document data merge. So I reducd the file size, and that did the trick.

  • Automatization and data merge in CS3

    Hi there,
    Let me first sketch the problem. As an organization we publish a weekly booklet with a calendar and information about things about to happen, etc. This is all made in InDesign with a header on the first page (only on the first page), followed by the calendar and then a big text field on multiple pages with all the different subjects (and not in different text fields because it's the only way to be able to add an extra topic without having to move all the fields automatically). All the different topics are sent to us by mail, but it's a very time consuming job to sort them all out and some topics are easily forgotten.
    So, our goal is to let people add topics on the server, which returns - when the deadline is due - us a txt file with all the information (title, text, author, email, calendar item yes or no, calendar information, ...) needed. We then tried to use Data Merge to do the job, but this messes the pages up (the header we only want on the first page comes on every other page as well), it's not so easy to make the calendar items separately and instead of putting all the topics in order in the big text field it creates a new page for every topic.
    Is there an efficient way of doing this job, or are we overlooking some options to make it work with Data Merge? Thanks!

    That sounds to be beyond the capabilities of DataMerge. Investigate setting up an XML structure and importing your data
    as a tagged XML file.

  • How do I generate a data merge in InDesign from an excel spreadsheet which includes a barcode

    Can you please advise if the following process is possible within InDesign CS 5.5? (Mac OS 10.8.2).
    We need to create a data merge that includes a barcode. The data merge is for several thousand records.
    We have a customer-supplied Excel spreadsheet that contains seven fields, one of which is a number that ultimately needs to print as a barcode when we make the data merge in InDesign.
    As you would expect, the conventional six fields data merge perfectly - but we can't find a way to make the barcode print correctly within the data merge.
    We have investigated several possible solutions without success.
    Some solutions suggest a plug-in for Excel to convert the number into a barcode whilst still in the spreadsheet - but this doesn't come across correctly when we import the CSV file into the InDesign data merge.
    We have investigated certain third party software applications but none provide the full solution we require. Some, for example, appear to create the barcode within the Excel spreadsheet but don't produce the barcode correctly when we data merge in InDesign; and some will allow us to create a one-off barcode within InDesign but have no automated way of retrieving the thousands of Excel numbers and turning them into barcodes.
    We have also come across possible 'font' solutions but have had no success with these either.
    For a previous job we needed to produce we outsourced to a specialist mailing company, who assured us they produced the whole job (very quickly) within InDesign. They, understandably, won't tell us how they did it. But, given the speed with which they produced the job for us, we imagine - with the correct software - the whole process is easy to do.
    Can you please advise?

    I've downloaded the barcode font from the link you supplied.
    I've tried three tests - and seem much closer to getting what we need. But I've come up against a couple of issues.
    TEST 1 - almost just to see if the downloaded font worked, I simply data merged our source csv file and applied the downloaded barcode font to the serial number in ID. Probably unsurprisingly, this produced a perfectly printed barcode - that wouldn't scan.
    TEST 2 - I manually added asterisks before and after the serial number in the first couple of fields and then tried the same process as TEST 1. It produced a perfectly printed barcode which this time DID scan correctly - but obviously the barcode had asterisks on it which I don't want. I just want the serial number. And with thousands of serial numbers we need the addition of the asterisks to happen automatically (which is where your text editor process seems the perfect solution, if we could get that to work).
    TEST 3 - Noting your comments about using parenthesis around the serial number, I followed your example of (123456). But Excel won't let me type a parenthesis. It lets me type the parenthesis but then instantly substitutes it with a - (hyphen) before the number in the actual serial number cell and no character at all after the number.
    If you have any suggestions or solutions for any of the above they'd be gratefully received! Thanks again for all your help with this.

  • Accounting for varying values in Data merging

    Hi everyone,
    I've been asked to create a template for a degree certificate. So far I've created an InDesign document and used data merge to import the data from a .csv file. I've also used GREP styles to resize the name of the degree when it's longer than a certain number of characters. So far so good.
    My question has to do with how to account for different categories of certificates. Let me explain. In my spreadsheet I have thre types of certificates A, B, and C. Each category triggers two specific bits of text. So for example:
    When Cat = A
    the following blurb appears at the top of the certificate:
    WHEREAS THE UNIVERSITY OF NOWHERE HAS BEEN EMPOWERED BY ACTS OF THE LEGISLATURE OF MARS TO CONFER DEGREES AND AWARD DIPLOMAS OF THE UNIVERSITY
    and the following text appears just before the name of the degree:
    HAS BEEN ADMITTED BY THE UNIVERSITY TO THE DEGREE OF
    When Cat = B
    the following blurb appears at the top of the certificate:

    I first thought of creating IF formulas in Excel but it doesn't work because I don't want the result to appear in the data, I want it to only appear once merged in the InDesign template.
    SO THE QUESTION IS:
    Is there any way to specify IF THEN values directly in the InDesign document? If not, does anyone have any idea if what I'm being asked to do here is even possible?
    Any help or nudge in the right direction would be greatly appreciated,

    Hi Christine,
    I'll need to work through the example, but it would be that the blurbs are on thier own separate layers of page 1. And the data fields are simply on their own layer, still on that page.
    That's as far as I got in a quick perusal of his example. I plan on recreating the example tonight when I have a bit of my own time to spend. I suspect it will be a lot more clear following the example, bit for bit. If it does work out as it seems it should, I can think of a. coupon job I merged that would have (maybe) been easier than the 5 merge files I ended up with.
    I do want to mention, pointing back to my earlier comments, if there is anyway you can work with the IT people to produce a clean file ready for you, I would do so. Colin mentioned XML, and that is what I would strive for in this situation. But XML is a bit like being thrown into the deep end of the pool and learning to swim at the same time.

  • [CS5.5/6] - XML / Data Merge questions & Best practice.

    Fellow Countrymen (and women),
    I work as a graphic designer for a large outlet chain retailer which is constantly growing our base of centers.  This growth has brought a workload that used to be manageable with but two people to a never ending sprint with five.  Much of what we do is print, which is not my forte, but is also generally a disorganized, ad-hoc affair into which I am wading to try to help reduce overall strain.
    Upon picking up InDesign I noted the power of the simple Data Merge function and have added it to our repetoire in mass merging data sources.  There are some critical failures I see in this as a tool going forward for our purposes, however:
    1) Data Merge cannot handle information stored and categorized in a singular column well.  As an example we have centers in many cities, and each center has its own list of specific stores.  Data merge cannot handle a single column, or even multiple column list of these stores very easily and has forced us into some manual operations to concatenate the data into one cell and then, using delimiter characters, find and replace hard returns to seperate them.
    2) Data Merge offers no method of alternate alignment of data, or selection by ranges.  That is to say:  I cannot tell Data merge to start at Cell1 in one column, and in another column select say... Cell 42 as the starting point.
    3) Data merge only accepts data organized in a very specific, and generally inflexible pattern.
    These are just a few limitations.
    ON TO MY ACTUAL DILEMMA aka Convert to XML or not?
    Recently my coworker has suggested we move toward using XML as a repository / delivery system that helps us quickly get data from our SQL database into a usable form in InDesign. 
    I've watched some tutorials on Lynda.com and havent yet seen a clear answer to a very simple question:
    "Can XML help to 'merge' large, dynamic, data sets like a list of 200 stores per center over 40 centers based off of a single template file?"
    What I've seen is that I would need to manually duplicate pages, linking the correct XML entry as I go rather than the program generating a set of merged pages like that from Data Merge with very little effort on my part.  Perhaps setting up a master page would allow for easy drag and drop fields for my XML data?
    I'm not an idiot, I'm simply green with this -- and it's kind of scary because I genuinely want us to proceed forward with the most flexible, reliable, trainable and sustainable solution.  A tall order, I know.  Correct me if I'm wrong, but XML is that beast, no?
    Formatting the XML
    Currently I'm afraid our XML feed for our centers isnt formatted correctly with the current format looking as such:

    I dont think this is currently usable because if I wanted to create a list of stores from a particular center, that information is stored as an attribute of the <Store> tag, buried deep within the data, making it impossible to 'drag-n-drop'. 
    Not to mention much of the important data is held in attributes rather than text fields which are children of the tag.
    Im thinking of proposing the following organizational layout:
    <CENTERS>
         <CENTER>
         [Center_name]
         [Center_location]
              <CATEGORIES>
                   <CATEGORY>
                        [Category_Type]
                        <BRANDS>
                             <BRAND>
                                  [Brand_name]
    My thought is that if I have the <CENTER> tag then I can simply drag that into a frame and it will auto populate all of the brands by Category (as organized in the XML) for that center into the frame.
    Why is this important?
    This is used on multiple documents in different layout styles, and since our store list is ever changes as leases end or begin, over 40 centers this becomes a big hairy monster.  We want this to be as automated as possible, but I'd settle for a significant amount of dragging and dropping as long as it is simple and straightforward.  I have a high tollerance for druding through code and creating work arounds but my co-workers do not.  This needs to be a system that is repeatable and understandable and needs to be able to function whether I'm here or not -- Mainly because I would like to step away from the responsibility of setting it up every time
    I'd love to hear your raw, unadulterated thoughts on the subject of Data merge and XML usage to accomplish these sorts of tasks.  What are your best practices and how would you / do you accomplish these operations?

    From what I've gleaned through watching Lynda tutorials on the subject is that what I'm hoping to do is indeed possible.
    Peter, I dont disagree with you that there is a steep learning curve for me as the instigator / designer of this method for our team, but in terms of my teammates and end-users that will be softened considerably.  Even so I'm used to steep learning curves and the associated frustrations -- but I cope well with new learning and am self taught in many tools and programs.
    Flow based XML structures:
    It seems as though as long as the initial page is set up correctly using imported XML, individual data records that cascade in a logical fashion can be flowed automatically into new pages.  Basically what you do is to create an XML based layout with the dynamic portion you wish to flow in a single frame, apply paragraph styles to the different tags appropriately and then after deleting unused records, reimport the XML with some specific boxes checked (depending on how you wish to proceed).
    From there simply dragging the data root into the frame will cause overset text as it imports all the XML information into the frame.  Assuming that everything is cascaded correctly using auto-flow will cause new pages to be automatically generated with the tags correctly placed in a similar fashion to datamerge -- but far more powerful and flexible. 
    The issue then again comes down to data organization in the XML file.  In order to use this method the data must be organized in the same order in which it will be displayed.  For example if I had a Lastname field, and a Firstname field in that order, I could not call the Firstname first without faulting the document using the flow method.  I could, however, still drag and drop content from each tag into the frame and it would populate correctly regardless of the order of appearance in the XML.
    Honestly either method would be fantastic for our current set of projects, however the flow method may be particularly useful in jobs that would require more than 40 spreads or simple layouts with huge amounts of data to be merged.

  • Data Merge not picking up all data fields

    Essentially, I have been using the script 'CSV2Tables' to prepopulate simple 2 column tables with information drawn from a CSV data source.
    The tables consist of a title, and a block of information about that specific subject. Many of the blocks of information I am importing also contain data tags (<<DataTag>>)
    The plan is to use CSV2Tables to populate the tables, then change data source and run a normal ID Data Merge to replace all of the <<tags>> within the tables with information from a second CSV data source.
    The problem is, CSV2Tables is importing the data and prepopulating the tables just fine, but the data tags that are found within each body of text are being picked up as plain text (as Peter Spier has pointed out, they are being drawn from a plain text stream rather than being dragged from the Mail Merge panel) so when I try to run the ID Mail Merge, none of the fields are found within my document.
    My question is - is there a method, or script available out there that can essentially do a Find/Change within a document, and replace plain text that appears like this <<PlainText>> with a Data Tag that is recognised by ID, which will allow me to run a Data Merge?
    I have been told to check out some of the commercial plugins available out there, but registering and setting up demo's would require me to contact our IT provider for each, and that would be an exhaustive process.
    Any help is much appreciated.

  • Can you place text from a word document using data merge?

    I'm working with a charity that is giving away scholarships/grants. I need to create a ducument that pulls in various application data plus their submitted essay (docx format). I would like to do this via data merge but cannot find any reference if it is possible.
    Please help, I really need to automate as much as possible since this is a side project.

    Data merge only collects info from CSV format - which I expect you would export from Excel. (I think it'll take tab-delimited as well, but that's it.)
    MS Word files can be placed, but Data Merge is not the tool to automate placing of Word-file content. If there is no formatting of their essays, I suspect you could use VBA to cause entire essays to occupy a single cell in Excel. But that would be the only way to use Data Merge to automate import of essays into InDesign.
    Maybe if you tell us more we can give you some more automation suggestions. (I spend a lot of time automating translation workflows, but I still place Word files. All day long, in fact.)

  • Data Merge Errors in InDesign CS5 - need help please!

    Trouble with Data Merge in InDesign CS5: We have a word doc that was created, then each appropriate section was cut and pasted into an excel file. When the Excel file is saved as a csv file and imported, the file unexpectedly stops, not completing its flow into the appropriate data fields. We are thinking that it is because of some unknown "special/hidden" characters within the original Word file. Is this a correct assumption, and if so is there a way to show those characters in order to eliminate them? (we did not create the word doc originally)
    Or, is there another way that we can accomplish what we are trying to accomplish, which is to flow text from a database into an InDesign template?

    I'd start by opening the .csv file in a plain text editor and taking a good look at it to make sure each record has the same number of fields (commas) and there are no obvious special character problems. Then resave from there as plain text with the .csv extension.

  • Can I use InDesign's Data Merge for more than just address labels?

    I am a Graphic Designing working on a new science exhibition in Melbourne, Australia.
    I'm trying to streamline the way we import our label content into InDesign (currently cut and paste from Word which is slow and leaves room for error). I've been going down the path of having a macro developed which converts the Word content into a csv file so I can then import this into InDesign through data merge, however the import is falling over.
    Through testing we can conclude that data merge doesn't like paragraph breaks, en-dashes and apostrophies (and possibly more we haven't come across) and will only import data up until one of these items occurs in the data. We've tested a number csv file formats however we can't find a solution.
    Has anyone come up with a solution for this? My macro developer would be keen to get a hold of a working csv file that deals with these issues...

    I have done what you are describing, with Word & InDesign, on a daily basis, for years. Word is not the best choice for this kind of workflow, of course, but if I had to choose between placing Word & doing a data merge with CSV, I'd be torn. Neither one is really the tool for the job. XML import would suit you better, but if you're already midstream in VBA development, there's no point in trying to describe why placing carefully styled RTFs and clearing overrides is better than writing VBA to clean up Word files and turn them into CSV.
    (Look at style mapping in Import Options when placing a Word file for future projects.)
    (Also: it's not extra codings that you want to apply in VBA, it's purging Word-specific "Symbols" and just using true Unicode values for em dashes and other typographical symbols.)
