DMS & cFolder

DMS: How and where to define the organization structure in document info record (DIR) which will help restrict the two different users of two different plants to access the dir.
for eg.
Compant code(1000)
plant - 1100
plant - 1200
plant - 1300...and so on
cFolder:
in the comments or the discussion thread when a user puts his comments it becomes masked. and if there are n no of people putting the comments.. how can i gather all the comments in a single sheet in DOC or TXT format.
if there any standard avaliable to convert these comments in to the single file.

Hi Niranjan,
generally it should be possible to link a document info record to cFolders.
Therefore you have to maintain the necessary object in customizing and define it for specific document types.

    Dear,
    SAP Product Lifecycle Management is a complete and vast area in SAP. There are many functionalities covers in PLM. In simple word in whichever functionality directly involves in this process are can be a part of PLM like what you said QM also.
    The definition of PLM schould (or could) be:
    - Document Management (DMS)
    - cFolder and cProject (and PS)
    - CAD and Office Document integration
    - Task Management, Work Flow, Status Network etc.
    PLM can include modules: PS,PM,QM, PP, MM, CS, SD, Document Management etc..
    SAP QM is a separate module which you can implement with MM or wherever applicable.

  • Assembly (CAD) to DMS to cfolder queries.....Help

    Hi Gurus,
    we have implemented <b>cfolder 4.0</b> and we are using <b>Inventor prof. 11 CAD tool</b> which is <b>integrated with SAP DMS.</b>
    we are facing a problem that,
    we upload the part files from Invetor to DMS and then use tcode cfe01 for exporting a file from DMS to Cfolder.
    1) Assembly files not getting CHECK IN to DMS >>> error you are not authorized to create BOM.
    2) any changes made in part can not be linked to assembly file uploaded explicitely from create doc function in cfolder (b'coz of prob no. 1, we upload assembly files from Local m/c to cfolder).
    3) if we upload assembly(after resolving prob no 1) from Inventor to DMS(save & check in)and then from DMS to cfolder (by tcode cfe01), all the child parts will be copied to cfolders or not.
    we want to upload only assembly(but all child parts to get uploaded) is it possible?
    if Yes how?
    e.g.
    Parent assmebly file : asm01.iam
    child part files          : part1.ipt
                                    part2.ipt
    <b>WANT:</b>
    we need to upload asm01 to DMS and push the same from DMS to cfolder with part1 and part2.
    so if we change file part1 and update asm01 and checkin asm01 to DMS all things need not be uploaded.
    <b>Current situation:</b>
    upload asm01 to cfolder from local m/c.
    upload part1, part2 either from local m/c or through DMS to cfolder.
    part1 revised so again update asm01 and upload part1 and asm01 to cfolder.
    <b>the difference</b>Instead of 2 transactions, only 1 trnasaction of pushing asm01 from Inventor to DMS to cfolder.

    what i want is while pushing Assembly all the child parts should go to cfolder in same command..
    thanx anyway.
    i have got solution, by using cfe02 explode BOM option i can push child also.

    I have couple of question related to CFolder which a test system configured and running on a SAP sandbox WAS.
    1) Can CF be extended to outside suppliers without  a need of an sap UI and password? If yes, do they just need any special  type of windows authentication? We have a mix of suppliers, some has access to SAP and some prohibited, but requires access to some limited SAP information.
    2) Out of the box cfolder solution allows to work with SAP objects like Material, MPN, Documents, BOM etc....can you import SCORE CARD and SCAR objects from SAP. Or do you need SRM integration with CFOLDER?
    3) Can you integrate BOBJ for publishing monthly (Excel, graphs etc)  reports to the supplier area of the cfolder?
    4) What are the pros and cons of running a cfolder system on the SAP ECC server itself. Does it need to be installed on its own server hardware?

    Answering to your questions..

    Yes, cFolders is mainly available  for collaborating documents, materials, BOM's etc. with business partners like suppliers, customers. No need of access to SAP GUI for using cFolders, since cFolders is web based application(BSP application) which can be accessed using backend SAP user id's with relevant authorisations.If few suppliers has already access to SAP system, then those user ids can be used to access cFolders, Check with your accounts manager of SAP for licensing details.
    2) Out of the box cfolder solution allows to work with SAP objects like Material, MPN, Documents, BOM etc....can you import SCORE CARD and SCAR objects from SAP. Or do you need SRM integration with CFOLDER?
    cFolders can be easily integrated with SAP ECC system for accessing documents from DMS, materials, BOM's.  And as far as Score card & SCAR, i have no idea but SRM can be integrated with cFolders.

    Business objects integration..not much idea about it but the outputs from BOBJ like excels, flash files can be uploaded to cFolders very easily and can be shared with suppliers.
    4) What are the pros and cons of running a cfolder system on the SAP ECC server itself. Does it need to be installed on its own server hardware?
    cFolders is part of component CPRXRPM and this component is a ERP addon, so it can be installed on the same server of ECC. This can be installed separately also, but I would recommend to install on same server since the integration becomes easier. If you take reference of business suite IDES, the above component is installed in the same instance and you can have a look at this.

  • Built-in DMS?

    Hi all guru
          I have some questions confused me. Is dms built-in in the ecc 6.0 ? If I don't buy cfolder or others ,
    could I store my document ,such as  PR attachment ,  into the sap server filesystem  , not windows mount driver? By windows driver , each user has to setup the environment and there are some permission issues. Is those correct ?
          I don't believe sap 's built-in document solution is like that ,but my basis consultant told me that the fact is.  If I want to put those document into sap filesystem or another storage system  which no one could access directly ,  is it possible ?

    Yes, DMS is a part of ECC 6.0 as other modules like MM,SD etc..
    there is no need of storing attachments in windows drive..specially for DMS, content server is recommended because of its more handling of documents.
    for storage, separate content server can be configured where you can store all the documents (attachments).
    content server authorizations will be as per the roles and access provided for storing documents, all the users wont be having any access except provided authorizations are given.

    Hi experts,
    I want to have CFolder ( for partners outside the organization) and Document Management System ( within the intranet) and both of which integrated to back end SAP R/3.
    Can any one tell me
    (1) What are the components to be installed ?
    (C-folder is a part of Cproject suite but I am not sure for DMS what is to be installed.)
    (2) Is there any front end (like SAP GUI) required to be installed for DMS ?
    (I guess an internet browser is enough to upload/download/view documents in  C-folder but what about DMS ?)
    (3)CPU and RAM requirement for C-folder and DMS installation

    Hi Anupam,
    1) Your first requirement is something for which SAP DMS and cFolders are made for. There are transactions in R/3 through which import and export of document can be achieved within cFolders and SAP DMS.
    You can have different servers for SAP DMS and cFolders.
    2) The Content server is something where you will be storing your documents. It depends on you business requirement. Basically its nothign but a storage location for your documents.
    TREX is a search tool, which can be used both in DMS and cFolders.
    3) ABout hardware the sizing guides are available on service.sap.com, you can get an estimate over them easily with that information.

  • Import redlining Layers from Cfolders to DMS or Local System

    Hi Gurus
    1. Assume, a JPEG image has 4 redlining Layers in cfolders ..
    Can we import the JPEG image and the redlinings layers from cfolders into DMS or to the local system ....
    2. Also In DMS ..i  tried Creating Layers in the JPEG file and i was able to save and view it again, but for the File which was imported from Cfolders to DMS, i was not able to view the layers contained in it .. Is there any settings , i am missing here ?

    Hi Paddy,
    the folllowing steps for ingetration of cfolder with Portal:
    1. login in to portal. there will be one tab content admin.
    2. click on content admin, there willl be one folder portal content. here u can create new folder like e.g cfolder.
    3. under this folder, u have to create IVIEW, WORK SET and Role.
    first create iview, while creating iview it ask for some details related to cfolder like application id, system id, ip address and url mentioned for cfolder. this u will find in BSP application SE80 Tcode.
    same create roles and work set and assign roles to workset and iview to workset.
    4.then go to user admin here u have to map user ids in EP. it is only for mapping purpose so that there will be single login . they dont need to login again into cfolder if they accessing cfolder through ep.
    5. then go to system admin here u can create themes.
    click on content admin

  • Saving an interactive form temporary and then retrieve it in DMS -possible?

    Hi!
    We have a scenario as follows: When a user creates a new Functional location, a new Interactive Adobe form should be automatically created - prefilled with the new number for the functional location and the description. This should be triggered from an existing user exit. The master data is on a 46c system so we need to call a function module on an ECC system remotely to create the Interactive form. Then this new form should be saved on a common folder or maybe c:/temp and then another program in the 46c system should be triggered that put this PDF-file into DMS. Manually the user will export the document to a Cfolder system, where external Vendor could do some updates in the Interactive form. 
    Do you think this Scenario is possible ? We will have a Proof of concept Workshop next week. But it would be nice to have others opinion on this.
    Do we always need to build a WebDYnpro application around the Interactive form ?
    Is it possible to generate an Interactive Form in the background?
    Any thoughts is appreciated!

    Yes it's possible to do so without Web developpement .
    You need to retrieve the PDF content , store it on a file server and then use BAPI DOCUMENT_CHECKIN to do it .
    If you want i can send you abap code for adding file into DMS.

  • SRM and DMS Content server Linkage

    Hi Every one,
    have any one worked in DMS and SRM integration please provide some details how to integrate  DMS Content Server and SRM,
    also SRM is also using a concept of C-folders and it is expected to link the documents stored in Content server to be retrived by C-Folder users
    Please throw some light on this Integration

    Hi,
    You will require SAP SRM - cFolder component for SRM bidding engine. For the content server you will require 2 content servers one for DMS and second for cFolders in DMZ zone provided you are working in DMZ zone for cFolders and this component is not directly installed over SAP application server.
    The cFolders content server is optional but recommended.

  • Link between DMS DIR and cFolders

         We are creating documents directly in cFolders. After collaboration with users, we are pushing the final document to R/3 DMS. But we need to know, for which cFolder scenario this DMS document has been created. Is there any way we can find out this?

    No std functioality is available.
    You can however use one of the fields in DIR to link Scenario or collaboration name with DIR
    You need to take an abaper befor modifying anything here...

    Hi All,
    We are planning to install cFolder 4.5. What landscape do we need to build for it. Will it be a 3 system landscape (DEV, QA, PRD) and cFolder installed on all systems OR its only one system with cFolder installed on it.

    cFolders implementation needs a good preparation especially a clear design/architecture needs to be made.

    As you can see cFolders is a distributed application, in case you also want to interface with SAP backend systems (I suppose so) you also need DMS and PLM components in the backend systems.

    From http://www.service.sap.com --> SAP Support Portal. You need a "SAP Service Marketplace" user. Usually, every SAP installation (server) or project has a marketplace user to report product errors, ...
    After that, go to Help&Support --> Search for SAP Notes and there put OSS note number.

  • CFolder feasibility check

    Hi ALL,
    Would like to know, whether vendor can do an online PPAP submission using a cfolder. Can cfolder be integrated between ECC, SRM and DMS (document management).
    Scenario is for all new products, supplier have to submit PPAP documents by online through a portal . And question here is how feasible is using cfolder.
    Does cfolder requires another license to use SAP Application Server or it is coming free with any of these components, SAP ECC or SRM.
    Any suggestions and recommendations regarding this topic will be very appreciable

    same as in your other thread - very straightforward and standard scenario you are talking about. And there is no additional license fee for cFolders on top of ERP/SRM, besides the users that need to be licensed (external supplier users, internal users if not covered by ERP user licenses already).
