Data Retention

I just wondered (especially for UK posters) if there are any data retention issues for supplier (Payables) and customers (Receivables) that must be adhered to for compliance with data protection act?
I am not sure if theres any personal data on a general ledger as I am not an accountant, but with clients and suppliers in Oracle EBS you have names addresses and more which falls into the remit of data protection.
What are the rules around your data retention policies for personal client and supplier data? When do you have to dispose of it? I.e. a one time supplier/customer -- do you need their personal data forever more?

    I would not recommend to change this setting. One major problem you get will be that the archiving function will delete data from database (which has been transferred to the archive). So far so good, that´s one of the archiving features
    But it sometimes happens that you have to open an already closed fiscal year again. And if you open this last closed fiscal year again, the realtime transactions could fail now if data (transactions, etc.) is missing which exists only in the archive at that point of time.
    By the way, you can have a look at SAP note 389920, in there the archiving functionality is documented for FI-AA application.

    my client wants to extract all the used POs once every 4 months and store them on CD diskettes.I knew DART(Data Retention Tool) does this ,can any one suggest me if this is the right approach or Is ther any standard way of doing this in SAP.

    Yes, you are correct.DART tool is the right way to extract the PO's.
    But before tha you have to onfigure DART according to your requirement and then go for extraction.

  • Issue with DATA RETENTION LEVELS PARTNER

    HI I am having an issue
    The issue is in contract where I have a data retention partner level .I have partner retention level at purchase organization level and want to copy it to a plant level where in when I try to copy the other partner functions are being copied but the partner function VN is not being copied .
    Could any one tell me why this is happening and how I could overcome this issue .

    set the propety "display" to medium text for this charateristic either in the BEx report itself either in the query definition.
    Ensure that the text are well loaded (run tran RSDMD with this IObj in norder to display master data)
    Only having meduim texts will prevent you to display "key and texts" in reports.
    You could enhance your IObj and enable short/long texts as well; in the transfer rules just load the medium text in short (truncate its length to 20) as well as in the long text.

    Anyone has experience with DART – Data Retention Tool? This tool generates a flat file with an audit log result and I would like to know if is possible generate it in XML format? If not, which is the best option to convert this flat file in a XML?

    XML is not an option, however you can generate a view file in a format that contains meta data describing all field properties in the same file. That would be the best format to start with for XML conversion I think.

    when you mean data retention - there can be multiple data retentions possible :
    1. PSA information - this would be the typical PSA data retention that you follow in the process chains
    2. Request Information - this would depend if you are using request information archiving which is avaiilable from 7.0 onwards
    3. Information in the infoprovider : This would depend if you have used archiving etc ...
    typically the data retentions would be
    same as in R/3 for ODS which stored detailed information
    for cubes - it would typically be about 5 years or so - this would depend on the amount of data available in the infoprovider and how frequently the data is being used...

    If in relation to PCI, its 90 days readily available media (i would classify this as disk) per the latest ROC. Having 90 days worth of log data has helped us get through a PCI audit.

    We currently have MARS archiving every 10 days to an NFS mount that is configured in the web interface.
    Our quesition essentially is if we didn't do the archive at all, what would be the expected retention level of the data inside the appliance. This of course depends on how much data is being sent, but we are curious as to whether there is a fixed timeframe that MARS automatically removes old data or at least begins to overwrite.
    The only other thing we heard is that when an archive is executed to the NFS mount, that data is then removed from the database.
    We are running MARS-100 (750GB), version 4.3.5 (2838).

    that's not really possible, but I may just be misinterpreting what you're trying to say. The config data is backed up to the archive each night. event data is written throughout the day. Do you mean you have "Remote Storage Capacity in Days" set to 10 days?

    I don't believe archiving has anything to do with the local retention of "dynamic data" on the MARS box. Farrukh mentioned a couple ways to dig into this. The event that triggers is "CS-MARS DB partition filling up causing the next partition to be purged soon". This event should create an incident in your queue. In the raw message it gives details about what is happening. It is essentially the same info provided by the CLI command "pndbusage". Here's an example:
    "Current partition started on Wed Aug 27 23:05:07 CDT 2008 and uses 68.2% of its available capacity.
    Switching to next partition is estimated for Sat Aug 30 14:01:48 CDT 2008.
    4e+08 events, received between Mon Jul 28 09:14:05 CDT 2008 and Wed Jul 30 10:57:19 CDT 2008 will be purged."
    This is from a 210 running at about 1/3 capacity and it keeps dynamic data for about 1 month. If you're running close to capacity, your dynamic data will get FIFO'd out faster than that.

    I do not believe that is true. archiving isn't even required so I'm not sure how it could be tied in this manner. This could cause major problems if archiving was enabled but not working or slow for some reason.

  • Datasocket data retention

    I am using datasocket read and write example.....examples are working fine....but one thing I want to improve is that last value of data read by dsread should stay when dswrite is stopped....
    I mean currently when you start dswrite and dsread , dsread reads the data sent by dswrite.....then if you stop dswrite then dsread reads zero....what I want is when dswrite stops it variable at dsread should hold the last value instead of zero....
    how to know that dswrite is stopped?

    Ever thought on using the "time out?" indication, that is provided by most data receiving functions?

  • SM30 Wrong Data retention on screen

    Hi ,
    I have a requirement as follows :
    Create a table maintenance for a table with material number and plant as primary key.Then while maintaining the values
    I have to check if that matnr+werks is present in MARC table . If say 10 material plant are entered in the table maintenance (1 screen) and 5 are invalid combination , then 5 should be saved in the table and rest 5 should remain on the SM30 2nd screen as it is with no saving .
    I have validated the data from MARC by using table maintenance events and only the required records are added in the table but the ones which are not correct do no re-appear on the 2nd screen of SM30 because of which the user has to re-enter all the data instead of just rectifying the wrong data.
    Please suggest some idea asap

    My iPad under 4.2.1 is working fine, but my iPhone 4 is messed up. After the upgrade, my MobileMe settings were just plain wrong (they were working prior to the upgrade). I had to delete and re-add MobileMe, and now my contacts are not updating on the iPhone. The Calendar was slow, but it did eventually update. I've tried rebooting the device, stopping and starting contact sync through MobileMe, with no luck so far.

  • Capture Clip Data Retention Problem

    During the logging/capturing process I have been entering information into the various Clip Data fields, such as Description, Scene, and Log Note.  Once the clips have been logged, the Clip Data info. entered does appear in the Project Panel next to the clip icon.  However, when I start a new PProCS4 session, and retrieve those same clips...the Clip Data that I had entered does not appear next to the clips in the Project Panel?!?  Does this have to do with a Metadata issue?  Anyhelp ASAP would be greatly appreciated.  Thanks.

    Click on the .Mac tab at the top of this window. Then log in OR if it shows your information, click on "Account" in the upper left. After you log in, right beside Data Transfer/month you'll see the amount of data transfer bandwidth you have and to the right of that will be "Details". Clicking that will take you to a page that shows how much you've used for the month. If, in less than two weeks, you go over HALF of your allotment, (if your bandwidth is 10 GB, that'd be 5 GB) then your site is shut down until you a) raise your bandwidth limit by buying more space or b) wait until the two weeks are completely up and your account will be reset to use another 5 gigs for the last two weeks of the month.
    Just keep an eye on this number and you'll have an idea of how close you are to being shut down (I've never gone over 4 gigs for an entire month).
