DMS  attachments storage in IXOS

Hi all,
WE have a requirement where SRM attachment functionality  needs to be enabled for classic and more over if the user creates an attachment in R/3 manually then it needs to stored in IXOs rather than SAP.
For the first part is already done but  moving DMS documents to IXOS content repository can any  body has an idea about configuration settings  required for this.

    Dear All,
    We are working on a DMS scenario, where we need to store the document in an external content server, and not in SAP DB. We are evaluating the solutions around the content server, and we see that SAP provides a HTTP Interface to SAP Content Server, and this interface can be configured through OAC0 and OACT, and managed through CSADMIN. Now, a set of questions:
    1. If we intend to use SAP Content Server, do we need to purchase additional license for it? Our understanding is that the software is delivered with SAP Installation DVD, and as such no licensing charges are required.
    2. If we DO NOT intend to use SAP Content Server, and rather use an external content server (Possibly utilizing the File System at the OS level as a repository), how will the configuration of OAC0 and OACT look like in such a case? We definitely can not use HTTP Content Server as storage type, How will the entries be organized in this case?
    Has anyone worked on a scenario like this? It will be really nice if you can share your experience and expertise in this regard.

    Thanks for the clarification. Do I understand correctly that, for a external content server (without an installation of SAP Content Server) also, we need to specify the storage type as HTTP Content Server ? But in such a case, how will the work processes be handled? As I understand, SAP Content Server engine will handle the incoming/outgoing requests through a Web Server. So, don't we need a similar arrangement for an external content server also? In that case, will the connection parameters be for a HTTP Content Server or for RFC Archive, where we can specify a RFC Destination of type G and connect through it?

  • DMS file storage

    Hi All,
    I have searched the forum but not able to get the answer.
    I have a little knowledge on DMS as I am not a DMS consultant. I would like to know where the attached documents get stored.
    we have activated the DMS GOS. Able to attach it to a transaction and view in the same transaction.
    I have checked TOA01 table. And it is updating the table. But I want to know the place where physical file is stored as we cant open in the table.

    Ideally GOS documents get stored into SAP database. Opening of the document shall happen from the place you have uploaded it. You shall never be allowed to open the attachments from the table level.

  • DMS Server storage sizing

    Hi All,
    We have configured a DMS server 2 years back for  test purpose which works fine.
    The free hard disk space on this server is only 4 GB and it is a windows based system.
    The RAM is 9 GB.
    We are planning to go for a full fledged DMS usage, I need your recommendation on the
    system sizing.
    Please share your expriences as I am too sure about the data growth.

  • DMS Attachments & IH01 Search

    Hello,
    We have a few external documents (word/pdf/etc.) that are linked to functional locations and equipment records. If I am in the IH01 Structure and I highlight the top most superior functional location and then use the menu path Environment -> Documents , Should this search action result in a display of all external document links that are available. All here means the external documents that are attached to the superior most functional location and also to the functional locations below it and the equipment under those functional locations.
    At the moment, while in IH01, I select a particular functional location and use the menu path Environment -> Documents...the result is that I only see external document links that are assigned to the selected functional location or equipment.
    What is standard SAP behavior? We are on ECC 6.0 Ehp4.
    What are the other search options for searching DMS documents that are linked to Functional locations/equipmnent... if I do not know the FL or EQ to which the external document has been linked ?

    It is Standard Behaviour. The other method of searching will be through CV04N through Object links.

    As such DMS storage capacity is not there... u have to define DMS storage capacity on content server with reference to document generation capacity. e.g we have to find out application wise document generation means for MS Word how much is legacy data.. how much is data generating over period of time... compression ratio and user to keep log space... likewise we have to find out for each application and then by adding all these we will get the required capacity of content server.. The folowing attachment will give you detail overview of capacity settings on content server..

  • Quirk with storage VI's and timestamp data.

    This is a minor bug (since it's easy to work around if your aware of it)
    I'm running LV 8.0.1 and writing a timestamp through the Write Data Storage VI, will store different times
    depending on whether I pass just the timestamp in or the timestamp wrapped in an array. The timestamp
    wrapped in an array is accurate, but a single timestamp is by 10 hours behind (and considering that I'm in
    the PST (GMT-8:00) timezone), I'm not sure why it's 10 hours off.
    I attached a VI that demostrates what is happening. The workaround for now is just to wrap timestamps in arrays
    before sending them into the write data storage vi.

  • Storage VI blocking on front panel interactio​n

    For some reason that I can't figure out, the "write data" storage vi (and perhaps others) will block during
    front panel interactions. For instance clicking on a ring button will block until you select something.
    The button doesn't have to be on the same VI either. Also editing a separate VI, when you right click
    and start looking for the right function in block mode or widget (I forget the labview term) in the Front Panel, 
    will block the write.
    The problem with this is that my main program is saving data from a ring buffer, so if someone takes
    too long making a selection, I've lost data. I attached a VI that can demonstrate the bug
    (at least on what I can try it on). I've gotten the attached VI to work with labview 8.0 and labview 8.0.1

    Thank you for posting this well written description and
    great small example which reproduces the problem!  This seems to be only occurring with the
    write data like you mention.  I’m not
    exactly sure the cause, but I filed a bug-report on it (3ZNC2Q3A), so we can
    investigate here.  I’m betting it has
    something to do with user interface interactions between the controls and the
    write measurement file VI, as components from each could run in the UI thread
    and block each other.  Unfortunately, I
    don’t see any immediate workaround without having to change a few things up
    with your program structure.  For example,
    instead of a ring, you could just have one or two checkboxes for the options
    and see which the user has pressed.  Because
    the write file VI is the only one that is blocked, you could conceivably separate
    your data acquisition thread and your file IO thread (many times it’s a good
    idea anyway).  Using the Queue datatype,
    you could add all the data to the queue in the non-writing loop, and write to
    file in the separate file IO loop.  If
    the write to file blocks the data will continue to queue and no data will be
    lost.  This is known as a
    producer/consumer VI design pattern. 
    Your consumer would be the file IO portion of your code.  Check out the tutorial of this structure here.
    Are these alternatives acceptable?  Unfortunately, with the way the write VI
    interacts with the user interface thread I don’t see any way to avoid this
    problem.  I apologize for any problems
    that have occurred as a result of this behavior.

  • SAP DMS Issue - CV01N

    HI all,
    I had integrated SAP ECC 6.0 DMS with Content Server.
    In the current Scenario, documents are to be uploaded in Content Server and later documents are to be linked with SAP application. (Say to ME22N - PO Transaction).
    My concern is, Can't we directly attached the document at Application level (say in ME22N Screen) and same should be visible in Content Server.
    Pls Note: I do not want to use SAPOffice Attachement facility which is avaiable at Application (ME22N PO Header Level)
    For your Information, following settings are done in Kpro
    ==> Content Repository Defined with Document Area "DMS" and Storage Type "HTTP Content Server".
           Transaction Used : OAC0 and CSADMIN
    ==> Category is defined for Document Area 'DMS' and Content Repository ( Transaction :OACT)

    I agree with Sachin that DIR's can be linked only to PO Item and not to PO header. If you want to link documents to PO header, you will have to go for development.
    If object link at PO Item level is acceptable to you, and you want to create and link document from ME21N, try following- 
    Define a document type with Internal number generation and no mandatory field in DC10 transaction.
    Goto object links and configure object link to PO item(EKPO)
    On "Define object links" screen, put option 1 in "Create Document" field.
    In DMS-> Control Data-> Maintain Screen for Object Link, enter "1" in "Auth" field for EKPO object.
    After those configurations, when you are creating/ changing PO, Click on PO item, and click on "Documents" button. You will see "Create Documents" icon. From here you will be able to create documents without going to CV01N transaction.

  • SAP Manual attachments

    Hello
    I set up SAP Content server that uses Archive link. As of now we are able to store and retrive all the documents of FI and HR properly. We have a new requirement of retention policy.
    Since all the manual attachments with different retention period are stored in a common content repository, can I have a separate content repository for MANUAL ATTACHMENTS for each area like FI, HR etc.
    To configure the manual attachments storage to content repository, I had to change SOFFPHIO to point to SOFFHTTP in SKPR08 and SOFFHTTP to point to content repository in OACT.
    So all the manual attachment of different areas are going to my new content repository mentioned above. Can I have a separate repository for manual attachments for separate areas?
    Pls confirm how do we configure it.

    I don't know if it'll solve your disk space problems, but you could look into adding a call to fm SAP_WAPI_ATTACHMENT_DELETE
    as the last step of your workflow, if you're certain the attachments won't be needed.

  • SAP Status to show Assigned Document

    Good Morning DMS users,
    I am new to this functionality (DMS) and would like to incorporate it into SAP PM to have documents assigned to :
    A) Functional Locations
    B) Equipments
    C) Work Orders
    My Questions are as follows:
    A) If a document is assigned to any of the above 3, is there a "Status" symbol that will/can be displayed when viewing the Functional Location/Equipment or PM order to show the end user that there is an attachment?
    B) Is there any functionality either in standard SAP or a specific ABAP program that will print the attached document when the PM order is printed that contains either the Functional location, Equipment or is directly attached to the PM Work order?
    C) WIl you please confirm that when using DMS (CV0X transactions) that the documents are not stored in the SAP server but either in a local PC or a networked server.
    And Final Question;
    What are the advantages of using DMS over just creating "Attachments" directly to the Functional location, Equipment and PM Order? (I have to convert some sceptics that DMS is the correct/best method)

         Please find answers to your questions
    A. Status Symbol
    As with my experience I am sure that a majority of these transactions have no display mechanisms if there are underlying DMS attachments to it. Normally they are attached to additional data or to the attachment button.
    If you have to develop this, you can incorporate it via screen exits, if they are available. Also you can develop a custom transaction.
    B. Printing attachments
    They are also not part of the standard functionality. Custom ABAP has to be developed to accomplish this.
    C. Document Storage.
    It depends on how you have configured your DMS. The default storage is the SAP database. However you can reroute it to any other storage mechanisms.
    E. Why DMS for attachments?
    You use DMS for attachments primarily to leverage the enhanced capabilities offered by SAP. For example if you use DMS
                                  1. Search and retrievel capabilities are available for the document. Advantage here is you need not know the underlying SAP object behind it.
                                   2. Same document could be shared by multiple objects in SAP.  If it has reusability in material master or other areas and f you add as an attachment to each of these objects, multiple maintainence and storage is required. So the clear advantage is change could be propogated from a single source.
                                   3. Enhanced internet availability of documents.
                                   4. Sap standard features such as Archiving is available, if you use DMS.

    In TCode : CV04N,  data carrier & application field are not getting displayed.
    While i compare with my IDES system, data carrier & application fields are getting displayed in CV04N.
    Let me know is there any configuration that has been missed out.

    Hi Bhanu,
    Please note that the fields 'Data carrier' & 'Application field'  are visible only if no document type is entered.
    Suppose you enter a document type and press ENTER then these fields disappear. This is because the field 'Application' was designed when only the storage is archive, vault or SAP-SYSTEM was possible and the number of added originals was limited.
    Currently DMS allows storage of originals on Content Server and there is no limit on the number of added originals, the system behavior was changed due to performance reasons. To avoid performance problems if you search for a document with a lot of originals attached this field gets invisible if you enter a document type which uses the KPRO storage.

  • Invalid refnum. object id does not exist

    I've found that when a channel is created without signal data, then the 'ID to refnum.vi' cannot find that channel and gives the following error:
    Error -2569
    LabVIEW:  LabVIEW cannot convert the object ID into a valid refnum. An object with this ID does not exist in the data storage file.
    However, the 'Read Data.vi' and 'Get Properties.vi' and everything else works fine. Interestingly, if a channel is made with signal data, then the channel is overwritten without signal data, then 'ID to refnum.vi' works fine, even though the ID remains persistent in both cases.
    I've included a simplified example of code that produces this error. 'Refnum to ID.vi' produces a valid ID but 'ID to refnum.vi' can't find it in the file.
    Am I assuming something wrong here?

    I dnt get anything when i see the error, its like somewhere standard error. And are you trying to scroll horizontal or vertical scroll?
    Any way, we can achieve scrolling through one application parameter called wdtablenavigation and its value is SCROLLBAR.
    then you will get scroll bar for all tables in your component.
    Once you double click on appplication,you will find parameters tab, there pass the above values.
