  • Save attached documents in ME23 to content server

    Hello,
    I need to save the attached documents in purchase orders, via ME23 transaction into a content server.
    I've been reading the DMS documentation, but I don't know if I have to use archivelink technology or basic DMS.
    I've got the content server installed and configured in CSADMIN, and a Z repository created in OAC0, but don't know which objecttype and doctype to add at OAC3, (I've found BUS2012 and EKKO objects in references to purchase orders, but don't know which document type use).
    Also need to create a link in a TOA* table, but don't know difference between TOA01, TOA02 and TOA03.
    Dear experts, can you point me in the right direction?

    For Archivelink setup you will need to perform configurations in following sections
    Tcode OAC2 : Define workstation appliction for relevant object 
    for eg: QMILETTER2 -> PDF
    Assign archivelink type create to the relevant objects in table TOAM_C using tcode SM30
      For eg.: BUS2078     QMOLETTER2     X     A2
    Maintain link table entry for the object using OAC3.
    BUS2117     QMICERTPDF     X     A2     TOA01
    Additionallly maintain entry in tables TOADV and TOAAR. Link table entries.
    In case you are using Archivelink to store the documents no need to define any document type. HEre we will use standard Object link setting.

    Dear Kishore,
    SAP DMS - Document Management System
    SAP DMS are for storing documents such as CAD drawings, Materials pictures etc.
    With the document management system, users will be able to view the documents with ease within their SAP systems.
    Installing the SAP DMS requires a little bit of planning on how you want to do it.
    You have to give a little thoughts to stuff such as :-
    1.  The total numbers of documents that will be store monthly.
    2.  The average file size of each documents.
    3.  The capacity of your present R/3 system.
    4.  Your present network bandwidth.
    5.   Document Archiving Strategy.
    6.   Backup and Recovery Plan.
    Additional purchasing of hardware are required, especially if you have large amount of documents to stored.
    With this in mind, you can then decide on how you want to do it.
    You can do this in a few ways :-
    1.  Import the documents into the R/3 system.
    2.  Use an external document server.
    3.  Have a dedicated PCs where all the documents are stored.
    Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.
    Options 1 requires you to setup the conversion interface. 
    The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.
    Here is a simple example of storing documents into your PCs, just to have a feel how the SAP DMS works:-
    For those using Citrix, you have to set this at the Citrix Server where the SAPGUI is located.
    Configure SM30 - V_TDWE_C1
    Put this command in your autoexec.bat
    SET HOSTNAME=PC1234
    Restart your pc.
    You can create/manage your documents in transaction code CV01N / CV02N
    Assigning Documents to a Material Master Record
    Access a material master record in Create or Change mode, and select Basic Data. 
    To create links to documents, choose Additional data -> Document data.
    The Link to Documents dialog box appears.
    Assign one or more documents to the material. 
    If you do not know what the document number is, you can search for it using the search help or by choosing Find document.
    When assigning a document to a material, you have the following options:
    1. Viewing the document by choosing it in the Link to Documents dialog box.
    2. Viewing any originals of the document by positioning the cursor on the document and 
       choosing Display originals in the Link to Documents dialog box.
    To return to the Basic Data screen, choose Continue.
    Save your data. 
    Do award points if you found them useful.

    If I want to use Fileserver ( external data server but not SAP content server) for storage of documents then how do I configure this ?
    Do anyone have any idea ?
    One more question: While assigning original files to the documents we have to assign Document storage area. How and where  this is configured ?

  • DMS configuration in 4.6C. Configuration Documentation?

    Hello everybody.
    I have just been assigned to configure DMS on 4.6C system using IXOS as a storage place for the documents. I have never worked with DMS before and after banging around the IMG, document type and data carrier tyes, I think I am totally lost. I was wondering if you have any documentation that will help me understand the DMS and its configuration from Basis Prospective, specially in IMG? We are planning to to use DMS for only word and pdf documents. I tried to use the IMG documentation, but some how it dd not help me in figuring out the relationship between different Document Management System in IMG. I

    How can i interface DMS (Document Management System) like SAPerion with SAP.
    Example scenario: a sales contract from SAP is scanned and archive in SAPerion can be retrieve when TMG wants to see the contract they have with the customer.
    SAPerion is a document management system links with the Archive link in SAP through its R/Link but how can you retrive such scanned documents against a particular customer?

  • Dispute Case attachments: CMS, DMS, RMS, ArchiveLink... Confused!

    Hi,
    We're starting to implement SAP Collections & Dispute Mgmt. One of the things that excited our business users on the SAP solution was the ability to attach unlimited (word, pdf, jpg, email, etc) files directly to the Dispute case. However, we have a large volume of disputes and estimate to wish to attach an annual total of ~500,000 files, ~200Gb directly to Dispute cases.
    But I'm confused as to the options we have in doing this and the potential pros/cons related to those options. From the documentation I have found, I see references to SAP DMS (Document Management System), SAP CMS (Content Management System), SAP RMS (Records Management System), SAP ArchiveLink, and also SAP integration "3rd party DMS solutions" (whatever those are...)
    Is SAP CMS & SAP RMS the same thing?
    Has anyone implemented a 3rd party DMS solution? If so, what were the benefits of this over the SAP solutions?
    Has anyone else implemented Disputes with a large volume of attachements?

    Hi,
    DisP.Mgt uses RMS as base so when you link objects in UDM_DISPUTE then you already using RMS. Archivelink & CMS are connected to RMS so if you create an archivelink document in UDM_DISPUTE, you would be creating an archivelink document in ARL already.CMS is in the base for managing content. This is done for all RMS objects & would already be set up. What is means is that if you store say a archivelink documetn then meta data is stored in sap DB but content sits in content server. This content server can be SAP own or 3rd-party. Same goes for RMS objects like cases, records, editable documents.

    i have searched a lot  about Creation of new object link for DMS on internet .
    and all replies  focus on that documentation :
    1.     Program two screens for the following module pools for the SAP object that is to be linked additionally:
    u2013 SAPLCV00
    u2013 SAPLCVIN
    The process logic must be according to that of screen 0204 in program SAPLCV00 and must not be changed.
    2.     Create the function module OBJECT_CHECK_XXXX (XXXX = name of the SAP object).
    i need  to know how to implement that  in more detailed step by step
    as  i know DMS and  abap also.

  • Get URL from DMS in SAP

    Hi everybody,
    I have written an ABAP function in SAP where I export a URL of a document in SAP.
    All the images are stored in the DMS server and I fetch the url of the images by the function 'CVAPI_DOC_VIEW'
    When I execute this in SAP everythings works!
    When I execute this in Java webdynpro, the abap program don't find any link?
    Is there something wrong in my code because all parameters are the same.

    Second I tried to get the KM piece to work for a couple of weeks even put in a help note and could not get the folders or any documents to come through any of the KM Browser's on the portal. I created varients etc etc.  So getting frustrated I decided to write my own.  Also because I wanted an iview that would pop all documents based on a picked equipment or material and from the three iviews I saw from KM they didn't seem to do that.  If you know of some documentation that you recommend please let me know

  • DMS Document Management - Storing Documents at Unix Level

    Hi all,
    I've created a DMS prototype, SAP 4.6C custom ABAP program which calls BAPI_DOCUMENT_CREATE2, which works great. It stores a link to a networked path + file, i.e. X:\folderA\doc1.dat but not the document itself.
    Now, we wish to do the same but store the documents on the SAP unix server but outside of R3 because the number and size of documents is considerable. We want to link the document, i.e. /sap/dms/doc1.dat but not load the document into R3. It is not working and believe problem is as per below.
    Question #1
    1. What does the data carrier section of config look like for Unix document storage? (IMG/CAC/DMS/General Data/Define Data Carrier)
    2. What does the storage system section of config look like for Unix document storage?(IMG/CAC/DMS/General Data/Settings for Storage System)
    3. General question - How is the storage system related to the data carrier?
    Please feel free to point me to documentation as what I've seen so far is vague or unrelated.

    I want to integrate documents in my products (crm) in background. My documents are located in my server sap. ( so I have a URL of my document : file://server/folder/test.doc)
    I have found only one mean. I try to use DMS (document management service) programming interface with the FM
    1 - SDOK_LOIO_CREATE : I create a logical document
    2 - SDOK_PHIO_CREATE : I create a physical document
    but after..?
    when do I download my document? when do I create the link with my product?

    1. Is it possible to link documents in MIGO or FB03 through Archive link with documents already stored via OAWD or CV01N.
    2. Can we use any single transaction code for reporting purpose where we can find all the documents stored via DMS and Archive link.

    Hi,
    Christoph already answered that question in regard to document info records.
    Regarding documents from OAWD, your question is a bit surprising. The main idea of OAWD is to trigger a workflow for linking an external document to a SAP object (document in FB03 or whatever). This is done via ArchiveLink, so all documents linked via OAWD will appear in transactions like MIGO or FB03. Once more, please refer to the documentation:
