Delete an item on approved GOA

Hello,
Can you please share your knowledge about the below questions.
Once your GOA is approved and replicated to the backend, is it possible and how:
- delete an item(s) on the GOA in SRM or from the contract in R/3 MM
- delete the document on SRM and/or MM
- impact on both systems, one or the other is updated by the changes, is this   automatic

Hi ,
All the changes/deletion  in GOA has to be done in SRM system only and is replicated to backend SAP(R/3 or ECC) system . Changes can't be done in R/3 MM in case of GOA.
Updation in Backend system is done automatically.

    I have a list for contributors to submit documents and activate an approval workflow. The requirement is to restrict all users from editing and deleting the document once the workflow is activated. After the workflow is completed, if the document
    is approved, all users also should not be able to edit/delete the item; if the document is rejected, users should regain the permission to edit/delete the item.
    I had no problem with restricting edit/delete permission after the document is approved by adding a Declare Record action after the content approval status is set to approved in SPD.
    However, the workflow was not able to complete when I added a Declare Record action in the "When the Task Process Starts" step and an Undeclare Record action in the very beginning of the "When the task process completes" step to restrict users from editing/deleting
    the item when the workflow is in progress.
    After I activated the workflow and approved the item, the Workflow status shows Approved but the Approval status still shows Pending. In addition, the "Approval Workflow Task is complete" (shown in the following image) is missing in the workflow history,
    which seems to me that the workflow task is never completed.
    Please advise me the proper way to restrict users from editing/deleting the document while the workflow is in progress. Thank you.

  • SWWL - delete work item - approval preview log??

    Hi all,
    SRM 5.0 ECS.
    We have implemented custom  n step approval wf for shopping cart .The shopping cart has PO and invoice created and the header status for shopping cart is approved.However now the workflow has restarted for the cart and I need to delete the work items from the approvers inbox.
    If i delete the work items from SWWL transaction,will the shopping cart status still be "APPROVED"???
    Is SWWL the best way to delete the work items??What will the approval preview for the shopping cart show after I delete the work item?

    Once, Workfiow item is approved, Workitem disappears from inbox right..
    Why do you use SWWL transaction to delete the workitems..
    Can you elaborate the issue..Please.

  • Deleting Items From Approved SCs

    Weu2019ve discovered a new feature in our upgraded SRM 5.0 Ext Classic system that doesnu2019t seem correct and according to OSS is functioning as designed.
    Weu2019d like to hear if anyone else who is running SRM 5.0 Ext Classic (SRM_SERVER/PLUS release 550 and Level 14) has this same problem, hopefully not.
    In our upgraded system, a shopper can delete an item from their approved shopping cart after the item has been sourced and the associated PO and item sent to the vendor.
    The end result of deleting the shopping cart item is that the system also automatically deletes the associated PO item without the buyers knowledge.
    This doesnu2019t make sense and weu2019re having a difficult time verifying this new feature.

    Hi Jerry,
    this issue you mentioned is a standard behavior. There was temporary a bug in the concept, which was corrected by the note 1241077. Unfortunately in your case the buggy behavior was the normal and expected reaction.
    According to the SC status we have the following restrictions:
    hold                                                                -> changeable, deletion on header level
    in approval                                                      -> changeable, deletion on header level
    approved                                                        -> not changeable, deletion on item level
    follow-on document created                              -> not changeable, deletion on item level
    follow-on document of the follow-on documents  -> SC can not be changed or deleted until the Confirmation/Invoice is not deleted
    So this is standard.
    You can either modificate the system by deimplementing the note.

  • Deleted limit item not transferring to backend PO

    Hi,
    I have created Shopping cart of service line item and approved, after that i have added limit item and approved the order,
    Now i dont want that limit item, i have deleted the limit line item.
    the problem is in the SRM PO the value is decresed but in backend it shwing both the prices,
    and one more thing is in the backend i can see only one line item having both service item and limit item as in the srm two line items exists,
    now the user is asking after deleting the limit item in the SRM in the backend why it is not showing only undeleted price in the Po netprice, as in srm the PO price is as per the required.
    Please suggest is this std setting or what to do ..

    For limit cart you need to create a seperate cart. It will not mix with any other cart.

  • Getting Error when deleting line item of delivery

    I have cancelled the billing document and set the delivery pick quantity as zero for line item of a delivery and when i am trying to delete that particular line item of delivery, i am getting error message as 'Billing is already exist'.     1) U can delete the SC at header level , only if it has not yet approved.
    2)Once the SC is approved you can delete the SC at Item level under following conditions:
    You cannot delete items that have already been approved and for which follow-on
    documents already exist in the backend system, if:
    • A purchase requisition was created and the “completed” indicator is set for it,
    or the quantity received for the purchase order is equal to or greater than the
    quantity requested.
    • A reservation was created and the final issue indicator is set for it or the
    quantity withdrawn equal to or greater than the quantity requested.
    • A purchase order was created and the “delivery completed” indicator is set for
    it, or a goods receipt has already been entered.
    • You cannot delete service items that already exist in the backend system.

  • Deleted Shopping Cart awaiting approval

    Greetings SRM Gurus,
    I have a case of two shopping carts which are shown (under monitor shopping cart) as having been deleted, yet they are appearing in the users approval list as awaiting approval.
    In the approval list they are greyed out so the user cannot approve them, and I need to know how to remove them from this list.

    Use Transaction SWWL to delete work items from the specific User Inbox
    Another way would be  if you want the workitem to be removed from the approval inbox , then you need to find the workitem id through the workflow log.
    Then run the function module 'BBP_PDH_WFL_DELETE' ( exact name i dont remember ) and give the workitem id as input.
    Then the shopping cart will be removed from the approval inbox and also necessary changes will be made in the workflow log .

  • SRM archiving: Deleted work items

    Hi all,
    Transaction code: SARA
    Can somebody help, I've archived and deleted workflow items but now I need to be able get the agents names when reading the archived data which doesn't seem to be happening
    In the forntend system the approval overview is obviosly empty because its been deleted. In the backend system I'm using program RSWWARCR to read the archived data but this only gives heading for the workflow, how do I get the agents?
    Archive infostructure also gives just the last agent's username without any details on the action done by the agent. e.g

    Not sure, but have you tried whether report RSWWARCP gives the required fields?
    If not, you could try to create a custom archive infostructure to include the fields which you want to read from archive. For this, you will have to create a custom field catalog to start with. You can refer note 994119 as an example for creating field catalogs.

  • Send out repeating notifications until an item is approved?

    We've got a calendar with events requiring approval.  Let's say there is an event scheduled next wednesday @ 4:00 that needs to be approved. 
    I'd like to send out a notice email to everybody on the team twice a day, every workday (M-F)during work hours (8:00am-5:00pm) - until the event is approved.  It would be great if the email said how many hours left until the event is going to take place.
    We've got the workflow approval process in place.
    Any idea what to add to that to keep bugging everybody to approve it?

    According to your post, my understanding is that you wanted to send out repeating notifications until an item is approved.
    I’m not very clear about that ‘keep bugging everybody to approve it’. Do you want to complete the workflow once a user approve the task?
    By design in SharePoint Designer workflow, the workflow will be completed untill all users approve the tasks.
    To assign task to multiple users, you need to:
    Create a workflow and add action: Start Approval Process.
    Click these user, select the Group, change One or a time(serial) to
    All at onec(paralle).
    Right click the action, select Properties, click ExpandGroups, change No to
    Yes.
    Then you can assign task to each member of the group.
    To complete the workflow once a user approve the task, you need to:
    Click Approval.
    Go to change the completion conditions for  this task process  page.
    Deleting the condition and Task Process: Active Task Count equals 0.

    Since the backend system was updated with the latest support packages a lot of SC didn't pass anymore and got stuck in the system.
    sers have reorderd most of them but now the old sc remain. as soon as I pass the fix which caused the problems  the old sc's will be passed since the sollution will also apply to these sc's .So I was looking for a way to change the status or delete the items.

    I try to block the shoppingcarts with the function
    BBP_PD_SC_STATUS_CHANGE
    but every status I try it gives the error that the status is not allowed or there are follow up documents.
    Which status can I use to block/delete/lock approved shoppingcarts which contain errors (but don't after implementation of the corrections)

    I create Content Item in the WebCenter Content with a workflow to approve it. After content item was approve and status is "Release", It will show on my portal. I saw that at this status, I still can delete this content Item. In this situation, It not alright with us. In fact, at a news website, when a news was public it can't be deleted so easy like that. The News only can be deleted when it was taken down(not public again) from the website. If the news still public no one have right to delete it.
    Do you have any idea with this situation?

    I understand what you want to do, but I'm missing details how you do it, and why.
    Anyway, I will try to guide you through the lifecycle, following your scheme:
    a) Step1 (Content does not exist): User A will need at least RW permissions to create the content. The content will enter a criteria workflow to be approved.
    b) Step2 (Content in the workflow): User B will need at least R permissions to read the content and approve it. As soon as approval occurs, the content is released
    c) Step3 (Content published to the Website): all users will need at least R permissions to view the document. User B will need permissions to "unpublish" the content. You did not answer my question how this "unpublishing" is achieved. I would recommend you to expire the content. Expired content is no longer present on the site, cannot be searched for, but is not deleted. Expiration may take place when a user sets up the metadata Expiration date (dOutDate - see http://docs.oracle.com/cd/E23943_01/doc.1111/e10792/c03_processes.htm#r5c1-t19 ). You may want to customize your system that i) expiration is one-click activity b) only User B can expire the content. Unfortunately, security model does not allow securing metadata changes - all users with R permissions can modify metadata. You could define a profile that will hide the field to all users, but User B, but to be absolutely sure, you would have to add a filter that will (on server-side) prevent anyone else to do it.
    d) Step4 (Content expired) You again did not answer, if there is any particular reason for not deleting expired content. Therefore, I will expect that there is none. You could use the Archiver to delete all expired content for you in a batch (once a day/week/month).
    As you see, no one in the scheme above can actually delete the content.
    Another possible implementation would be using: http://docs.oracle.com/cd/E23943_01/doc.1111/e10792/c05_security.htm#sthref863 (AuthorDelete=true) where only the user who is marked as the author (or in this context, rather "owner") can delete the document. This would be a bit awkward, though, as you would need to modify the value of dDocAuthor - this would again require customization.
    Yet, another implementation would be using ACLs http://docs.oracle.com/cd/E23943_01/doc.1111/e10792/c05_security.htm#CDDBCIDA where User A in Step1 would have RWD permissions, and UserB would revoke User A's WD permissions (via ACLs), to grant them back in Step4. This will not require customizations, but on the other hand this would put much more responsibility (and training issues) to User B. Besides, ACLs can affect overall performance of your system.

    You can't delete the All On My Mac as it is an automatic group to display all of the contacts that are stored "On My Mac." You can delete all of the contacts that are in the ON MY MAC section by selecting All ON My Mac and then selecting all contacts. Press delete and approve the deletion. Then, select each group under ON My Mac and delete those individually.
    Then, Make sure iCloud is set as the default account in the General Address Book Preferences.

    I have a number of leave request work items that I need to remove/delete from Manager Inboxes in the portal.
    I have identified the work item #'s and am aware that I can remove these via SWWL in mass which is fine. In order to remove the reference to these leave requests from the UWL worklist in the portal also means that I need to remove these workflow instance #s/work items from PTARQ. However the issue I have is that the delete program RPTARQDBDEL does not allow me to enter in multiple work item numbers or even workflow instance #'s (which PTARQ seems to use).
    My question is how can I go about deleting these items from PTARQ in mass ?
    Might someone be able to help ?

    Hi,
    When the approver clicks the leave request approval item in UWL, it opens the leave request approval application. This application lists all leave requests with status SENT. So, if you delete the work item (with SWWL), yes - the work item disappears from UWL. Now if the manager opens some other work item, again the approval application lists all leave request. And since you did not delete the leave request from the database with PTARQ, it will be of course still included in the list.
    >PTARQ will remove any remaining details in the UWL
    >manager would see the skeleton information in the UWL list.
    So, these are not really correct. PTARQ does not delete anything from UWL. PTARQ deletes the leave request itself, and thus it will not be anymore in the approval application list of requests.
    So if you want to get rid of the whole "leave request package", you need to execute both PTARQ (to delete the leave request) and SWWL (to remove the item from UWL).

    If you used iTunes to get the photos on the phone, then use the same iTunes and uncheck the music you don't want and do another sync.
