DMS Attachments & IH01 Search

Hello,
We have a few external documents (word/pdf/etc.) that are linked to functional locations and equipment records. If I am in the IH01 Structure and I highlight the top most superior functional location and then use the menu path Environment -> Documents , Should this search action result in a display of all external document links that are available. All here means the external documents that are attached to the superior most functional location and also to the functional locations below it and the equipment under those functional locations.
At the moment, while in IH01, I select a particular functional location and use the menu path Environment -> Documents...the result is that I only see external document links that are assigned to the selected functional location or equipment.
What is standard SAP behavior? We are on ECC 6.0 Ehp4.
What are the other search options for searching DMS documents that are linked to Functional locations/equipmnent... if I do not know the FL or EQ to which the external document has been linked ?

Hi Kingfischer,
It is Standard Behaviour. The other method of searching will be through CV04N through Object links.

  • IH01: Search button not active

    Hi PM Gurus,
    I am working on technical upgrade from 46C to ECC6. I am facing a problem in IH01, after executing the transaction, search button (binocular) is not active. Can any one suggest me what may be the possible reason & how it has to be activated.

    Hi Ashok,
    I think, IH01 is the transaction code for the selection page ie editing the inputs... (function location structure), there we need not to search anything whereas we need to input the various selections. Thats is the reason sarch button is disabled....
    Once u input the data and transact, the buttons wil be activtaed.
    In case u are looking for searching something specific, pls do let me knwo.

  • DMS  attachments storage in IXOS

    Hi all,
    WE have a requirement where SRM attachment functionality  needs to be enabled for classic and more over if the user creates an attachment in R/3 manually then it needs to stored in IXOs rather than SAP.
    For the first part is already done but  moving DMS documents to IXOS content repository can any  body has an idea about configuration settings  required for this.

  • Authorization Group (BEGRU) search help  required in Easy DMS

    Hi all,
    I had defined some value in authorization group (BEGRU) in SAP. When i opened the Document using CV01N/ CV02N transaction, then F4 help is available to me.
    but when i opened the same document via SAP Easy DMS 7.0, Search help functionality is not there.
    How could i activate this.
    Pls.. Suggest.

    Hello Sheo,
      EasyDMS does not provide search help for Authorization object as of  the latest release. The search help achieved by customization of the domain BEGRU does not reflect in EasyDMS.
    To achieve this, you can enhance easydms interface by using either easydms plugins or EasyDMS custom tab.

    I have noticed there are many posts from you on easyDMS (starting from u201C what are the drawbacks.etc etc).looks like you are facing some issues in implementing the easyDMS. but that also shows that you have not gone through the proper documentation which is available with the installation of easydms in pdf formats..
    you can first go through the documents carefully (step by step approach)..once you do it, you will get a very clear picture of what is easydms and how it works..after that in case you get some specific issues you can always post them in SDN..
    Sometimes investing some time to learn a product will provide you more insights about product..by QnA session you wont be able to know all the features of easydms (or for any other product in general).
    Plz take is in a positive way..we have experts in SDN who can help but even god helps those who help themselves

    u get tree option, 1. Maintain Search Server Relation, 2.Set Up Search Engine Index, 3. Start Processing for Documents
    u need to configure for search.
    Also, full text serch,
    General Data>Settings for Storage Systems>Create MIME Types for Full-Text Search.

    If you are looking at certification opportunities for SAP DMS in India specifically, the answer is no. However, the way SAP has positioned its solutions(PLM,CRM,SRM et-al) over the past few years, i believe, we should have something coming along in the near future. However, there is a mention of such course on SAP's website.The below link gives an overview of Life Cycle Data Mgmt(which includes DMS) course in PLM:

  • Attachements not included in search within Apple Mail

    Hi
    I have a problem with the search within Mail: my attachments seem not to be included within searches. When I search for terms within an attachment, I get no results. I tried with PDFs, DOCs, RTFs and ZIPped documents.
    By the way: if there happens to be some expert out there: what kinds of attachments are searched within mail (e.g. a DOC in a ZIP archive)?
    My system is quite new and setup still standard (at least the spotlight preferences).
    Any help would be greatly appreciated.

    It is caused by the deprecated features and components in Outlook 2013:
    Outlook search via the Windows Shell
    Outlook 2013 will no longer surface search results for mail and calendar items in Windows Explorer (or via the start menu).  Users can still utilize all of Outlook's search functionality from within the app itself.

  • Active table search

    I am trying to emulate the pop-up box in outlook for the global address list.  Some functionality I'm looking for is while the user begins to type in the last name, the table scrolls automatically up or down displaying the names accordingly.  I have a table with lastname, firstname, initial, email.  I can do a search on the lastname, but I want the names to be actively displayed (table scrolling up and down), then the user can just select the name he wants.  I'm trying to eliminate the user having to type in the entire last name in order to find the correct email address.
    In simpler terms, I would like the same functionality as the pop-up window in outlook.

  • Searching through a table

    hello,
    what i have is a table with binary strings.  i am seaching through the table to find matching strings that the user inputs.  i use a for loop but i need a way to do a few options.
    1. i know there is a way to use the for loop without having to specify a "N" value but is the way i am doing it sufficient.
    2.  my program is not highlighting all the occurences, it is skipping some occurences
    3.  search for 1st occurence
    4  Go to next occurence
    5.  Find all occurences
    6.  an option to clear the table and the table selections.

    SInce you don't know how many elements will match, you must use a while loop, not a FOR loop.
    Simply reshape the array to a 1D, the use search 1D array until you run out of elements. Attached is a quick sketch (LAbVIEW 8.0), see if you can take it from there. It also shows a way to reset all table backgrounds to white.
    (There are many other ways to do this.)

  • Digitally Signed and/or Encrypted Emails -- Can't Scan or Search

    I work in an environment where we enforce digital signatures and encryption on emails when certain conditions exist in the body of the email (e.g. hyperlinks, attachments, etc.).  What we've found, over the years, is that Exchange 2010 doesn't appear
    to be able to read the body or attachments on emails that are signed or encrypted.  We've found this because Transport rules consitently fail against these emails and Search-Mailbox fails to return results against test emails that have been digtially
    signed/encrypted using Body or Attachment keywords as criteria.
    Has anyone else run into this, can explain this, or know if there is a workaround/hotfix?  I heard from someone that Exchange 2013 fixes this issue but need a resolution for 2010.  Any assistance would be greatly appreciated.

    No you're right.  The customer keeps coupling the two because of their adjacency in Outlook and I repeated it because I've been hearing it all day.  The limitation of encryption is well understood but digitally signed emails are only plain-text
    with added s/mime data.  However, this latter case still seems to baffle Exchange 2010 -- Transport rules don't act upon rules based on body-content and attachments and Search-Mailbox will not report users' mailboxes as having mail that's searched for
    if it's digitally signed.

  • SAP Status to show Assigned Document

    Good Morning DMS users,
    I am new to this functionality (DMS) and would like to incorporate it into SAP PM to have documents assigned to :
    A) Functional Locations
    B) Equipments
    C) Work Orders
    My Questions are as follows:
    A) If a document is assigned to any of the above 3, is there a "Status" symbol that will/can be displayed when viewing the Functional Location/Equipment or PM order to show the end user that there is an attachment?
    B) Is there any functionality either in standard SAP or a specific ABAP program that will print the attached document when the PM order is printed that contains either the Functional location, Equipment or is directly attached to the PM Work order?
    C) WIl you please confirm that when using DMS (CV0X transactions) that the documents are not stored in the SAP server but either in a local PC or a networked server.
    And Final Question;
    What are the advantages of using DMS over just creating "Attachments" directly to the Functional location, Equipment and PM Order? (I have to convert some sceptics that DMS is the correct/best method)

         Please find answers to your questions
    A. Status Symbol
    As with my experience I am sure that a majority of these transactions have no display mechanisms if there are underlying DMS attachments to it. Normally they are attached to additional data or to the attachment button.
    If you have to develop this, you can incorporate it via screen exits, if they are available. Also you can develop a custom transaction.
    B. Printing attachments
    They are also not part of the standard functionality. Custom ABAP has to be developed to accomplish this.
    C. Document Storage.
    It depends on how you have configured your DMS. The default storage is the SAP database. However you can reroute it to any other storage mechanisms.
    E. Why DMS for attachments?
    You use DMS for attachments primarily to leverage the enhanced capabilities offered by SAP. For example if you use DMS
                                  1. Search and retrievel capabilities are available for the document. Advantage here is you need not know the underlying SAP object behind it.
                                   2. Same document could be shared by multiple objects in SAP.  If it has reusability in material master or other areas and f you add as an attachment to each of these objects, multiple maintainence and storage is required. So the clear advantage is change could be propogated from a single source.
                                   3. Enhanced internet availability of documents.
                                   4. Sap standard features such as Archiving is available, if you use DMS.
