Digital Signatures in DMS

Hi All,
Can anyone pls help me in understanding how to implement digital signatures in DMS.
I have used status network in which for one of the status I have set doc status as RELEASED and also I have used this option "SignStrat" for which following is the error msg "you must set an audit indicator and lock status for digital signature"
My requirement is while changing every statuses system shud ask for digital signature/approval only then it has to change to next status.
Please provide me necessary inputs.

Hi,
As per your requirement, Do the following configurations.
Transaction Code : SPRO
IMG Menu     -> Cross-Application Components -> Document Management -> Approval -> Define Authorization Group
Define Authorization Group
Define Individual Signature
Define Signature Strategy
   Assign Individual Signature
Transaction Code: DC10,
Goto Define document types,
Select the appropriate Document Type,
Goto Define document status,
Select the appropriate Status,
In that screen,
Enable the "Content Version" attribute.
Select the "status type"  as "S"
Do these confgurations and let me know in case of any issues.

  • Digital Signature for QM notification status change

    Hello experts,
    I need your guidance regarding implementation of user digital signature for QM notification status change. Our customer has ECC 6.0 but they are not inclined to introduce enhancement package 3 soon. Now their requirement is that while QM notification status change they want to have a user signature pop-up to verify the user authorization to do so. But they don't want to do so by using digital signature via DMS status change.
    I am really not sure if I have explained the situaion correctly or not as i am quite new to QM. But I am desparately looking forward to get your valued replies in this regard.

    To fulfill the FDA requirement we have apply the logic to make sure that a digital signature is captured for status changes during task processing.
    To map this requirement we have developed one custom table to store remark that will be displayed on digital signature remarks textbox. This table will have following feild:
    STAT - System/ user status
    QMART - QN type
    SPARS - language
    TEXT - character text.
    Work with ABAPer to implement this, and after implementing validate following key point:
    u2022     Validate that after successful digital signature that the signature cannot be overwritten.
    u2022     Validate the locking of the User ID after customer specific number of unsuccessful signature attempts.
    u2022     Verify that the digital signature works for each status.
    u2022     Validate that if the digital signature is cancelled prior to successful entry that the system status reverts back to previous status and all processing authorizations allowed for that status still function properly.

  • Digital Signature tool to Embed Approver signature on PDF Original Files

    Hi,
    Good Day...!
    We have implemented SAP DMS and configured workflow for DMS. When it reaches certain status workflow will be triggered and send workitem to the Approver. If approver can approve or reject based on his review on the original document. If he approves DIR will directly go to released status. Once Approver approves Digital signature has to popup and it has to embed approvers signature on the Original file.
    Is there any third party tools available in the market or can any body provide some inputs how to achieve.
    Please share your experience, if anybody has implemented the same.
    All original files we are using will be in PDF format.
    Note: Our requirement is Approver's signature has to embed on to the Original file when he approves the document.

    Please find details on digital signature in DMS
    Prerequisite
    1)You must have Authorization object {}C_SIGN_BGR to be set (ask basis team to do the same) for the digital signature.
    2)Following  are the authorization object for Documents (If you have all access to the authorization object will be very good, mainly a & b must).
    a) C_DRAW_TCD
    b) C_DRAW_TCS
    c) C_DRAW_STA
    d) C_DRAW_BGR
    e) C_DRAW_DOK
    f) C_DRAD_OBJ
    How to config for Digital Signature in DMS
    The required settings are made under
           a)Document Management ->Approval?->Define individual Signature .
           b)Document Management ->Approval?->Define Signature strategy .
    2.   Assign a signature strategy to the document status .
    3.   Also the required settings are made in customizing under
          Document Management - Control data - Define Document Types (DC10) - Define document status.
         Assign a signature strategy to the document status (As per point no.1 in sign start).
    4.  Save the changes.
    5.  Create DIR
    6.  In DIR once the Document status is set for required digital signature, the system informs you that a digital signature is required. Yellow warning will come, enter two times.
    7.  The Digital Signature dialog box appears. Enter your comment in the text field. Select the individual signature that is assigned to your authorization group in the Signatures to be              executed section and enter the password .Then save it again.6) you can see this digital signaure again, in cv03n, go to top menu Environment --> digital signature.  You will get all the details. 
    Thus the Digital signature process has been completed.
    With help of Transaction code SU01 ,in user tab enter your user name and press F7 check first and last name if it is correct its well and good or else go to change mode and enter correct one, save it.Because while making digital signature using user ID and password it is must or else it will give an error.

  • Digital Signature in SAP DMS

    Hello,
    We want to implement digital signatures in SAP DMS, but we're not sure on how to accomplish it. We have the following scenario:
    1. All the users have a digital certificate which is part of the Portuguese ID card;
    2. Currently we're all using this certificate to digitally sign e-mails (they use their laptops integrated card reader), for example;
    3. We also want to use this certificate to sign DMS documents.
    Do you think the above mentioned scenario is possible without licensing additional software? If so, can you guide me through the customization steps?

    It is quite possible to achieve your requirements using the digital signature strategy available in SAP DMS. I have previoulsy answered the steps involved [here|Digital Signature on Original File; and you may additionally look up [Wiki|http://wiki.sdn.sap.com/wiki/display/PLM/Digitalsignaturein+DMS] and [SAP Help|http://help.sap.com/saphelp_470/helpdata/en/9f/857f3a1c7b11d294d200a0c92f024a/frameset.htm] as well.
    In your case,more specifically,you need to adopt the signature method during customization as 'User signature with external security product with/without verification' for which your I-Card reader would also be required.

    Stamp:detaiils showing doc type, doc status,who has open, doc no,version,date and time
    Digital Sign:with respect to approval (system should ask user name and password while approvig)
    Water mark:for the status (Draft/approved)
    Can anybody guide me to do this?Please explan in details as i am doing it first time.
    In addition to do this what addition system requirement is needed?

  • DMS & Workflow - Handling Digital Signatures

    Hello,
    I have set up a DMS status network, and I'm controlling this network using workflow.
    My workflow listens to "DRAW" for changes, and when a particular status is seen,
    workflow starts.
    This workflow sends out work items to several users, prompting them to review.
    At this point, users can go into the DIR from their Inbox, and either select Approve or Reject Status.
    Both Approve and Reject status are set up to require a Digital Signature.  Workflow controls moving the status back to a "ready" state for the next reviewer.  It also keeps track of the number of reviewers, in order to know when all reviews are done.
    When everyone behaves in timely manner, this works great.  Workflow has no issue with setting DMS statuses - in most cases.
    However, I also have deadline monitoring set up on my workflow.  After 3 days pass with no action, I want to "auto-reject".  System id WF-BATCH is what I use to set statuses through workflow, and this works fine in most cases. However since the status "Approve" and "Reject" are set to require digital signatures, this system initiated status change FAILS.  The system does not provide a digital signature for itself.
    My question is - is this possible through configuration - to set it up in some way that a system ID can promote to a status and either pass a password or simply not require a digital signature?
    My network is kind of stuck at this point because one of the 2 statuses MUST be selected for it to proceed.

    That's an interesting suggestion... I'll investigate.  Any additional detail you can provide on how to implement this User/Pwd hard coding in WF would be appreciated.
    In the meantime, here is some additional info.
    Imagine a status network as follows:
    Draft
    Initiate Workflow
    In Review - Reject/Approve
    Active
    Document starts in draft.  The author selects a status of (Initiate Workflow) at which point the workflow starts.
    Workflow moves the status from (Initiate Workflow) to (In Review)
    and puts a work item in the reviewers mailbox. Reviewers can change the status to (Reject) or (Approve) and each requires a digital signature.  After each reject/approve, Workflow moves the status back to (In Review) so that the next person may act.  When everyone has reviewed and approved, workflow moves the status to (Active).  If anyone has rejected, workflow moves the status back to (Draft.)
    This is a simplification, but that's the scenario.  WF-BATCH is our workflow ID that has SAP-ALL authorization.  Problem occurs when deadline monitoring is in effect.  If a reviewer doesn't act within the designated deadline, the monitor fires and the work item is flagged as obsolete.  Due to the status network, the only valid path is to either move to (Approve) or (Reject).  But since both of those statuses have been set up to require digital signature, they fail.  We end up stuck in (In Review) with no way out.
    If hard coding the userid WF-BATCH and the password in some table will solve this problem, then we'd be thrilled.

  • Digital signature process has not been completed yet

    Hi Everyone
    One more issue today. we had digital signatures process for couple of our statuses in DMS and later part of the project they were revoked due to various reasons.
    Now we move the status of the approved document  i.e. RL (Released) to NE( Initial status) and made the changes to the same document. When DIR status changed from NE to AP( for approval, previously we had digital signature active for this status) we are having issues and not allowing further to change the status (Message appears as "Status does not allow you to change certain data")
    Is there any way I can change the status of the DIR? I can't copy this document and create a new version for many reasons.

    Thanks for your promt reply. We had to revoke deigital signatures as we have introduced new work flow system I.e. CENIT which is affliated to SAP... So approval process is tracked and done in that system, so it updates DIR In SAP whenever document is approved in that system. Cenit work flow is implemented through PLM 7.0 Net weaver business client.
    So please let me know if we you have any suggestion to change the status of the documents.  We wanted to obsolete these DIR's as we have created new versions.

  • Save method for digital signatures

    Hi - I have several thousand forms all set up for digital signatures, which I use for locking down the form fields (render read-only). This works fine. The problem I have is that when a user digitally signs the form, they automatically get asked to Save As - with a default location on the local machine. Can this be changed to allow the user to simply save and overwrite the form in its original location. Of course there is a danger with doing this, but users with document/case management systems do not necessaritly know where to save the document, so basically they want to open up the form from their CMS/DMS, complete it, digitally sign it and simply save (automatically back in the location they launched it from.
    Does anyone know where I can even look - I have trawled the registry, the digital signature settings, etc, but no luck.

    Hi - these are all reader extended through Livecycle ES Reader extensions and are signed by users in Reader. What I am asking is if anyone has an idea where this behaviour is declared, so that I can change it.

  • Digital Signature only Release Status with 3(Approver) Signer

    I have done all the basic settings for Digital Signature which is sawn in following link

    We have in process to implement Digital Signature with only two Status
    our scenario is
    Document Creator  Create Document With Status CR
    Document Approver Approve Document With Status RE
    now we have scenario that For 1 Document we have 3 Approver and 3 approver must digitally sign on DIR
    our status is
    only   CR(create)---->RE(release)
    so how i can attached 3 digital signer  with only 1 RE(Release) Status
    is it possible to go with 3 digital signer with only 1 RE (Release) Status ????

    Your requirement of utilizing 3 different approvers for a single 'Release' status in a document type/s can be addressed via the approach proposed below:
    1.Define 3 individual authorization groups
    2.Define 3 individual signatures
    3.Define a common signature strategy
    4.Assign the above 3 individual signatures to the common signature strategy
    5.Define the signature sequence(the order in which the 3 approvers must approve)
    6.Define users and restrictions(signature assigned to relevant approvers/users)
    7.For the document type in question for the 'Release' status,assign the above signature strategy and test.

    Hi Friends,
    I have a requirement which I am explaining below:
    There are various status for a document and workflow is triggered for each status.  I want to add the Diginal signature of person after he approves / select the status for that document thru workflow on Original file.
    If there are multiple pages on the original file I want to add the Diginal signature of person on each page. And also I want to put stamp on below the signature on each page.
    Can it be possible. If so Pls. let me know how to do or where can I get the material.

    Yes, both your requirements are feasible to achieve in SAP DMS but via different approaches.
    1. For implementing digital signature, the steps are as follows:
    Configuration section:SPRO>Reference IMG>CA Components>Approval
    -Define individual authorization group
    -Define individual signatures
    -Define signature strategy
    -Define individual signatures to the above signature strategy
    -Define signature sequence(if there are more than 1 group involved for approval)
    -Define users and restrictions(signature assigned to relevant users)
    -Define document status(of document type) or which signature strategy must come into effect
    NOTE: Digital signature is status driven(hence its not possible to have it for each original part as desired by you)
    2. For implementing stamp feature
    Stamp feature is part of 'Redlining Tools' suite.You may add stamp by clicking on the stamp icon in Redlining Tools section of a original(in the edit mode). Provide the necessary details that you need to appear in the stamp. After creating the stamp, from the Favorites section choose the stamp needed and insert the same onto the original drawing.

  • SAPGUI SNC logon and digital signature

    Dear all,
    I have setup in a test environment a sap logon with SNC in order to use the active directory authentication instead of SAP R/3 User and Password. It works well. So I can enter directly in the system without specify R3 user and R3 password. My users have no to maintain R/3 password anymore.
    Now I have a problem. For some transactions we have implemented the digital signature in order to have a further authentication when we want to perform some critical task. An example is releasing dms document in CV02N transaction.
    Our customizing for digital signature is:
    System signature with authorization by R/3 user ID/password
    The other options are:
    User signature with ext. security product with verification
    User signature with ext. security product w/o verification
    So the system still ask to the users their R/3 password for the authentication when they try to "sign" a document.
    Do you think there is a way to configure the system in order to ask and check the active directory user password instead of R/3 password? Where can I found documentation about it ?
    My system is SAP R/3 4.70 ext 2 on windows 2003 r2 sp2 x64.
    My active directory is based on Windows 2003 x32 sp2 in native mode.

    We are running SAP ECC Version 6.0 wih Netweaver 7.1.  We also talked with SAP about this and they have given a small BADI to disable the R3 user id and Password prompt.  However, they informed us to write a own coding to activate/authenticate with LDAP.
    Wondering, what need to modify and which functional module.  I saw the below from one of the thread...Please let me know what to modify in the coding to make the LDAP authentication works.

  • Released document without complete digital signature

    Hi All!
    I'm working with digital signatures in the DMS system and I have set the release indicator so that two signatures are needed to release a DIR. The problem is that the DIR gets the green release status after saving the first signature. I get the feeling that this is a bug in the system but I have tested it in two systems and it works the same way in both systems (one of them is a ECC6.0 EHP5 system and should have all the relevant updates). The whole idea with digital signatures at the release status is in my head that the DIR does not get released before all stakeholders have signed the DIR. Am I wrong or have I done anything wrong in the config?

    Any specific logic as to why you intend to use two digital signatures to release a DIR?
    Because,in your case,you can fulfill your requirement by using a single digital signature for a DIR.Herein,since there are two bodies involved for releasing a DIR, you may define the 'Signature Sequence' and the 'Release Sequence' in digital signature customization.This will ensure that that document is released/green indicator set only after body A and body B both have digitally signed the DIR in the sequence specified.Does this help?
