DMS Document access through Portal

Hi Sap Gurus,
we are in the process of integrating SAP DMS with Enterprise portal 6.5,  and SAP DMS on 6.0 SP 12, ie the latest Version,
when we try to access or view the documents in Portal, we could only see those which have been maintained through Easy DMS, ie.. the folders and documents created in EDMS only is visible
The Documents which are created in normal DMS, ie the document types and all the documents are not visible in Portal view. any one who have seen or managed DMS through Portal let me know can we see all the documents through Portal or only those maintained in Easy DMS,
can we avail all the funtionality in Portal to manage the documents just like we do in DMS. what are its limitation.

Hi,
The Kpro Tick is been given to all the document types i have configured,
i dont know if i have to enable any other KPRO feature apart from this,
if any one have made DMS and Portal integration, please let me know is Portal access is only for Document maintained by Easy DMS, or it is for all the documents of DMS, (is there any note to be implemented to avail this feature)
also we are planning to have Trex search engine for Portal file search, can this same Trex be used be  for searching files inside DMS also.

    You will have to create one System for R/3 Server Access, Once you have created that you will have to maintain User mapping for System Access for each individual users, who want to access the DMS Documents from Portal.

  • How to Display DMS document in Enterprise Portal

    Hi All,
    I have a scenario as described below.
    I have a workitem which goes to user in his/her UWL  for  execution. When  this  workitem gets  executed  it  displays an Adobe Interactive form.
    Iin this  Adobe form i am giving links to DMS(Document Management System)  documents. So  when this link is clicked the related DMS document files should  get  displayed.
    Thru BAPI i m able to get DMS document number its  Object Links and  details of the  files (PDF,DOC,XLS etc..) attached to it.
    But I am not able to display this attached files on my enterprise portal. I debugged in R/3 and found out standard Function Modules which are used to display this attached  documents of DMS and wrap them in RFC and called this RFC when user   clicks link on Adobe Form in EP.
    The problem I m facing is this RFC is not able to display the attached document files of DMS document on Portal front end. it gives error as u201CException condition "NOT_SUPPORTED_BY_GUI" raised., error key: RFC_ERROR_SYSTEM_FAILURE"
    The reason behind why it is running successfully in R/3 is, it gets  front end as SAPGUI but  while we execute it thru portal it does not get frontend type as SAPGUI cause  portal always runs in Browser not on SAPGUI.
    So, Is there any way to display this DMS document files on Enterprise Portal?? Or  is it  possible using Knowledge Management?? Or any other standard  BAPI or FMs which can be used for the same  purpose??

    You have to create a new iview and include it in the page that youhave created.

    I wanted to know if we store the documents on SOLMAN, can they be accessed using portal.

    We have a standard functionality of solman with which we can access solman documents
    For e.g goto properties of doc in solar01 or 02 then click Generate URL
    this will generate a URL and copy to clipboard and then press control+v to paste in explorer the doc can be accessed from anywhere with authentication
    Note you need to have activate SICF solmandocument service for this.

    Below is the client requirement
    *They want to access an infotype "pa9016" in portal*
    In order to do is I have created a SAP Transactional iview and selected the system and in the Tcode area I have given the infotype name "pa9016".
    Assigned the iview to Role
    Now the problem I am facing is when i click on the Role I see the error message
    pa9016 tcode unknown
    My question is Can we access infotype using SAP Transactional iview.If not how to access the infotype in portal

    It is not possible for you to create a transactional Iview for an Infotype in Portal.
    We have 2 options to access the PA info type 9016 in Portal
    1. Create a program in the back end system which will pull the data from the Info type 9016 and attach the program to the new ransaction code. Then create a Transactional Iview in Portal for this newly created transaction code.
    2. Add this Info type 9016 in the existing PA role (back end role). We can add the PA Info types in the following authorization objects
    P_ORGIN
    P_ORGINCON
    P_ORGXXCON
    P_PERNR
    The second option is recommended.

    I have created a portal through which I want to access the DMS functionalities like Create, chang, display document, create receipent list, document distribution, SAP Inbox, etc. The portal is working fine but the only limitation is that, prior to access DMS from portal, I may need to install SAP GUI on that PC.
    Expectation is, I need to integrate DMS system directly from Portal without SAP GUI.
    Please suggest the solution..

  • Access DMS documents from MDM ??

    Hello folks
    We have a customer that has SAP DMS (Document Management System from SAP ERP) where the product image files are stored on a SAP Content Server.
    We are planning to implement MDM for rich product catalogue whereby end-users access MDM via Portal, but we need to access some documents on DMS too.
    I know that there is standard PLM iviews that shows DMS documents linked to a Material, can we use these iviews to modify them so that they are launched on request of user after browsing in MDM iviews (managing same material numbers) ?
    Has anyone of you made this ?
    Any hint/help on this is most welcome !

    Hi Sooriya,
    We can get the Product ID from MDM Standard iview through EPCF Eventing. Based on that ID, we can fetch the documents from DMS.
    I am new to DMS. Can you please share some information on fetching document links from DMS through standard or APIs?
    In my scenario, i have to fetch the documents link from DMS for all Master records and store the link in MDM. Also, when a new master s created in MDM, I have to attach/upload documents for the master record and store the document link in MDM. The actual document is present in DMS. When I send the newly created Master data to ECC, I have to link the Master data and the documents in ECC also.

    For Customer care agents, we have limitation in providing direct login access to Win Client.So i have a doubt, if we provide them access thru e-portal,will the portal directly open win client(sap gui) whenever the agent gets an inbound call?
    In other terms can we have CIC implementation for Inbound telephony and have it accessed through e-portal.

    I am working for a customer who is currently using Oracle Portal 3.0.x (9iAS Release 1) and uploaded/stored a lot of MS Office content (thousands of documents). They are evaluating Oracle Files as the document management application. They would like to automate the process to move the documents from Oracle Portal Content Areas to Oracle Files.
    Is there an api through which i can browse through the folder hierarchy (so that i can create the same in files) , and access all the items including the content stored in DB as blob in WWDOC_DOCUMENT$ table ? If there is not one , what are the tables and the relationships i should be looking at ?

    The main reason I've heard for people wanting to do this is that Files supports desktop integration (e.g. drag and drop or save/load from Windows). However, if you're looking for this feature it is available in Portal Release 2 using the WebDAV (Web Folders) integration.
    You can also use WebDAV to copy between Files and Portal, however WebDAV is not available in Portal Release 1.
    The content area views and APIs for Release 1 are fully documented in the PDK (these views and APIs will also be supported for Release 2 starting with the April PDK). Note that Files does not have equivalent APIs, so you will have a difficult time moving content from Portal to Files programmatically.

    is it possible to access windows explorer through portal. or is there a way to access the files in the computer thro portal. i mean something similiar to windows explorer.

    a. Access through Windows Explorer. User should be able to do all required operations related to document handling through Windows Explorer (Check in, Check out, etc.). all these must be done thro portal.
    b. Integration with MS Office and other popular softwares like Visio, MS Project, etc. User should be able to open, save, check-in, check- out document from within these applications. the corresponding file when clicked should open in ms office or word with all the tool boxes enabled.
    c. allow the users to categorize the document repository to different categories.
    d. should support versioning of the documents.
    e. should have predefined user levels / category.
    plzz look into this , say me which is possible and which is not possible. Thanks in advance

  • User is locked in R/3 but still access the application through portal

    We are currently on NW2004s SP10 .
    We locked the User A in R/3 SRM backend system and from Enterprise Portal the same User A login and try to access the SRM application in backend . The system is allowing to access which we want to prevent .
    The authentication ticket type is "SAP Logon Ticket" .  The User A is trying to access ITS services through Portal.
    Do we have specific SSO parameter which needs to set in backend SRM application .

    We are facing portal runtime error(An exception occurred while processing your request. Please send the exception id to your portal administrator) while accessing BI reports through portal frequently.
    We are unable to trace the error in the 'default trace' log file and although refreshing the cache solves this issue, it is difficult to explain this to every user individually.
    After many such errors, We found one log entry, which we are now not yet sure if it is relevant. The error states:

  • Enable to select a check box in ALV while accessing it through portal

    Hi All,
    Currently I have given a link on portal to run a transaction code. The output of the program is ALV report, where user any select the check boxes.
    Now when I try to select a check box, it is not getting selected. I click on the checkbox, the tick appear and then the screen refreshes itself and the tick goes off. This is happening only when accessing it through portal. If i run the program in R/3 directly, I am able to select the check box.
    Please advice on this.

  • Document access via WAN in portal

    Hi,
    I have the following problem. I have installed portal with KM in place A and some users are in place B. Both places are connected via WAN (1Mbit/s). Users in place B have some documents stored in there LAN so they can access them relatively quickly. But they would like to use functionality of KM. When I move their documents to the portal they will access these files over WAN connection. Is there some alternative solution? (users can navigate to the document via portal but than they download them from LAN). Can this be solved by WebDAV or Web repository manager?

    Hi Praskah,
    thanks for help but I would like to avoid network traffic between two WAN locations. Imagine that you have 10MB file on network A on some WebDAV server for example that is in network A too. Portal resides in network B which is conntected with network A via 1mbit/s connection. Webdav repository is connected to this portal. I suppose that if you want to download your document from portal you must firstly transfer it from network A to network B (to the portal) and then from network B to network A again (to your desktop).
    My question is: Can I avoid described useless network traffic and download document directly from network A?

    Yes, but you need to create a RFC Connection between your CRM system and ECC6. SAP DMS itself is not available in the CRM system so the RFC connection needs to be in place in order to use it.
