DMS ACL's

Hello,
I have an issue with DMS ACL's. I have activated the TDSwitch and was able to see the Authorization tab in the DIR.
I added a user and given that user "NOauth" access for a particular document. But when I login as that user and searched for the DIR and was able to open the document eventhough I have given him specifically "NoAuth". I have implemented the BADI  'Document_auth01' with the 'check_authority' method.
Any idea, what mistake I am doing? is there any other setting I need to do for this?

    Hi,
    i have installed an IDES mySAP ERP 2005 SR2 System to test the ACL functions with EASY DMS 6.00 SP 4 Patch1. The authorizations of the ACL are shown well but they did not work. Only the authorizations from SAP System use.
    How can i use the ACL ? Should i do some customizing settings ?

    I'm working on a DMS implementation project and trying to understand the scope of Access control management( ACL & ACC)
    can any one tell me what will be the drawbacks or difficulties of implementaing ACL in large project or is it better to limit to groups in organisation.

    Its particularly more useful for Folder level authorizations in easy DMS.

  • Mass change in ACL Authorizations in DMS

    Hi guru
    I'm working with ACL authorizations in DMS. I don't know how delete (one shot) the authorizations of the user that is resigned. For example I have many  documents where I set the write access for the user : Jack.
    If Jack is resigned is there a transaction or report to:
    mass delete this data or
    sostituite the user JAck with new employee ?

    I create the report as written in the note. The report doesn' solve my problem because:
    select only for a document not for a range of documents
    I know the user resigned not the document so I should have a report for a user , the report should show me all the document where the user has been assigned a acl authorizations.
    According to you, is there a standard solution or is possibile to realize a custom solution?

  • ACL Inheritance in DMS

    Hello DMS experts,
    Scenario:
    Folder 1(Created by ABC user)---XYZ user is not authorized (by creating ACL in folder with NoAutho as activity for XYZ )
    Document 1(Created by ABC user)--A new document checked into this Folder1.
    Issue:
    According to inheritance, this document is suppose to carry the ACL authorization from Folder 1, but currently unless we create the ACL manually (By navigating to Authorization tab in the document properties, and clicking on "Create Admin Authorization")these inheritance is not copied to the document automatically. If this is standard SAP behavior, then what is the use of Inheritance?. (Registry key AutoInheritedAuth=1 maintained)
    It is practically not possible to manually create these ACL for all sub folders and documents when they are created.
    Need your suggestion/clarification on this....

    Option 1:
    My question is related only to Inheritance of ACL authorization and lets assume that PFCG objects are in line with it.
    Option 2:
    Lets say, I have Folder1 with 10 documents inside, I have not assigned ACO_SUPER for ABCD user and ACL is created for Folder1 with "NoAutho" to ABCD user to this folder. ABCD user is authorized to access this Folder1 and its documents as per the PFCG objects.(Hence, my requirement is, according to PFCG roles the user is authorized for relevant document types and objects but i want to restrict the user only to certain folder and its documents using ACL)
    1. What is the need of assigning superior document, when the definition of inheritance itself says that properties of superior folder is copied to child items?
    2. Those 10 documents are visible to ABCD user or not?.
    *Currently only the folder is not displayed to user, wherein if the user searches the documents, it is visible. If we manually create ACL in the properties of each of these documents, then it copies the ACL (from inheritance) and stops displaying to user even in search (which is desired). Hence, the only issue here is, copying of inheritance ACL automatically.

  • ACL activated,not working in General DMS

    We have activated ACL's in our DMS setup in ECC6.0.The Authorization tab appears in DMS and easyDMS and are able to add users and assign activity (Admin,Read etc).Now my issue is.
    1.Though we can add users and assign activity,the same does not hold good.Like in gnenral DMS,if user X has been assigned READ authorization for a document,if that user logins,he can do EDIT functions also.Am i missing something(DCSWI is activated)

  • Check in new documents in DMS with specific access permissions

    Hi,
    we have an RFC which creates new documents in DMS.
    This calls one after another these FBs:
    - CVAPI_DOC_CREATE
    - CVAPI_DOC_CHECKIN
    - BAPI_DOCUMENT_CHANGE2 for a additional classification of the new document
    Now we have a new request from our customer: to give the document specific access permissions.
    We try the following:
    - manually check in a document template with the necessary permissons.
    - the permissions are given in a classification  ("O,MW-T-D*,IB,02/03/52/53")
    - This is named "authority characteristic" and is checked somewhere else, I do not really know how this works in detail ( but it works)
    - check in a new document with a reference to the template and in expectation that the new document has the same classification and therefore the same access permissions
    - If I do this manually in CV03N is does work
    - We do this with CVAPI_CHECK_IN_WITH_TEMPLATE - but this FB does not copy the classification ( only the description and the attached original documents , and the documentnumber of the new document is an mandatory parameter which is not allowd in our case since we use internal creation of document numbers)
    My question is: Is this a possible way to create new documents with specific permissions
    Is there a possibility to give the permissions to the documenttype instead of give them to every single document of this documenttype ?

    My guess is that at some point you propagated the ACL entry for "everyone deny delete" to all your folders and sub-folders and their contents by selecting Apply to All in a GetInfo window. Try doing a search in the Leopard forums for
    ACL chmod
    and you'll find a whole raft of discussions about the problem and suggestions for fixes.

  • DMS Document structure

    Hi Friends,
    We are implementing DMS in our organization. Our file storing system is explained below.
    1st level - Vendor name (like Nyro / Hydraulics / techno )
    2nd level - Project name (like A1 / A2/ A3)
    3rd level - Dept. (like Civil / electric/ admin)
    4th level - Type (like Drawings / docs / memos)
    Can we do thru Document structure or by classification (by creating characteristics / class and attaching to doc. type)
    Which one is better way ? If we use document structure can we authorization for each level objects like in 2nd level one person is authorized for A1 another for A2 like way other levels also.

    Hi Sai,
    mainly you can work with both ways. The creation of a class which enables your users to classify each document info record and then control the permissions with the suitable authorization objects or by a BADI implementation will work.
    Another solution would be to create a document BOM structure in CV11 or with the help of the new browser function in ECC 600 release. For further information on the browser function please see also the following link http://wiki.sdn.sap.com/wiki/display/PLM/NewFunctionalitiesinERP2005.
    Additionally I think that EasyDMS could also be a solution to setup this scenario for your user. In the above SDN WIKI area for DMS you will also find a special content part for EasyDMS too.
    In the release ECC 600 with EA-PLM extenstion you can use the ACL authorization concept to add individual authorizations for
    users to single document info records. This could be useful to allow one user to enter folder A and another to enter only folder B.

  • Document browser / Folder Structure in DMS

    Dear Experts,
    I have activated document browser and was able create folder structure.
    As per clients requirement, We designed a department wise folder structure.
    Example :
    Main Folder 1
    Main Folder 2
    etc..
    Under each main folder a sub folder is created to maintain specific DIR.
    But in the system, there is no restrictions for document types under a sub folder, and we are able to create any DIR with any document type under a any sub folder.
    So, could anyone suggest me a way out to restrict document types under a folder?

    Hi John,
    the performance issue is not the TREX search. In most cases it takes long time to check if the user have at least read permissions to the document listed in the search result list. That's why it takes more time to display 20 hits than 5 hits.
    Using more or less repository services doesn't change ther performance for the search result.
    Using a user with Content Administrator permission must have the best performance because in this case ther document permissions are not checked.
    To improve the performance you can try to use a ACL cache or increase the size of the ACL cache.

  • DMS Connector for KM - index issues - single sign on

    We are at EP 7.0 SPS 14 with an ECC at 5.0.
    I had our basis install the BP DMS ConnectorKM 1.0 and then the support pack BPDMSCONN01 9-20000787.sca.
    I wound up with two repositories being created one called dms and the other dmsrm.  The dmsrm repository is working fine and we are seeing the expected data.  The problem comes in with searching the dmsrm repository.  We receive logon errors when trying to create the index.  We use single signon.  I found note 686776 referencing problems loging on to ABAP though KM which is my problem exactly (Caused by: com.sap.mw.jco.JCO$Exception: (103) RFC_ERROR_LOGON_FAILURE: Name or password is incorrect. Please re-enter)
    When I went to index_service to put the ABAP user id we want to use the System drop down does not contain my ABAP system. 
    Here are the Potential reasons listed in the error box
    The selected principal does not have end-user permissions for the system.
    The system's logon method does not require any user mapping data for the system (such as "SAPLogonTicket" for a system that is not the SAP reference system). This is true - do I create another system and not enable logon ticket?
    The system's user mapping type is not set correctly or not set at all.
    There is no system alias defined for the system.
    There is no system landscape registered, for example, the one contained in Enterprise Portal.
    Any guidance on how to get my ABAP system to display in this drop down?

    1- Everyone group has end user authority
    2- System Alias SAP_R3_QWA
         *User Mapping Type = admin, user
         *Logon Method = SAPLOGONTICKET
    System does not show on the mapping tab on the index_service user.
    So I started digging to see if I could change the userid used by the index - found that but didn't help in the end....
    Changed the userid used by the index via the Global Services>Index Management Services
    User management exception: Could not get service user "xxxxxxxxx" - this user is the ID we use on our web dynpro JCO connections. So that didn't help - set it back to "index_service"
    Looking at my System definition - it works and has about 10 alias defined.  The User Mapping was already populated  in fact all items you listed were already defined as requested...the only problem is that the system doesn't show up in user mapping (WebEx is the only thing in User Mapping - comparing them nothing really stands out to me other than the systems are based on totally different templates).
    Any other fields I should check?

    Where can i find these access control lists.I'm Studying this link

    with the upgrade to ECC 6.0 Document Browser and ACL Authorization come as new features in the standard of the Document Management System. You can find a documentation about these new features in the SAP Help

    I have activated the ACL switch by selecting ACL FLAG & Edit ACL check boxes in Tcode dcswitch but the authorization tab is not  coming in DMS screens (CV01N, CV02N & CV03N). Can you please help me to solve it.

    The link provides the steps to get the option for turn on / off the ACL/browser switch. But in our system i can see these option in the Tcode dcswitch.
    I selected (tick mark) the ACL FLAG & Edit ACL checkboxes in Tcode dcswitch but i can't see the Authorization tab in CV01N. This problem exist only in DEV client not in IDES.
    If i don't select "Use ACM" check box in DC10 for the particular document type then the authorization tab is coming for that document type in IDES system. But in DEV client there is no field like "Use ACM" check box in DC10. Can you please clarify that 1. The ACL authorization tab will come only in IDES system?
    2. The ACL authorization can be used only in SAP Easy Document Management System or we can use it for SAP GUI also?
    3. Do we need to install anything (ex: PLM WebUI) to use the ACL authorization?

    Object-related authorizations (access control lists (ACLs)) allow authorizations for carrying out certain activities in folders and documents to be assigned.
    These authorizations are inherited top-down (see Inheritance) and can be overridden at lower levels.
    You use the authorization object ACO_SUPER to give certain users, such as system administrators, authorization to override the ACLs.
    Note: Linked documents do not inherit the authorizations of the folder to which they are linked. These documents only inherit ACLs that result from their original use, that is, from the folder in which the documents are actually located and not from a folder by means of a link.

  • AutoVue Web Services - DMS Args

    I am attempting to use AutoVue web services.
    I have this installed and setup to the point I have a java test client that consumes the ping method fine and returns what is expected.
    When I try to perform the convert functionality the web service hits our java servlet when trying to get at a document in Livelink DMS but the configured dms arguments from the third_party_int.properties are not being sent through and I cannot see why?
    I presume the fact it actually hits our servlet means it can see the DMS option in the config that has the URL in the .properties file but the rest don't seem to be picked up and sent?
    In the java debugger the dms args object is null so I am hoping I have missed something ... Any suggestions or help would be appreciated.
