DMS Authorizations in portal

Greetings, SDN members!
I am looking for a solution of managing DMS documents authorizations in such a way, that several files / folders which reside in the DMS would be accessible globally without any restrictions (for everyone), while resigning in departments sections which are blocked by SAP standard authorizations.
We were thinking about creating a new folder hierarchy and not maintaining authorizations for it, putting all public content there, but we are looking for a more "elegant" solution which would allow us to "mark" documents and folders as public (not restricted at all).

Hi,
Do the users world wide will be having SAP User ID and Password? If so then through WebDMS this functionality can be achieved.
Also, Easy DMS can be used if this is installed in individual systems.

    Hi sathya,
    1) you had connected dms to portal using connector ( supplied by sap --- hardcoded by SAP)
    2)you search documents through search iview (supplied by sap --- hardcoded by SAP -- i hope so ).
    in this scenerio it is better to raise an  message to SAP or look out for SAP note in market place.sometimes such problems could be solved by importing a latest service pack but then it will be informed by sap through SAP note.

  • DMS Connector to Portal Issue – PDF files does not work

    I have a general issue regarding PDF files from DMS, these files are all defect when opened through the portal (works fine through backend access), but other document types works fine (like .doc;.ppt, *.xsl etc..).
    It is possible to download the file to your local pc, but still the same error occurs.
    When Adobe Reader opens a info box shows “The file is damaged and could not be repaired”.
    I have tried to update Acrobat Reader without any luck.      
    Any ideas on how to solve this issue?

    I will never understand why but in the end I rebuilt my 32 bit dell laptop from scratch and the pdf files can now be searched.
    I cannot search them on a mapped drive as I was able to with Windows XP because now they must be indexed and windows 7 will seems not to allow a mapped location to be indexed which must be done to make the pdf files searchable so I have had to move the files to the local drive.
    My Windows 7 64 bit systems can search the mapped drives just fine without needing to be indexed. Again I will never understand why this works and the 32 bit machine does not.

    If not can u tell me how to display all authorizations in the portal in detail.

    Hi,
    There are around 40+ Standard roles in EP7.  If you logon with J2ee_admin you can see all the roles attached to a user under user Management Tab.

  • Problem related to BW (Reports, authorizations)    & SRM portal

    Hi friends,
    problem is that, we created some SRM reports on BW its working fine , we extracted data from R3 properly, and we can able to view on BEx those reports then we created some authorizations for SRM portal,that reports working results fine, but only particulate vendor not abule to see the data.
    Authorizations created on Plant/vendor combination
    That ODS contain Data and BW reports also fine.
    What may be the reason. plz provide some solution for this.
    as of now i am thinking it may be problem with authorization , i am unable to find that, becoz other combinations are working fine
    is any information required i will provide.

    what i find is problem with updations.
    how to make updation in authorization object.
    when i add new plant/vendor combination , its not updating for that role.
    y it is not happening, is there any way to do that

    I created a BW web template and included the standard web item for single document.
    Our users shall be able to create a new or edit the exitsing document.
    This works with my authorizations - SAP_ALL in ABAP and Super Administration (pcd:portal_content/administrator/super_admin/super_admin_role) in portal.
    My test user also has SAP_ALL in backend but no super admin in portal.
    He is not able to see or edit or create any documents.
    The error message starts with:
    Message: Access denied (Object(s): portal_content/OPD)
    Stack trace: com.sapportals.portal.pcd.gl.PermissionControlException: Access denied (Object(s): portal_content/OPD)
    We tested with my user, taking away authorizations and so far one needs to have the super admin role to be able to work with the documents.
    Since this is not acceptable for end users, I am searching for a portal role that admits users to work with documents but without them being super admin.
    Has anyone any idea?

  • Authorization to Portal resources (i.e., pages, portlets, etc.)

    I was able to create users, a group, a role, an entitlement, and a desktop through the Portal Admin Console to show that when I was logged in as one user I could see a certain portal page/tab, but when I was logged in as another user I could not see that portal page/tab. Does this provide the level of secure authorization needed throughout the Portal to prevent users from seeing Portal resources that they should not be able to see? I know that if I do not go through the Desktop's URL and instead go directly to the Portal's URL I see everything in the portal no matter what my roles and entitlements are. Do I need to investigate the WebLogic server's security realms in order to implement users, groups, and roles in a more secure manner?

    Hello, I've found response, so I detail it here, if somebody encounts the same problem.
    The problem is that a called PL/SQL procedure/funtion/portlet in a database could work in a alone page group with the right access. But when you put a template (+ ui_template or not) you have to create a specific DAD access for the portlets. Here's the step :
    1) Log to Portal > Generator > Administer
    2) Click on the left down corner on "Portal services Control" (sorry, I translate from french) and access to Oracle Enterprise Manager.
    3) Select in the right up corner "HTTP SERVER" and after in the main menu "administration"
    4) On the left, select and click on "PL/SQL properties" > "DADs" (on the upper menu)
    5) Here, click on "Create" > "general"
    6) Fill the blanks (Name was "/pls/my_schema" for me and "default page" was "MY_SCHEMA.MY_PORTLET.MY_PROCEDURE").
    So I thanks all people who take care of these posts, and I hope it could be useful for anyone.

  • Authorization on portal

    Hi frnds,
    I have a report which is having the information of Actual sales and Planned sales of all employees.
    If a user i.e the employee login into the portal is able to all employees Actual sales and Planned sales information.
    But here my requirement is the user who ever loged in has to see his Actual sales and Planned sales information only not the others.
    So here how can I restrict the user who ever loged in can see his sales information only?
    I think it is possible through authorizations. Am i correct?
    If yes How can i proceed?

    Hi Sridhar,
    This is very much possible using Analysis Authorization.Create a Variable for actual and planned sales KFs.These variables shud be Authorization relevent.
    If u get them in BIW then u get them in Portal aswell.So first get them in BIW.
    1)create auth variable
    2)Create a role
    3)Assign the authorization object S_RS_AUTH to the variable
    4)Assign the role to the user.

  • DMS document in Portal UWL

    Hello,
    I have the following requirement:
    1 - Workflow is created after the invoice image is attached to the FI document (the imagem is stored in a DMS document linked to the FI Document).
    2 - The workitem is created in the UWL. This workitem has a link to the image. When the user double clicks, the image (jpg for example) appears in the windows viewer.
    This is all. Is there any way I can do this? I see several theoritical solutions:
    1 - Retrieve the image URL (I don't know how to do this)
    2 - Attach the DMS document to the workitem. This is not good because a WebGUI windows would open with the DMS object, not the image.
    3 - ?
    Suggestions?

    But my question is how to get a document from SAP - DMS (say CV03N).  If I get a document then I can convert and make it display on the BSP screen.

    Hi Experts,
    I  develop one intereactive form in that i want to show attachement. I found many standard fms for that but i could not able execute same fms on portal. i used following code . This code works fine in backend but in frontend it could not work.

  • DMS Document access through Portal

    Hi Sap Gurus,
    we are in the process of integrating SAP DMS with Enterprise portal 6.5,  and SAP DMS on 6.0 SP 12, ie the latest Version,
    when we try to access or view the documents in Portal, we could only see those which have been maintained through Easy DMS, ie.. the folders and documents created in EDMS only is visible
    The Documents which are created in normal DMS, ie the document types and all the documents are not visible in Portal view. any one who have seen or managed DMS through Portal let me know can we see all the documents through Portal or only those maintained in Easy DMS,
    can we avail all the funtionality in Portal to manage the documents just like we do in DMS. what are its limitation.

    Hi,
    The Kpro Tick is been given to all the document types i have configured,
    i dont know if i have to enable any other KPRO feature apart from this,
    if any one have made DMS and Portal integration, please let me know is Portal access is only for Document maintained by Easy DMS, or it is for all the documents of DMS, (is there any note to be implemented to avail this feature)
    also we are planning to have Trex search engine for Portal file search, can this same Trex be used be  for searching files inside DMS also.

  • How to Display DMS document in Enterprise Portal

    Hi All,
    I have a scenario as described below.
    I have a workitem which goes to user in his/her UWL  for  execution. When  this  workitem gets  executed  it  displays an Adobe Interactive form.
    Iin this  Adobe form i am giving links to DMS(Document Management System)  documents. So  when this link is clicked the related DMS document files should  get  displayed.
    Thru BAPI i m able to get DMS document number its  Object Links and  details of the  files (PDF,DOC,XLS etc..) attached to it.
    But I am not able to display this attached files on my enterprise portal. I debugged in R/3 and found out standard Function Modules which are used to display this attached  documents of DMS and wrap them in RFC and called this RFC when user   clicks link on Adobe Form in EP.
    The problem I m facing is this RFC is not able to display the attached document files of DMS document on Portal front end. it gives error as u201CException condition "NOT_SUPPORTED_BY_GUI" raised., error key: RFC_ERROR_SYSTEM_FAILURE"
    The reason behind why it is running successfully in R/3 is, it gets  front end as SAPGUI but  while we execute it thru portal it does not get frontend type as SAPGUI cause  portal always runs in Browser not on SAPGUI.
    So, Is there any way to display this DMS document files on Enterprise Portal?? Or  is it  possible using Knowledge Management?? Or any other standard  BAPI or FMs which can be used for the same  purpose??

  • DMS access through a Portal

    Hi,
    I have created a portal through which I want to access the DMS functionalities like Create, chang, display document, create receipent list, document distribution, SAP Inbox, etc. The portal is working fine but the only limitation is that, prior to access DMS from portal, I may need to install SAP GUI on that PC.
    Expectation is, I need to integrate DMS system directly from Portal without SAP GUI.
    Please suggest the solution..
